3 Overview Welcome to the OnlineIPT Quick Start Guide for Examiners. Use this guide as a quick and easy reference. Additional training resources are also available on the OnlineIPT web site at If you have questions, submit them to the Ballard & Tighe Help Desk at Your questions will be answered within one business day by an IPT expert. The online version of the IPT is similar to the look and feel of the paper-based IPT. Instead of using a test booklet to administer the test, the examiner administers the test questions from the computer screen and records the student s responses on the same screen as the test is administered. All test instructions and information are provided on the screen. The student does not look at the computer screen; instead for picture-based items, they look at the corresponding picture book to respond to the examiner s questions. The system automatically accumulates scores and calculates stopping rules so you don t have to worry about complicated rubrics or norms in order to compute a student s proficiency level. One of most exciting features of our OnlineIPT is the student diagnostic report that is generated instantly after testing. This PDF file is stored on the system and can be ed to a teacher. Traditional paper-based EL assessments provide a proficiency designation. In many cases, the student s EL assessment is stored in a cumulative file and not shared with a classroom teacher. The new OnlineIPT individual diagnostic report not only includes the proficiency level designation, but also includes rich detailed diagnostics that can help the teacher inform instruction. You can learn more about the student diagnostic, teacher, school, and district reports on the OnlineIPT web site. Page 3
4 How to Login 1. Enter your address and password provided in the . Then click on Login. 2. Once you are logged in, you may change your password if you wish. Page 4
5 Note: If your session is inactive/idle for more than 20 minutes, the system will time out and you will be prompted to login again. Password policy: There is a maximum number of five failed login attempts. After that, you will be locked out for 30 minutes. However, for immediate access after being locked out, you may reset your password at any time from the Login page by clicking on the I can t access my account link. An will then be sent to you with instructions on how to reset your password. Page 5
6 How to Administer an Oral Test 1. Click on the Oral Test tab. 2. In the Student Search field, enter the student ID, name, or date of birth to search for the student you d like to administer the Oral test. You may also select a school or grade to narrow down your search results. 3. Click on the Search button. 4. Find the student listed in the search results. If a student is not found, you can add a student by following the instructions under the How to Search for and Add a Student section. 5. Click on the Administer Oral Test button next to the student you would like to test. Page 6
7 6. Confirm that you have the correct student information. If the student s grade has changed, update the new grade before continuing by clicking on the Edit Student Information button. Otherwise, click on the Continue button to continue administering the test. 7. Enter the test information (test type, test period, and test date). 8. Click on the Continue button. Page 7
8 9. Verify the student s grade. 10. Click on the Continue button. Note: This grade will be used to score this student s test. Entering the wrong grade may cause incorrect test results. If the student s grade is changed from here, the system automatically updates the grade in the student demographic information. 11. Select Test Form and Teacher s Name for the student. The available test forms and teacher s names are based on the student s grade. 12. Click on the Continue button Page 8
9 13. Select whether to administer the test at the beginning of the test or at a later level depending on the student s basic English skills. For most accurate scoring and diagnostic feedback, it is recommended that you start test administration at the beginning of the test. 14. Click on the Administer Test button to start administering. Note: By clicking on the Administer Test button, your test quantity will be subtracted by one. Page 9
10 15. Read the introduction and go over the sample items (warm up questions) with the student. When done, click on Continue. 16. You may access the Administration Manual by either clicking on the Administration Manual icon or by visiting the Help & Training area. Page 10
11 17. Continue administering the test by answering the questions and clicking on the Save and Continue button to proceed to the next screen. 18. Stopping rules will automatically apply depending on the number of incorrect responses within a level. 19. When finished, the summary result page will be displayed and you will be able to Print Scores and Run Diagnostic Report. Note: Please do not use the Back and Forward buttons on your browser when navigating through the test pages. Instead use the Save and Exit, Previous, and Save and Continue buttons. The same student is not allowed to take the same test on the same day. For Pre-IPT forms, you might be prompted to select the student s age (refer to the Examiner's Manual for information about using the Pre-IPT for initial identification or for second semester kindergartners). 12 How to Resume an Incomplete Test In the event that a test administration is interrupted, you may resume testing an incomplete test by following the steps below. 1. Click on the Oral Test tab. 2. Click on the View Incomplete Oral Tests button. 3. Enter the student s name. You may select a school, grade, or dates to narrow down your search results. 4. Click on the Search button. 5. Find the student listed in the search results. 6. Click on the Resume button corresponding to the student. Page 12
13 How to Search for and Add a Student More than likely, your district has already populated the student information for you. You may verify this by searching for the student before you start administering tests. If for any reason you cannot find the student, you also have the option to add a student. Search for a Student 1. Click on the Student tab. 2. In the Student Search field, enter the student ID, name, or date of birth to search for the student. You may also select a school or grade to narrow down your search results. 3. Click on the Search button. 4. Find the student listed in the search results. Page 13
14 Add a Student 1. Click on the Student tab. 2. Click on the Add Student button. 3. Enter the student s information. 4. Click on the Add button when finished. Page 14
15 Note: Student ID entered must be unique. For privacy reasons, do not use a Social Security Number (SSN) as the Student ID. For students without a Student ID, or other required information, the district should develop a process to issue unique temporary ID s and then update the student information when the required fields are known. How to Search for and Add a Teacher For student information to appear in classroom reports, a student needs to be assigned to a teacher. More than likely, your district has already populated the teacher database for you. If for any reason you cannot find the teacher, you can search or add a teacher as follows: Search for a Teacher 1. Click on the Setup tab. 2. Click on the Manage Teacher link. 3. In the Teacher Search field, enter the teacher s first and/or last name to search for the teacher. You may also select a school, status, or grade to narrow down your search results. 4. Click on the Search button. 5. Find the teacher listed in the search results. Page 15
16 Add a Teacher 1. Click on the Setup tab. 2. Click on the Manage Teacher link. 3. Click on the Add Teacher button. 4. Select a school from the drop down menu. 5. Enter the teacher s information. 6. Select the grade(s). 7. Click on the Add button when finished. Page 16
17 Note: A teacher differs from an examiner in that teachers do not have access to the OnlineIPT system. If a teacher pertains to multiple schools, that teacher needs to be added to the OnlineIPT system individually to each school. Teachers will appear on the Look Up List depending on the grades you select. Setting a teacher s status to inactive means this teacher will not be listed on the list of teachers during test administration. For example, the teacher is no longer with the school or district (e.g. retired). Page 17
18 How to Run a Report As an examiner, you may generate classroom, students, and examiner log reports. 1. Click on the Reports tab. 2. Select from Classroom Score Summary, Classroom Diagnostic Summary, Individual Student Score Reports, Individual Student Diagnostic Reports, or Examiner Logs by clicking on the corresponding link. Classroom Score Summary Report (sample): The Classroom Score Summary Report will provide you, at the classroom level, the distributions of students designations, proficiency levels, and the means for both the NCE and the standard score. 19 Classroom Diagnostic Summary Report (sample): The Classroom Diagnostic Summary Report will provide you, at the classroom level, the distribution of students weaknesses under each of the diagnostic dimensions. Examiner Log (sample): The Examiner Log lists the students tested by an examiner during a specific test period. Page 19
20 Student Diagnostic Report (sample): The Student Diagnostic Report provides information on a student s areas of strengths and weaknesses in relation to their proficiency level and gives specific recommendations for remedial instruction in the weakest dimensions of the student s oral skills.
