1 AS-Sales Management system description
2 AS-Sales Management is designed for automating effective organization and management of registration of orders and delivery processes of large and medium-sized commercial organizations. System consists of two parts: mobile and back office and two-way data exchange is carried out between them. It is equipped with innovative solutions in commercial activity field, it is cheap and easy to use. When developing the system, users suggestions and needs were considered, similar foreign programs were explored and further development prospects were also considered. AS-Sales Management Functionality System allows full automation of product supply process, starting from registration of orders till delivery and product merchandising. System can be integrated with AS-Enterprise and AS-Accountant 6 systems and export data to e-invoicing program. AS-Sales Management system is compatible with mobile devices having Android 4.0. These can be both mobile phones and tablets. AS-Sales Management consists of two parts: back office and mobile. Back Office AS-Sales Management back office consists of the following sections: 1. Directories 3. Pricing 4. Accounting of products 5. Sales 6. Data receiving
3 1. Directories It is necessary to form appropriate directories in order to start working in the system. Sales agents: Employees taking sales orders, registering sales, payments and returns via Android mobile devices are registered as sales agents. Each sales agent is attached to appropriate sales area according which routes are formed, presales and sales are registered. Deliveryman can be set by default for sales agents. Customers: Partners details are registered. One customer can have various points of sales. Points of sales: Various information and contact data is recorded in the card of point of sale and this information is used in presales, sales, payments and returns documents. Sales areas: It is possible to organize sales according to sales areas based on location of points of sales or types of products. It is a multilevel tree-like directory which is attached to sales agents and points of sales. Products: Products catalogue is created with the necessary data about the products, for example, product is free from VAT, is new in pricelist or is a container. Product access: Access to products/product types is set for sales agents. Agents preferred products: When registering orders sales agent can see products set as preferred for him in back office which makes work easier. Pricelist types: Directory is designed for setting types of pricelist (wholesale, retail, etc.) used in enterprise. Cars: Information about cars is used while creating sales documents. Visit results: It is used for registering results of visits to points of sales in mobile part (for example, ordered, closed, no order, etc.) Reasons for return: Directory used for the purposes of selecting reasons while registering returns. Data about planned routes and their comparison with actual visits are important tools for organizing and monitoring sales agents work. Route templates: Standard routes can be created for each sales agent with frequency of days of the week or weeks. Planned routes: Planned routes are added for each sales agent or sales areas for the purposes of organizing sales agent work in mobile part. Actual routes: Data about actual routes is received from mobile part. Comparison of planned and actual routes: Comparison of data received from mobile part about actual routes with the planned ones allows better planning and monitoring of agents work. View routes on the map: It is possible to view routes data on the map to have complete view of sales agents visits.
4 3. Pricing This section is designed for forming products prices and discounts. Pricelists: Products prices for certain period are set. Pricelist enables to set different sales prices for the same product based on the quantity of product sale. Customers pricelists: Product prices are set according to individual customers or customers groups. Products discounts: Discounts can be set for all products, product groups or individual products. It is also possible to set different percentage of discounts for the same product (product group, all products) depending on sales quantity. Customers discounts: Discounts can be set for customer groups or individual customers according to individual products, product groups or all products. 4. Accounting of products This section is designed to view reports about products availability, input/output and products. Products input/output: Having information about products availability while registering orders, is very important. Providing goods to the deliveryman/return from deliveryman: Products given to deliveryman are shown as available in the car in mobile part. Product return from deliveryman document is created to register returns of products from cars to warehouse. Reports: Reports show products balances, transactions and turnover and allow to do appropriate analysis. 5. Sales This section is designed for registration of sales orders, sales, returns as well as for customers debt repayment. Built-in reports make it possible to carry out multilateral analyses. Sales order: Orders given from the customer can be immediately registered in back office or received from mobile part. Sales: These documents are created for registering orders and depositing. It is possible to export sales documents to other accounting systems integrated with AS-Sales Management. Sales return: Sales return document is formed along with immediate dept repayment to register products return from customers. The return of products on deposit is also registered with this document. Payment: Repayment of customers debts from sales is recorded, and it is possible to view debt balance and prepayment sum of each points of sale. There are reports about customers balances, sales comparison according to deliveryman, products on deposit as well as other reports about customers and products. Reports: Multidisciplinary reports about customers balances, comparative report according to products, agents, point of sales for any period, reports according to deliverymen, products on deposit as well as other reports about customers and products enable to perform multilateral analysis.
5 6. Receiving data This section enables to receive in back office the data about registered presales, sales, payments and returns from mobile part. Mobile part AS-Sales Management system mobile part has the following structure: 1. Directories 3. Orders 4. Sales 5. Payments 6. Returns 7. Reports 8. Exchange 1. Directories Directory data is received from back office. It is possible to set permissions for accessible data for each agent. Products: Product code, measurement unit, group and availability can be seen. Points of sales: It contains information about the code of each point of sale, address and the customer to who it is attached. Set debt limit for point of sale, the quantity of unpaid sales as of the date, debt sum accumulated as a result and days of debt repayment can be seen. It is possible to add points of sales available in directory to the points of sales list of the route of that day. Pricelists: It is possible to view products prices according to pricelist types. Customers pricelists: It is possible to view customer s pricelists from this directory. Customers discounts: Directory is designed to view discounts for customers groups and individual customers. Products discounts: Discounts for all products, products groups and individual products can be seen in separate lines. Summary of discounts: Directory shows total discounts for each product according to points of sales. Routes planned in back office are shown by date with the appropriate list of points of sales for the agent. It is possible to view the route on the map after receiving locations of points of sales via GPS. AS-

Orders It is possible to register orders for each point of sales by marking delivery dates, payment type (cash or non-cash) and the result of the visit to that particular point of sale (for example, ordered, closed, no order, etc.). It is possible to view preferred products for that particular sales agent during registration. It is also possible to view registered orders and their total sum. 4. Sales During sale registration products availability in the car can be seen. If the product being sold is in container, the container is also automatically written-off while registering the document. Data about products on deposit is also registered with this document. There is an opportunity to edit discount percentage sales for each selected product and also edit ordered quantity after registering sales document. 5. Payments This document enables to receive payments by selecting the appropriate point of sale. If the point of sale has debts, it is possible to meet any of the debts. If payment sum exceeds debt sum, the difference is registered as prepayment. 6. Returns Data about products returned by the customer is registered with sales return document. 7. Reports Debts: Total sums of debts accumulated from sales for each point of sales are shown in this report. Payments are also taken into account. It is also possible to see sale sums and debts for each date when the debts were formed. Summary of ordered products: Total quantity of ordered products, quantity ordered by each customer, their volume, weight and sum can be seen via appropriate sections of report. Summary of sold products: Total quantity of sold products, quantity sold to each customer, their volume, weight and sum can be seen via appropriate sections of report. Summary of returned products: Total quantity of returned products, quantity returned by each customer, their volume, weight and sum can be seen via appropriate sections of report. Products in the car: It is possible to view products beginning balance and current availability in the car through the report. Products on deposit: Products on deposit are seen according to points of sales. 8. Exchange Via this section data registered in mobile part is sent to back office and data is received from back office. It is possible to select data to be exchanged. AS-
7 AS-Sales Management system capabilities Monitoring- It is possible to set permissions for each user. The history of documents is registered in the system which enables to monitor users work. It is possible to monitor agents actual and planned visits via GPS. Online data exchange - Online data exchange between back office and mobile part enables quick data access and processing for sales agents and office employees. Integration with e-invoicing and AS accounting systems - Integration with e-invoicing and AS accounting systems supports making transactions and data exchange in real time. Analytical reports- Enables to prepare various analytical reports, logically group and expand data, flexibly change reports structure. Integration with MS Word, MS Excel and Open Office - Data export to MS Word, MS Excel and Open Office. There is also an opportunity to form unique print previews.
