4 Tool overview Overall principles The CMS (Content Management System) tool was designed with clear objectives: - Enable BU to manage the websites on their own and easily - Enable users to search in other websites and share contents - Enable Somfy to set up a web graphic charter Results are: - A simple editing interface to edit the websites - Specific features to import / update contents - A solution based on page templates accessible to all BU

9 Editing contents Editing a content (/) Local editor In a content zone, cilck on [Edit] () A popup opens () Edit the title of the content () Edit the teaser (non mandatory) () Edit the content with ewebeditpro (5) - Write or paste from an external text editor your text content in the edition window - Use the toolbar () to Copy/cut/paste contents Insert links to Websites or documents (.pdf files) Insert pictures or Flash animations Insert tables Format the text Remove or choose the text style - Right click (6) to Copy/cut/paste contents Manage tables Switch HTML and WYSIYG views Insert a picture 6 TIP If you copy text from Word, paste it first in the Notepad and then copy it from the Notepad to the edition window. 9

10 Editing contents Editing a content (/) Local editor Edit the contents properties - Date of publication (date from which the content will appear in the site) (7) - Date of expiration (date from which the content will disappear from the site) (8) - Displaying priority in the page for the templates including more than one content (9) - Comment for other site s editors (non mandatory) (0) Save the new contents - Click on [Save and approve] to validate the content (administrator only) - Click on [Submit for approval] to request the administrator s validation (editor only) - Click on [Save as draft] to store the change and finish the job later - Click on [Close window] to cancel the changes - Click on [Delete] to delete the contents (administrator only)

11 Editing contents Importing a content Local editor In a content zone, cilck on [Import] () A popup opens () Search for foreign contents with the search tool () - By keyword(s) - By Country - By language Click on [Preview] to have an overview of a content Click on [Import this content] to paste it into your content zone (the foreign content will replace the old one).

12 Editing existing contents Contents status list Local editor New - The content was newly created and was never changed Approved - The content was approved by a validator or an administrator Update / user name - The content is being updated by the user user name

13 Editing the site Inserting a picture Local editor Click on the picture insertion icon () A popup opens () Click on [Select new file] - A popup opens () - Select the picture in the library () - Click on [Ok] - Click on [Ok] to insert the picture in the page (5) You can also - Enlarge the picture (5) - Edit the picture (6) - Delete the picture (7) - Select several pictures (8) and choose an operation (9) 5 9 TIP This function is also available from the main administration menu (Pictures library menu item)

15 Editing the site Modifying a picture () Local editor A popup opens (6) Picture transformations (7) - Resize picture (pixels) = Resize the picture to the specified dimensions - Resize picture (percentage) = Resize the picture to the specified percentage - Picture maximum dimensions (pixels) = Use this function when you know how many pixels (width and height) do you have for the picture - Format = Specify the output format (Tip: use jpg for pictures and gif for graphic) - Crop = Drag and drop on the picture to re-center it - Reset picture = All changes since upload will be lost - Contrast = + or to adjust the contrast of the picture - Contrast = + or to adjust the brightness of the picture Click on [Save changes] (8) - Picture is overwritten Click on [Save changes as a new picture] (9) - A new picture is created Click on [Back to library] (0) - Returned to the pictures library Rotate picture 90 (CW) Rotate picture 90 (CCW) Flip picture vertical Flip picture horizontal 5

18 Editing contents Inserting a Flash animation Local administrator Click on the Flash animation insertion icon () A popup opens () Search animations with the search box () Select a animation () - Click on [Ok] to put a animation inside the page - Click on [Edit selected] to edit a animation - Click on [Delete selected] to delete a animation Use the document insertion box (5) to add a new animation in the local library - Select the file (6) - Select the alternative picture of the animation (for visitors who do not have the Flash plug-in installed) (7) - Edit the size of the animation in pixels (8) - Edit the description of the animation (9) - Edit keywords for the animation (0) - Click on [Ok] TIP This function is also available from the main administration menu (Flash library menu item). 8

30 Editing pages Adding a page Local validator Click on Add page () A popup opens () Fill in the mandatory fields () - File name (without any space or special character) - Page location within the site - Navigation menu title - Title bar caption (top of the window) - Title width in top menu (automatic) - Page template If necessary, fill the other fields () - External address for redirecting a menu towards an external Web site in the same window - Keywords and description for the Internet search engines (page level) Choose the publication status (5) - Page published on the site or not - Page shown in the navigation menu or not Click on [Submit] TIP The page is created in all the site s languages. 5 0

31 Editing pages Editing a page s properties Local validator Click on Edit page properties () A popup opens () Change the values (see Adding a page) If you want to move the page inside the site, click on Move page () A new page appears () Edit the page location - Change the file name (non mandatory) - Choose the new location - Choose the rank of the page in the new section Click on [Move Page]

32 Editing pages Deleting a page Local validator Click on Delete page () A popup opens () Click on [Yes] to confirm the page deletion or on [No] to cancel the operation TIP The page is deleted in all the site s languages. ERROR MESSAGE This operation may leed to an error : The page xxx cannot be deleted, because children pages remain. You have to check that the page you want to delete. Does not have any subpage. Does not include any content in other languages

33 Editing the site Choosing header layout (new design) Local validator When you ve added the page, you can change the header () of this page A popup opens () Choose the header format for this page () - First type is for st level of navigation pages - Second type is for nd level of navigation pages - Third type is for rd and th levels of navigation pages Click on [Select] to change the header TIP This is the graphic charter which gives the type of header to use according to the page level

34 Editing the site Changing page banner (new design) Local validator When you ve selected the header, you can add the picture for the page. If you want to change an existing picture, the process is the same. Click on the space reserved for the picture () A popup opens () Click on [Select] to select an existing banner for this page () You can also add a new banner () you ve created for this page - In that case, follow the «add a banner» process. A click on «add a new banner» will direct you to this module

36 Validating the site Checking pending contents Local validator Click on Pending Pages () to see a view per page - Click on the page you want to check () Or click on Pending Contents to see all the pending contents () Choose the operation() - Click on [Edit] to edit the content and on [Save and approve] to validate it - Click on [Delete] to delete the content - Click on [Revert] to restore the previous version of the content - Click on [Approve] to validate the content without editing it - Click on [Unlock] to enable other people to change the content 6

38 Managing site tools Editing home animated house texts Local administrator Click on Animated House () Click on [Edit] to edit one of the texts elements (application title or content) A new window appears () Edit the text of the parameter () - Keep Transform text to html in your text contains special characters () Click on [Update message] to save the changes 8

39 Managing site tools Editing top banners Local administrator To add a new banner, click on Banner Adv. () and the list of available banners will appear Then click on Add a new banner and the window () will open Complete all the fields () to create a new banner - The banner name will enable you to give the banner a description - The file you have to upload if this is a picture or a flash banner - The type of banner - The link you want to assign to this banner if it is a picture (enables you to create a «promotionnal banner» for example) - The targer for the link - The size of the banner for pictures or flash banners : be carreful to respect the size of the header the banner will go with - You can also create full html banner with the last field Click on «Save banner» () and the banner is available in the list of banners of your website 9

40 Managing site tools Exporting contact requests Local administrator Click on Contacts () Click on the link () to export the list of the contact requests of the site for chosen month. TIP All the contact requests are also forwarded by at (where xx is your ISO country code) each time a visitor submits a request 0

42 Managing site tools Updating customers data (/) Local administrator Update your excel file If you already use an excel sheet to maintain your list of customers, you can keep it by following those rules (otherwise, you will have to use the provided template excel file): - the first line of the excel file has to include the titles of the columns - the excel file has to include at least all the columns defined in the template with their exact title - you can add addtionnal columns for other applications (those columns will not be used by the CMS). The titles of the additional columns must contain only letters (A-Z) or digits (0-9) - the order of the columns is free - data fields must not contain ; or " characters When the excel file is OK, you just have to save it as a ".csv" file, that you will be able to import in the CMS. 44 Managing site tools Viewing clics on customer links Local administrator Click on Customers () Click on View customers redirection statistics () A new window appears () Filter the results (if needed) - Enter a customer name () - Click on [Search] In the list, you can see the number of clics from your site (page «Customers list») to your customer s one.

45 Managing site tools Managing e-newsletters (/5) Manage Newsletters Local administrator Click on Newsletter HTML V () The page displays the list of pending newsletters (which have not been sent yet) () To write a new newsletter, click on Write newsletters () (see Managing e-newsletters (/5)) To edit a newsletter, click on Edit () To delete a newsletter without sending it, click on Delete (5) 5 TIP To enable visitors to subscribe to the newsletter, you have to put a newsletter template in your site and/or create a mailing list through the Manage mailing lists menu. Extranet users are asked on registration if they want to receive the extranet newsletter. 5

46 Managing site tools Managing e-newsletters (/5) Create a new newsletter Local administrator To write a new newsletter, click on Write newsletters in the Manage Newsletters menu Select the mailing list () - Public mailing list for visitors who subscribed to the newsletter through the subscription form on the public end-consumer Website - Mailing list you created through the Manage mailing lists menu - Private mailing list linked to an extranet user group Select the template () - A default template can be automatically selected when you configure the mailing list Select the e-newsletter s sender () - A default sender can be automatically selected when you configure the mailing list Edit the newsletter subject () Edit the content of the newsletter (HTML format) (5) Edit the content of the newsletter (text format) (6) To save the newsletter without sending it, click on [Save changes] (7) To receive a preview of the newsletter before sending it, click on [Validate] (8) and enter your address To send the newsletter, click on [Send newsletter] (9) 5 6 TIP Senders list can be edited through the list management interface (see Configuring CMS > Managing site lists)

47 Managing site tools Managing e-newsletters (/5) Manage mailing lists Local administrator To manage visitors who subscribed to the newsletters, click on Manage Mailing Lists () The page displays the list of public & private mailing lists () To create a new mailing list, click on Create a new mailing list () - Fill-in the mailing list information Mailing list name () Default template (5) Default sender (6) - Click on [Save mailing list] 7 To edit a mailing list, click on Edit (7) - To manually add one address, fill in the field (8) and click on [add] - To upload a list of addresses, click on [Browse] (9), select on your computer a CSV file containing the addresses and click on [Upload] (0) - Click on [Remove form list] () to prevent a subscriber from receiving the newsletter 5 6 To delete a mailing list, click on Delete () TIP The CSV file must contain on the first line followed by the addresses. Senders list can be edited through the list management interface (see Configuring CMS > Managing site lists)

48 Managing site tools Managing e-newsletters (/5) View Archives & statistics Local administrator To view the sent newsletters and consultation statistics, click on Archives & statistics () To view the content of a sent newsletter, click on View () To view the statistics, click on Stats (). - The system displays the average opening rate () and click rate on each link (5) - You can also filter the statistics by address (6) To delete an old newsletter, click on Delete (7)

51 Managing site tools Managing glossary (/) Local administrator Click on Glossary () Select the language to edit (for multilingual Websites) and click on [Next] To add a new success story, click on [Add a new glossary item] () A new window appears () Edit the glossary item () - Title - Definition - Classification Click on [Add item] to save the new glossary item TIP The classification is edited by the Group administrator. It should be a list of initials or of ranges of initials (0-9, A-E, F-J, ). 5

55 Managing site tools Managing DC documents templates Local administrator, CE minisite only Click on Declarations of Conformity () To add a new template, click on [Add a new template] () A new window appears () - Edit the template name () - Click on [Continue] - You can now configure the translations of the template (see «Managing templates fields» To delete an existing template, click on [Delete] (5) - Be careful, all the translations linked to this template will be deleted. 5 TIP This feature is only available to.com/ce team. 55

57 Managing site tools Managing products DC documents (/) Local administrator, CE minisite only Click on Manage DC Documents () To add a new template, click on [Add a new document] () A new window appears () - Edit the product name that will appear in the selection list for the visitor () - Select a scanned and programmed PDF file on your computer (5) Be careful: the filename must not contain spaces or special characters - Select the translations template to apply to the PDF file (6) - Enter a description for the document that will appear in the search results for the visitor (7) - Enter keywords for the search engine (8) - Click on [Add document] to add the document with its translations on the Website TIP This feature is only available to.com/ce team. 57

59 Managing site tools Programming the DC document PDF file Local administrator, CE minisite only. Scan your original paper DC document into a picture - Black and white only - 50 dpi. Open the picture with Adobe Acrobat - File > Open () - Type of file: all. Open an existing PDF DC document. Go to the forms mode - The fields appear () 5. Select all the fields - Click on CRLT + A or Edit > Select all 6. Copy/paste the fields in the new DC document (CRTL + C then CTRL + V or Edit > Copy then Edit > Paste) 7. If necessary, move the fields 8. Save the document 59

81 Configuring CMS Site messages and lists Group administrator The CMS is an international tool and templates are the same for all websites: - It is necessary for you to adapt (at least translate) all the site s «messages» - A «message» can be the name of a field, a link in page s bottom, the name of a section in the top navigation bar You also have to define your local lists for all the forms (contact, customer search ) available in the website With these features, you can have a very local website from a Corporate platform 8
