A- INCOMING STUDENT EXCHANGE APPLICATION Required Documents to Apply to Concordia: Completed Concordia Incoming Student Exchange Application form, with an attached photo. If your institution is not a bilateral partner of Concordia, the student must also submit a CREPUQ application form (available at Letter of permission from the home institution confirming the student s participation in the exchange program. Personal statement or letter of motivation. One page maximum. Official transcript or record of grades to-date. Note: Photocopies will not be accepted. Graduate Students: Diploma or Certificate AND official transcript of undergraduate studies. Enrolment in a graduate program at the home university does not guarantee admission into a graduate level program at Concordia University. A student s admission into the graduate program of their choice is dependent on the assessment of their file by the School of Graduate Studies. Two reference letters from faculty members at home institution. Proof of English proficiency (TOEFL, MELAB, IELTS) (if applicable see section 3 in the application form). Students are advised to take an English language proficiency test well in advance so that their results can be sent directly to their home institution and submitted on time with the application form. As English is the language of instruction at Concordia University, English Language Proficiency is mandatory to ensure that the student will be able to successfully follow lectures and complete assignments, presentations and exams. Applications received without proof of English language proficiency will not be considered. Curriculum Vitae / Résumé (2 pages maximum). Photocopy of passport photo-identification page or Birth Certificate (no other identification documents will be accepted). Applicants to the Faculty of Fine Arts must provide a portfolio of work in one of the following formats: audio tape (analog/digital, CD, DVD, Slides in a plastic sleeve, video tape or webpage (html). Please note that albums, binders, books/booklets, drawings, paintings and photographs are NOT acceptable. Students applying to Film Studies and Art History do not require portfolios. All required documents should be originals or certified copies and must be in English or French. If documents are not in English or French, please include a certified translation. Please be advised that documents received by Concordia University become the property of the University. Official documents and/or transcripts will not be returned to the applicant. Students should keep a copy of all submitted documents. All complete applications (including all supporting documents) should be received by Concordia International by April 1. Partner institutions are advised to consider postage delays in order to have their students admission packages received on time. Application packages should be mailed to Concordia University by the home institution. Application packages sent directly by students will not be considered. 1
2 All applications will be assessed within a two month period following the April 1 deadline. Scanned applications can be sent but the original application must also be sent before the April 1 deadline. Semester Deadlines Concordia University has two main study semesters: semester: Semester: Early September late December Early January early May Students may apply for exchange for the fall, winter or full year (/) depending on the availability of spots. Please note that one spot is equivalent to one semester. b. Selection of Courses 1. Students are advised to be flexible in their course selection and course schedule. Course descriptions can be found in the Undergraduate or Graduate course calendar on the Concordia website. Course syllabi are generally not available before the student arrives to the campus. 2. Students will NOT be permitted to enroll in courses from those disciplines that are restricted ( 3. Students will be required to meet prerequisites for courses (if applicable) and must be prepared to submit verification of completion of prerequisites when requested by the Concordia International office. 4. Students should select six (6) courses (per semester) that they would like to follow at Concordia, taking into consideration the Restricted Course Listings and the semester(s) they are applying for. Please note that a particular class may be: full year (Sept. to May) indicated as /3 courses (6 credits) fall term only (Sept. to Dec). indicated as /2 courses (3 credits) winter term only(jan. to May) indicated as /4 courses (3 credits) Students must not choose a /3 course if they are coming for only one term. 5. When completing Section 4 of the Incoming Student Exchange Application, please include the course code, course description, and the session as presented in the course calendar. Course codes are comprised of four letters and three numbers (i.e. COMM 201). Course numbers are: 2XX 3XX 4XX Introductory and first year courses Second year courses (often require pre-requisites) Advanced courses (require pre-requisites), may be restricted to Honours and Graduate students Course codes that commence with a 6 (i.e. HSIT 602) are generally graduate level and are restricted to students with the appropriate academic background. 500 level courses are not available to exchange students. 2
3 Please advise students to: Select Courses for the appropriate semester or session Select courses for the appropriate level of study (Due to the differences in academic degree standards, some students enrolled in graduate programs at their home institutions may be advised to choose courses at the undergraduate level at Concordia University.) Ensure that they meet any course pre-requisites Selected courses must be approved by the Concordia department in which they are taught. Students are not guaranteed their selected courses at any time prior to registration. They must therefore be flexible in their choices. Fine Arts students who wish to take studio or production courses (e.g. FMAN) must be registered for the full year. c. Registration Exchange students should register online for courses as soon as (but not before) they have been officially accepted by Concordia International and have been issued their Concordia University Student Identification number (included in the official Concordia International Acceptance Letter). Students accepted into the Faculty of Arts and Science or the Faculty of Fine Arts are responsible for their own registration online. Students accepted into the Faculty of Engineering and Computer Science or the John Molson School of Business must contact their faculty advisor in order to register. International students must be registered full time during their exchange. In order to be considered fulltime, undergraduate students need to be enrolled for a: Maximum of 15 credits per semester (5 courses per term) OR Minimum of 12 credits per semester (4 courses per term) Graduate students need to be registered for a minimum of 8 credits to be considered full time. Students taking courses in the Faculty of Fine Arts should note that some courses and/or some programs require the payment of additional lab fee(s) not covered by the tuition waiver. Students taking any private study courses in Music must pay tuition and fees for these. JMSB students cannot register themselves online. They must consult with their JMSB ACCOMMODATION Students who wish to live in Student Residence at either the downtown campus (Grey Nuns Residence) or Loyola Campus (Hingston Hall or Jesuits Residence) may only apply for residence once they have officially been accepted as an exchange student at Concordia University. 5 Academic Exchange Programs Departments/ Academic Programs Course Calendar (Syllabus) Class Schedule Undergraduate Programs Graduate Programs Term Dates Term Term Early September until the end of December Early January until the end of April Academic Calendar Dates Application Deadline Required documents For a list of academic dates, university holidays and deadlines, please consult the academic calendar page of the daily events calendar. One deadline: April 1 st (for the following fall and winter terms) Concordia International will only accept complete academic exchange applications received from partner institutions. Applications received directly from the students will not be considered. You may find a copy of the application on our website: Language Proficiency Students will be required to present an acceptable score in one of the following tests: 1) Test of English as a Foreign Language (TOEFL) required score: 550 on paper based test, 213 on computer-based test, or 75 on the Internet-based test. Please note that Institutional TOEFL Tests are not accepted. 2) University of Michigan English Language Assessment Battery (MELAB) required score: 85 3) International English Language Testing System (IELTS) required score 6.5 Students whose first language is English or those who have studied full-time for at least three years in an educational institution where the sole language of instruction is English are exempted from submitting a proof of language proficiency. Restricted Programs Interdisciplinary Programs Some programs/ courses are restricted or closed for exchange students Incoming exchange students may attend courses in different departments conditional to the approval of the academic advisor of each department. 2
6 Faculty Collaboration Research Collaboration Visiting Professors Faculty Exchange International faculty members who are interested in conducting collaborative research projects at Concordia are invited to directly contact our researchers who are working in their field of interest. International faculty members who are interested in offering specialized lectures at Concordia and in exchanging with their counterparts on academic topics of their interest are invited to contact Concordia International to arrange the meeting or facilitate the communication. One-to-one faculty exchange for a full semester or academic year may be arranged. Concordia will consider each request on an individual basis. Support Services and Useful Information English language courses Housing Non-credit language courses are offered at Concordia s Centre for Continuing Education. Tuition and material fees apply to all regular and exchange students registered in these courses. Space in the University Residences is limited and not guaranteed. If you would like to live in university housing, please contact University residences after you have received your admissions letter. The Concordia Student Union (CSU) maintains an off-campus housing bank. In addition, the International Students Office (ISO) offers support service and practical tips on off-campus housing as well as access to classified ads and maps. Approximate Monthly Costs* Health Insurance - Accommodation: 400$ to 1000$ - Food: 300$ - Public transportation: 35$ to 70$ (*All estimates are in Canadian Dollars. Costs may vary) In general, International students attending Concordia University must purchase the Concordia health insurance plan. Some exceptions apply.
