Marketing Have you wondered where the on-line subscriptions from your home page go? They go to our on-line Marketing system. Do you know who is on that list? People are joining everyday and you don t want to miss informing them about your events or your sponsors events and sales. Did you have a hard time selling local sponsorship this season? Marketing is the way of the future! Stay in touch with your local sponsors, help them promote their sales and events with our marketing system. Did you have a sponsor that didn t renew their sponsorship? Inundated them with s about your events; and your sponsors events. Show your past and present sponsors that you are promoting their stores! Marketing is key to becoming State Coordinator of the year. We take it very seriously and expect each coordinator to send out s about each event and sponsor sales. Basic vs. Marketing System Basic s have no color, no links, and you can only send a few addresses at a time. Worse, if you have one bad address in your list the whole list will not send! Marketing Color pictures from your state, live links to your sponsor s sites, your event schedule, and more. Most important your s go out in a professional manner. How? Just Jac the template or a word doc with the info you want to out, and she will send it out to your states list, as well as the surrounding states. Exporting your addresses from Mr. Judge is quick and easy. Here how: 1. From the registration form click Export s 2. An excel spreadsheet will automatically be place in the INTMr-DATA file on your C drive. This is also where the state07.mdb file is now stored. 3. After each event Export your list and it to Jac who will update your Marketing List. Exporting your Prospect List Remember all of those addresses you have been collecting all winter? Enter them into your Prospect List in the Administration Portion of your Mr. Judge program. From there they can be easily transferred to a registration form or the whole list can be exported for marketing or for regular mailing.

P D F Spring Reminders April April 1 st All event paperwork is due o Insurance Request Form o Event Contract o Lake Contracts o Sponsor Contracts o Lake Rental Contracts Decide on entry fee prices and post on website Post schedule on website Test out the new version of Mr. Judge Use INT Marketing to your Schedule to your Participants Have event guides printed and distribute them to local shops and dealerships Complete First Aid and CPR training Drop off Event Schedule Flyers in Dealers and Marinas If you haven t already, meet with your local sponsors and sign local sponsorship contracts May Organize your trailer and make sure you have everything you need for the season. (See the check list in your Coordinator Handbook) Figure out what sponsor banners you need and the list to info@intleague.com Make copies of new attack sheets (different color for each division) and registration forms Meet with your tour team and go over tour team packets past competitors about upcoming events Drop off Event Schedule Flyers in Dealers and Marinas Update your website with new sponsor specials and sales Event paperwork is due within 2 weeks of the event day June Send in all Sponsorship Information Contracts and Contacts Rental Agreements who is your contact, who do we need to contact if something happens to you and we have to cancel your event. notice- Upcoming events and thanking your local sponsors for their support. Event Paper work due two weeks after your event. Don t forget to upload and send us a copy of your data file. Be sure you are training your Judges so they will be able to assist at the USC if they volunteer. Recorders must score WB tricks while in the boat and while the trick run is still fresh in the judge s mind.
3 INT League State Coordinator Newsletter Page 3 Each year we give out State Coordinator Awards at the annual State Coordinator Meeting in October. We award our best coordinators with the Rookie Award, State Coordinator of the Year, Most Improved, Best Event Guide, and occasionally the Presidents Award. These prestigious awards are given to coordinators who perform the tasks expected of them and go above and beyond the call of duty. Winner Winner! (ah Bakersfield lol) A Trip to Orlando for Ski and Surf Expo The recipient of the 2008 State Coordinator of Year Award will be announced at the end of August. The winners will receive airfare for two to Orlando, and accommodations at the Westgate Lakes Resort September th. The winners will be INT s honored guests at the Ski and Surf Expo. Winners will also receive VIP passes to the US Open at Disney World, an invitation to the Radar/Ronix party; will attend the 2008 Wake Awards, and more. All other awards will be awarded at the State Coordinators Meeting in October. INT Criteria What makes a great INT State Coordinator? Administrative - State Coordinator Event Contract turned in by April 1 - Paper work is correct and received on time - Payments are made on time - Insurance Requests are signed, scanned and ed on time - Lake Contracts are turned in by May 1 - Up to date Website - Local Sponsor Logos and Information is up on Website - Stop and Tour Standings are updated on the Monday after each event on the Website State Coordinator of the Year Award - Mr. Judge file is correct, no Membership mistakes - Responding to s in a timely manner - Update Marketing Addresses after each event - Sponsorship and Lake Information is imputed into Mr. Judge - Call the office when you have questions Marketing - Event Guide, Most Creative and Meets all of the Criteria - Uses the INT Marketing System - Flyers - Media Pieces and Press Releases - Mailers - Special Events (Example: Clinics, Extra Pro Money) - TV, Radio, extra exposure - Announce Sponsor sales on your website At Your Events - Banner line is up, with all the national sponsor banners and straight - Events Start On time - Using the organizational chart - Posting Running Order and Results - Give away awards/medals - Play the Audio Commercials for the National Sponsors - Play music, clean - Talk about your local sponsors over PA - Using the Bio Sheets - Extra fun activities- Potlucks, Camping, Games, Themed Events Stats - Number of participants - Number of event days - Number of Sponsors - Sponsorship money earned - Safety Reports Reports - Good reports from your local sponsors - Minimal complaints from your participants US Championships - Registration turned in on time *This is a basic list to act as a guideline; other issues will be taken into consideration
4 Page 4 INT League State Coordinator Newsletter New Website Directions We now have a new version of Word Press, it solves quite a few problems including spell check and some problems we were having with Pay Pal. If you are having trouble uploading pictures, please download Fire Fox as your Internet Browser. The new way to upload a pic: Add Media, follow the steps. We are adding tips and suggestions to the Website Directions online. Please read that, it will answer many of your questions. Tip: Do not copy and paste from Word to the Website. Copy the text into Notebook and then into the Website. When you copy from Word, Word creates some code that messes up the website. Ti ipp ooff tthhee Moonntthh-- Goo Grreeeenn!! Use recycled paper and paper cups for coffee. Have your participants you their registration form rather then a paper copy. Use paypal, less paper and gas getting to the bank. Use soap that is biodegradable and safe for the lakes. Let s do our part to take care of the environment that we enjoy! From 6/07 - How to have a successful wakeboard tour: - Attack sheets should be printed on different colored paper per division group. - Meet with WB judges and recorders the night before the event. Go over how to fill out an attack sheet. - Explain to the recorder that they need to fill in the trick value on the sheet while they are going around the turn circle or waiting at the dock. Most of the trick values are printed on the attack sheet making this quick and easy. You still need to provide the trick list from the rulebook on the clipboards for the recorder (do this at the beginning of the season.) This will save you SO much time. We can t stress this enough!!!! - Hand out the Entro and Novice attack sheets during check-in. - The registration tour team members should write the competitors name on the top of the attack sheet for the rest of the WB divisions based off the dock starter sheet. - Include 1 or 2 extra attack sheets for each division. - Start your wakeboard event with Intermediate and up divisions, doing so will give your Entro riders time to fill in their attack sheets and help the Novice riders who need to fill in their wildcard trick. - The dock starter should have the rope ready to hand to the boat when it comes in. The dock starter should know the name of the rider and should tell the boat recorder. - In the boat: Driver, 1-2 judges, recorders, and roper. NO MORE THEN FIVE PEOPLE IN THE BOAT. (Some exceptions: parents in mini outlaw, photographer. NO girlfriends/boyfriends/buddies) - Do not add more weight to the boat than the manufactured provided ballast allows for. Your insurance will be void if you add phat sacks or other weights. - Do not use the trick calculator, it is not up to date and seems to take too much time. New for 07 & 08: Veterans use the Novice attack sheet Masters use the Intermediate attack sheet
5 INT League State Coordinator Newsletter Page 5 Judges & Recorder Information Judges: Please call every aspect of each trick, including toe side or heal side, 1-wake or 2-wake, switch, landing blind, etc. The more information you can give the recorder the better. Radio the name of the rider, the division, and call the tricks to the announcer. Judges be careful not to discuss scores with anyone but the other judges and recorders in the boat. Call the specific name of the Grab Call the Switch version if the trick is by definition not a switch trick. Give each rider style points consider Amplitude/Height, Composition & Variety and how Technical the tricks were. Going around the turn circle, or waiting at the dock go over the attack sheet and make sure the recorder wrote down all of the tricks correctly. Recorders: Make sure your name or initials and the name or initials of the judge are written at the top of every attack sheet. Please greet the competitor, ask their name, division, and check to make sure you have the correct attack sheet. Ask what foot forward they ride, and note on the attack sheet. Write down as many details about each trick as you can. Most tricks are listed on the attack sheets. Go over the attack sheets with the judge turning the turn circles and at the dock to make sure you wrote down all the tricks correctly. Remind the judge to give the rider style points. If a rider falls, write down the name of the trick they attempted and then circle fall. The judge may call transition tricks in the advanced, expert, outlaw, and pro divisions. You can write those tricks down on the side and if the rider does not complete all of their regular tricks you can give them points for the transitions. A transition typically is a bunny hop 180 or surface 180. Back at the Dock: While you are waiting for your next rider please go back over score sheets and fill in the appropriate trick value. Most trick values are on the attack sheet. Please note the +/- factors for tricks. All adding will be done in scoring trailer. When scoring run, pay close attention to the instructions written on the attack sheets to what is allowed in that particular division; example: Advance riders maximum point value is 1250, they can repeat tricks but not in the same pass and can only throw 4 inverts total. Local Sponsor Logos Your sponsors are on the website and checking to make sure they get what they paid for. Please make sure you put up your local sponsor logos, links and information. If you need help setting it up, please contact Jac Pay Pal Paying online is the way of the future. Make it easier on your self and your participants by setting up online payments. It is really easy to set up an account at paypal.com. Call Jac and she will walk you through the sets to get the Add to Cart buttons up on your website. Pay Pal will be required for 2009, so you might as well just start now. This page is available on-line to print see Judge & Recorder Information on the download page.
