4 1. The Purpose of the Laptop Program Trinity Lutheran School provides a Laptop to students via a three year lease. As we enter the twenty-first century, excellence in education requires that technology is seamlessly integrated throughout the educational program. The individual use of laptops is a way to empower students to learn at their full potential and to prepare them for the real world of college and the workplace. Laptops encourage students to solve problems and think critically by stimulating analytical thinking. Learning results from the continuous dynamic interaction among students, educators, parents and the extended community. Technology immersion does not diminish the vital role of the teacher. To the contrary, it transforms the teacher from a director of learning to a facilitator of learning. Learning with Laptops integrates technology into the curriculum anytime, anyplace. 2. About the Laptops The Laptops are Lenovo Thinkpads and HP ProBooks. We currently have three models in use, the E430, the E545, and the 4440s, all running Windows 7. They offer 2-4 GB of RAM and 220 or 500 GB Hard Drives, with AMD Quad-Core processors or Intel i3 or i7 processors depending on the model. 3. Software The Laptops come from the manufacturer with certain software, including but not limited to Lenovo Power Manager (used to monitor battery life and adjust power settings) and other built in items. Trinity Lutheran School adds other programs, such as Microsoft Office suite, Logger Pro (the application used in the Science Lab to monitor data from the Vernier Lab Sensors), Microsoft Security Essentials (Virus Protection), K9 Web Filtering software, and Google Chrome (for faster web browsing). Students are not to change or remove any existing software. In addition, they are not permitted to access or attempt to access the administrator tools to alter the operating system in any way. Students are not permitted to install ANY other software on their Laptops without express permission from the school. This includes, but is not limited to, music downloading utilities, chat software such as Skype, Chrome Web Store Applications that alter the performance of the Laptop, or games. 5 4. Receiving your Laptop Laptops will be distributed in the fall during the first week of school, provided the school has on file a signed copy of the Laptop agreement. PLEASE READ THE LAPTOP AGREEMENT CAREFULLY, as you will be held responsible for the information contained herein. Student Laptops and accessories are identified by labels and Laptop numbers. The label on the back of the Laptop contains the serial number of that individual Laptop. The numbers written on the Laptop and charger correspond to the student numbers. Students may not remove either the label or the number written on the Laptop and charger. 4.1 Collecting Laptops Laptops will be collected at the end of each school year, during the last week of school, for cleaning, repair, and maintenance. Students will be given back their same Laptop the following year. Student work files are deleted over the summer to save disk space. If a student leaves Trinity Lutheran School during the school year, the Laptop must be returned at that time. Laptops may also be collected at other times throughout the year, such as over Christmas Break, for repair and maintenance. If at any point of check-in and collection, the Laptops, cases, batteries, or chargers are found to be damaged or missing, students will be fined for the cost of the missing or damaged item. If a student fails to turn in their Laptop at the end of the year, parents are responsible for paying the entire cost of Laptop replacement, including software costs, case, peripherals, and warranty costs, which adds up to approximately $ Inspections Laptops may be collected at random to be checked for adherence to the Laptop Policies outlined herein. 6 5. Taking Care of your Laptop Students are responsible for taking care of the Laptop they have been issued by the school. Laptops that are broken or fail to work properly must be reported as soon as possible to the Technology Department. 5.1 General Precautions No food or drink is allowed near your Laptop while it is in use. Cords, cables, and removable storage devices must be inserted carefully into the Laptop. Students should never carry their Laptops while the screen is open, unless directed to do so by a teacher. Laptops should be placed in Sleep or Hibernation mode before changing classes to conserve battery life. If they are not going to be used for several hours, shut them down completely to conserve power. Laptops must remain free of any writing, drawing, stickers, or labels that are not placed on them by the manufacturer or Trinity Lutheran School. Laptops must never be left in a car or any unsupervised area. Students are responsible for keeping their Laptop s battery charged for school each day. 5.2 Carrying the Laptops The protective cases provided with Laptops have sufficient padding to protect the Laptop from normal treatment and provide a suitable means for carrying the computer within the school. Laptops MUST remain in the cases at all times, unless they are being repaired by a member of the technology staff. Laptops are to be carried by the shoulder strap or the hand strap. Piling books on top of the Laptop and carrying them as such can result in pressure being placed on the screen, causing it to crack. Drafted by Laura Smith Trinity Lutheran School
7 Laptops are to be placed down carefully, not dropped or thrown in any way. Care should be taken not to place any objects on top of the Laptops so as not to cause damage to the screen. Students are responsible for carrying their Laptops safely throughout the day. They should be held properly in such a way that they are not easily dropped, and placed carefully on flat surfaces so that they cannot fall from desks. 5.3 Screen Care Do not lean on the top of the Laptop when it is closed. Do not place anything near the Laptop that could put pressure on the screen. Do not place anything in the carrying case that will press against the cover. Do not poke the screen. Do not place anything on the keyboard before closing the lid (e.g. pens, pencils, papers, or disks). Clean the screen with a soft, dry cloth or anti-static cloth. Do not bump the Laptop against lockers, walls, car doors, floors, etc. as it will eventually break the screen. 6. Using your Laptop at School Laptops are intended for use at school each day. Students must be responsible to bring their Laptop to all classes, unless specifically advised not to do so by their teacher. Laptops must not be left unattended in any public area of the school. Students are responsible for keeping track of their Laptops at all times! 6.1 Laptops Left at Home If a student leaves their Laptop at home, they must use a desktop computer in the classroom (provided one is available) or a physical textbook for the day. No loaners will be provided for forgotten Laptops. Repeat violations of this policy will result in the loss of Laptop take-home privileges. Drafted by Laura Smith Trinity Lutheran School
8 6.2 Laptops Undergoing Repair Loaner Laptops will be issued to students when they leave their Laptops for repair in the Computer Lab (provided one is available), if the repair will take more than one school day. 6.3 Charging your Laptop Laptops must be brought to school each day in a fully charged condition. Students need to charge their Laptops each evening. In cases where use of the Laptop has caused batteries to become discharged, students may be able to connect their computers to a power outlet in class. If a battery exchange is necessary please alert Mrs. Smith in the Computer Lab. 6.4 Screensavers Inappropriate media may not be used as a screensaver. Passwords on screensavers are not to be used. 6.5 Sound Sound must be muted at all times unless permission is obtained from the teacher for instructional purposes. Music is not to be played on the Laptops unless permitted by the teacher. If the teacher permits students to play music during individual work time, headphones must be used so as not to disturb other students. No music software may be installed on the computer, such as Spotify or other such programs. 6.6 Printing Printing may only be done on the school s network printers at the direction of a teacher. 9 Personal printers at home will not be able to be added to the Laptop. If students wish to print at home, they should save files from their Laptop onto a removable media such as a USB Drive and transfer the files to their home computer for printing. It is simply not possible for the school to install all the possible drivers for every possible printer, nor is it feasible to install drivers for every individual student on a case by case basis. Printing should be kept to a minimum - print only what you need. Be mindful of the number of copies and pages of information you are printing in order to save paper. Documents that are sent to the Computer Lab printers may be picked up at the discretion of the teacher. If possible, one student should be sent to the Computer Lab to pick up papers for the entire class, to minimize disruptions to Computer Lab classes. 7. Using your Laptop at Home Parents should carefully monitor what their children are doing on their school Laptop, just as they would monitor their home computer use. What students do on their Laptops while at home is the responsibility of the students and parents, not the school. Please ensure your students are following Laptop care and Acceptable Use procedures so as not to cause damage to the Laptops. Students are able to access home and public wireless networks on their Laptop. However, please be aware that the security is determined by the network to which you are connecting. Public networks may make it possible for your data to be monitored, or may have little to no filtering of inappropriate content. Remember to charge your Laptop every night. Please keep pets, food, and drinks away from your Laptops at all times. Pet hair, crumbs, and liquids can get lodged in the keyboard and case and cause the Laptop to malfunction. 8. Managing Files and Saving your Work 8.1 Saving Work Students should save to the My Documents folder on their Laptops. Drafted by Laura Smith Trinity Lutheran School
10 Within that folder, they may create subfolders for the purpose of organizing their work into different categories. For example, they may want to create a folder for Science work, Math work, etc. This is done by right clicking the mouse within the My Documents folder and choosing New, then Folder. Then they may rename it as desired. It is the student's responsibility to back up files onto a removable storage device. Every student is required to have a USB drive for this purpose. A good rule of thumb is to back up files once a week. Computer malfunctions are not an acceptable excuse for not submitting work. 8.2 Saving Appropriate Content Files saved on the Laptop should be school related. Students should not fill their hard drive with images or unnecessary data. Games or unauthorized software downloads may not be saved on the computer. Students will be disciplined for saving or viewing any content deemed inappropriate content by network and school administration via the schools Acceptable Use Policy. Inappropriate Content includes but is not limited to pornography, offensive content, and other inappropriate material so determined by school administration. Network and school administration will be responsible for determining what is considered to be inappropriate. 9. Acceptable Use Students will have access to all available forms of electronic media and communication which is in support of education and research and in support of the educational goals and objectives of Trinity Lutheran School. Students are responsible for their ethical and educational use of technology resources. Access to technology resources is a privilege and not a right. Each employee, student and/or parent will be required to follow the Trinity Lutheran School Computer/Network Policy. While these materials are provided to enhance educational goals and objectives, students may find ways to access other materials that may not be considered educational or find ways to use provided hardware and software beyond its educational intent. For this reason, it is extremely important that rules be followed. Misbehavior could result in temporary or permanent loss of access to the Internet, , or other technology privileges. 11 may result in disciplinary action up to and including suspension or expulsion for students. When applicable, law enforcement agencies may be involved. Many responsibilities result from the use of these technologies in the educational setting. 9.1 School Responsibilities Instruct and supervise the proper use of the computer, Internet, and electronic communications. Provide a safe network environment. 9.2 Parent Responsibilities Set standards that conform to the Christian principles of the school, as set forth in the student handbook and as instructed by school staff and administration. These standards also apply with respect to student-created materials placed on the Internet, other electronic media, and other mobile devices. Thoroughly read the Laptop Agreement and encourage your child to do the same, as you will be held responsible for all items contained herein. Monitor your child s communications. Be financially responsible for the repairing or replacing of any technology equipment damaged due to student abuse, neglect, and/or alterations. 9.3 Student Responsibilities Use computers in a responsible and ethical manner. Use only the software made available to them by their teachers or designated technology staff. Use all technology resources in an appropriate manner so as not to damage technology equipment or software. Refrain from attempting to access or override security measures placed on the computers. 12 Save documents and other school-related files to their class folders and back up their files on their USB drives. Refrain from installing/downloading/accessing games, utilities, plug-ins or other programs or files from the Internet or any other outside source, to the network or individual systems. Users of electronic communications (including, but not limited to, , websites, online collaborations, forums, and discussion groups) should be mindful of communications originating within Trinity Lutheran School. Do not send, submit, publish, display, or knowingly access any material that is defamatory, inaccurate, abusive, rude, obscene, profane, sexually oriented, threatening, harassing, racially offensive, illegal, or that encourages the use of controlled or illegal substances, or is otherwise not consistent with the policies, purposes, and objectives of Trinity Lutheran School. Do not reveal or transmit personal information about others, and be cautious when revealing personal information about themselves. STUDENTS: Do not reveal your home address, image, or phone numbers. Do not use the Internet or network resources to sell or offer for sale any goods or services without the headmaster s approval. Respect network resource limits. Abide by current copyright laws. If text or multimedia files from the Internet or other electronic sources are used, they must be cited appropriately. Refrain from defacing the computers in any way, whether by changing software settings, drawing or adding stickers to the computers, or removing labels or computer numbers. Report in a timely manner any problems or concerns regarding your school assigned Laptop or other technology resources. Return all school issued Laptops, peripherals, and accessories in good condition. 9.4 Activities Strictly Prohibited If a student violates any of the terms or conditions described in this policy, his or her Internet access and/or Laptop use may be terminated and future access may be denied. 13 Students may not download or transmit copyrighted materials. Students may not download or install any software on their school issued Laptops or other computers throughout the school. Students may not use chat rooms or messaging services during school hours unless directed to do so by a teacher. Students may not access games during school hours unless permitted by a teacher. Students may not bring cell phones, cameras, ipads, or any other unauthorized devices to school. Students may not change any computer settings or attempt to override security measures. An account may be provided by the school in order to access Google Apps for Education. This school issued must be used appropriately and is subject to review and monitoring by the school. Engagement in online blogs/social networking sites such as, but not limited to, Facebook, MySpace, Twitter, LinkedIn, YouTube, Google+, etc. may result in disciplinary actions if the content of the student s blog includes defamatory comments regarding the school, the faculty, other students and their families, or the church. By law social networking sites require subscribers to be 14 years or older. Sexting is the act of sending, receiving, or forwarding sexually explicit or suggestive messages, photos, or images via cell phone, computer or other digital device. Students engaged in such activities are subject to state laws and school discipline. The school considers sending, sharing, possessing, or even viewing pictures, text messages, or s that contain a sexual message or image a violation of this policy which will result in school discipline, up to and including expulsion and the notification of local law enforcement. Students are required to immediately report any such activities to a teacher or a school administrator. A student may be subject to disciplinary action, including expulsion, for abusive use of the Internet. This includes communications originating in or outside of school by mobile devices such as cell phones, BlackBerries, ipads, PocketPCs, Sidekicks, iphones, and other similar devices which threaten other students or school personnel, violate school rules or disrupt the educational process promoted by the school. 14 Faculty and administrative personnel may review all stored files, communications and other postings to maintain system integrity, to ensure that users are acting responsibly and to enforce school rules. 9.5 Legal Propriety Students are required to abide by federal copyright laws, trademark laws, and all license agreements. Ignorance of the law is not immunity. If you are unsure, ask a teacher or parent. Plagiarism is a form of cheating. Give credit to all sources used, whether quoted or summarized. This includes all forms of media on the Internet, such as graphics, movies, music, and text. Use, possession, or installation of hacking software is strictly prohibited and violators will be subject to disciplinary action and potential criminal prosecution. 9.6 Cyberbullying "Cyberbullying involves the use of information and communication technologies such as , cell phone and text messages, instant messaging, defamatory personal websites, and defamatory online personal polling websites, to support deliberate and hostile behavior by an individual or group that is intended to harm others." -Bill Belsey, President of Bullying.org. Cyberbullying is all forms of harassment over the Internet or other forms of electronic communications, including cell phones. Students and staff will refrain from using communication devices or Trinity Lutheran School technology to harass or stalk another. Trinity Lutheran School computers, network, Internet, whether accessed at school or away from school, during or after school hours, may not be used for the purpose of cyberbullying. All forms of cyberbullying are unacceptable and viewed as a violation of this policy and the school s acceptable computer use policy and procedures. Users are responsible for the appropriateness of the material they transmit. Hate mail, harassment, discriminatory remarks, or other antisocial behaviors are expressly prohibited. Cyberbullying includes, but is not limited to the following misuses of technology: harassing, teasing, intimidating, threatening, or terrorizing another person by sending or posting inappropriate and hurtful messages, instant messages, text messages, digital pictures or images, or website postings, including blogs. 15 recognized that the author (poster or sender) of the inappropriate material is often disguised (logged on) as someone else. Students and community members, who believe they have been the victims of such misuses of technology, as described in this policy, should not erase the offending material from the system. A copy of the material should be brought to the attention of a principal or teacher. The administration shall fully investigate all reports of cyberbullying. In situations in which cyberbullying originated from a non-school computer, but is brought to the attention of school officials, any disciplinary action shall be based upon whether the conduct is determined to be severely disruptive of the education process so that it markedly interrupts or severely impedes the day-to-day operation of a school. In addition, such conduct must also violate a school policy. Such conduct includes, but is not limited to, threats, or making a threat off school grounds, to harm a member of the school staff or a student. Malicious use of the school s computer system to develop programs or to institute practices that harass other users to gain unauthorized access to any entity on the system and/or damage the components of an entity on the network is prohibited. Disciplinary action may include, but is not limited to, the loss of computer, Laptop, or internet privileges, detention, suspension, or expulsion for verified perpetrators of cyberbullying. Discipline for cyberbullying will be handled on a case by case basis. In addition, when any kind of threat is communicated or when a hate crime is committed, it shall be reported to local law officials. 10. Protecting and Storing your Laptop 10.1 Laptop Identification Student Laptops will be labeled in several ways. Each Laptop is labeled with the serial number and student number. Chargers are labeled with the year of first use and student number. Cases are labeled with student name, grade, number, and school identification information. 16 Laptops are assigned a name that includes the year of first use and the student number. None of these labels may be altered or removed Storing your Laptop When students are not using their Laptops, they should be stored carefully in their lockers. During Gym Class, students may place their Laptops carefully in the gym locker room Laptops Left Unsupervised It is every student's responsibility to keep track of their Laptop at all times. Laptops may not be left unattended in hallways or public areas. If a student leaves a Laptop unattended in the hallway, it will be taken to the Middle School Director s Office or Computer Lab and they will lose the privilege of its use for the rest of the day. 11. Warranty and Insurance information 11.1 Lenovo/HP Warranty Trinity Lutheran School has purchased a three year warranty for each Laptop, to correspond with the length of time students spend in the middle school. Lenovo/HP warrants the Laptops from defects in materials and workmanship. This limited warranty covers normal use, mechanical breakdown or faulty construction and will provide replacement parts necessary to repair the Laptop or Laptop replacement. The Lenovo/HP warranty does not cover damage caused by misuse, abuse, or computer viruses Accidental Damage Protection Trinity has also purchased additional Accidental Damage Protection from Lenovo/HP, because we understand sometimes accidents do happen. This protection will cover repairs due to minor accidents, liquid spills, hard drive crashes, accidental drops, plastic part damage, and power surges, for example, but will NOT cover intentional damage, vandalism, or misuse. 17 In the case of intentional damage or misuse, the students and their parents are responsible for full payment for needed repairs. See repair costs in Section Limited Liability and Insurance The protections purchased do NOT cover situations such as theft, fire, or loss. Parents may wish to purchase additional insurance or add the Laptop to your homeowner s insurance policy to cover such events. Please feel free to contact the Technology Department if you need additional information about the Laptop in order to add it to your insurance policy. 12. Repairs and Technical Support If a student Laptop is in need of repair, whether hardware is damaged or software is not working properly, it is to be brought as soon as possible to Mrs. Smith in the Computer Lab, Room 210. The procedure is as follows: 1. Inform your teacher that you are experiencing a problem with your Laptop. If you are in between classes, report to your next period teacher first, then ask permission to come to the Computer Lab. 2. Bring the Laptop to the Computer Lab. If Mrs. Smith is available, she will examine it immediately. 3. If Mrs. Smith is teaching another class, you may NOT interrupt class. Leave your Laptop on the long table in front of the dry erase board, and fill out a Laptop Repair Sheet (found on the board above the repair table). Return to class and Mrs. Smith will bring you your Laptop when it is fixed. 4. If the Laptop requires more extensive work, and will take more than one school day to be repaired, or needs to be sent out to Lenovo/HP s Repair Center due to hardware/software damage, you will be issued a Loaner Laptop (provided one is available) at Mrs. Smith s earliest convenience. 5. The Computer Lab keeps several Loaner Laptops available for students to use while theirs are being repaired. There are a finite number, however, and are loaned out on a first-come, first-served basis. Loaner Laptops are to be treated with the same care and respect with which you treat your own Laptop. While using the Loaner, it is strongly recommended that you save any documents on your USB flash drive rather than on the Loaner. That way, there is less of a chance you will lose a document. 18 6. Please do not come to the Computer Lab repeatedly asking if your Laptop is fixed. Mrs. Smith will bring it to you or give you a time to report back and pick it up Indications for Repair Some possible causes to bring your Laptop to the Computer Lab include: Hardware breaks or damage due to droppage Cracked LCD screen Inability to log on or start computer Severe battery drainage (less than one hour battery life when fully charged) Updates and school-approved software installation or repair Difficulty accessing the Wireless signal in school Inability to access the online textbooks Damaged AC Adapter (covered under warranty) 12.2 Repeated or Willful Damage or Loss Students are to take every precaution whether at school or at home to treat their Laptops with the utmost respect and care. While we understand accidents happen, there is a big difference between an accident and obvious abuse. Laptops that are brought in for damage repair more than once will be subject to investigation. If it is found that a student has been mistreating the Laptop, they will lose the privilege of taking it home each day. Students seen to be misusing or mistreating the Laptops may be subject to storing their Laptop in the Computer Lab and only checking it out when directly needed for classwork by another teacher. If a student violates the Laptop Policy described in this document, repeatedly (more than once) brings in a damaged Laptop (cracked screen, etc.), or is seen mistreating or misusing a Laptop, they may lose the privilege of using the Laptop for a period of a week, up to and including the rest of their time at Trinity, depending on the frequency Drafted by Laura Smith Trinity Lutheran School
19 and severity of the situation. It will be the determination of the Technology Department, the Middle School Director, and the Headmaster as to the severity of the offense. If a Laptop peripheral or accessory is lost or repeatedly damaged, the student will be responsible for the cost of replacing that item. The costs are as follows: Batteries are covered for one year under warranty. Lost or damaged batteries cost $100 to replace. AC Adapters are covered for three years if they fail to work or if the wires become frayed. However, if they are lost, they cost $75 to replace. Students should keep their AC Adapters with their Laptops AT ALL TIMES, and NEVER loan them to another student. Even if another student loses the AC Adapter you loaned them, YOU are responsible for the replacement cost. LCD Screens are covered under the warranty under normal use for three years. However, if a student cracks their screen more than once in a year, they will be charged the $100 repair/replacement cost and be subject to disciplinary action. CD/DVD Drives are covered under the warranty for three years. They are NOT to be removed from the Laptops for any reason. If yours becomes loose, please report it to the Technology Department at once. If you fail to do so, and it becomes lost or damaged as a result of being removed from the Laptop, you will be charged the $100 replacement cost. Keyboards are covered under warranty for three years. Sometimes, a key becomes loose and needs to be replaced. However, if a keyboard is willfully damaged by either picking off multiple keys or coloring on the keys, you will be charged the $50 replacement cost. The Laptop carrying cases we provide are specifically designed to protect the Laptops under normal use. Cases should not be drawn on, altered, or defaced in any way. Defective cases are covered under warranty for defaults such as a malfunctioning zipper. If the case is damaged or defaced and must be replaced, you will be charged the $55 replacement cost. Laptops that are lost must be found and retrieved by the student or the parents will be charged the full replacement cost of the Laptop, including software costs, case, peripherals, and warranty costs. This adds up to approximately $900. Laptops that are stolen must be reported to the school and police immediately. Drafted by Laura Smith Trinity Lutheran School

Consequences for Violation of Laptop Policies Students are expected to follow the Acceptable Use Policy, General Care Procedures, and School Rules concerning the use of their Laptops, and treat them with the utmost care and respect to avoid damage. If a student is found to be misusing or mistreating their Laptops, they will face the following consequences: 1 st Offense - The student will receive a warning and reminder to follow the Laptop Policies or risk losing the use of their Laptop. 2 nd Offense - The student will lose the privilege of carrying their Laptop with them throughout the day, and taking it home, for a period of two weeks. They will have to check it in and out of the Computer Lab when needed for an in-class project. 3 rd Offense - The student will lose the use of their Laptop entirely, for an extended period of time. This can be anywhere from a day, a week, or up to and including the remainder of their time at Trinity Lutheran School. The severity of the offense will be determined by the Technology Department, the Middle School Director, and the Headmaster. 21 Student Pledge Student/Parent Laptop Agreement I,, (student s name) agree to the following conditions: I will follow ALL of the policies and regulations included in the Laptop Policy, Procedure, and Information handbook while at school as well as outside of the school day. I will file a police report in case of theft or other acts covered by insurance. I agree to return the school laptop, carrying case and power cord in good working condition. Parent Pledge I,, (parent s name) recognize that it is my responsibility to guide and monitor my child s technology use and I will not hold the school or its employees responsible for any materials acquired by my child. I will assume full responsibility for any harmful or illegal content on the laptops. I also will take full responsibility for any damage that occurs to the laptop while the device is in my child s possession. I hereby give permission to allow my child to check out a laptop for the current school year.
