3 EXHIBIT HALL FEATURES BOOKSTORE Many Conference sessions feature acclaimed authors and attendees have asked for a bookstore on site to purchase their books. Located deep inside the Exhibit Hall, the bookstore will be open whenever the hall is, and it is the only place for attendees to buy books. A full lineup of book signings by presenters will occur outside the bookstore, amongst exhibit booths. As evidenced at prior conferences, the book signings are sure to draw crowds. FOOD AND BEVERAGE Food and beverage will be served at concession stands in two areas of the Exhibit Hall at low buy-down prices. In addition, a full service Cafe is located adjacent to the Exhibit Hall. 6 EXHIBITOR PRESENTATIONS Host a 30-minute presentation on a professional stage inside the Exhibit Hall. Presentation proposals from exhibitors will be accepted September 1-30 and are subject to a competitive selection process. Submissions from exhibiting companies follow the same process as Conference session proposals. The submission process occurs through the event section of your account Dashboard. EACH SELECTED PRESENTATION INCLUDES Stage with wireless, handheld microphone, laptop, projector, and screen Seating for an audience of 100 Listing on the online Conference schedule and in the printed program Assigned date (January 28 or 29) and assigned one half hour time slot Date and time slots are made for the benefit of the overall Conference and Exhibit Hall schedule and are not negotiable. CONFERENCE THEME, CATEGORIES AND TOPICS Presentation topics should be of interest to the greater Title I community and fit with this year s conference theme: Frontiers of Opportunity. 7 MANAGING YOUR EXHIBITOR ACCOUNT MANY IMPORTANT ASPECTS OF THE CONFERENCE ARE MANAGED ONLINE BY LOGGING IN TO YOUR COMPANY ACCOUNT AT INSURANCE NO COMPANY IS PERMITTED TO SET UP WITHOUT THE REQUIRED INSURANCE ON FILE BY THE DECEMBER 1, 2015 DEADLINE THE INSURANCE REQUIREMENTS ARE: A commercial general liability policy with a minimum combined single limit for personal injury and property damage of $1,000, per occurrence and $2,000, in the aggregate. Book as many or as few rooms as you need and identify the staff names when they are available. Please remember that all hotel room purchases are subject to the printed cancellation and refund policy without exception. All staff room reservations must include the name of the individual who will be using it, no later than January 15th, or risk being cancelled without refund. ENTER YOUR COMPANY DESCRIPTION FOR THE PROGRAM Update your company description to be used in the Conference program to encourage traffic to your booth. This description of your company is posted on the online Conference schedule and used in the printed Conference program. (Please note this description of your company is separate from the company description listed on the Web Services Directory.) The deadline for inclusion is December 1, NATIONAL TITLE I CONFERENCE

8 TERMS AND CONDITIONS ALL EXHIBITING COMPANIES AGREE TO BE BOUND BY THE FOLLOWING TERMS AND CONDITIONS. BOOTH ASSIGNMENT Exhibiting companies select their own booths on a first come, first served basis. Early selection is offered to companies exhibiting at the prior year National Title I Conference and booth selection is available to all other companies 30 days later. Companies packing or moving out of their booth space prior to the official close of the show are not eligible for early booth selection. Show Management reserves the right and sole discretion to alter the exhibit hall floor plan at any time in the best interest of the Conference. ELIGIBILITY Show Management reserves the right to determine the eligibility of any product or company for inclusion in the Conference. Show management reserves the right to restrict exhibits because of noise, method of operation, materials, or for other reasons. Objectionable persons, items, conduct, printed matter or anything of a nature that Show Management determines detracts from the overall Conference character will be evicted. Exhibitors so restricted will not receive any refunds or reimbursement. Non-exhibiting companies or individuals are not permitted to advertise or solicit business within any Conference related areas or in conjunction with the Conference. SUBLETTING No exhibitor shall share, sublet, or assign, any portion of the exhibit booth or allotted space to any other person or company. Exhibitors must show only the products and services ordinarily offered for sale by them in the regular course of business. PAYMENT All exhibit and sponsorship purchases require full payment to confirm. Items may be held for a maximum of one 10-day period pending payment; items not paid within the 10-day period will expire and may not be reserved again without full payment. Items selected on or after December 2, 2015 must be paid in full at the time of selection and are not subject to a reservation period. CANCELLATION Conference participation may only be cancelled by submitting an online Exhibitor Cancellation Form. REFUNDS All purchases made through November 30, 2015 include a 7- day buyer s remorse clause, providing a full refund for any item cancelled within seven calendar days of payment. All exhibitor items, including booths, advertising and sponsorships are non-refundable and non-transferable outside of the 7-day period. No 7-day grace period is available on or after December 1, EXHIBITOR HOTEL RESERVATIONS Exhibitor hotel payments are subject to the same cancellation and refund policies as those applying to all attendees. A reduction in the number of nights of a hotel stay constitutes a cancellation of the eliminated night(s) and all refund policies apply. A sliding scale refund is provided based on the date the online cancellation form is submitted, as follows: 100% if cancelled within 7 days of payment prior to December 1, % if cancelled April-September 75% if cancelled in October 50% if cancelled in November No refund in December or January EXHIBITION SERVICES Approved exclusive contractors are listed in the Exhibitor Kit with contact information and order forms. Authorized service providers must be contacted directly and Show Management does not control their pricing, services, or policies. EXHIBITOR STAFF REGISTRATIONS One complimentary exhibitor name badge is provided to table top exhibitors, five badges for each 10x10 exhibit booth, and ten badges are provided to private exhibit room purchases. A business card showing employment with an exhibiting company may be required when picking up a name badge onsite to prevent unauthorized access. Complimentary exhibitor badges provide access to the Exhibit Hall and all conference sessions, and may be shared among company staff members by checking the badge in and out with Show Management for each such change. Additional exhibitors wishing conference access may purchase registration or a hall pass at prevailing prices. Name badges must be worn at all times. Move In Move in operations may only occur during the established move in schedule. Exhibiting companies not occupying designated space or not moving into the booth space during the designated move-in hours, may have their participation cancelled by Show Management, and such space may be reassigned for the overall benefit of the Conference without refund to the original exhibiting company. MOVE OUT Any removal, tear down, or packing of items prior to the Conference scheduled move out time of Friday, January 29 at 3:45 PM Central Standard Time will jeopardize the exhibitor s participation in future events. No goods may be removed from the building until all bills incurred by the Exhibitor are paid in full. DISPLAYS, SIGNS, BANNERS, BOXES Signs, banners, and other display items cannot be hung across the aisles or rigged overhead. Additionally, booth signage and furnishings may not exceed the back height of the exhibit booth 8, nor may walls, partitions, signage, decorations or other obstructions may be erected along the booth side walls to in any way interfere with the view line of any other exhibit booth. EMPTY CRATES AND BOXES To comply with fire marshal regulations, exhibitors may not store empty containers, crates, or boxes in the booth, under or within booth furniture, or behind booth draping. The official exhibition service provider will collect and store these items for later use. ASSOCIATED EXHIBITOR EVENTS All activities scheduled outside the purchased exhibit area, including meetings, special events, sales presentations, social hours, and/or receptions planned for any Conference attendees, must occur outside of Conference hours and must be approved in advance by Show Management. Any such activities not approved and/or conflicting with the Conference schedule, as determined by Show Management will be in direct violation of the exhibitor Terms and Conditions and may result in loss of exhibit privileges or other penalties. FACILITIES Exhibiting companies must comply with all rules and regulations prescribed by the George R. Brown Convention Center, meet the requirements of all local authorities, and obtain, at their own expense, any necessary permits, licenses, or equipment, should any be required for individual displays or the particular exhibit of the Exhibitor. The Exhibit Hall is limited to adults only. CERTIFICATE OF INSURANCE Each exhibiting company agrees to keep and maintain in force for the dates of the exhibition (January 27-29, 2016), insurance in the following amounts: a commercial general liability policy with a minimum combined single limit for personal injury and property damage of $1,000, per occurrence and $2,000, in the aggregate. A certificate of insurance confirming such coverage, and including all required additional insureds, must be uploaded to the exhibiting company s online conference record no later than December 1, No exhibitor will be permitted to set up a booth or access the Exhibit Hall floor if the required insurance documentation has not been supplied. INDEMNIFICATION Each exhibitor agrees to: (1) indemnify, defend and hold harmless Magnolia Hospitality Group Inc. dba A+ Events (Show Management), George R. Brown Convention Center, Inc. (Venue), and the National Title I Association (Host), and their respective employees and agents against any claims or expenses arising out of the use of the exhibition premises, and (2) that it understands that neither Show Management, the Venue nor the Host maintains insurance covering the Exhibitor s property and it is the sole responsibility of the Exhibitor to obtain such insurance. VIOLATIONS Any company that fails to abide by these terms and conditions may be dismissed from Conference participation and may jeopardize the exhibiting company s participation in future events. Show Management has the right to enforce all terms and conditions at Exhibitor s expense. If Exhibitor defaults in the performance of any terms or conditions (inclusive of payment of fees, maintenance of insurance, and compliance with any and all rules and requirements). Show Management, at its option, may immediately terminate exhibitor participation. Upon such termination, Exhibitor s rights and privileges for this event shall terminate, and Show Management shall have the right to take possession of the space occupied by the Exhibitor and to remove all persons and goods, without any liability. TERMS AND CONDITIONS AMENDMENTS Any additional details not specifically covered by the terms and conditions contained herein shall be subject to the decision and at the discretion of Show Management. At the sole discretion of Show Management, changes, amendments, or additions may be made to these terms and conditions. All outstanding balances will be charged to your credit card. At the conclusion of the show a complete invoice will be prepared and sent to you reflecting all charges and payments. No credit will be given after close of event on items or services ordered but not received. Any issues you may have with any equipment or services ordered, need to be addressed on-site at the Markey's Exposition Services exhibitor services center prior to show closing. No checks drawn on a foreign bank will be accepted, nor checks marked "Payable in U.S. Funds." Please issue on a U.S. Bank or a U.S. Money Order or American Express International Money Order. We will also accept American Express, MasterCard, Visa, and Discover charges. Please write the appropriate charge account number and sign below. By providing your credit card number, you are authorizing Markey's to charge your card for all outstanding balances. A $20 surcharge will be added to your account for any attempted credit card processing that are declined. Payment Terms: We require 100% payment with order for service, tax and anticipated freight. This form with your credit card information for payment of advance and show site orders must be forwarded to Markey's Exposition Services, LLC in order for us to provide any equipment or services. Full payment of rental charges must accompany your order forms and be received by our office before deadline to qualify for the discounted rates. ALL orders received after deadline (indicated on each form) will be charged at standard rates. A $40 surcharge will be added to your account if any credit charges for services are denied by the merchant or if any checks are returned. Collection Terms: Due upon receipt. Unpaid balance at the close of the show will accrue a service charge of.0575% per day, annual interest rate 21%. You will be responsible for all fees, including attorneys fees, connected with the collection of your accounts. By signing this form you are accepting the terms, conditions, and limits of liability as stated on various forms and agreements pertaining to services rendered by Markey's Exposition Services, LLC. To assure orderly and expeditious handling of exhibit material into and out of the event facility, it is required that exhibitors, including local companies, clear all movement of exhibit material through the Drayage Contractor, who is prepared to handle local pickups and deliveries on a coordinated schedule. It is also recommended that in order to minimize congestion and comply with union requirements, all shipments be channeled through the Official Drayage Contractor. Outbound Shipping - You must complete a bill of lading for all outbound shipments. A bill of lading will be distributed at show site if all services have been paid in full, or you can request one at the customer service desk. Upon completion of packing and labeling of your materials, complete the bill of lading with all required information, and return to the customer service desk. If you have any questions on how to complete your bill of lading, please ask a Markey's customer service representative. If you are NOT using the designated shipping carrier, you must call your carrier with pick-up information. If your carrier fails to pick up your shipment, Markey's will either reroute your freight through the carrier of our choice or return to the local warehouse (whichever is indicated on your bill of lading). Freight remaining on the exhibit floor without proper instructions for disposition will be removed by the Drayage Contractor and shipped with the information available at the time. Under no circumstances will the Drayage Contractor be liable for shipping errors subsequent to the convention unless it has received specific written instructions and has failed to honor them. Damage to Exhibits while they are being loaded, unloaded or conveyed to the various booths or common carrier by the Drayage Contractor will be its responsibility. The Drayage Contractor WILL NOT be responsible for damage to materials improperly packed, concealed damage, loss or theft of exhibitors materials after same have been delivered to the booth, or before materials have been picked up for loading out of the booth. In any case, the liability of the Drayage Contractor is limited to $.10 per pound/per article, with a maximum of $50 per item, and a maximum of $1,000 per shipment. The shipper is encouraged to make arrangements with its insurance carrier if values of articles or shipments are in excess of those stated above. Exhibits Loss or Disappearance - Markey's Exposition Services and its subcontractors are not, and cannot be, responsible for loss or disappearance of the material of the exhibitor after such material has been delivered to the Exhibitor's booth. Relative to inbound shipments, there may be a lapse of time between the delivery of shipment(s) to the applicable booth by Markey's Exposition Services or its subcontractors, and the arrival of Exhibitor's representative at the booth. During such time, the shipment(s) will be left unattended in the booth. Markey's Exposition Services and its subcontractors shall not be responsible for any loss or damage that may occur during such period. Similarly, Markey's Exposition Services Company and its subcontractors cannot be responsible for loss or disappearance of Exhibitor's material before Exhibitor's material is picked up from the Exhibitor's booth for loading after the exhibition. Markey's Exposition Services and its subcontractors shall not be responsible for any loss or damage that may occur during such period. Markey's Exposition Services and its subcontractors will adjust the quantities of times on any bill of lading submitted to Markey's Exposition Services or its subcontractors to confirm to the actual count of such items in the booth at the time of pick-up and shipment. Disputes - In the event of any dispute between an Exhibitor and Markey's Exposition Services relative to any loss of or damage to such Exhibitor's material, such Exhibitor shall not be entitled to and shall not withhold payment of any amount due to Markey's Exposition Services for any services provided by Markey's Exposition Services as any offset against the amount of any alleged loss or damage. Instead, such Exhibitor shall pay Markey's Exposition Services within thirty days from the close of the exhibition to which Exhibitor's shipment(s) relate(s) for all service, and such Exhibitor shall pursue any claim against Markey's Exposition Services independently as a completely separate transaction to be resolved on its own merits. No claims for loss or damage will be considered until payment in full for all services performed by Markey's Exposition Services has been received. Also, the exhibitor must inform whether this contractor is authorized to order event services on the exhibitor s behalf. Rules and Regulations 1. The EAC shall refrain from placing an undue burden on the official service contractors by interfering, in any way, with the official contractor s work. 2. The EAC will not solicit business at the event. 3.The EAC is responsible for adhering to all rules and regulations requiring badging. EAC must wear badges at all times. 4. If the EAC, in any way, disrupts the orderly conduct of business by any of the official contractors, or impairs the smooth installation and dismantling of the event, the EAC will immediately cease such disruption or be removed from the event site. Show management will have the final decision in such instances. 7. Written acceptance that the EAC will abide by all rules and regulations, especially those as contained herein for EAC. This form must be received by show management no later than 30 days from the event. 8.In performing work for their clients, the EAC shall cooperate fully with the official contractors and shall comply with existing labor regulations or contracts as determined by the commitments made and obligations assumed by show management in any contracts with the official contractors. 9.Failure to comply with these regulations will result in refusal or loss of authorization to perform services and immediate removal from the event site. 5. The EAC who provides installation and dismantling services will be sent the proper information from show management upon receipt of request by the authorizing exhibitor. 6. Show management will give authorization to the EAC to provide installation and dismantling services to the exhibiting firm upon receipt of: certificate of insurance for workers compensation and employers liability, comprehensive general liability and automobile liability insurance. The workers compensation and employers liability insurance must provide a minimum limit of (recommended $500,000 USD) and meet the requirements established by the state in which the event is being held. Comprehensive general liability coverage must provide at least(recommended $1 million USD per occurrence /$2 million USD general aggregate) in coverage and shall name show management, the sponsoring associations, the event owners, the official contractor and the facility as additional insured. Automobile liability should include all owned, on-owned and hired vehicles with limits of (recommended $500,000 USD) bodily injury and(recommended $500,000 USD) property damage liability. Show management must receive the certificate of insurance no later than 30 days prior to the commencement of installation. 10. For services such as electrical, telephone, plumbing, floral, rigging, booth cleaning, decorator labor, and drayage, no contractor or supplier other than the Official Service Contractor will be approved. This rule is necessary because of licensing, insurance, and safety reasons. Exhibitors shall provide only the materials and equipment they own and is to be used in their exhibit. EAC services will be limited to the erection, dismantle, and preparation of display materials only. Labor and/or services for the installation and dismantling of products to be displayed by exhibitors must be contracted from the official contractor designated by show management for that service. 55 GRB-Electric Svc TERMS AND CONDITIONS 1. Exhibit booths will be inventoried at the show site and any additional service used will be added to the final bill at the Standard Rate. Rates include bringing services (up to 100 Amps) to the rear of standard booth or to the nearest floor port inside an island booth. There are additional charges for services greater than 100 Amps. All work performed within booth to place services in other locations will be charged on a time and material basis. A connect and disconnect fee will be incurred for all connected service, whether connected direct or otherwise. 3. Unless otherwise directed, Smart City Electric, Inc. is authorized to cut floor coverings to permit installation of service. 4. Straight time labor for an electrician is $60.00 per hour. There is a one half hour minimum charge. 5. Double time rates apply before 8:00AM and after 4:30PM Monday thru Friday; all day Saturday, Sunday and on Holidays. 6. Additional labor must be requested by the Customer at the Service Desk. ELECTRICAL LABOR MUST BE ORDERED 24 HOURS IN ADVANCE IN ORDER TO HAVE STAFF AVAILABLE. 7. Supervision time will be charged at the rate of one half hour for each four hours of labor. 8. Customers requiring 24 hour service, clean or dedicated lines, will be charged Standard Rates plus 25%. Special notice must be given to Smart City Electric, Inc. at our Service Desk. 9. Mail order with check to address listed above or you may fax your credit card order. 10. Smart City Electric, Inc. is not responsible for voltage fluctuations or power failures on service lines. 11. Wall and post outlets are not part of booth space. Separate outlets must be ordered for each location to be connected. All material and equipment furnished remains the property of Smart City Electric, Inc. The rates listed include necessary City Permits and inspection by The City of Houston enforcing National Code. 12. The Electrical General Foreman is obligated to refuse connections when wiring is not in accordance with the City Electrical Ordinance. Local Ordinance prohibits more than two connections per outlet box. To prevent overloading of circuits, customer shall not be permitted to add wattage, except by ordering at the Service Desk. 13. CANCELLATION - There is a minimum $50.00 or 10% Cancellation fee (whichever is greater). Cancellations must be in writing. Additional cancellation charges will apply for orders that have already incurred processing, labor, material and/or engineering costs. Some services greater than 100 Amps and Special Requests cannot be cancelled once ordered and will incur full charges listed / quoted. Credit will not be given for service installed and not used. 14. Prices are based upon current rates and are subject to change without notice.
