Guide to Sharing and Collaboration What is Real-time Sharing? 4-1 What is Real-time Sharing? NoteTaker and NoteShare are powerful desktop applications for creating, publishing and sharing media rich, multi-page notebooks. Users can instantly share their notebooks with other users for presenting, viewing and editing information. NoteTaker and NoteShare can be used in the same room, same building and globally for connecting anytime, anywhere. Sharing means that the information in a shared notebook can be viewed, edited and modified by other NoteShare users at the same time or different times. Any NoteShare user can share a notebook from their own personal computer and allow other NoteShare users to access, view and edit it. With NoteShare, you don't need a third party hosting service or server for instant collaboration, just two or more users to start sharing and working on the same notebook. NoteShare uses seamless P2P (peer-peer) sharing technology that works on any local area network (Bonjour) and/or wide area network with Internet access. Notebooks shared by NoteTaker and NoteShare can also be viewed (read-only) by NoteShare Mobile Viewer for iphone and ipad. Who should use it? Sharing is an ideal collaboration tool for users who work on team projects or have a need to share notebook information with one or more users in a small group or classroom. NoteTaker and NoteShare serve a growing, dynamic community of users including students, educators, researchers, scientists, doctors, designers, authors, directors, producers, consultants and many other creative fields. NoteTaker and NoteShare allow multiple users to work on a single shared, interactive notebook from the same room, same building or even from a remote location via the Internet or a network gateway. Home and small office users can work on their notebooks remotely while away or in a different location than from where the notebooks are being shared. Presenting, viewing and editing a shared notebook can be done on-demand as needed. Any NoteTaker or NoteShare user can view other shared notebooks as well as share their own notebooks. NoteTaker or NoteShare? NoteTaker limits you to sharing to up to 5 simultaneous users. That is, only 5 other users of NoteTaker, NoteShare, or NoteShare Mobile Viewer can connect to your copy of NoteTaker and open its shared notebooks. NoteShare can share to an unlimited number of other users. Also, NoteShare includes advanced sharing features such as a Sharing Monitor, RSS feed output,

Guide to Sharing and Collaboration Basic Sharing Concepts 5-1 This page introduces some basic concepts and terminology about notebook sharing. Owning, Sharing and Viewing Any notebook you open or create from NoteShare's File menu can be shared with other NoteShare users. When you share a notebook from your copy of NoteShare, you are its Owner and your copy of it is called a Shared Notebook. Other NoteShare users looking at your shared notebook are called Viewers and each of their copies is called a Remote Notebook. A remote notebook is different than a notebook opened from your own computer, in that it mirrors the in-memory image of the shared notebook. Viewers of the remote notebook therefore see the same notebook the owner does, including even changes that haven't been saved to disk! Note: Depending on the owner's Sharing preferences, viewers might be able to save a local copy of a remote notebook to their own machine. But the local copy is now a separate notebook, and no longer connected to the original shared notebook. Working together with the Edit Pen You can share a notebook as Read-Only, where only you (the owner) can edit it. Or you can make it editable by other viewers. If it's editable, any viewer can edit any page by became that page's Editor. Only one viewer can be editor of a given page at a time, but different people can be editing other pages simultaneously. And everyone can watch edits as they happen. You become editor of a page by taking the Edit Pen. While you have the pen, only you can edit that page. When you're done, you release the pen and someone else can take it to become editor. For details, see Use the Edit Pen. Local and Internet Users NoteShare uses Apple's version of zero configuration networking (a.k.a Bonjour) to automatically find and connect to other instances of NoteShare that are sharing notebooks on the same local network. These are called Local Owners, and the connected viewer is a Local Viewer from the owner's point of view. NoteShare can also connect to computers that are sharing notebooks anywhere on the Internet, using manually-entered IP addresses or host domain names. These are called Internet Users, and NoteShare needs a little help to connect to these. You must know the Internet host name or IP address of the computer sharing notebooks and manually enter it into the Open Shared Notebook panel. You may also need to include a Service Name if the notebooks are being shared by
Guide to Sharing and Collaboration Basic Sharing Concepts also need to include a Service Name if the notebooks are being shared by NoteShare Server Professional. 5-2 Internet sharing addresses will look like either "myserver.com" or "myserver.com/ MyServiceName". When you're running NoteShare there may be a mix of local and Internet owners and viewers. NoteShare Spaces - work in private or in public NoteShare Spaces provide a simple way for workgroups to organize and share a collection of notebooks under a common name and protected by a common password. You can create your own space for sharing notebooks, or use someone else's. You can choose to make a space public, in which case viewers can browse its notebooks without needing a password. Or you can make it private so only viewers with the space's password can browse its notebooks. Spaces require no management other than the communication of the space name and password to members of the workgroup. And they can provide an additional level of network privacy while reducing overall clutter, especially in Bonjour mode. See the Glossary page for a complete list of NoteShare terms AquaMinds Software Corporation

Sharing Notebooks Share a Notebook 7-1 Share a Notebook When you share a notebook from your computer, you can control who can see the notebook, who can open the notebook, and how viewers can use the notebook, for example, whether it's Read Only or editable. 1 Open the notebook you want to share, and press the button in the notebook s title area or choose the Share > Share Notebook command. 2. In the Share Notebook panel, make the following settings:
Sharing Notebooks Share a Notebook 7-2 Space Name: Specify the space where you want to share the notebook. Select an existing space from the list. Or type a new name to create a space. Your new space will appear in viewers' Open Shared Notebook panel as long as notebooks are being shared from it. If no notebooks are being shared, viewers won't see the space. If you create a new space, select whether it should be Public, in which case viewers can browse its list of notebooks without needing a password. Or select Private and enter a password, which viewers must enter to unlock the space and browse its notebooks. Notebook Password: To control which users who are browsing the space can actually open the notebook, give the notebook a password. Users browsing the space will see the notebook's name among the other shared notebooks. But to open the notebook, they must enter its password. If you don't give the notebook a password, anyone with access to the space can
Sharing Notebooks Share a Notebook don't give the notebook a password, anyone with access to the space can open the notebook. 7-3 Important: Notebooks shared from a public space that don't have their own sharing password are available only to local Bonjour or LAN-based NoteShare and NoteTaker users, and not to remote viewers over the Internet. To share a notebook for remote viewers, either share it from a private space, or give it a sharing password. For more information about password security, see Security, Privacy, and Encryption. Viewers can Edit: Uncheck this to make the notebooks Read-Only, where viewers can page through, but not edit the notebook. If instead you want viewers to edit the notebook, check this option. Turn Pages for Viewers: Check this box to control viewers' page turning from your own copy of the shared notebook, for example, to give a live presentation from the notebook where viewers must look at the same page you do. If instead you want viewers to page freely through the notebook on their own, uncheck this box. Viewers Can Save Local Copies: To prevent viewers from saving their own local copy of your shared notebook, uncheck this option (disables viewers' Save To command). 3. When you're done making settings, click Share to begin sharing the notebook. Persistent Sharing Once you have shared a notebook it will be available to other users on your network. The notebook will remain shared when you close it. Shared notebooks are available to other users as long as NoteShare is running and your computer is reachable on the network. When you quit NoteShare your shared notebooks will no longer be available to other users. NoteShare will warn you if there are users viewing any of your shared notebooks when you quit. You have the option of canceling the quit command at that point or you can go ahead and quit anyway. When you relaunch NoteShare your shared notebooks will be automatically shared again when you relaunch NoteShare (assuming the notebook file still exists).
Sharing Notebooks Share a Notebook 7-4 You can see a list of all your shared notebooks (along with the space in which each is shared) by selecting the File > My Shared Notebooks command. Selecting a notebook from this menu will open it. Stop sharing a notebook If you no longer want to make your notebook available to remote viewers, open the notebook and choose the Share > Unshare Notebook command. NoteShare warns you if the notebook currently has any viewers, who will lose access to the notebook when it's unshared. You have the option of canceling the unshare command at that point or you can go ahead and unshare it anyway.
Sharing Notebooks Share a Notebook 7-5 What Else? Notebooks you share become available in other viewers' Open Shared Notebook panel AquaMinds Software Corporation
Sharing Notebooks Open a Shared Notebook 8-1 Using the Open Shared Notebooks panel To open a notebook someone else is sharing, use the Open Shared Notebooks panel. You can then work in the notebook as a remote viewer, seeing the same pages and content that the owner and other viewers see. Depending on how the notebook is being shared, you might be able to page through and edit the notebook, the owner might control page turning, or the notebook might be Read- Only, where you can view any page but not make changes. Notebooks being shared over your local LAN or Bonjour network are available from the panel automatically, while notebooks being shared from the Internet aren't available until you add the owner's Internet address. 1. Choose the File > Open Shared Notebook command. This opens a panel showing: Spaces in which Notebook owners you're connected to are currently sharing notebooks. Owners (NoteShare and and NoteTaker users) currently sharing notebooks from a space. These include owners NoteShare detects on your local network as well as remote owners you add from the Internet. Notebooks the owner is currently sharing from the space. Note: Click on "SPACES/OWNERS" to switch the order of the hierarchy in the left side of the panel.
Sharing Notebooks Open a Shared Notebook the left side of the panel If the notebook you want to open is being shared from the Internet, add the Sharing Address of the remote owner (you only have to do this once per owner). 3. At the left of the panel, click the space where the notebook you want to open is being shared. This lists the owners sharing from that space, and the notebooks they're sharing. If it's a locked, private space, you'll be prompted to enter the space's password before you can browse its owners and notebooks. 4. At the right of the panel, double-click the notebook you want to open. If the notebook has its own password, you'll be prompted to enter it before the notebook opens. Otherwise, the notebook opens right away. Note: A green dot next to an owner's name means NoteShare has connected to the owner, who is currently sharing one or more notebooks. A red dot (or no dot) means the owner has gone offline, or NoteShare couldn't otherwise connect. Click the owner's name to try to reconnect to their notebooks. You can tell you're looking at a remote notebook when:
Sharing Notebooks Open a Shared Notebook 8-3 Sorting and filtering You can list any combination of shared notebooks in the Open Shared Notebooks panel, from different owners or spaces. Just select each space or owner at the left of the panel, to display corresponding notebooks at the right. You can also sort the notebook list however you want - by notebook title, owner, or the space it's being shared from: At the left of the panel, you can display owners under spaces as shown above, or spaces under owners - whichever you prefer. Just click this button (or click the SPACES/OWNERS label) to switch from one display to another.
Sharing Notebooks Open a Shared Notebook 8-4 Add an Internet owner NoteShare can automatically detect notebooks being shared over your local LAN or Bonjour network, so local owners will be automatically listed and removed as they come online and go off. But before NoteShare can find notebooks being shared over the Internet, you must add the owner's Internet address. In the Open Shared Notebooks panel: You only have to add an Internet owner once, as the owner will remain listed in the panel when you next open it. To remove an Internet owner from the list, select the owner and click the minus button. Note that to remove an owner, you must first close any notebooks being shared by that owner AquaMinds Software Corporation
Sharing Notebooks Use the Edit Pen 9-1 Working concurrently with others, in the same notebook When a notebook is being shared as editable, you and your team can all work in the notebook at the same time, with each viewer simultaneously editing a different page. A viewer can even add new pages and sections while others are editing different pages. When you're all working on the same page, only one viewer can be editing the page at a time, but others can watch the editing as it happens. When the current viewer finishes editing the page, someone else can easily take over. When you are working in a shared notebook, an edit button will appear in the title area, and the number of viewers and the current page s editor will be displayed below the title of the notebook: To start editing a page, you will usually click on an entry, thereby acquiring the page s edit pen which will prevent other viewers from editing that page. To end editing and release the edit pen (so other users can edit the page) click outside the entry on a blank portion of the page. You can also begin editing by typing (which will create a new entry), dragging a file or image onto the page, or using a clipboard paste command. You can also click on the edit button itself to take the edit pen and hold it until you explicitly release it by clicking the edit button a second time. This insures that no other viewer can edit the page while you are working on it. To end editing and release the edit pen (so other users can edit the page) click outside the entry on a blank portion of the page. (you can also exit auto edit by clicking on the pen) The image in the edit button shows the state of the edit pen for the page: The page has no editor Another user is editing the page You have clicked in an entry and are editing
Sharing Notebooks Use the Edit Pen 9-2 You have clicked the edit button and are holding the pen A zig-zag symbol means the notebook is offline and therefore no longer connected to the original notebook on the owner's computer. This can happen if the owner unshares it or if your local network connection goes down. You can keep viewing an offline notebook, but you can only see pages you've already visited (since the owner's computer is no longer connected). If the owner begins sharing again, the notebook might automatically come back online. If not, close the offline notebook and reopen it using the File > Open Recent or File > Open Shared Notebook commands. Ask for the pen If someone else currently has the edit pen for a page you want to edit, click the edit pen button to let that person know you'd like a turn soon. When you click the button a message appears below the title on the editor's computer telling her that you want to edit. Take back the pen (owner only) If you're the notebook's owner, you can take the edit pen back from someone else who's editing using the Share> Become Editor command. This only works if you are editing the notebook from the instance of NoteShare that is sharing it AquaMinds Software Corporation
Sharing Notebooks Add and Update File Attachments 10-1 Just Drag and Drop File Attachments You can attach a Word, PDF, or other document to a shared notebook, just as in a regular notebook, by dragging the file to an outline entry in the notebook. If it's a remote notebook, the file is automatically uploaded to the owner's computer, where it appears in the notebook as an icon. Viewers can then double-click the icon to open the file on their own computer. Opening an attached Word document, for example, opens it on your computer in your copy of Word. If the file is relatively small, it's automatically downloaded to a viewer's computer as soon as they open the shared notebook, so double-clicking the attachment icon opens the file right away. Larger attachments aren't downloaded to viewers until they explicitly open it, at which point the file must first download before it opens. You can see the progress of a file being downloaded by opening the Activity Viewer, from either the Window menu or your notebook's toolbar. Tip: Hold down the Option key while pointing to a file attachment to see the file's size before downloading it. Update File Attachments When you open a file attachment from a remote shared notebook, a copy of the file is downloaded to your computer, as described above. Editing the file therefore doesn't update the shared attachment that other viewers see - it just updates the copy on your computer. To update the attachment in the shared notebook, you must re-attach your edited copy to the notebook (which uploads it to the remote notebook). If you don't want the original attachment to remain available, delete it from the shared notebook. What Else? Set the size limit for whether attachments are downloaded automatically for viewers or must first be opened before downloading, using NoteShare's Sharing Preferences. Set a separate threshold for local (Bonjour) vs. Internet
Sharing Notebooks Add and Update File Attachments Sharing Preferences. Set a separate threshold for local (Bonjour) vs. Internet connections. Typically, you set a smaller limit for Internet connections because file transfers can take much longer to complete You can add the Activity Viewer tool to your toolbar using NoteShare's Toolbar Preferences AquaMinds Software Corporation
Sharing Notebooks Give Interactive Presentations 11 Give a Presentation Using Synchronized Page Turning (NoteShare Only) In a classroom or meeting room, it's convenient to be able to use NoteShare to deliver a dynamic presentation by controlling page turning on all viewer machines. While in this presentation mode (a.k.a. flip-chart mode), the owner is controlling the page scrolling and web page entry clicks. She may also temporarily set the notebook to read-only status. On the viewer's system, the shared notebook appears with no page turning controls or "dog ears". The owner of the shared notebook controls and assigns Page Turning privileges indicated by a flip-chart icon in the Page Turn column of the Sharing Monitor. It can be set directly from the Sharing sheet when first configured (it's also a Sharing preference) and it can be manually reset and assigned by the owner from the Sharing Monitor by clicking in the Page Turn column next to the person's name. NoteShare page turning control in combination with an audio chat or video chat program, creates an affordable yet powerful platform for interactive presentations, meetings and remote tutoring sessions. Additionally, using Page Turning control can be used with read-only, shared notebooks as well. Teachers, educators and lecturers can deliver highly interactive presentations with very little technical assistance to enable group or classroom viewing of the same notebook that is being presented. NOTE: The owner of the shared notebook can send a message to all viewers using the Send Message to Viewers command which is available from the Share menu. Current viewers of the shared notebook will receive an alert message which will also bounce the NoteShare icon in the Dock until dismissed AquaMinds Software Corporation
Sharing Notebooks Page Marks 12 Page Marks Experienced NoteTaker users know that Page Marks are a simple and powerful organization tool. They are small files that contain just enough information to be able to find and open a notebook to a specific page. In NoteShare, Page Marks have been extended to also include enough information to open the notebook remotely, if it is being shared. This means that you can share a notebook, turn to a particular page, click on the Page Mark toolbar button or menu item, and a colleague a pointer to your shared notebook. When the colleague receives the Page Mark, he simply drags it onto the NoteShare icon (or double-clicks on it), and NoteShare opens your shared notebook remotely. This is true even if he has never entered your computer's Internet address in his Open Shared Notebook panel. Prerequisites For Page Marks To Work Remotely The owner must be actively sharing the notebook to which the page mark points. The owner must have performed the computer configuration as described on the page "Set Up Your Computer For Sharing". For the page mark to work across the Internet: The owner must have a valid public address or domain name in the Sharing Address field in NoteShare Preferences. If the computer's address or domain name changes, previous Page Marks may become invalid. The owner must have performed the network configuration as described on the page "Share Outside of Your Local Network".
Sharing Notebooks Set Your Sharing Preferences 13-1 Sharing Preferences Sharing Viewers Can Edit: If selected, then others will be able to edit as well as view your notebooks. Turn Pages For Viewers: If selected, only you will be able to turn pages, and all viewers will see the same page turns and scrolls that you make. Viewers Can Save Local Copies: If selected, viewers will be able to save complete copies of your notebooks onto their own computers. Maximum Number Of Viewers Per Notebook: This is an upper limit on the number of viewers which can open any one shared notebook at a time. The practical limit will depend on the speed of your computer, the speed of your network, and the contents of your notebook.
Sharing Notebooks Set Your Sharing Preferences contents of your notebook. Editor Inactivity Timeout: If this many minutes elapses with no activity by the current editor, then the pen is released so that someone else may edit Note: There is no fixed limit on the number of simultaneous viewers of a shared notebook. However, the number of viewers that can smoothly interact with a shared notebook is very dependent on network performance factors, including viewer and owner connection speed, overall network bandwidth, and other traffic present on your network. The sharing (owner) machine in particular should have as high a network connection speed as possible. While pure text viewing and editing in NoteShare is very efficient and can support a large number of simultaneous viewers, performance may be affected if many viewers download large attachments simultaneously, for example, a classroom of students opening a page of long media attachments at the same time. In this situation, make sure your attachments are compressed as much as possible, and set your download limits to a smaller value in Sharing Preferences, to limit automatic downloading. Network Sharing Address: This is your "external" or "public" internet address. By default, NoteShare fills this in for you. It is the address you give to others in order for them to open your notebooks over the Internet. File Auto-Transfer Limit: This is the size of the largest attachment that will be automatically downloaded to you as the viewer of a remote notebook. Files larger than this will appear as icons, which you must then double-click in order to download and view. The Bonjour setting is used when the notebook you are viewing is on your local network, otherwise the Internet setting is used. Lower the number if automatically downloading attachments seems to slow down your computer or the computer that is sharing. Sharing Port: NoteShare's officially-assigned sharing port is Do not change this unless you know what you are doing. You must be an Administrator to change this setting. Open sharing port... : If NoteShare has detected that you have a router or gateway that it can communicate with, it may offer to automatically perform any required port mapping. This is not done until you share the first notebook after launching. If successful, you will see a green dot following the button. See Using Automatic Port Mapping in the Advanced Sharing section for more information. You must be an Administrator to change this setting. DDNS: This button brings up a panel to configure NoteShare's built-in Dynamic DNS client. See Using Dynamic DNS in the Advanced Sharing section for more information. You must be an Administrator to change this setting AquaMinds Software Corporation

Sharing Notebooks Other Tips 14-1 Customize Your Toolbar From the Preferences panel under the Toolbar tab, you'll find a list of Toolbar buttons and functions that can be added, reordered or removed from the Toolbar. Specific to NoteShare, are three buttons: Sharing Monitor button (NoteShare only) - Opens the Sharing Monitor window (may need to be pressed twice if previously toggled off. Activity Viewer button - Opens the Activity Viewer window which shows any downloads or file uploads currently in progress. Page Mark button - Opens a Compose window in Mail and adds the current Page Mark of the shared notebook page being viewed. NoteShare users can quickly open or point to shared notebook pages by sending Page Marks to other NoteShare users. The Page Mark will attempt to automatically open the shared notebook but may require a password be typed to complete the operation. (NOTE: If both NoteShare and NoteTaker are installed on the same system, Page Marks from NoteShare may require that the user drops them on a running copy of NoteShare in the Dock. More NoteShare Tips When you're viewing or working on a shared notebook, it's convenient to use the Creator and Changed By attribute columns to see who has been working on what part of the page. Both are available from the View menu or can be turned on from the Toolbar. If the Creator/Changed By columns are visible while another viewer takes the pen, a highlight bar indicates whether they are making changes or additions on the page you're viewing. In NoteShare, you can use the Sharing Monitor to quickly go to the same page a viewer is editing while they have the pen. Alert options can be set from the Sharing Monitor to notify you when a viewer opens a notebook you're viewing, or when they edit or release the edit pen. The Viewers submenu, under Share, can also be used to navigate to the page another viewers is currently on. In a shared notebook, it's also useful to use the Creator and Changed By pages in the Index to see what has been added or changed in the notebook by another user. The notebook's close button indicates that there are unsaved changes by showing a black dot, as usual. However, for shared notebooks, this button accurately reflects the state of the notebook to the owner and the current editor only. Other viewers are not be able to tell whether the document has been changed.
Sharing Notebooks Other Tips viewers are not be able to tell whether the document has been changed The Save command is always enabled for the owner and also for the current editor. When an editing viewer performs a save, the operation is performed on the owner's machine. Nothing is written to the viewer's disk. For a shared notebook, the Revert command is enabled only for the notebook's owner (the person working directly in the notebook). It's not available for remote editors. When a revert is performed, all viewers are notified with the following message AquaMinds Software Corporation

If any of these do not work, please consult your NetGear manual for the correct IP address and/or user name and password. Next, click on Port Forwarding, then the Add Custom Service button. You should see a panel similar to the one below: In the Service Name field, enter NoteShare. In the Service Type menu, select TCP or TCP/UDP. In both the Starting Port and Ending Port fields, enter In the Server IP Address field, enter your computer's local IP Address. Then click Apply. You should then see something similar to this:
Configure Your Computer and Network For Sharing Configure Your AirPort Base Station Or Other Router 17-4 Other Routers Other home and small office routers have similar configuration steps to LinkSys and Netgear. Please search your router's documentation for Port Forwarding, Port Range Forwarding, or Port Mapping., or consult your ISP's support desk. AquaMinds cannot guarantee the suitability of any particular device for sharing to the Internet with NoteShare.
Configure Your Computer and Network For Sharing Configure Your Network Settings 18 Use A Fixed Local Network Address If you use an Airport base station or other router to automatically assign local addresses to the computers on your network, you should configure your computer to always use the same address. This is easily done in your Network Preferences. Double-click here to open your Network Preferences. In the panel on the left side, select the network connection you use to connect to the internet. Then click the Advanced... button and then the TCP/IP tab. If Manually or Using DHCP with manual address is already selected, you need not do anything. If Using DHCP is selected in the Configure IPv4 menu: Write down the value for IP Address (e.g ) Select Using DHCP with manual address in the menu. Type the IP address noted above into the IPv4 Address field. Click "OK". Your router itself may also be able to assign you an unchanging IP address even as it continues to assign temporary ones to your other computers. See your router's documentation for further information. Also see the page Using Automatic Port Mapping for details on another option which does not necessarily require a fixed IP address.
Configure Your Computer and Network For Sharing Tell Others Your Sharing Address 19-1 Because Bonjour does not operate over the Internet, you will need to tell others your computer's public Internet address in order for them to find and open your shared notebooks. Then they must enter that address manually into their Open Shared Notebook panel. This usually only needs to be done once, unless your computer's address changes. NoteShare provides some ways to make this easier. NoteShare Preferences The Sharing tab in NoteShare's Preferences Panel has a field in which NoteShare tries to enter your current Internet address. Double-Click here to open NoteShare Preferences. In the Network section, you should see something like this: This is your "public address", that you can give to someone to find your shared notebooks over the Internet. NoteShare tries to update this field every time it launches. If you use a router which assigns address to computers on your local network, it may not be the same as the address seen in your Network Preferences. Note: If you manually enter something else in this field, NoteShare will not overwrite what you have entered. If you use a Dynamic Domain Name Service (DDNS), enter your DDNS domain name here. Network Preferences If you have a permanent unique Internet address assigned to your computer by your company or ISP, or if you have a dynamic address and your computer is connected directly to your DSL or cable modem, then you can also retrieve it from Network Preferences. Double-click here to open Network Preferences. From the left panel, select the network connection you use to connect to the internet. Then click the Advanced button and the TCP/IP tab. Your address will be in the field labeled IPv4 Address:.

Advanced Configuration How Sharing Works 21-1 This section describes how to configure your computer and network for sharing notebooks. If you are simply opening notebooks shared by other users of NoteShare or NoteShare Server, you do not need to read this section. This page introduces a few basic concepts that will enhance your understanding of notebook sharing. They will help you understand the configuration steps, and diagnose and solve problems that may arise, especially when sharing to people outside of your local home, school, or office network. How Programs Communicate In order for a software program to send a message to a program on a different computer, it must tell the network where to find the other computer. This is called the computer's address. Then it must also tell the network where to find the program on the other computer. This is called the program's port. If you think of a computer as being like an apartment building with one address, then the port is like an individual apartment number. A computer's address is usually specified in one of two ways, either a sequence of numbers such as " ", called an IP address, or text such as " called a domain name or host name. A domain name actually stands for an IP address, but names are easier for people to remember and communicate. A program's port is always specified by a single number. NoteShare's official port number is How NoteShare Communicates When you share a notebook on your computer, NoteShare immediately starts to look for messages from other copies of NoteShare on other computers. When someone else wants to open your shared notebook, their NoteShare sends a message to your computer's address and NoteShare's port. After receiving the message, your copy of NoteShare then also knows the address and port of the other NoteShare. Two-way communication can then proceed in order to list, open, and synchronize shared notebooks. Bonjour Makes it Automatic
Advanced Configuration How Sharing Works 21-2 On a local network, such as at your home, school, or small office, NoteShare uses an OS X feature called Bonjour to automatically find other people who are sharing notebooks, and list them in your Open Shared Notebook panel. 1. When you share a notebook, NoteShare tells Bonjour that it is sharing at the computer's address and NoteShare's port number. 2. Other NoteShares on your local network ask Bonjour for a list of those who are sharing, and also ask to be notified when that list changes. It then connects to each instance of NoteShare on the list. 3. When someone opens the Open Shared Notebook panel, NoteShare asks each connected NoteShare for the list of notebooks they are currently sharing, and displays the list. The only thing you may need to do for Bonjour is to configure your computer's firewall. This is easy, and explained on the page, Set Up Your Computer For Sharing
Advanced Configuration Sharing Outside Of Your Local Network 22-1 Sharing is not restricted to your local network. You can share your notebooks to anyone anywhere in the world with Internet access and NoteShare, NoteShare Express, or NoteShare Mobile Viewer. However, you may need to take some additional steps. Bonjour does not operate between computers connected by the Internet, and may also not be available when sharing at a school or large company, except within local areas like a classroom or meeting room. This means that you must tell others your computer's address in order for them to find and open your shared notebooks. Then they must enter that address manually into their Open Shared Notebook panel. Other Steps You May Need To Take When Sharing Across The Internet Port Mapping Most home or small office networks have internet service that provides a single IP address. A device called a router or gateway allows several computers to share the address. Often this is the same device that provides you with Wi-Fi access. But with only one address for several computers, messages arriving from the Internet to NoteShare need help to be directed the right computer. You may need to configure your router to send NoteShare messages to the particular computer you are using to share notebooks. This is called port mapping or port forwarding. Dynamic DNS Service With many DSL or cable internet services, the address assigned to you may change from time to time. This is called a dynamic IP address. While this has no effect on your ability to connect to web sites and open other people's shared notebooks, it may make it harder for others to connect to your shared notebooks. This is because the sharing address you give to someone one day may not work the next. In this case you should consider using a service that assigns you a name for your address and keeps it up to date. This is called a domain name, and the service is called a Dynamic Domain Name Service (DDNS). Using either NoteShare itself or a third-party program, the DDNS is kept informed as your address changes. When others then try to view your shared notebooks using the domain name, they will always be able to find you. Many people use the service DynDNS. There are also several free services: dnslookup.me/dynamic-dns
Advanced Configuration Sharing Outside Of Your Local Network icloud In NoteShare 3.0 or later, if you have icloud enabled, NoteShare may be able to publish its current sharing address to other computers connected to the same icloud account. 22-2
Advanced Configuration Using Automatic Port Mapping 23 If NoteShare has detected that you have a router or gateway that it can communicate with, it may offer to automatically perform any required port mapping. Using automatic port mapping, you don't necessarily have to use a fixed local IP address - the dynamic one assigned to you by your router is fine. Configuring Automatic Port Mapping Open the Sharing tab of NoteShare Preferences. If NoteShare has found a device that it can communicate with, you will see its name listed in the button label, for example: Click the button to enable automatic port mapping. If you are sharing a notebook, NoteShare will attempt to map the port (it does not do this until a notebook has been shared during the current session). If successful, you will see a green dot following the button. If you move your mouse over the button or dot, a tooltip will appear which tells you the status of the last port mapping attempt. Limitations You must be an Administrator in order to use automatic port mapping. NoteShare uses both the NAT-PMP and UPnP protocols to try to communicate with routers and Airport base stations. However, this capability is not guaranteed and is provided only as a convenience. AquaMinds cannot guarantee its ability to communicate with any particular router. Routers often require that this capability be explicitly enabled. It may not be enabled by default. Consult your AirPort or other router's documentation for instructions on how to enable this feature. If you have previously set up a permanent port mapping as described in Set Up Your Network For Sharing, automatic port mapping may fail. Only one computer at a time can be mapped to a particular port. Generally it is best to enable the automatic port mapping only on one computer and then share notebooks from just that computer. However, if you have to use port mapping, and you need to share sometimes from one computer, and other times from a different one, the automatic port mapping feature might make things easier by changing the port mapping for you when necessary. Just make sure to not try to share from both computers at the same time, or enable the port mapping on each machine just when needed.
Advanced Configuration Using Dynamic DNS 24-1 Home DSL or cable services assign you an IP address to use for connecting to the Internet. Usually this address is not permanent, but subject to change at any time. This is called a dynamic IP address. While this has no effect on your ability to connect to services on the Internet, it may make it hard for others to connect to your shared notebooks. The sharing address you give to someone one day may not work the next. In this case you can consider using a service that assigns you a name for your address and keeps it up to date. This is called a domain name or host name, and the service is called a Dynamic Domain Name Service (DDNS). The DDNS is kept informed as your address changes. When others then try to view your shared notebooks using the domain name, they will always be able to find you. The DDNS can be kept updated using either NoteShare or a separate software program, such as DNSUpdate. NoteShare checks the currency of your DDNS account when notebooks are shared and periodically thereafter. Create An Account With The DDNS Service Currently, only DynDNS is supported. You must first open an account with DynDNS. You will choose a host name, and receive an account name and password. Set Up The NoteShare DDNS Client Open your NoteShare Preferences to the Sharing tab, and click on the DDNS button. You will see the following panel. Click Dynamic DNS Enabled to enabled the DDNS client. Enter the account name, password, and host name associated with your DDNS account. Double check this information to make sure it is correct.
Advanced Configuration Using Dynamic DNS NoteShare will usually fill in your IP address. If not, enter it on the main Preferences panel (see Tell Others Your Sharing Address). Click on the Update Now button. If the update is successful, you will see "Last update successful" in the status field. If not, you will see an alert panel with an indication of the problem. It is important to correct any indicated problems before trying again to update the DDNS service. Limitations You must be an Administrator in order to use the DDNS client When using NoteShare, the DDNS service is updated when necessary but only when NoteShare is running. If you need to make sure it is updated at other times, consider using a separate application. DynDNS is sensitive to applications that make updates unnecessarily. NoteShare follows DynDNS's guidelines for client applications. However, AquaMinds does not have a relationship with DynDNS and cannot guarantee that DynDNS will accept updates from NoteShare. AquaMinds provides the built-in Dynamic DNS client merely as a convenience and cannot guarantee its usefulness.

Advanced Collaboration with NoteShare and NoteShare Server The Sharing Monitor 26-1 Note: This section describes features found only in NoteShare and NoteShare Server. The Sharing Monitor as central workflow hub The Sharing Monitor in NoteShare displays an outline view of all open notebooks that you are either currently sharing and/or viewing including any remote notebooks you have open. Each notebook is listed by a space name (if private) the notebook's title, followed by the names of the owner and all viewers. The owner is always listed first, preceded by the icon. The current user (you), if different from the owner, is preceded by the icon. The three columns on the right are: # - The page number of the page being viewed by the owner and each viewer. Double-click on the number to turn to that page. - The editing status of the notebook. Click next to your name to take or release the edit pen. If the pen is taken, clicking will enable an alert so that you will be notified when the pen becomes available. Owners may click in this column next to the notebook name in order to change the edit mode between editable and read-only.
Advanced Collaboration with NoteShare and NoteShare Server The Sharing Monitor Page turn mode. Owners may click next to any viewer name to give exclusive page turn control to that person. NoteShare's synchronized page turning can be used as a "flip-chart" control for live presentations and lectures to groups of viewers open to the same shared notebook. Alerts and Log Features The Sharing Monitor also supports active alert notifications for monitoring when other viewers open or close a notebook that you're sharing or viewing, when they begin to edit and when the edit pen becomes available. Alerts can be message panels, spoken announcements, sounds or simply logged activities. The Log feature shows viewer activity based on what Alerts have been set. The Log drawer itself is intended as another way to monitor and view when activity is taking place AquaMinds Software Corporation
Advanced Collaboration with NoteShare and NoteShare Server RSS Feeds and Web Notebooks 27-1 Publish notebook updates via RSS and Web Notebooks Keep project members informed of changes to a team notebook by automatically publishing them in an RSS feed. Remote viewers can then subscribe to the feed in their Mail client or Web browser, to see changes as they occur. Each feed displays the content, time changed, and author of the last 15 outline entries that were changed or added to the notebook. Viewers can also click links to open the actual notebook directly to the changed entry - in NoteShare or NoteShare Express Viewer (if the notebook is being shared ), or in a NoteShare Web Notebook, which displays notebook pages as regular Web pages. Whenever changes are saved to the notebook, the feed can be automatically updated for all subscribers, as can the Web Notebook. Viewers can see feeds and open notebooks whether or not they have NoteShare or even a Mac! Tip: NoteShare Web Notebooks and RSS feeds are iphone ready, and can be a powerful information solution for small businesses or workgroups in field sales or customer service. Depending on how you set things up, one quick save to the source notebook can update both the Web Notebook and the feed, providing all viewers in the field with instant access to new information. How to Proceed 1 Go to NoteShare Web Preferences to tell NoteShare where to save your feeds and Web Notebooks, and the Web server where they will be published. 2 Decide how you want viewers to open a notebook from its feed - in a shared notebook via NoteShare or NoteShare Express, in a Web Notebook, or in all these ways. 3 Create your RSS feeds and Web Notebooks.
Advanced Collaboration with NoteShare and NoteShare Server RSS Feeds and Web Notebooks 27-2
Advanced Collaboration with NoteShare and NoteShare Server Set Your Web Preferences 28-1 NoteShare Web Preferences NoteShare's Web Preferences contain important settings for specifying where NoteShare should initially save your RSS feeds and Web Notebooks, and the public Web server where they will be published. The latter can be your computer's personal Web server, your.mac account, or a domain on another Web host. Before creating any RSS feeds or Web Notebooks, you must specify these locations here, so feeds are properly updated and can link to their corresponding notebook. Make settings as described below. Or skip down to this Quick Reference. For Document Root, enter the full local pathname (beginning with /) where you want NoteShare to save and update your RSS feeds and Web Notebooks (excluding any subfolders, which we'll get to in a moment). For example: To host from your personal Web server, enter /Users/yourhomefolder/ Sites/. To host from a synched.mac idisk, enter /Volumes/iDisk/Sites/. Enable a synched idisk from System Preferences >.Mac > idisk panel. To host from your own domain on another Web host, enter any local pathname. Tip: If you enter a local Document Root path directly to your Web server, as you can do when publishing from your personal Web server or.mac account, then when changes are saved to the original notebook, published feeds and Web Notebooks are updated automatically. Important: For RSS feeds and Web Notebooks to be created and accessed, be sure your Document Root folder has the appropriate Read/Write permissions.
Advanced Collaboration with NoteShare and NoteShare Server Set Your Web Preferences 28-2 For Public Address, enter the public URL of the Web server where viewers can access your feeds and Web Notebooks, beginning with For example: To host from your personal Web server, enter ~yourhomefolder/ To host from your.mac account, enter youraccountname/. To host from your own domain on another Web host, enter Under both Web Notebooks and RSS Feeds, enter an optional Subfolder name for organizing your Web Notebooks and Feeds, if you don't want them all stored at the top level. The path entered here is appended to both your Document Root and Public Address. So if you're publishing from your personal Web server and your RSS subfolder is NoteShare/Feeds, then NoteShare saves RSS feeds locally at /Users/ yourhomefolder/sites/noteshare/feeds/ and users access your feeds publicly at Web Preferences - Just show me what to enter! I'm hosting from my personal Web server: Document Root: /Users/yourhomefolder/Sites/ Public Address: Subfolder name (Feeds): NoteShare/Feeds/ Subfolder name (Web Notebooks): NoteShare/Notebooks/ NoteShare saves and updates at:
Advanced Collaboration with NoteShare and NoteShare Server Set Your Web Preferences NoteShare saves and updates at: 28-3 /Users/yourhomefolder/Sites/NoteShare/Feeds/ /Users/yourhomefolder/Sites/NoteShare/Notebooks/ Viewers access feeds and Web Notebooks immediately at: NotebookName.xml NotebookName/ I'm hosting from my synched.mac disk: Document Root: /Volumes/iDisk/Sites/ Public Address: Subfolder name (Feeds): NoteShare/Feeds/ Subfolder name (Web Notebooks): NoteShare/Notebooks/ NoteShare saves and updates at: /Volumes/iDisk/Sites/NoteShare/Feeds/ /Volumes/iDisk/Sites/NoteShare/Notebooks/ Viewers access feeds and Web Notebooks immediately at: NotebookName.xml NotebookName/ I'm hosting my own domain from another Web host Document Root: any local pathname Public Address: Subfolder name (Feeds): NoteShare/Feeds/ Subfolder name (Web Notebooks): NoteShare/Notebooks/ NoteShare saves and updates at:

Advanced Collaboration with NoteShare and NoteShare Server Opening Notebooks from RSS Feeds 29-1 Anyone can open a notebook from its RSS Feed When subscribers to a NoteShare RSS feed view the feed in their Mail client or Web browser, one or more links can be available for opening the actual notebook - whether or not the subscriber has NoteShare or even a Mac. Subscribers can thus scan recent changes to the notebook in the feed, then go straight to any given change in the actual notebook. Depending on how you set things up, links can be available to open the notebook in NoteShare, NoteShare Express, or a Web Notebook, as described below Open in NoteShare Simply share the notebook, and NoteShare users who have access to the notebook's space see a NoteShare link in the feed, which opens the original notebook in NoteShare. (Mac, only) Open in NoteShare Express Viewer Install NoteShare Express on the same computer hosting the RSS feed. Then share the notebook, and all viewers see a NoteShare Express link that opens the original notebook in their Web browser, in NoteShare Express Viewer. (Mac, Windows, and Linux) Open a Web Notebook Create and publish a Web Notebook using the same Web Preferences as when creating the RSS feed. All viewers can then follow a "more" link to open a Web version of the notebook in their Web browser. (Mac, Windows, and Linux)
Advanced Collaboration with NoteShare and NoteShare Server Opening Notebooks from RSS Feeds 29-2 Tip: If your original notebook contains embedded Web pages, make it available to non-noteshare users in a Web Notebook and not just NoteShare Express, since the latter doesn't support embedded Web pages.
Advanced Collaboration with NoteShare and NoteShare Server Create an RSS Feed 30-1 Publish changes as they occur via RSS Publish changes to a notebook as they occur, by creating an RSS feed. You can create a feed for an individual page or an entire notebook. Make the feed available from a Web server, and remote viewers can subscribe to it in any RSS reader, such as in a Web browser or Mail client. Whenever a change is saved in the notebook, the feed reports the change and lets viewers open the actual notebook. Here's more about using RSS feeds in NoteShare. To create an RSS feed: 1 If you haven't already, go to NoteShare Web Preferences to tell NoteShare where to store your RSS feeds, and where they will be published. 2 Choose the Sharing > RSS command to open this panel. Then make settings as described below: Enable RSS: Check this box to create the feed (an.xml file). As long as this box remains checked, saving changes to the notebook automatically updates the feed (in the Document Root location specified in Web Preferences). Select Notebook or Page to create the feed for the entire notebook, or just for the current page: Feed Name: Name the feed's.xml file, as you want it to appear in its URL.
Advanced Collaboration with NoteShare and NoteShare Server Create an RSS Feed 30-2 URL: This is the public address where viewers will access the feed (Document Root + RSS Feeds subfolder + Feed Name). To change this, click. 3 Optionally, click one of the following buttons to: Copy the feed's public URL into a Web browser so you can test it (first creating the feed's.xml file, if it doesn't already exist). Note that if NoteShare doesn't save feeds directly to your Web server, you must first upload the.xml file to the server before you can successfully test it here. In that case, use the Copy button, instead. Copy the feed's public URL to the clipboard. For example, if you need to upload feeds to your Web server after NoteShare creates them, click Copy, click OK to create the feed, upload it to your Web server, then paste the URL into a browser and test the uploaded feed. Copy the feed's public URL to a Mail Send window, so you can it to people who may want to subscribe. Recipients can then paste it in to their RSS reader, in their Web browser (on any computer) or Mail client (Mac OS X 10.5 or later). 4 Click OK in the panel when you're done. 5 If necessary, copy the feed's.xml file to the public Web server specified in your Web Preferences (if NoteShare doesn't save it there directly). Update an RSS feed While an RSS feed is enabled, updating the original notebook automatically updates the feed (the.xml file that was created in your Document Root folder). If this is on your Web server, then the published version of the feed is updated, too. Otherwise, you must upload the revised.xml file to your Web server for subscribers to see the changes.
Advanced Collaboration with NoteShare and NoteShare Server Create an RSS Feed 30-3 You can tell whether a Feed is enabled for a notebook or page if its RSS command is checked. To revise a notebook without immediately publishing every change, temporarily disable the feed: 1 Choose Sharing > RSS. 2 Uncheck Enable RSS, and click OK. Now you can edit the notebook in NoteShare without updating the feed. When you're ready to publish changes, reopen the panel, re-check Enable RSS, and click OK. The feed is now updated with all outstanding changes. What Else? Let non-noteshare users open a notebook from its feed by creating a Web Notebook. Create an RSS feed for a notebook that's being shared remotely from NoteShare Server, by becoming a remote owner. It then works just as described above, except the feed is created and published according to NoteShare Server's Web Preferences (which you can't change), not yours. Also, the Test button doesn't automatically create an RSS feed from a remotely hosted notebook, so you must create it first, before testing.
Advanced Collaboration with NoteShare and NoteShare Server Create a Web Notebook 31-1 Configuring a Web Notebook Share a notebook with remote viewers who don't have NoteShare or even a Mac, by publishing it as a Web Notebook. As in NoteTaker, the Web Notebook is a fully operational Web site that can be accessed in any Web browser, and looks and behaves like the original notebook. It's even optimized for the iphone, where pages redisplay when you turn the phone upright or sideways, and images scale to the phone s screen width, all without having to zoom! If you're creating RSS feeds to the notebook, your feeds can link to the Web Notebook, too. Tip: If your original notebook contains embedded Web pages, publish it to non- NoteShare users in a Web Notebook rather than using NoteShare Express, since the latter doesn't support embedded Web pages. 1 If you haven't already, go to Web Preferences to tell NoteShare where to save your Web Notebooks and where they will be published. Also at Web Preferences, set options for the appearance and content of all your Web Notebooks. 2 Choose the Share > Web Notebook (or File > Web Notebook) command. In the panel that opens make these settings: Enable Web Notebook: Check this box to create the Web Notebook. As long as this remains checked, saving changes to the notebook automatically updates the Web Notebook (in the Document Root location specified in Web Preferences). Web Notebook Name: Name the Web Notebook as you want it to appear in its URL. URL: The public address where viewers will access the Web Notebook (Document Root + Web Notebook subfolder + Notebook Name). To change
Advanced Collaboration with NoteShare and NoteShare Server Create a Web Notebook (Document Root + Web Notebook subfolder + Notebook Name). To change this, click. Important: If you want the original notebook's RSS feed to open this Web Notebook, you must use the same Web Preferences here as when creating the RSS feed. 3 Optionally, click one of the following buttons to: 31-2 Copy the Web Notebook's public URL into a Web browser so you can test it (first creating the Notebook, if it doesn't already exist). Note that if NoteShare doesn't save Web Notebooks directly to your Web server, you must first upload the notebook to the server before you can successfully test it here. In that case, use the Copy button, instead. Copy the notebook's public URL to the clipboard. For example, if you need to upload Web Notebooks to your Web server after NoteShare creates them, click Copy, click OK to create the Web Notebook, upload it to your Web server., then paste the URL into a browser to test the uploaded Notebook. Copy the notebook's public URL to a Mail Send window, so you can it to viewers. 4 Click OK when you're done. 5 If necessary, copy the Web Notebook's folder to the public Web server specified in your Web Preferences (if NoteShare doesn't save it there directly). Update a Web Notebook While a Web Notebook is enabled, updating the original notebook automatically updates the Web Notebook (the copy that was created in your Document Root folder). If this is on your Web server, then the published version of the Notebook is updated, too. Otherwise, you must upload the revised Web Notebook to your Web server for viewers to see the changes. You can tell whether the Web Notebook is enabled if its Web Notebook command
Advanced Collaboration with NoteShare and NoteShare Server Create a Web Notebook You can tell whether the Web Notebook is enabled if its Web Notebook command is checked To revise a notebook without immediately publishing every change, temporarily disable the Web Notebook: 1 Choose Sharing > Web Notebook. 2 Uncheck Enable Web Notebook, and click OK. Now you can edit the notebook in NoteShare without updating the Web Notebook. When you're ready to publish changes, reopen the panel, re-check Enable Web Notebook, and click OK. The Web Notebook is now updated with all outstanding changes. What Else? Create a Web Notebook for a notebook being shared remotely from NoteShare Server, by becoming a remote owner. It then works just as described above, except the Web Notebook is created and published according to NoteShare Server's Web Preferences (which you can't change), not yours. Also, the Test button doesn't automatically create a Web Notebook from a remotely hosted notebook, so you must create it first, before testing.
Advanced Collaboration with NoteShare and NoteShare Server Become a Remote Notebook Owner 32-1 Work on notebooks uploaded to NoteShare Server by becoming a Remote Owner If your team or organization uses NoteShare Server to share notebooks from a remote computer, you can work on those notebooks by becoming a remote owner (requires having login access to your Server). This gives you several of the same ownership privileges as when you open the notebook locally. As a remote owner, you can: Edit the notebook, even if it's being shared as Read-Only for other viewers Make just a section or page within the notebook Read-Only Create and enable RSS feeds for the notebook Publish and update a Web Notebook Note: To otherwise manage notebooks being shared by NoteShare Server, use Server's companion tool, NoteShare Server Administrator. To become a remote owner: 1 Open the notebook being shared from NoteShare Server, using your File > Open Shared Notebook... command. 2 In the Share menu, choose the Become Owner command. 3 Enter NoteShare Server's administrator password to assume owner privileges for the notebook. Once you're a remote owner, you can edit pages that are otherwise Read-Only for remote viewers. Also, the RSS, Web Notebook, and Read-Only commands all become available in the remote notebook's Sharing menu:
Advanced Collaboration with NoteShare and NoteShare Server Become a Remote Notebook Owner 32-2 What Else? To make a page or section of a notebook Read-Only while you're a remote owner, open the page or section, and choose the Read-Only (or Section Read-Only) command. For details on using the RSS and Web Notebook commands, see Create an RSS Feed and Create a Web Notebook. Other commands in the edit button's menu list each remote viewer of the notebook (if any) and the page they're viewing. Clicking the command takes you to that page.
Sharing for Workgroups and Institutions 33 Dedicating A Computer For Sharing Share 24/7 with NoteShare Server Special Considerations for Institutions For IT Managers Sharing From Multiple Computers Security... 39
Sharing for Workgroups and Institutions Dedicating A Computer For Sharing 34-1 If you are part of a workgroup whose members are located in different time zones, or need to have access to shared notebooks at any hour, you may wish to dedicate a single computer to sharing. This removes the burden of having to keep any one member's computer on at all times, and also allows network administrators to configure just one machine for sharing access to the Internet. The best products for this are NoteShare Server or NoteShare Server Professional. The products include a separate remote administration application that runs on OS X, Windows, and Linux. In addition to the usual requirements of sharing discussed in earlier sections, there are the following considerations. Prevent Your Computer From Sleeping A dedicated sharing computer should not sleep whenever there is a possibility of anyone needing to connect to it. To turn off sleep, open your Energy Saver preferences. Double-click here to open Energy Saver preferences now. Set the value of "Computer sleep:" to Never. (Optional) Set the value of "Display sleep:" to 15 min. This will save energy if the display is not being used. (Optional) Check the box labeled "Put the hard disk(s) to sleep when possible". This will also save power, and lower wear on the computer's disks, since they will not be on continuously. Use Apple Remote Desktop For Remote Administration Of NoteShare Apple Remote Desktop (ARD) is very useful for interacting with NoteShare from a remote computer. Using ARD you can copy notebooks to the dedicated computer, open them, and share them. Enabling access to your dedicated sharing computer using ARD To enable access via ARD, first open the Sharing preferences on the dedicated computer. 70 Sharing for Workgroups and Institutions Dedicating A Computer For Sharing 34-2 You may then configure access for all users of the computer or only a selected set of users. You must also purchase and install the Apple Remote Desktop application on the computers from which you will want to access the dedicated computer. See Apple's Web Site for more information on Apple Remote Desktop.
Sharing for Workgroups and Institutions Share 24/7 with NoteShare Server 35 NoteShare Server provides "always-on" notebook sharing for your team Your classroom or project team can share notebook documents with remote viewers, without having to leave the notebooks open and running on anyone's personal computer, by using NoteShare Server or NoteShare Server Pro. With NoteShare Server, people can store and organize the notebooks they want to share on one central computer running your Server, which can continually serve and manage notebooks for viewers, whether or not the notebooks are open. Since the shared notebook is available 24x7, viewers can come and go, viewing or editing any page, at any time of the night or day. In addition, notebook owners and administrators can conveniently manage notebook sharing from their own computer, using Server's companion tool, NoteShare Server Administrator. If a notebook is being shared from a central computer running NoteShare Server, viewers with login access to the Server can become a Remote Owner of the notebook. As a remote owner, you are still working in a remote notebook, but you have many of the ownership privileges as if you were sharing the notebook from your own computer. NoteShare Server is an enhanced version of the AquaMinds NoteShare collaborative technology that also has all the regular features of NoteShare for creating and working with notebooks. For more information or to purchase NoteShare Server, go to
Sharing for Workgroups and Institutions Special Considerations for Institutions 36 Institutional networks are usually managed by a dedicated IT manager or group. They use higher levels of security, including hardware firewalls. Computers used on the network often are configured so as not to allow their settings or that of the network itself to be modified. Larger networks may be divided into segments, presenting obstacles to the use of Bonjour. If you think you have any of the problems listed below, contact your IT manager or department and show them this page and the following page, For IT Managers. Using Bonjour Bonjour is only able to work on computers that are the same local segment of a large network. You may be able to automatically share with a colleague in the same physical office or meeting room, but not to a colleague in a different physical office or building, without providing them your computer's address yourself. Account Administrator Privileges If your computer is provided to you by your school or company, your login account may not have been given Administrator privileges. This will prevent you from changing your network or firewall settings. If your computer's firewall is on, this will prevent you from sharing notebooks. If others even in the same room cannot see your shared notebooks, ask your IT manager to unblock port 8474 on your computer. Sharing To The Internet In order to share notebooks to others over the Internet, your computer needs to have a fixed IP address. The NoteShare sharing port 8474 must also not be blocked by any hardware firewalls between your computer and the Internet. Institutional networks often block all but the most essential ports to the Internet in order to maximize security. Ask your IT manager if port 8474 is blocked on your computer and the network firewalls, and if so, ask that it be unblocked. Opening Notebooks Over The Internet Institutional networks sometimes block even outgoing traffic to most ports to the Internet in order to maximize security. This will prevent you from even opening any notebooks being shared outside of your network. You may need to ask that port 8474 be unblocked for outgoing traffic on the network firewalls. Contact your IT manager or department and show them the following page, For IT Managers.
Sharing for Workgroups and Institutions For IT Managers 37-1 NoteShare's Networking Architecture Each copy of NoteShare contains both a client and a server component. When launched, the client registers with Bonjour to search for services of type "_noteshare._tcp.". When a notebook is shared for the first time during a NoteShare session, the server component advertises this type of service with Bonjour and accepts TCP connections on port 8474 (by default) from clients. In order to share notebooks beyond the user's subnet, users ("owners") must provide their IP address to those whom they wish to share to ("viewers"). The viewers then manually enter the IP address of the owner in their Open Shared Notebook panel. It is import to point out that NoteShare is not an Internet file sharing application. It is a collaboration application which allows users in a work group to easily view, present, and edit a single document from multiple computers at the same time. It does not provide any means to automatically discover other NoteShare users or notebooks other than via Bonjour on a local subnet. Port Numbers Port 8474 is NoteShare's exclusive TCP and UDP port. The TCP port is used by the server component to accept connections from clients. The UDP port is reserved for future use. This port is registered with the Internet Assigned Numbers Authority. See A different port may be used if desired. The default port may be changed in NoteShare Preferences on the Sharing tab. Only Administrator users may change the port number. Firewall Configuration For sharing notebooks, NoteShare requires that the OS X firewall either be turned off, or configured to allow incoming server connections on port This is not required for users to open other people's shared notebooks. In order to share to the Internet, port 8474 must also be unblocked in any hardware firewalls. Users should also have a permanently-assigned Internet IP address or domain name. If NAT must be used, only one computer can share on the default port, which must be mapped to the sharing computer, and that computer should use a fixed IP address assignment. For viewing notebooks beyond hardware firewalls, outgoing traffic on port 8474 should be unblocked. NoteShare Security Client Validation The NoteShare server component only accepts connections from other copies of NoteShare. When a connection is established from a client, a secret handshake is immediately performed using 128-bit AES encryption. The purpose of the
Sharing for Workgroups and Institutions For IT Managers 37-2 is immediately performed using 128-bit AES encryption. The purpose of the handshake is to validate the client as a legitimate copy of NoteShare, and establish that the software versions are compatible. If this handshake fails, the connection is immediately dropped. If such a connection attempt fails more than 3 times (except for a version incompatibility) the client is blacklisted and no more connections are accepted during the session. Other situations may also result in a client being disconnected and eventually blacklisted. These include receiving a malformed or oversized message, receiving an encrypted message which cannot be decrypted, or an unencrypted message where an encrypted one was expected. Passwords and Data Encryption All communication between copies of NoteShare use a messaging system which breaks up large data transmissions into multiple small messages, called submessages. Sub-messages may be interleaved in order to transmit large document attachments in the background while preserving editing interactivity. When a notebook is shared, users are encouraged to assign a password. Passwords are required in order to share over the Internet (the notebook names are not even visible otherwise). When a password is set, viewers must provide the password in order to open the shared notebook remotely. In addition, all messages are then individually encrypted using 128-bit AES encryption, using Apple's Security Framework, which is its implementation of the CDSA architecture. Appropriate steps are taken in order to maximize the strength of the generated key used to encrypt each message or sub-message. As always, advise your users on the importance of using a long, varied and nonobvious password. User Privileges The following NoteShare features require users to have Administrator Privileges: Changing the default port number Enabling and using UPnP and NAT-PMP port mapping functionality Enabling and using DDNS client functionality These features are configured and enabled from the Sharing tab in NoteShare Preferences. Managing Traffic Load The messaging required for viewing and editing the text content of notebooks is very light and will have little affect on network traffic loads. However, file attachments are transmitted from the notebook owner to each viewer of the notebook, when the page containing the attachment is first opened by the viewer. The attachments are cached on the client machine and only updated when
Sharing for Workgroups and Institutions For IT Managers The attachments are cached on the client machine and only updated when necessary If the file size is less than the limit set in Preferences, attachment files are transmitted automatically. Otherwise the viewer must double-click to download each attachment. This limit may be adjusted in NoteShare Preferences in order to adjust the frequency of automatic attachment downloads. If a file attachment is greater than 200MB in size, viewers are prompted first before the downloading is started. File attachments greater than 500MB are prevented from being downloaded to viewers.
Sharing for Workgroups and Institutions Sharing From Multiple Computers 38 When using Bonjour within a home or small office network, all computers running NoteShare can both share notebooks and open them remotely. However, if you have a home or small office network which uses a router to share an Internet connection which has a single IP address, you will by default only be able to share notebooks to the Internet from one computer at a time. This is because the router can only forward NoteShare messages from outside of your network to one computer within your network, using the default port However, if you are willing to add additional port maps (see the page Set Up Your Network For Sharing), you can use different ports for different computers on your network. You must then communicate the different port you are using to those you wish to be able to view your notebooks from the Internet. In this case, for example, your Airport base station port mapping might look something like this: The people using the computers with address and would tell Internet users to type ports 8475 or 8476 into their Open Shared Notebook panel using the + button, for example:
Sharing for Workgroups and Institutions Security 39 NoteShare Only Talks To Other Copies Of NoteShare The NoteShare server component only accepts messages from other copies of NoteShare. When you are sharing notebooks and a viewer makes a connection request, encrypted messages are immediately exchanged which validate the request as coming from another copy of NoteShare, and establish that the software versions are compatible. If this "handshake" fails, the connection is immediately dropped. If such a connection attempt fails more than 3 times (except for a version incompatibility) the viewer is blacklisted and no more connections are accepted from them during the session. Other situations may also result in a viewer being disconnected and eventually blacklisted. These include receiving a malformed or oversized message, receiving an encrypted message which cannot be decrypted, or an unencrypted message where an encrypted one was expected. Passwords and Data Encryption When you share a notebook, you are strongly encouraged to assign a password. In fact, passwords are required in order to share over the Internet (your notebook names are not even visible to Internet users otherwise). When a password is set, viewers must provide the password in order to open the shared notebook remotely. In addition, all messages are then individually encrypted using industry-standard 128-bit AES encryption. This is the same level of encryption used when you communicate with your bank's web site, or give your credit card information to an online merchant. So even if your data is intercepted in transit, it will be extremely difficult for anyone to read. It is important to remember that the likelihood of encryption being broken depends in part on the quality of the passwords you use, and how difficult it is to guess them. For maximum security, use long, non-obvious passwords, with a mix of upper and lower case letters, symbols, numbers.
Appendix 40 Frequently Asked Questions NoteShare Glossary Support, Feedback and Bug Reporting... 43
Appendix Frequently Asked Questions 41-1 Is NoteShare Compatible With AquaMinds NoteTaker? NoteShare creates multi-page notebook documents that are 100% compatible with NoteTaker notebooks. Likewise, you can open and use all of your NoteTaker notebooks with NoteShare as well as NoteShare Server. Because they share the same identical notebook creation and management features, NoteShare can be used just like NoteTaker to organize and manage your personal notebooks on your desktop. What's the difference between NoteTaker and NoteShare? NoteTaker limits you to sharing to up to 5 simultaneous users. That is, only 5 other users of NoteTaker, NoteShare, or NoteShare Mobile Viewer can connect to your copy and NoteTaker and open its shared notebooks. NoteShare can share to an unlimited number of other users. Also, NoteShare includes advanced sharing features such as a Sharing Monitor, RSS feed output, and additional options for configuring Web Notebooks. What is NoteShare's security model? Does it use encryption or passwords? NoteShare uses both encryption and password protection to provide users with multiple levels of secure communications and privacy options. If a password is assigned to a notebook, or to the Space in which a notebook is shared, then all communications of notebook data between a remote viewer or owner are encrypted using 128-bit AES encryption. This is the same level of encryption used when interacting with a bank web site or online merchant. NoteShare Spaces also provide additional user privacy with password protection in addition to password protection of notebooks. In order to be visible to viewers over the Internet, a notebook MUST be shared using a password, or be shared in a private (password-protected) space. Different passwords can be assigned to the notebook and the space in which it is being shared. It is important to always use passwords which are long, hard to guess, and contain a mixture of letters, symbols, and numbers. How can I tell who has changed or edited an entry on a notebook page? The Creator attribute can be made visible from the View menu. It will indicate who created or added the entry. The Changed By attribute can also be used to show who last changed or edited an entry. Both attributes are also available as special index pages as well. On a Section or Contents page, these attributes show the creator or last modifier of the page that each entry represents. Can colored text be used to indicate an author's identity? Yes. It's a manual operation but it's a good idea to encourage multiple authors or editors to use a font/style and color to clearly show their additions or edits. From the Ruler, favorite styles (custom fonts/colors) may be easily applied to
Appendix Frequently Asked Questions From the Ruler, favorite styles (custom fonts/colors) may be easily applied to the selected text within an entry or outline. The Colors panel may also be used to set the default text foreground color for new entries. Are shared notebooks private? 41-2 Only if they are password protected or being shared in a private space. Password-protected notebooks can only be viewed by a NoteShare user who knows the password. Password-protected notebook content is also encrypted for transmission over the network using 128-bit AES encryption. Do you need an existing LAN to share notebooks and work together? No, you can use a computer to computer connection to share and work together. This can be accomplished by a wireless Bonjour (formerly known as Rendezvous) connection between two AirPort-enabled OS X machines or with an Ethernet cable running between each machine. Can you share a notebook and also be viewing another notebook being shared by another NoteShare user? Yes. For example, each of you can be viewing the other person's shared notebook and use the Tile command from the Window menu to organize your screens. Does NoteShare allow concurrent or simultaneous access for editing at the same time? Yes. Different users can simultaneously edit different pages in the notebook. Only one viewer can edit a given page at a time, but others can see that user's edits in real time, as they occur. And when that user is done editing, another viewer can take the pen and make their changes. Viewers can also indicate to a page's current editor that they are waiting for the pen, and the Sharing Monitor can be used to request a notification when the pen becomes available. The pen timeout (set in Preferences) can be useful as well. How do I report a NoteShare bug? Are there specific steps or information to include in a bug report? At this time, please send to [email protected]. Include the version of your operating system. If NoteShare has crashed, please include the crash log ~/Library/Logs/CrashReporter/NoteShare.crash.log, and your preferences file ~/Library/Preferences/com.aquaminds.NoteShare.plist. Can I attach files to NoteShare notebook pages? Are there any limitations to the size or type of file attachment? See Add and Manage File Attachments. Can I run NoteShare and ichat at the same time? Yes. In fact, ideally, NoteShare users who are working in different locations can use the audio channel in ichat to talk in real-time while also working together
Appendix Frequently Asked Questions use the audio channel in ichat to talk in real-time while also working together on shared notebooks. In this scenario, each user shares and views two notebooks (their own and the other NoteShare user's notebook. Does NoteShare support encryption while in sharing or viewing mode? Notebooks which are shared using a password, or shared in a private (password-protected) Space, are encrypted for transmission over the network using 128-bit AES encryption. Any and all NoteShare message transmissions involving an Internet connection are encrypted by default. Does NoteShare support versioning or back-ups or synchronization? Normal backups are created when the owner's notebook is saved either by the owner or a viewer who has the edit pen. A versioning feature is planned for a future release. Can I view live web page entries within a shared notebook? Yes, although viewers may have to double-click the "@" category icon to load and view the web page Can I drag and drop information from a local notebook (not being shared) to a shared notebook if I have the edit pen? Yes. The preferred style of working among small groups or teams is to have each member open the shared notebook while also working on their own local notebook to keep notes or prepare information for inclusion in the shared notebook when the pen becomes available. Information can then be easily added by a drag and drop operation.
