2 How would lost data impact your business? What you don t know could hurt you You may not know all the options when it comes to electronic data storage and maintenance. Right now, these regulations primarily affect large businesses, but as more and more businesses become electronically integrated, these regulations will evolve to put the burden of compliance on smalland medium-sized businesses as well. The number and size of s in your inbox increases every day, and so does your business reliance on that . Your folders have likely replaced your need for a desk drawer filled with files. With playing such a critical role in business communications, you must find a way to keep servers from clogging up while still enabling your employees to securely store and retrieve this valuable information. Most businesses have dealt with data storage and management challenges already by adding disk space or reconfiguring servers. In many cases the solutions work for a while, but then end up creating more problems later. Businesses that have been through this process start seeing some common pain points: 1. Data becomes fragmented across multiple locations, machines, and appliances. Suddenly no one knows who has the right copy of a file, or if it can be found at all. 2. Once finding files becomes a problem, employees start using their folders to store these valuable business files. Since files are easily ed around, security goes out the window, and people lose track of how many versions of a particular file are in circulation, leading to mistakes and confusion. 3. Most businesses already do some form of backups, but very few businesses actually test their backups to see if information could be reliably restored. In addition, businesses often learn the hard way that their backup processes missed something important because it was stored somewhere unexpected. 4. When there is a capacity issue, businesses must take their network down to add, reallocate, or change server configurations. 4 Direct Attached Storage (DAS) Solutions The most common solution to data storage and management issues is to add Direct Attached Storage (DAS) devices a hard disk drive (HDD) attached directly to a PC. This is done by replacing or adding an additional HDD to an existing server (or desktop) or by adding an additional server with its own DAS device. The following situation is a relatively typical example of how a business might use DAS to solve a storage problem: ACME Advertising Group just signed a new contract with an existing client, Widgets, Inc. Widgets is already a client of ACME so large files of Widget s advertising data (multimedia files) are already stored on one of the ACME servers. However, with the new contract from Widgets, additional capacity will be needed to create and store new media files. Rather than disrupt the ongoing work on the old server by reconfiguring it with a new HDD, ACME decides it would be more efficient and cost effective to add another server with a large amount of disk space (DAS) for the new Widgets work. But is this really efficient and cost effective? Because the cost of storage hardware is relatively inexpensive and continues to drop, businesses see DAS as an easy and costeffective solution. With the cost of server hardware also dropping, adding a general purpose server to the network is also an attractive solution. However, because your business now requires more and more fault tolerance, data protection, data availability, disaster recovery, and online backup, the cost of managing that storage is going up. Businesses are quickly learning that storage hardware costs do not equal storage management costs. By adding disk space to an already fragmented network, you actually increase the complexity of backup, access, security, and availability. By adding a general purpose server to a network, you also add the complexity of managing an additional server. With the down time needed to reconfigure or add servers, interruptions to your business must also be managed. While DAS may be a great solution for some of your storage needs, it may not be the best alternative for other needs. DAS solutions, while seemingly cost effective, can actually increase your overall total cost of ownership (TCO) because of the unnecessary complexities it can introduce. 1 Network Attached Storage (NAS) Solutions Recognizing the challenges that businesses face in managing and storing data, Intel offers another solution for storage management. NAS devices are self-contained storage units that plug directly into your network. They are specifically designed to provide fast, scalable, and reliable access to your business data while avoiding the pitfalls of adding complexity to your network. Adding storage is as simple as attaching a device to your network. NAS devices are not attached to a specific computer, as opposed to DAS devices, so your files can be managed centrally from any location on your network. Using a NAS solution, ACME can now handle its new contract with Widgets much more effectively. Instead of adding another server to provide the data capacity, ACME simply adds a NAS device to the network to house all the Widgets files. No downtime, no new server, no fragmented data. More about Network Attached Storage NAS devices are somewhat similar to general-purpose servers, but they have been optimized to do one thing: file sharing. NAS appliances contain an internal operating system and corresponding file system, but the operating system is optimized for file sharing and only includes functionality that is related to communicating with the file system and network. All other functions are removed or disabled from the system. The device attaches directly to the network and is available to all clients on the LAN via standard Ethernet protocols. Data is stored in file format and looks the same as files stored on a PC. The installation process for NAS devices is extremely easy to deploy and will not disrupt users or applications on your network. NAS devices include intuitive management consoles for installation and management, and in most cases can be installed and working in less than 15 minutes. Compared to general purpose servers NAS devices contain relatively large amounts of storage. Entry-level NAS devices generally provide 200 Gigabytes to 2 Terabytes of storage, while enterprise level devices can provide up to 30 Terabytes. Therefore these devices can provide considerable cost savings while easily scaling with your business. Not only is the cost of capacity typically less, but there are also no per-seat licenses to purchase for users or applications accessing the device. 1. Total Cost of Ownership (TCO) refers to the actual cost of purchasing and managing systems, including purchase price, cost of upgrades or maintenance contracts, ongoing labor costs to maintain, and costs for eventual replacement.

5 Streamlining Your Network with Network Attached Storage Businesses already understand the efficiencies gained by dedicating servers on the network to perform specific tasks. For example, you probably have a single server dedicated to serving company , and perhaps another server dedicated to serving the external Web site. By allocating servers to specific tasks, your network and applications can be streamlined for performance and management. Because NAS devices can support large amounts of storage, file sharing can be consolidated and managed centrally. Access to files is transparent to the user or application, thereby avoiding the administration issues that can be introduced by adding new servers. In addition, the performance of critical-to-the-business productivity applications can be greatly improved by moving the data access functionality onto a NAS device. NAS for backup and recovery: Your business relies on the protection and availability of your data, so backing up that valuable data is very important. For businesses that perform backups infrequently (if at all), NAS provides a simple and economical way to easily begin implementing a more robust backup and recovery policy. Because NAS devices generally have a relatively large data capacity, they serve as an ideal, centralized backup repository. If you are currently backing up multiple servers to tape, consolidating these individual backups onto a networked NAS device could greatly reduce the effort expended on individual tape backups. The files on the NAS device can then be backed up to tape all at once. Perhaps the biggest benefit of using NAS for backup is its ability to rapidly recover lost or deleted files. Working with tape can be cumbersome and recovery of lost files can take hours or days. Since NAS storage behaves the same as a normal HDD on a PC, restoring information is as simple as moving files on the network. NAS is disk based, and therefore the data is online and available immediately. For an even more robust solution, backing up to a NAS device and then archiving to tape provides complete redundancy of information and still provides the benefits of fast and easy restore. 3
