4 YOU WANT TO FIND OUT IF YOUR BUSINESS CAN SURVIVE A DISASTER, AND HOW QUICKLY IT CAN RECOVER FROM ONE. 1 2 A. Immediately decide that all your services are absolutely critical and must be instantly recovered with zero data loss. Fully replicated systems is the only choice. Never mind the expense - you ll be secure. B. Set fire to it. You ll certainly have an answer. C. Assess the impact and likelihood of every type of disaster, and use this information to consider the impact to the business of each service failure. Set appropriate RTOs and RPOs and implement systems to support them. YOUR BUSINESS IS DROWNING UNDER TOO MUCH PAPERWORK, FUNDAMENTAL BUSINESS PROCESSES ARE GETTING IGNORED AND THINGS ARE GOING OUT WITHOUT THE RIGHT APPROVAL. A. Implement an online document management solution with workflow. 5 3 A CUSTOMER CALLS IN WITH AN ISSUE. YOU HAVE NO BACKGROUND INFORMATION AND THEIR AUDIT HISTORY IS ALL OVER THE PLACE. THEIR ANNOYANCE GROWS WITH EVERY PASSING SECOND. A. Put on a fake accent, get a colleague to make farmyard noises in the background, and then hang up. B. Put the customer through to another department to see if they can help. C. Implement a CRM system which gives a real time overview on everything to do with the customer including current opportunities, complaints, and trends. Build a knowledge bank using workflow forms in SharePoint. Your people are thus empowered to engage with their customers more confidently. YOU HAVE SOME IDEA OF YOUR STOCK LEVELS, BUT YOU RE GUESSING AT BEST. YOU WANT TO HELP YOUR SALES TEAM SELL MORE, IF ONLY YOU HAD BETTER STOCK VISIBILITY. 4 A. Use formulas in Excel which will show you what your stock levels are just make sure that you nominate somebody whose role it is to manage this and that they update the information at least once a month. Never underestimate the value of an Excel spreadsheet. B. Implement an ERP solution which will automate all your information, cross site, and your stock level information will be available in real time. You will be able to pick out when the cost price of something could increase, and your mobile sales team in the field will be able to log on remotely, identify stock levels there and then, and make more sales on the spot. C. Hire better sales people. Preferably telepathic ones.

6 5 YOUR PEOPLE ARE FINDING IT DIFFICULT TO RETRIEVE THE INFORMATION THEY NEED TO WORK EFFECTIVELY, AND OFTEN FIND THEMSELVES WORKING ON OLD DOCUMENT VERSIONS WHICH HAVE SINCE BEEN UPDATED BY SOMEONE ELSE. A. Ensure all key documents are to be maintained and published via SharePoint, enabling strict version control. Document Libraries will manage the split of documents by document type, activity and department, with added security measures in place through the use of permissions (author and publisher) for specific users. B. Nominate one person who will become the ultimate author of all documents. Everybody will need to seek their permission to open a document and change it, and the ultimate author will keep track of all documents that have been changed. C. When someone has finished working on a document, they will perform their own, personalised, kung fu move (determined in advance) with its unique and identifiable sound effect. Everybody will instantly know when that document is updated and is available to work on again. 6 YOUR PEOPLE ARE SPENDING A LOT OF TIME REKEYING AND DUPLICATING INFORMATION, WHEN THIS RESOURCE COULD BE MUCH BETTER UTILISED ELSEWHERE. A. Remove all the systems that aren t talking to each other and start again with a brand new all in one system which does everything. B. Hire a professional who can train your people to perform a little known but highly effective ancient Chinese finger exercise, enabling them to type at the speed of sound. C. Integrate your systems for your key suppliers so that your team only has to enter the information once and the information is instantly updated across finance, CRM and document management - both internally and for your key suppliers.

7 7 YOU WANT BETTER ANALYSIS OF PROFITABLE AREAS OF THE MUCH OF THE KNOWLEDGE ABOUT YOUR IT SYSTEMS IS EITHER INSIDE YOUR PEOPLE S HEADS, OR STORED ON SPREADSHEETS. MAKING IT VULNERABLE TO PEOPLE LEAVING, AND DATA LOSS. 8 BUSINESS, AND BE ABLE TO BETTER IDENTIFY AND ADDRESS FAILING AREAS. A. Organise daily meetings with your senior management team which will cover all the key reporting aspects of the business. A. Make sure everybody gets into the habit of writing things down, and create instructions for every process so that new employees can pick them up instantly. Set up non-disclosure agreements for all documents. B. Install chips into your employees brains which link to a satellite, which then downloads and analyses everything they do all day. You ll have your information, and you ll find out who spent the most time watching last night s Emmerdale on iplayer. Win win. C. Implement an IT support service which looks after your system 24/7, pinpoints and highlights weak links and areas of vulnerability across your network, and fixes them using Live Connect technology before they impact your business. B. Install Business Intelligence tools which will give you a real time snapshot and detailed reports including which customers are buying which products, who was buying from you but isn t anymore, and who are your worst paying customers. Display information graphically and measure performance against different benchmarks, and set triggers with alerts for major events such as customers making large orders. C. Make up fake targets for a month anyone who doesn t achieve them shall be fed to the lions. That ll motivate them.
