1 COLLECTION ONLINE HELP SEARCHING There are two ways to search Collection Online: keywords and authorities. In order to ensure that you have found all results relating to your query, you may want to search using both methods. Keywords Search Keywords search looks for words in title, name (creator, clients etc.), subject, note and geographic fields. Use this search to find specific projects as well as building types, architectural elements, or other subjects. Search terms can be truncated using an asterisk (*). zoo* will find zoo, zoos, zoology Smith*will find Smith, Smiths, Smithson If multiple words are entered in the search box, results will contain all these words (Boolean AND search). For complete phrases, enter all words in the search box in quotation marks (" "). "Canadian Centre for Architecture" "Wright, Frank Lloyd" For OR and NOT searches, enter the appropriate term between words. Hoffman OR Hofman York NOT New York Smithson AND "House of the Future" Authorities Search Authorities search allows you to type part of a name or architectural subject heading, and be provided with a picklist of names or headings to choose from. By selecting one of the options from the list, you will find all object records that are related to that name or heading.

2 Mies will find following Names: Ludwig Mies van der Rohe (person) Mies van der Rohe, Architect (firm) Office of Mies van der Rohe (firm) Brussels will find the following architectural subjects: Only results with images Hôtel de Ville (Brussels, Belgium) Exposition universelle et internationale (1910 : Brussels, Belgium) Exposition universelle et internationale (1935 : Brussels, Belgium) Selecting limits the search to only those records that currently contain digital images of the objects. Images are added to Collection Online on an ongoing basis. NAVIGATION TIPS Your search result will display a list of brief records. To view more information about a specific record, click on the link. Click the link to return to the brief listing. If there is no additional information to view, the clickable. link will not be Within the expanded object record, clicking on hyperlinked names and subjects will retrieve additional information from CCA authority records. From within these authority records, you can also choose the option see all objects of to retrieve a list of results pertaining only to that name or subject.

3 Additionally, you can click on any of the hyperlinked keywords at the bottom of the object record to retrieve all records relating to that keyword. To view a larger image of object, click on the thumbnail. You can view image details by using the zoom navigation tool to the left of the image. If your search results include a group or volume record (such as an album, portfolio, file, etc.), you can view the child records of the

4 group or volume by clicking on the link. Click the link again to close the expanded list of objects. If the object contains no other objects, or if the objects have not yet been individually catalogued, the will not be clickable. SORT BY This function permits the sorting of results by creator name (alphabetically), title (alphabetically), date (earliest to latest) and object number (alphabetically by department mneumonic and then numerically). SEARCH HISTORY Each time that you do a search or click on a link within the search engine, Collection Online keeps a temporary record. This history is available in a chronologically ordered list. To view your search history, click the Search History tab on the left side of the screen. You can repeat any search in the history by clicking on it. FINDING AIDS A "finding aid" describes the scope and contents of a collection or fonds (archive) and provides an inventory of materials contained within. To view a list of all available finding aids, ordered alphabetically by title, click on the Finding Aids tab on the left side of the screen. Select a particular fonds by clicking on its title. This provides detailed information about the fonds on the right hand side of the screen and a view of its classification scheme on the left hand side. The classification scheme permits navigation through the various series, projects, etc. of the fonds.

5 Catalogued objects from collections and fonds can also be found by using the search function of Collection Online. These objects are recognizable due to the fact that the title of the collection or fonds displays in the brief result for a record. By clicking on this title, the navigable classification scheme appears on the left of the screen, allowing you to view the object in its archival context if you so choose. MY LIST [Temporarily unavailable] My List is a feature that allows you to create a temporary list of items from your search results. Objects are added to the list by clicking on the link available with each record in your

6 results. To view the current selection, select the My list tab on the left of the screen. COPYRIGHT The contents of Collection Online are protected by Canadian and international copyright law. In addition to copyright held by the CCA, images may be subject to copyrights held by third parties. It is the responsibility of the user to obtain copyright clearance from all copyright owners prior to the use of images for all purposes other than personal research.
