Experiential Consortia: The Benefits to Colleges and Schools of Pharmacy and Faculty Preceptors Texas Joint Committee on Internship Programs Jennifer Ridings-Myhra, The University of Texas Paige Pitman-University of Houston Jeffrey Copeland-University of the Incarnate Word Anna Brozick-Texas A&M Health Science Center 1
History Jennifer Ridings-Myhra Assistant Dean for Experiential and Professional Affairs Clinical i l Associate Professor The University of Texas Austin, Texas Objectives 1. Explore the history and growth of the Texas JCIP. 2. Identify a sampling of best practices to develop a new or existing consortium. 3. Compare and contrast the benefits and challenges of consortia. 4. Develop your future plans and goals for a regional consortium. Texas JCIP The Joint Committee on Internship Programs (JCIP) Began in early 1990s Developed in response to requests from preceptors for a common intern evaluation form 2
Texas JCIP Original members two representatives from the three existing colleges at that time (early 1990 s): Texas Southern University University of Houston The University of Texas at Austin Texas JCIP Who we are now: Ex Ed Representatives from the six [ seven] pharmacy programs: 1. Texas Southern University 2. University of Houston 3. The University of Texas 4. Texas Tech University Health Sciences Center 5. Texas A&M Health Science Center 6. University of the Incarnate Word Coming soon to the Texas JCIP University of North Texas The Experiential Education Director from University of North Texas has been participating with JCIP since August 2012 (during precandidacy) 3
Texas JCIP guests Texas State Board of Pharmacy (TSBP) staff are regular guests State pharmacy leaders are invited prn. (i.e. TSHP President) The host school staff, faculty, and administrators facilitate logistics Texas JCIP Logistics The State of Texas covers over 260,000 square miles of land (approximately 7.4% of the entire U.S.) The Texas JCIP Colleges and Schools of Pharmacy experiential regions span approximately 208,000 square miles. Texas JCIP Logistics When/where we meet Four meetings per year (approximately quarterly) immediately preceding Texas Pharmacy Congress (TPC) meetings The host location rotates 4
Texas JCIP Governance Not formal, but professional The host requests, collects, and distributes agenda items starting two weeks before the next meeting Each college/school hosts meetings (depending on location of TPC meeting) and sends follow-up notes to group Did and Do s Initially, Texas JCIP developed a common intern evaluation form (was revised several times) More recently, we developed common activities for four core APPE rotations, and common forms by which to evaluate activities What else we do TALK, TALK, TALK!! (and ) Give updates at each meeting on our programs Expansion plans Degrees offered Professional issues Student issues HIPAA/FERPA issues Background checks and drug screens 5
Consortia Challenges Jeffrey Copeland, BS, ThM, PharmD Assistant Dean, Experiential Programs Associate Professor University of the Incarnate Word San Antonio, Texas Site & Preceptor Challenges Quantity & Quality Supply & Demand Overlapping regions Loyalty / Bias Finances: payment for sites / preceptors APPE = $0, $600, $700, $800 IPPE = $0, $300 All vs. Select Preceptor Development 3 hours every 2 years Structure Challenges Different Curriculum Design --> Different IPPE Programs Block = 2 weeks, 3 weeks, 6 weeks Semester = weekly activities Different Grading Systems Different Grading Systems Pass / Fail vs. Letter Grade Different Policies & Procedures i.e., Attendance Policy 6
Structure Challenges Different Software Systems = E*Value, RxPreceptor, PharmAcademic Same Systems = Different accounts, profiles, passwords Different College / School Office Structures Contact person Turnover Understaffing Active Learning Session Identify best practices for a consortium to overcome Site & Preceptor Challenges Quantity & Quality, Finances, Preceptor Development Identify best practices for a consortium to overcome Structure Challenges IPPE Program Structure, Grading System, Policies & Procedures, Software, Office Structure Rewards of Collaboration Paige Pitman, PharmD, MBA Director of Institutional Based Advanced Pharmacy Practice Experiences Clinical Assistant Professor University of Houston Houston, Texas 7
Who Benefits from the Texas JCIP? Experiential Education faculty, staff, and administrators Students (in Texas P2-P4 are designated Interns by TSBP) The colleges and schools of Pharmacy Other beneficiaries Preceptors Experiential Education sites (clinics, pharmacies, and institutions) The Texas Community as a whole Benefits of collaboration Standardized APPE Calendars Standardized Assessment Tools Certification of Preceptors Certification of Preceptor Development Share ideas Team effort to solve problems 8
Standardized APPE calendars Everyone is on the same page Academic Deans adopt JCIP calendar for their academic calendars. Institutions/preceptors are able to maximize their student training time by orienting students simultaneously Students from different schools/colleges of pharmacy learn together Standardized Assessment Tools What is standardized: Competency and Professionalism Evaluation forms Not completely standardized but similar Standard rubric for rotation evaluations Standard forms for case presentations, journal clubs, etc. Some programs tweak forms but retain similarities Assessment Tools Benefits to: Preceptors, in that they provide very similar rotations for all students Institutions can take students from multiple schools because less time is spent completing paperwork and making the rotation specific to any one school 9
Certification of Preceptors JCIP works in collaboration with the TSBP and gives feedback toward the minimum preceptor p requirements. Benefits all students because preceptors must meet minimum educational standards to precept in Texas Certification and Provider of Preceptor Development Preceptor development is a requirement for initial and continued competency to precept students. JCIP approves which learning experiences count toward preceptor development in the state of Texas. Preceptors and students benefit in that JCIP sets the standard for these activities and provides these at state association meetings. Share Ideas General openness/willingness to share ideas E-value Discussions with JCIP members within the state using the system Group using E-value agreed to open access and share how they were operating within the system E-professionalism policies Library/Educational Resources 10
Future Plans Anna H. Brozick, Pharm.D., M.M. Director of Introductory Pharmacy Practice Experiences, Assistant Professor Texas A&M Health Science Center Kingsville, Texas JCIP s future Growth: New schools/colleges of pharmacy in Texas Expansion of class sizes in existing programs The challenges of quality and quantity of sites/preceptors emphasize the need to maintain rapport with JCIP members JCIP mentorship Wide range of expertise and experience of JCIP members, both academically and clinically Assistant, Associate, and full Professors Both residency-trained and non-residency trained Administrative levels from coordinator to director, and from chair to dean 11
JCIP scholarship Need to capitalize on other scholarship opportunities The Texas JCIP is pursuing scholarly writing and presentation on a variety of topics Inter-consortia collaboration Focus on gathering information, what are best-practices for delivering Ex Ed curriculum in variety of academic settings (rural, urban, regional distribution, expansion campuses, etc.) Consider collaboration or representation at other consortia meetings across the country Inter-consortia webinars, distinct from AACP Ex Ed webinars Inter-consortia collaboration Emphasize buy-in from upper level administration, as well as applicable college committees (i.e. assessment committee, curricular committee) Implementing ACPE standards and updates 12
Active Learning If you are not a consortia member, identify the objective(s) in creating a new or joining an existing consortium. What resources do you need to effectively start or join? If you are a consortia member, what goals do you hope to achieve in the future? What planning and support do you need to accomplish these goals? Discussion & Questions Thank you for your participation from the Texas JCIP! Texas JCIP (map) today 13
