2 INSTALLING CART INTERFACE SOFTWARE Step 1: Locate and Save the Drivers and Software Locate the CD in the back of this Welcome Packet labeled Product Manuals and Cart Interface Software Place the CD into your computer and double click on the CD 1- Manuals and Cart Interface folder Save files to the computer Step 2: Installation of USB Drivers Locate the file titled 6[1].52-CI Installer and USB Drivers.zip Right-click on the file, and select Extract All. NOTE that depending on your version of Windows, this procedure may be different goal is to extract these USB driver files, and save them into a standard folder on the desktop so that you can locate them later. The Windows Extraction Wizard should open, click Next Click the Browse button and choose the desktop or a folder to save the file to, click Next Leave the box checked to Show extracted files Click Finish Step 3: Installation of Cart Interface Software Locate the file titled 6[1].52-CI Installer and USB Drivers.zip Open this folder, then open the folder titled CI Installer Double-click on Cart Interface Installer.msi to launch the software installation. Follow on-screen instructions to complete. Once these steps have been taken, please test the software: From the Start menu, select Programs/Rubbermaid Cart Interface/Cart Interface. Software should launch. If you receive a pop-up window indicating Default PIN still active, or A PIN has been active on this cart for x days, your software and drivers have installed correctly, and are ready for use. If you do not see a pop-up, but instead see the word Disconnected on the right-hand side of the window, there is a problem with your installation. Repeat the process above, paying close attention to each step. If your installation fails again, please contact your local Rubbermaid Medical representative for help. NOTE: When installing the software on multiple computers, we advise that you copy the USB Drivers and Cart Interface Software Installer folders to a USB flash drive. This will allow you to expedite installation, and eliminate the need to download the files from the internet each time. CONTROL BOARD OPERATION VIA CART INTERFACE SOFTWARE OVERVIEW The cart includes a control board that operates several of the carts operations and also records data generated from the keyless entry system. 3 external PC with a USB port to configure, control, and obtain status from/to the cart. Software is included with the cart to control the interface functions. This interface is to be used: In combination with a System Integrator s on-board PC, to allow the integrator s PC and Hospital Administration System to communicate with and control the Cart; By Hospital personnel in the field, using a stand-alone PC to configure the Cart s parameters including Access Codes and overall operation, and to read out status information including the battery state and a list of recent Access Codes used to open the Cart drawers; By maintenance personnel, to diagnose problems and perform system checkout and calibrations. OVERVIEW OF CART FUNCTIONS OPERATED BY THE CONTROL BOARD Keyless Entry System PIN Code Management: Up to 128 codes can be programmed into the board of each cart. The PIN codes control the locking mechanism on 2/4/5/6/8 drawer configurations as well as the mechanism on the locking side bin (optional). PIN codes can be exported for off-line management. Keyless Entry System Auditing: The control board keeps a rolling log of transactions on the keyless entry system by PIN number. This data can be exported for off-line review. Drawer Open Sensors: Sensors located in the cart determine if all medication drawers are locked once the keyless entry system has been engaged in a locked state. If any drawers are open the sensors communicate with the control board and a DRAWER AJAR message will appear on the top LCD panel. This feature may be turned off. NOTE: The XP carts are not equipped with sensors to detect when drawers are ajar. This feature is turned off at the factory on these carts prior to shipping. If the customer turns the feature on, nothing will happen. As a supplemental security measure, the XP locks will activate on drawers left up to 3/8 out from the fully closed position. Asset ID/Tagging: The software contains two fields, Cart Name and Serial for asset management. Alphanumeric data entered in the Cart Name field will always appear on top LCD panel. The Serial field can only be viewed using the control board software. Battery Indication: The control board communicates with the ICP on the power system to provide a graphical representation of the battery status represented by battery image divided in to 6 bars. LCD Panel on Keypad: Control board sends messages to the LCD panel relating to the keyless entry system, the drawer lock status, the battery life, and the cart ID. When any button on the keypad is pressed, the display will light up for a period of time specified in the cart set-up screen of the software. Height Adjustment: Operation of the motorized height adjustment, is triggered by the board when the up or down arrow is pressed on the KEYPAD. Minimum and maximum battery voltage levels are pre-set to control the motorized height adjustment on the cart. Keyboard Light: A keyboard light that resides just below the front of the work surface is turned on and off when the light bulb icon is pressed on the keypad. The light will automatically turn off at a user specified time entered on SET-UP tab of the CONTROL BOARD SOFTWARE. Filename: Cart Interface Installation & Control Board Manual Page 3 of 16

4 System Requirements & Compatibility The cart includes a standard USB slave port which appears as a Virtual COM Port to a Windowsbased host PC. The USB interface appears to the host PC as a serial port, when the supplied VCP Driver is installed. The Cart hardware converts a serial port data stream from the embedded micro-controller to a Virtual Communication Port with in the Windows OS. The drivers are normally included within WinXP. Supporting downloadable drivers are included on the CD for Win98 and Win2K. Please contact Rubbermaid Customer Service if you have difficulty locating this driver. A PC with an external USB 2.0 Port and a USB 2.0 A/B male/male cable is required. START-UP 1. Interfacing with the Control board 2. Installing the USB Drivers 3. Installing Control Board Software 4. Using the Software Interfacing with the Control Board via the Cart Interface Software and USB Cable During both the initial set-up of the control board and future updates, a USB 2.0 A/B cable must be connected from the PC where the software resides to the control board on the cart. This USB cable is tan in color and is located in the cavity under the trash bin on your Medication Cart. On Powered Carts, you will also find a black coiled USB cable this provides communication to the PowerAlert Software. To facilitate future changes to the cart parameters and accessing of PIN code data, it is advised that you always keep the PC on the cart connected to the control board. If you plan to do this, it is advised that you provide administrator level access only to this software. Installing the USB drivers Before the Windows XP or Windows 2000 PC can communicate to the cart, the USB device drivers must be installed. The Found New Hardware Wizard will appear if USB drivers are not installed on the PC. 1. 5 2. Select Install from a list or specific location (Advanced) 3. Select Search for the best driver in these locations and Include this location in the search and browse to find the \tools\usb_driver location on the CD-ROM. Filename: Cart Interface Installation & Control Board Manual Page 5 of 16

7 2. Select a location on the PC or Network where you wish to install the software. NOTE: It is important to install this software in a secure location that only a user with Administrator access can get to such as the Microsoft Windows Desktop USING THE SOFTWARE To launch the program, double-click on the following file. cart interface.exe It may take several minutes to update the data on the software. When the program starts up, the following screen will appear: This message indicates the age of the oldest PIN code on the cart and can be beneficial for facilities requiring periodic password changes. 8 TAB-OVERVIEW SET-UP: PIN LIST: LOG: TESTING: SERVICE: FACTORY CALLIBRATION: controls cart operations maintain PIN codes keeps log of keyless entry system transactions allows testing of cart functions if keypad fails and programming of the cart name enables firmware updates to control board functions preset at factory based on cart configuration PROGRAMMING CART FEATURES: The cart has been programmed with default settings to allow the cart to be user prior to any custom set-up. Prior to setting any features, it is advised the individual functional areas such as Nursing, Pharmacy, and Information Systems are consulted to determine the most appropriate settings. Note: All carts are set with 8043 as a default PIN code. It is strongly advised that this code is removed from the cart once new PIN codes are set to maximize security. 9 SET-UP TAB The set-up tab allows you to set time based cart functions. It will also display the firmware version installed on the control board. To add or modify the cart name, you need to go to the Testing Tab Use Testing Tab to set cart name. Type a cart name under the cart name field and select Save to update. To change any of the time based settings, click on the field and enter the new value. To update your changes, press the <Update> button on the screen. The changes will only take effect if the USB plug is connected from the PC to the control board. Filename: Cart Interface Installation & Control Board Manual Page 9 of 16

10 Field Description Parameters Drawer Lock- Controls the time that the keyless entry seconds Down time system will automatically lock after being opened. Keyboard Light Controls the time that the keyboard light seconds Timeout LCD Backlight Timeout stays on after being turned on Controls the time that the LCD Screen stays lit after any key on the keypad is pressed. To conserve battery life, it is suggested that this setting is less than 10 seconds 1 99 seconds PIN LIST TAB The Pin List tab contains all the functions required to add, remove, import, and export PIN codes for each individual cart. The age of all PIN codes in days is listed on this page. Note: If the power system is enters a fully discharged state, the PIN Code age data will be reset. To eliminate the risk of data loss, it is recommended that PIN code data is exported every time it is accessed. Training staff to never let the power system drain down to a fully charged state will also eliminate this risk. PIN Code Specifications: PIN Codes may be 4-6 digits and contain only numeric characters between 0-9. These digits correspond to the digits on the keypad. Up to 128 codes can be stored on each cart. Types of PIN Code The software does not differentiate between types of codes suggested below; however, these categories can be maintained offline by the PIN Code administrator. Nursing, Information Systems, Pharmacy, and Risk Management functions may be involved in setting the PIN Code policies. Master Code: A code that is resident on every cart but is only distributed to staff responsible for maintaining carts such as bio-informatics. Floor/Ward Code: A code that is resident only on carts on a specific floor or ward. All staff who should have access to the medication drawers on the floor would be aware of the codes. Personal Code: A code that is determined by or assigned to an individual and resident on all carts that the individual needs access to. FUNCTIONS GET LIST: Allows user to view active PIN codes and PIN code age on cart Step 1: Select <Get List> List should appear in window. 12 COPY ALL: Selects all active PIN Code to allow pasting into an external program Step 1: Select <Copy All> Pin list will be copied into Microsoft Windows clipboard. Select Paste on the desired application to view data. PASTE: Pastes a list of codes from the Microsoft Windows clipboard onto the cart. New PIN codes are appended to the list of existing codes on the cart. If you wish to replace the existing PIN codes with the list you plan to paste in, you must first clear all PIN codes on the cart (see below). Creating a list in Microsoft Excel Step 1: Add data to the Microsoft Clipboard by selecting <CTRL-C> or hitting the copy command Step 2: Select <Paste> Filename: Cart Interface Installation & Control Board Manual Page 12 of 16

13 New PIN codes are added to the list in sequential order CLEAR: Clears all PIN codes from the control board Step 1: Select <Clear> Step 2: Are you sure you wish to clear all of the pin numbers? Select <Yes>. The cart always has to have one PIN Code active; 0000 will remain as a default code. Once additional codes are added, 0000 can be removed. IMPORT: Allows a list of PIN Codes to be uploaded to the Control Board. Imported PIN codes appear in the list in numerical order. To replace the existing PIN codes on the list prior to importing, you must first clear all PIN codes on the cart (see above). 14 Creating a list to Import in Microsoft Excel Step 1: In the first column, enter 1 code per row Step 2: Ensure all numbers are text (not values) by placing an apostrophe ( ) in front of the number. This will ensure that the codes beginning with zero contain all four digits when uploaded to the software. Step 3: Save file as *.csv file Step 4: Select<Import> function on Software Step 5: Locate file and select <open> EXPORT: Creates a spreadsheet of all existing PIN Codes on the cart. List includes PIN number and PIN Age. Exporting a List Step 1: Select <Export> Step 2: Create file name and location Step 3: Save as file type *.csv (Comma Separated Value) Reviewing and Editing List Step 1: Open file using Microsoft Office Excel or any application able to view CSV (comma separated value) files. Step 2: Edit list and continue; if you wish to add other fields beside the PIN Codes. Step 3: Save as CSV and see IMPORT to upload data back onto Control Board TESTING PINS To determine if a PIN code has been successfully been added, enter the code into the numeric keypad on the cart. The drawers unlocked message will appear for all valid PIN Codes. LOG TAB The Log tab allows you to review and export the keyless entry data stored on the control board. The control board keeps an electronic record of the 1028 most recent keyless entry transactions. Once the list is populated with 1028 transactions, the earliest transaction will fall of every time a new transaction is entered. If you wish to keep a complete list of transactions, transactions will need to be periodically uploaded. Filename: Cart Interface Installation & Control Board Manual Page 14 of 16

15 Reviewing and Sorting Data The data can be reviewed and sorted in the software. Step 1: Select <Get List> to ensure you are viewing the most recent data. Step 2: Use the scroll bar to move to the desired location on the list. Data can be sorted by PIN or by Date. Select the appropriate button on the screen to organize the list in the desired manner. Exporting Data In order to upload data, a destination file needs to be created. Step 1: Select <Browse> Step 2: Save As window will open appear. Create name and destination for export file and select <save> or choose and existing file. Note: If you choose an existing file, all data in it will be overwritten. Create a new file name if you do not wish to overwrite existing data. Step 3: Select <Export> Filename: Cart Interface Installation & Control Board Manual Page 15 of 16

16 Step 4: A dialog box with message Log successfully written. will appear. Select <OK>. Clearing Log Data Once data has been exported, it is advised that the control board memory is cleared. Step 1: Select <Clear List> TESTING TAB The control board testing functions can be operated directly from the software. Running functions from the software should only be done to determine if the keypad is operating correctly. Testing should never be done remotely.
