1 2014 Winter Break Closing General Information & Operations In anticipation of the winter break closing, we have compiled a summary of department specific information. Please print a copy of this information and keep it with you to ensure that the break goes smoothly for all. General Information: Brown University will be closed effective at 11:00 p.m. on Tuesday, December 23, 2014, and will resume its regular schedule at 12:00 a.m. on Monday, January 5, As such, the University will close at the end of your department s normal workday on Tuesday, December 23, and will reopen at the beginning of your department s workday on Monday, January 5. In the event of an emergency, Public Safety, EMS, EHS and the Deans of Student Life are available 24/7 by calling Public Safety at (401) JUST SHUT IT OFF! Contribute to reducing Brown s Greenhouse Gas emissions by Conserving Energy. General Offices and Residence Halls: Unplug computers and peripheral devices including personal printers, unless you need to log into your work computer from home. Turn off fax machines and unplug network printers right before leaving. Unplug power strips from the wall. Shut off or unplug appliances that are not in use, such as coffeemakers, microwaves, shredders, fans, battery chargers, etc. Remember, if you do unplug your refrigerator, it must be cleaned out first and left with the door open. Unplug your audio visual equipment and radios. Shut off your lights, including desk lamps. Shut all windows including storm windows. BROWN UNIVERSITY SWITCHBOARD (401) : Calls to the Brown switchboard will provide a general closing announcement and offer a menu of directions and options for further information. Voiceactivated directory assistance for faculty, staff and department numbers will be available from this menu or by calling (401) Additional information and directory assistance is available online at directory.brown.edu. PUBLIC SAFETY (401) : Officers will be patrolling as usual, but administrative offices will be closed. Emergencies call (401) BUILDING RELATED ISSUES: Most campus buildings will be closed and the heat will be curtailed during the winter break. If you would like information on whether the heat will be curtailed in your building, please check the Facilities Management website at: Department of Facilities Management. Access to closed buildings must be arranged with the Department of Public Safety, (401) Most residence halls are closed and locked for the duration of winter break; access during break is not available. FACILITIES MANAGEMENT: Facilities Management will close beginning at 11:00 p.m. on Tuesday, December 23, 2014 and will reopen on Sunday, January, 4, 2015 at 11:00 p.m. COMPUTING AND INFORMATION SERVICES (401) 863-HELP (4357): CIS IT Service Center will close at 5:00 p.m. on Tuesday, December 23, The CIT building and the CIS Computing Clusters (Rockefeller 1

2 and Sciences Libraries as well as CIT area) will close at 5:00 p.m. on Tuesday, December 23, The CIT building will reopen at 7:30 a.m. on Monday, January 5, The IT Service Center will reopen at 8:30 a.m. on Monday, January 5, During winter break, emergency issues can be reported by calling (401) 863-HELP (4357) and selecting option 0. CIS expects its technical services to remain operational during this time. CIS staff will monitor critical services, such as the network, and will check messages daily, responding to critical outages as soon as possible. 3 COLLEGE ADMISSION OFFICE (401) : The Admission Office will be closed to the public from 5:00 p.m. Tuesday, December 23, 2014, to 8:30 a.m. Monday, January 5, 2015, but the Application Coordinators will continue to operate during this period. DIVISION OF ADVANCEMENT (401) (Development, Alumni Relations, and International Advancement): The Division of Advancement will be closed on Wednesday, December 24; Thursday, December 25; and Thursday, January 1. Departmental representatives will provide phone coverage from 8:30 a.m. 5:00 p.m. on December 26, 29, 30, 31 and January 2. Gift Accounting will be staffed from 8:30 a.m. 5:00 p.m. on December 26, 29, 30, and 31. Normal hours for the entire Division will resume on Monday, January 5, 2015 at 8:30 a.m. Gifts can be made using a credit card 24 hours a day, seven days a week at All credit card gifts must be processed online by midnight Eastern Time on December 31, 2014 for 2014 tax credit. 4 ANDREWS COMMONS closes at 2:00pm on Saturday, December 20 and resumes service at 11:00 am on Wednesday, January 21, IVY ROOM evening service closes after business on Thursday, December 18 and resumes Wednesday, January 21, IVY ROOM lunch service closes after business on Friday, December 19 and resumes Monday, January 5, BLUE ROOM closes at 4:00 p.m. Saturday, December 20; is open Monday, December 22 and Tuesday December 23 from 8:00 a.m. 3:00 p.m.; then closes until January 5, Beginning Monday, January 5, 2015, the BLUE ROOM operates throughout winter break from 8:00 a.m. 3:00 p.m. and resumes regular service on Wednesday, January 21, ENVIRONMENTAL HEALTH AND SAFETY (401) : The office will be closed during winter break. EHS Staff will be on call throughout the break to respond to campus emergencies. The EHS Emergency Response staff can be reached through Brown Public Safety at (401) Routine services including laboratory waste pick-ups will not be performed during the winter break. Critical research support services, including shipment of research samples, can be provided upon request and should be scheduled no later than December 18, 2014 by calling (401) THE FACILITIES MANAGEMENT SERVICE RESPONSE CENTER (401) : Facilities Management s 24-hour-a-day coverage will continue during the winter break with no interruption. FINANCIAL AID: The Office of Financial Aid (including Student Employment Office) will be closed beginning at 5:00 p.m. on Tuesday, December 23, 2014, and will reopen at 8:30 a.m. Monday, January 5, For general financial aid information (including deadline and application information), please visit our website at For urgent concerns during the break, please Financial_Aid@brown.edu (Undergraduate College) or GS_Financial_Aid@brown.edu (Graduate School federal loan processing only). s will be monitored daily throughout the winter break, and a response will be provided to urgent issues within one business day. COUNSELING AND PSYCHOLOGICAL SERVICES (401) : The office closes at 5:00 pm, Friday, December 19, 2014 for regular clinical appointments and re-opens at 8:30 am, Tuesday, January 20th, During the break, an on-call crisis clinician is available 24/7 for urgent mental health needs and for students who have been sexually assaulted. To reach the on-call clinician, call (401) and follow the prompts to be directed to the department's answering service. GRADUATE STUDENT ADMISSIONS/GRADUATE SCHOOL (401) : The Graduate School will be closed beginning at 5:00 p.m. on Tuesday, December 23, 2014, and will reopen at 8:30 a.m. on Monday, January 5, GRAPHIC SERVICES: Main Offices/Client Relations & Design Studio (Hemisphere Building lower level), Print Center (10 Park Lane Facility), and Copy Center (BOB lower level) will be closed for winter break beginning Wednesday, December 24 th and will reopen January 5,

7 Evening oncall: Last evening of regular service is Saturday, December 20. B.U.S. will operate a modified oncall shuttle service beginning Sunday, Dec 21 through Tuesday, January 20, 2015 from 5:00 p.m. - 1:00 a.m. The oncall service will operate point-to-point within the current oncall coverage area with point-to-point defined as a Brown building to another Brown building or an off-campus location within the coverage area (i.e. hospitals, volunteer organizations, etc.) or between a designated Brown building or off-campus location and home within the coverage area.
