1 RE/MAX NORTHWEST LEADSTREET SETTINGS When a lead is received, it will be offered to a group of 5 agents in the office. The first of those five agents to accept the lead (by , text message, or logging directly into LeadStreet) will get it. If the Pending Lead is not accepted within the first business hour (9 AM to 5 PM, 7 days a week), it will be offered to another group of 5 agents. If another business hour passes without acceptance, it will be sent to a third group of 5 agents. If the lead passes through three agent groups (15 agents) without being accepted, it will be sent out as a Last Chance Lead to all of the other agents in the office (first to accept will get it). 5 LEADSTREET OVERVIEW LeadStreet Overview LeadStreet is the back-end management system to the remax.com collection of broker IDX (Internet Data Exchange) websites. LeadStreet was designed to compete in the evolving realm of internet home sales, with the following in mind: It is estimated that 84% of home buyers use the internet to search for homes; More than 7 out of 10 homebuyers use the internet to search for property information before contacting a real estate professional Due to the continued growth of the internet, consumers are poised and more knowledgeable than ever when it comes to the home buying process. As consumers have access to information on the internet, consumers still have a genuine need to enlist a licensed real estate professional to provide knowledge and expertise when it comes to current market trends, negotiations and overall guidance throughout the home buying process. Consumer Web Site When a consumer conducts a search on remax.com, the following occurs: Based on search criteria, the consumer is seamlessly routed to a local RE/MAX office web site The local IDX/MLS feed is utilized to search listings in their area Leads are captured and fed directly to LeadStreet, generating leads for RE/MAX associates and offices The remax.com home page is displayed below. 6 COMPARABLE HOME SALES Comparable Home Sales Overview The RE/MAX Comparable Home Sales report allows consumers to request a neighborhood valuation report, which includes recent nearby home sales, school information and demographic data, at no cost. The Comparable Home Sales report provides a price range of comparable properties based on selection on the part of the consumer and does not provide an estimated value for a specific property. Additionally, the Comparable Home Sales report emphasizes the importance of contacting a RE/MAX professional for a more accurate assessment of a property s estimated value. Comparable Home Sales data is compiled nationwide from a number of reliable sources, primarily county courthouse deed transactions. The features and information available in a RE/MAX Comparable Home Sales report may vary slightly based on the area or county in which the consumer is searching. Home sales are not aggregated from MLS records, and therefore are not subject to MLS display rules. How it Works When a consumer requests a detailed Comparable Home Sales report, the lead distribution follows the same algorithm used when a consumer requests information on a listing. Upon submitting the Comparable Home Sales request, consumers will receive their comprehensive PDF report via . The Agent will also receive an notification with a link to the consumer s report. In addition, an activity is added to the LeadStreet contact record along with the PDF report, which will remain active for 90 days. 7 HOW LEADS ARE GENERATED Leads Overview When a consumer conducts a search on remax.com and selects a listing of interest, a lead is generated and offered to a RE/MAX Associate. How Leads are Generated Leads are generated based on the following actions: Save Listing Ask an Agent Consumer selects the Save Listing button Consumer Selects the Ask an Agent button Schedule a Showing Comparable Home Sales Home Finder Consumer Selects the Schedule a Showing button Consumer selects the Comparable Home Sales button on the remax.com home page Consumer selects the Home Finder button on the remax.com home page See below for a sample listing on remax.com and where consumers access the above mentioned lead triggers. 8 LEAD DISTRIBUTION Lead Distribution Overview When a consumer conducts a search on remax.com, the following occurs: Based on search criteria, the consumer is seamlessly routed to a local RE/MAX office web site The local IDX/MLS feed is utilized to search all listings in their area When a consumer requests information about a listing, the following occurs: If the listing belongs to a RE/MAX Associate, the lead is directed to the listing agent (Refer to Appendix A for additional scenarios) If the listing belongs to a competitor, the lead is routed to an associate in the office that the consumer has been handed off to Lead distribution is determined by a scientific calculation called an algorithm and distributes leads to RE/MAX Affiliates equitably and fairly; notwithstanding a number of factors including, but not limited to: Office lead distribution Number of associates in an office Number of listings per associate How Leads are Distributed The diagram below illustrates the lead distribution process, refer to Appendix A for additional scenarios: NOTE Lead distribution rules may vary by region. 11 MY AGENT OPTIONS My Agent Options Overview Upon your initial visit to LeadStreet, it is imperative that you set up your LeadStreet personal options; it is also advised that you update your Agent Options regularly. Specify the following in your LeadStreet Agent Options: Whether you are currently accepting leads Notification options for pending leads, including text messaging Additional general information My Agent Options To access My Agent Options, follow the steps below: 1 Hover over the My LeadStreet menu, select My Agent Options. 2 The My Agent Options page is displayed. For a detailed explanation of each option, refer to the following page: NOTE The profile information entered in LeadStreet is used in LeadStreet only, and does not update your Mainstreet profile. 12 My Agent Options, Continued Option Lead Options Select the I am accepting leads at this time checkbox to specify whether you are currently accepting leads. Forward your leads to a fellow Associate or Licensed Assistant in your office. Select the Pick Values button to select an Agent or Licensed Assistant. Tip: Lead forwarding works great for teams. Lead Notification Options The Primary address is displayed on external marketing communications such as drip campaigns. It is also used to notify you of new leads and activities from existing contacts. The Secondary address is optional and will override your primary notification for new leads only. You must first select the checkbox below to enable the secondary address. Text Message Lead Notification Options In addition to notifications, you also have the option to receive text message lead notifications. Select the Pick Values button to select your wireless service provider and to enter your 10-digit cellular phone number. Tip: When entering your cell phone number, do not type any special characters such as ( ), -, #, or spaces. Leads can be accepted by text message; however, it is required that you opt-in to enable this feature. To enable text message lead acceptance, select checkboxes 2 and 3. 13 My Agent Options, Continued Option IDX The MLS Code is used during the daily MLS sync process and links listings to the listing agent. Enter your MLS Code. If you are unsure what to enter, consult with your Broker/Owner, Office Manager or your MLS. Property Search View Registration Options Property Search View Registration Options are used to require consumers to register on your Microsite. By default, your Microsite does not require that consumers register prior to viewing listings. To require registration on your Microsite, select either the 2 nd or 3 rd option below item number 1. The remaining items are useful only if you have required registration on your Microsite. Preferences Show Landing Pages allows you to disable introduction pages when a main menu is selected. 14 SAVE YOUR WORK Save Options Overview It is important that you save your work when adding or editing information in LeadStreet. Save options are displayed in the upper right hand corner of all data entry pages. Save Options There are two save options, Save & Close and Save & Continue: Save & Close After entering or editing information, Save & Close will save your work and return you to the previous screen or task. 15 ACCEPT A PENDING LEAD IN LEADSTREET Accepting Leads Overview When a lead is generated you will receive an and/or text message notification (if you have enabled the text message lead acceptance feature in your My Agent Options, refer to page 10 for additional details). There are 3 ways to accept a pending lead: Log in to LeadStreet Reply to the notification, either through your program or handheld wireless device, such as a Blackberry, Palm or Treo Reply to the text message notification with the word Accept Accepting Leads To accept a pending lead in LeadStreet, follow the steps below: 1 From the My LeadStreet home page, select the Accept Pending Lead button. 2 Upon accepting a lead, a lead becomes a contact and is displayed in the New Leads Section. Your 3 most recently accepted leads are displayed below the New Leads section on your home page. To view additional new leads, select the More New Leads link. Copyright RE/MAX International, Inc. 16 ACCEPT A PENDING LEAD - NOTIFICATION Accepting Leads To accept a pending lead from an notification including a Blackberry, Palm or Treo, follow the steps below: 1 In your inbox, locate the titled RE/MAX LeadStreet Notification; review the content, click the Reply button, click Send, the lead is accepted. NOTE The original message text must be included in your reply. The highlighted code links your reply to the pending lead. 2 Upon accepting a lead, you will receive an confirmation, which includes additional information and contact details. 17 ACCEPT A PENDING LEAD - TEXT MESSAGE NOTIFICATION Accepting Leads You must first opt-in to the SMS Lead Acceptance service through your LeadStreet Agent Options prior to accepting leads from a text message notification. For additional details about opting-in, view Appendix D. NOTE: If you do not opt-in you will not have the ability to accept leads from a text message; however you will continue to receive new lead and activity notifications. 19 VIEW AND EDIT CONTACTS Contacts Overview LeadStreet is a contact relationship management system providing you with the tools you need to manage every aspect of your relationship with your contacts. With LeadStreet you can easily store and find contact information, such as name, address, address, telephone number and property inquiry details. In this section the following topics will be discussed: View and Edit Contacts, including how to view lead details Add a New Contact Import and Export Contacts View and Edit Contacts To view and edit a contact record, follow the steps below: 1 Hover over the Contacts menu, select Search Contacts. 2 The Search Contacts page is displayed. 22 Import Contacts Overview The Import Contacts feature allows you to import contacts from an external data source such as, Top Producer, ACT, AgentOffice, Microsoft Outlook, Outlook Express, Microsoft Excel, and many other software applications. Import Contacts To import contacts, follow the steps below: 1 Export source data and save as a Comma Separated Values (.csv) format. CSV is the recommended format for importing. 2 Hover over the Contacts menu, select Import Contacts. 3 The Import Contacts page is displayed. Select the appropriate file type from the dropdown list. 24 Export Contacts Overview LeadStreet gives you the ability to copy contact information to other programs, including Microsoft Outlook, Top Producer, AgentOffice, ACT or virtually any contact management software. Export Contacts To export contacts, follow the steps below: 1 Hover over the Contacts menu, select Export Contacts. 2 Define the report criteria, select an Output Option (Output Options are defined below). Click the Export Data link. Print to Screen: Sends the report to the Report Viewer for on screen viewing Print to Printer: Sends the report to a printer Export Data: Saves report data in a Microsoft Excel format NOTE Leave the Control Key suppressed while clicking the Export Data link and while the report is running. 3 Select the Save button to save the file to your hard drive. 26 MANAGE LISTINGS Listings Overview LeadStreet imports and updates your listings from the MLS on a daily basis. Most of the data from your MLS will display on remax.com; however, LeadStreet provides the flexibility to further enhance your listings above and beyond the default MLS data. Enhancements include: Adding Property details, showing instructions, and school information Adding an unlimited number of photographs and or a virtual tour Managing activities, such as showings and open houses In this section, the following will be discussed: View and Edit a Listing Add a New Listing Add an Open House Edit a Listing To edit a listing, follow the steps below: 1 Hover over the Listings menu, select Search Listings. 2 To view all listings, select the Search button or enter specific criteria to narrow your search results. 29 Open House Overview Open Houses are a great way to market a property and to obtain buyer leads. When open houses are entered in LeadStreet, the open house is then visible to consumers visiting your Microsite, your office website and remax.com. Add an Open House To add an open house, follow the steps below: 1 Hover over the Listings menu, select New Open House. 2 Select the Pick Values button to choose a listing. 3 The Select Listing window is displayed. 35 OPTIONS Campaign Manager Overview The LeadStreet Campaign Manager is a great way to build and maintain relationships with clients through electronic communication. Drip Marketing is a marketing strategy which involves sending out a series of marketing pieces over a period of time to a group of prospects and clients. The term Drip Marketing derives from a phrase used in agriculture and gardening called "drip irrigation", which is the process of watering plants or crops using small amounts of water over long periods of time. Drip Campaigns can be used to cultivate and nurture current and potential clients. Campaign Manager To sign up your contacts for drip campaigns, follow the steps below: 1 Hover over the Campaign Manager menu, select Campaign Manager. 2 Select the Manage link. 3 Select campaign recipients by checking the appropriate checkbox(s). 38 Overview LeadStreet provides a number of communication tools allowing you to stay connected with your contacts electronically. Send an To send an to a contact, follow the steps below: 1 Hover over the Campaign Manager menu, select New . 2 The New Message page is displayed and allows you to send individual or bulk messages. There are two formatting options; Basic and Form Form Allows you to send bulk using a template. Each contact will receive the same content; however, you have the ability to personalize each message by adding a greeting to address each recipient by first name. In addition, each message will be delivered to each recipient as a separate as opposed to a blind carbon copy (bcc), which hides the address of each recipient. Activities generated on remax.com are sent directly to LeadStreet, and will automatically appear once a lead has been accepted. When a consumer requests information about a listing on remax.com both a contact and an activity are created. Activities can also be added to a contact record or listing manually and are grouped into three categories: Items: Requests, tasks, and appointments that have not yet been completed History Activities: Requests, tasks, and appointments that have been completed Campaign Activities: A series of scheduled automatic messages In this section, the following will be discussed: Manually Add a New Activity Mark an Activity as Complete Manage Activities Activities To manually add an activity to a contact record, follow the steps below: 1 Hover over the Contacts menu, select Search Contacts. 2 Select the Search button to view your contacts. When a consumer submits a request on remax.com, the consumer is ed an automated response, at which time the address is validated. Below is an explanation of what you are likely to see. Valid: The automated response was delivered successfully; therefore the address is valid. Hard Bounced: The address does not exist Soft Bounced: The address does exist; however, for unforeseen circumstances the was not delivered. For example, their mailbox was full or the server was busy, etc. Invalid: The address is not in the proper format and is missing symbol or a dot. When an address is entered, the contact address is immediately verified against USPS records upon selecting Save & Close. Once verified, the address will display with the label Complete and Verified. The SMS Text Messaging System provides the flexibility that you need to respond to a pending lead as quickly as possible. SMS is short for Short Message Service, ultimately resulting to a faster and more reliable system for LeadStreet text message notifications. 101 CAMPAIGN MANAGER Campaign Manager Overview The Campaign Manager is designed to assist you with building and maintaining relationships with clients through electronic communication. Drip Marketing is a marketing strategy which involves sending out a series of marketing pieces over a period of time to your prospects and clients. The term Drip Marketing derives from a phrase used in agriculture and gardening called "drip irrigation", which is the process of watering plants or crops using small amounts of water over long periods of time. Drip Campaigns can be used to cultivate and nurture current and potential clients. Customize a Campaign To create a custom Drip Campaign, follow the steps below: 1 Hover over the Campaign Manager menu, select Campaign Manager. 2 In order for a custom campaign to be created, a default campaign must be edited and duplicated.
