Overview of Transfer Admission The EWU Office of Admissions considers transfer students for admission year round using an automated workflow process. Each week, we produce a list of transfer students for review who have submitted their application and all required documents for admission consideration and not yet been admitted. Students who meet our automatic admission requirements will be admitted. Students who do not meet our automatic admission requirements and do not submit enough documentation to be reviewed through the Comprehensive Review Committee (personal statement and 2 letters of recommendation) will be denied. Students who do not meet our automatic admission requirements and submit all necessary Comprehensive Review documentation will be considered by the committee. If a student is denied through the Comprehensive Review Committee, they may appeal and request a personal interview. If 1
2 a student is denied through the personal interview, they must adjust to meet our automatic admission requirements prior to admission. If a student is denied, they may always submit additional coursework or updated records that qualify them for admission. We will be happy to review this additional work upon request. After an admission decision is made, we mail a letter or packet that informs the student of the decision and their next steps. When students confirm they will attend EWU, we will complete a full transfer credit evaluation. Review for Admission We review transfer students for admission using the following workflow and criteria: Weekly Reports Our weekly reports of transfers to be reviewed for admission arrive by each Thursday, and the evaluator who coordinates this process will print them. All the evaluators will take an equitable share of each week s report. Each student on each report should be reviewed for admission. Transfer Eval List This report contains a list of all transfer students who have submitted official transcripts from all previously attended colleges. The report also contains all transfers below 40 credits who have submitted all previous college transcripts and their high school transcript and SAT or ACT scores. This list is sorted by application term and alphabetically by name. Transfer Denied List This report contains a list of transfer applicants who have already been denied but have submitted additional documents since they were denied. Admission Criteria Admission criteria for the various types of transfers are as follows: Transfer applicants with less than 40 credits Transfer students who have less than 40 transferable, college-level credits at the time of application must meet the following admission requirements: Transfers below 40 credits who are under age 25: Must have 2.0 college GPA. Must have Admission Index of 20 or higher (We publish 25 and admit down to 20 internally). 2
3 Must have completed all high school core preparation courses. We have found that most students who do not complete the core tend to be deficient in Math and/or Foreign Language. Therefore, we check only these two course series for admission purposes. Students who do not meet the above criteria will be denied admission to EWU, unless they have already submitted a personal statement and at least 2 letters of recommendation. If this is the case, they will be sent to the Comprehensive Review committee for consideration, rather than being initially denied. Students who are more than 6 semesters deficient in their high school core courses or have below a 2.0 high school GPA will be denied based on state criteria. We send these students a special letter, and there is no opportunity for appeal of this decision. Transfers below 40 credits who are age 25 or over: Applicants that have completed fewer than 40 transferable college credits and will be 25 years of age or greater upon indicated entrance to EWU need to meet a minimum of two of the following criteria: submit satisfactory scores on the SAT, ACT, or other university administered tests; submit a transcript showing the achievement of a 2.5 high school GPA or a passing score on the GED test (cumulative 2.0 or greater GPA if college coursework is present). write an essay demonstrating entry-level critical thinking and communication skills; present evidence of success outside the classroom and strong motivation to succeed in college. Students must also submit a college transcript showing at least a 2.0 GPA. Students who do not meet the above criteria will be denied admission to EWU, unless they have already submitted a personal statement and at least 2 letters of recommendation. If this is the case, they will be sent to the Comprehensive Review committee for consideration rather than being initially denied. Transfer applicants with 40 or more credits and no degree Transfer applicants who have 40 or more transferable, college-level credits must meet the following criteria: 2.0 cumulative college GPA Preparation for college level math (this is typically accomplished by completion of the equivalent of EWU Math 104 Intermediate Algebra, or higher, with at least a 2.0 GPA) 3
4 Preparation for college level english (this is typically accomplished by completion of the equivalent of EWU English 100 Fundamentals of English Composition, or higher, with at least a 2.0 GPA) Students who do not meet the above criteria will be denied admission to EWU, unless they have already submitted a personal statement and at least 2 letters of recommendation. If this is the case, they will be sent to the Comprehensive Review committee for consideration rather than being initially denied. Transfer applicants with Direct Transfer (Associates) degree Transfer applicants who have received, or will receive, the Washington State Direct Transfer Agreement Associates Degree (DTA) will be admitted. Students meet our admission requirements by virtue of DTA completion. Students who receive any other degree, whether in or out of state, must meet admission criteria for students with no degree (see previous section). Transfer applicants with 4-year (Baccalaureate) degree Transfer applicants who have received, or will receive, a baccalaureate degree from a regionally accredited school will be admitted. Students meet our admission requirements by virtue of baccalaureate degree completion. Gathering and Evaluating Necessary Information To find the necessary information to make an admission decision, you will need to look at both Banner and the student s hard copy file. Whenever you take a student s hard copy file out of the processing area, be sure to check it out on SPACMNT. Below are directions for where to find and how to evaluate the following information: Checking Out Student Files 1. Go to SPACMNT. Press F7 to enter a query for an Admission File Location (AF) comment (see below). When you find this note, go to step 3. If no note like this exists, go to step 2. 4
5 2. If no Admission File Location note exists on SPACMNT, create a new note by entering a new record (F6). a. Enter AF in the Comment Type field. b. Enter ADMS in the Originator field. 3. When you have either found or created a File Location note, enter your initials in the body of the note followed by the current date and a pipe ( - see above). This will show that you have the file. The Activity Date field will show when the file was last moved. Remember to check the file out appropriately whenever you move it somewhere different. Cumulative College GPA We use the cumulative college-level GPA for admission purposes (some community college transcripts calculate the GPA for pre-college level courses as well, and we do not consider this). The GPA must be on the 4.0 scale and can generally be found in a summary section at the bottom of each college transcript. If the student attended more than one college, you will need to calculate their cumulative GPA (however, if the student never got below a 2.0 GPA at any college, you can be sure that their cumulative will meet admission requirements and do not have to calculate). Do this by dividing the total quality/gpa points by the total quality/gpa credits. Be sure to translate all these credit totals consistently (i.e. all quarter credits or all semester credits). 5
6 College English and Math Courses If a student applies with 40 or more college credits, we look for courses demonstrating preparation for college level English and Math for admission purposes. College courses are displayed on the college transcript(s) in the student s hard copy file. Cumulative High School GPA If a student applies with less than 40 college credits, we use the un-weighted cumulative GPA for admission purposes. The GPA must be on the 4.0 scale and can generally be found on each student s high school transcript. If there is no un-weighted cumulative GPA on the 4.0 scale printed on the transcript, you will need to calculate the GPA and make a note of it on the transcript. SAT/ACT Scores If a student applies with less than 40 college credits, we use either the SAT or ACT score for admission purposes. Standardized test scores can be viewed on the SOATEST form. If no test scores exist on Banner, check the student s hard copy file. There may be a test score sheet, or the test scores may be printed on the high school transcript (check carefully front and back). If you do find test scores that can be entered on SIS, please enter them (see transcript data entry procedures for more details). High School Core Courses If a student applies with less than 40 college credits, we consider the high school core course minimums defined by the HECB for admission purposes. High school core courses are displayed on the high school transcript in the student s hard copy file. GED Scores If a student applies with less than 40 college credits, we can consider GED scores for admission purposes. GED scores are displayed on the GED score report in the student s hard copy file. Admission Index If a student applies with less than 40 college credits, we calculate the admission index using the student s cumulative, un-weighted, 4.0-scale High School GPA and their highest composite SAT or ACT score. Use the admission index tables to locate a student s test score. Within this test score column, find the student s GPA and corresponding admission index. Data Entry and Workflow for Initial Admission Decision Admit If a transfer student is admissible, perform data entry depending on their student type according to the Banner admission decision procedures (Ban_Admit_Deny_Confirm_Entry.doc). 6
7 After completing the data entry for the admit decision, 1. Write Admit, the current date, and your initials at the top of the student s application. 2. Go to SPACMNT. Check the file back out to the processing area (see instructions on Checking Out Student Files) and file it there as soon as possible (you may place your returned files in the filebacks bucket rather than filing them all individually). Deny If a transfer student is not admissible to EWU and has not submitted documentation for Comprehensive Review, perform data entry depending on their deny type according to the Banner admission decision procedures (Ban_Admit_Deny_Confirm_Entry.doc). Here is a list of deny types: Initial: Students who are above 40 college credits, or have a 2.0 high school GPA and are 6 or less semesters core deficient if they have below 40 college credits, will be initially denied admission if they have not submitted documentation for the comprehensive review program. State Deny: Students who are below a 2.0 high school GPA and more than 6 semesters core deficient will be denied admission with no opportunity to appeal. After Comprehensive Review: Students who have been initially denied (not State denied) can request review by the Comprehensive Review Committee. The committee can then uphold the deny decision. After Appeal Interview: Students who have been denied initially and by the Comprehensive Review Committee can request an appeal interview. The interview team can then uphold the deny decision. After completing the data entry for the deny decision, 1. Write Deny, the current date, and your initials at the top of the student s application. 2. Go to SPACMNT. Check the file back out to the processing area (see instructions on Checking Out Student Files) and file it there as soon as possible (you may place your returned files in the filebacks bucket rather than filing them all individually).
