2 Overview This demonstration focuses on one aspect of QAD Enterprise Asset Management Business Intelligence Metrics and shows how this functionality supports the vision of the Effective Enterprise; where every business process is working at peak efficiency and perfectly aligned to the company s strategic goals. 3 Related Metrics Leveraging QAD Enterprise Asset Management to manage plant and equipment assets from inception, through operations to replacement will significantly affect Asset Utilization, Manufacturing Efficiency and Manufacturing Schedule KPIs. Typical measurements related to these KPIs include Fixed Asset Downtime, Maintenance Cost over Asset Value, and Maintenance Spend. Business Intelligence Metrics provided for Enterprise Asset Management will help you monitor these along with a number of other key metrics. Additional metrics and the relative importance of each one will depend on your definition of the Effective Enterprise. You can easily customize and extend the Business Intelligence Metrics for Enterprise Asset Management to meet your needs. 4 Enabling Solution Business Intelligence Metrics for Enterprise Asset Management supports improvements to these key metrics by providing standard, pre-defined dashboards for each of the critical areas, including Preventative Maintenance Compliance, Equipment Availability, Maintenance Cost, and Maintenance Backlog, Work Orders and Work Orders by Department. Business Intelligence Dashboards present this information in graphical or grid format, using color-coded visuals that focus management attention on potential issues, with drill downs into all supporting details. 5 Demonstration Summary In this demonstration, you will see how you can use Business Intelligence Metrics with Enterprise Asset Management to monitor your performance against key metrics. You will see how easy it is to use Dashboards to get an overview of your performance in particular areas, identify potential issues, and drill-down into all of the supporting details. 6 How QAD reduces implementation time and cost Plant Maintenance Dashboards You do not have to set up all of the Business Intelligence Metrics for Enterprise Asset Management from scratch. QAD provides a number of dashboards available for plant maintenance: Equipment Availability: identifies downtime and equipment Mean Time Between Failure (MTBF) Maintenance Backlog: measures the backlog of work, including the average days of work open at all sites Maintenance Cost: monitors maintenance cost by site and equipment, with a break down by material, labor and contractor cost Maintenance for Departments: breaks the work backlog down by site, identifying the number of work orders, labor hours and priority, along with the average days open Maintenance Work Orders: looks at service requests and work orders, breaking out work by failure type and priority Preventative Maintenance Compliance: compares preventative maintenance (PM) versus corrective maintenance (CM)activities Each of these dashboards includes a number of graphs, charts and reports that present performance in this area. 7 How QAD identifies potential improvements PM Compliance Dashboard The Preventative Maintenance (PM) Dashboard includes four metrics plus year to date work order statistics reports, helping you assess proactive activity in the maintenance department as well as compliance with preventative maintenance goals. These metrics compare planned or preventative maintenance (PM) activities with unplanned or corrective maintenance (CM) activities. It also shows you a snapshot of your current backlog, comparing open PM and CM work orders. Not only does this dashboard show you at a glance how proactively your Maintenance department is performing, it can help you determine if you need to expand your preventative maintenance programs in certain areas. You can also identify trends in labor distribution and identify where you can target reductions in unplanned labor. In the most effective enterprises, the ratio of unplanned to planned maintenance will be very low. The backlog should also show a higher number of Preventative Maintenance orders versus Corrective Maintenance orders. Demo 1. 8 Planned vs. Unplanned Work Orders You can use either of the top charts to evaluate how proactive your maintenance department is. Depending on how your maintenance department classifies work orders for example, when not all Corrective Maintenance (CM) orders are reactive - you may find that the planned vs. unplanned work order metric provides a more accurate measure of reactive versus proactive work than the PM versus CM metric. Focus on the Planned vs Unplanned WO pie chart in this example. The unplanned portion is relatively high. To get more details, just click that portion of the chart. Here, you get the number of unplanned work orders at each site for the selected year. One site seems to be the source of most of the unplanned work, so you can click that section of the pie for more details. Look at a graph of unplanned work orders by month at that site, or choose any of the related reports. You can analyze unplanned work by planner or by cost center, pointing out trends where one department or another does more or less unplanned work. Demo 1. 10 Drill-down You can also review unplanned work orders by equipment type for example, Material Handling or HVAC. This report lists a summary of work orders. To drill down into more detail, just click the equipment type. This shows you each piece of equipment and the associated work orders. Another click brings up the work order detail, listing the problem, who requested the work order and when, the priority, class and who did the work. Click any work order to see the cost. If you want to do more analysis, you can download the report to an Excel worksheet or create a pdf. Demo 1. Click Business Intelligence System tab 2. 12 How QAD reduces labor cost Planned vs. Unplanned Labor Returning to the main PM Compliance Dashboard, you can see there is another graph for Labor Distribution. This metric will help you monitor labor costs, identifying trends in labor distribution and discovering where better planning may help reduce unplanned labor. For example, here site has more unplanned labor. As with the other charts, you can drill down multiple times to get more detail for analysis. Notice how you can take a different report in this case, Unplanned Labor for Site and Equipment Type and drill down multiple levels to arrive at the same details you did when you did the drill down in the previous example. 15 How QAD improves equipment availability Equipment Availability Dashboard Equipment availability is critical to manufacturing schedule attainment. Metrics on this dashboard focus on causes of equipment downtime as well as Mean Time Between Failure (MTBF) for each piece of equipment. The Top Reasons by Downtime graph focuses attention on issues that are repeatedly causing equipment to fail. These need addressing, typically by making changes to your preventative maintenance programs. In this example, if a large number of maintenance orders have reason unknown you should correct this. MTBF identifies which equipment is failing most frequently, and then you can look into the cause of breakdowns at all sites. This type of analytical information helps you focus on the most unreliable equipment and the most frequent failures identifying equipment that you need to replace, or have preventative maintenance plans specifically designed to prevent these failures. For example, if a broken belt causes a recurring failure, setting up a preventative maintenance schedule that replaces the belt more frequently may avoid this issue. This analysis will help you move your maintenance operations from a reactive to a more preventative working environment, improving equipment availability and reducing cost. Demo 1. 17 How QAD improves maintenance service levels Maintenance Backlog Dashboard This dashboard helps you evaluate your Maintenance operations based on work order volume, labor and average work order days. Work Order Backlog Count shows the number of open work orders at the end of each period, helping you measure how well the Maintenance department is responding to work requests. Are they able to react to and complete incoming requests on a timely basis? Is the backlog growing? Is there a specific cost center or type of equipment that is getting relatively more requests? You can also review the backlog in terms of labor hours, since each open work order includes a time estimate. This lets you see at a glance if you have the appropriate number of technicians to complete the required work, and if they are at the right location. Average days open is another key measurement indicating how well the maintenance department is able to respond. Drill downs on this graph show you the underlying details. For example, what is the average age of the backlog for each type of equipment or for each cost center? This can help you determine if you are focusing on the most critical issues in your plant. 20 How QAD reduces maintenance cost Maintenance Cost Dashboard Controlling the cost of maintenance is also critical. Metrics on this dashboard help you pinpoint where you are spending the most money and identify unusually high (or low) costs, across any or all sites in your company. You can evaluate total spend, or break it down into component costs labor, material, contract cost by year, month and site. You can also monitor spend at each site by type of equipment, quickly identifying the equipment that costs you the most money! Demo 1. 22 How QAD supports root cause analysis Drill-Down Additional dashboards help you dive into the details for example, looking at the top failures, by priority and identifying how many came from a service request. Similar to the other dashboards, you can drill into more detail. For example, you may look at failures and identify the problem equipment, or drill down to identify where your high priority calls are originating identifying trends that may suggest a need to make changes to your maintenance program. 23 How QAD supports continuous improvement Maintenance by Department Dashboard The final dashboard looks at the backlog, average days, and priority by department. Backlog measurements not only show you if the maintenance group is able to react to and complete incoming requests, it also shows you if there are specific cost centers or types of equipment that are generating relatively more requests than others. You can see if the backlog is growing, and if you have enough technicians to complete the current level of work. Selections at the top let you specify exactly what data you want to review in each metric. Metrics like these help you measure performance and quickly identify problem areas, helping you make decisions that support improvements across your business. Demo 1. 24 Reports The lowest level of drill down from a dashboard will typically be a detailed report. You can also access reports directly from the Reports menu. QAD Business Intelligence includes a variety of pre-defined reports detailed and summarized. You can use the Report Designer to modify any of these reports or add others specific to your operations.
