1 What Operating System (OS) do I have? Click once on the Apple apple menu in the upper left corner on your desktop Click on About this Mac - information is displayed such as the Processor speed and the amount of Memory that is installed Clicking on More info will open System Profiler and give you detailed information about your computer. Understanding the Finder The Finder is represented by a blue smiling face icon on the Dock, clicking the Finder icon on the Dock brings the Finder to the foreground and the menu bar changes to represent the Finder application is active. You can also click any where on a blank space on your desktop to make the Finder menu active. The Finder helps you organize and view items on your computer including folders, files, applications, CDs, DVDs and external devices such as USB drives. Finder preferences let you choose what icons show on your desktop such as USB drives, connected servers, DVDs, CDs, configure file labels, and the information that appears in the Finder window sidebar. To open Finder preferences, click on Finder, choose Preferences 1 3 To open a Finder window From the Finder menu bar click on File New Finder Window Sample of a Finder Window 1. 2 MANAGING AND ORGANIZING FILES To move folders or files from one location to another using two Finder windows From the Finder menu bar select File New Finder Window (do this twice) Arrange the two windows side- by- side as in the example below. COLUMN VIEW 1 2 This example above shows how to move an item on your Desktop to your Documents folder using the Column view. 1. On the left Finder window (1), click on the Desktop icon on the Sidebar locate the file or folder to be moved 2. On the right Finder window (2), click on the Documents icon on the Sidebar 3. Click and drag the file or folder you want to move to the destination folder - the destination folder will be highlighted when selected once you have selected your folder drop the file. If you want to move a folder or file from your desktop directly to your documents folder, with the two Finder windows open, as shown above, drag the file from the desktop and drop it on the Documents icon on the Sidebar. Note: if your Documents folder is on your Dock, you can also drag and drop the file or folder over the Documents folder on the Dock. To copy a file from one Finder window to another To keep an item in its original location and put a copy in a new folder, hold down the Option key while you drag the item to the new location. To create a new Folder in a Finder window From the Finder menu select - File New Folder a new untitled folder appears. The text box is already highlighted so just start typing to name your new folder You can also create a New Folder by selecting the Action menu on the toolbar To add an icon the Finder toolbar Click on View, Customize Toolbar Select an icon, drag it to the toolbar, Click Done

3 Assigning Colored Labels for Files or Folders and Removing a Color from a Label To assign a colored label, click once on the file or folder, from the Finder menu select File, Label: - click on the color you want to use. To remove a colored label from file or folder Click once on the file or folder, from the Finder menu select File, Label: - and then choose x. To customize colored labels Click the desktop From the Finder menu select Finder, Preferences and click Labels Label names can be changed to a descriptive word or phrase. For example, you could select Red and type Needs Attention. To search for items by label Click the desktop Choose File, Find Choose Other from the left pop- up menu, locate File label, from the list and click OK Select the color of label you want to search for. To change the size of you icons on the Desktop Click the desktop or click on the Finder icon on the Dock Click on View, Show View Options, under Icon Size, adjust the slider Text size and Label Position can also be changed. To change View Options within a folder Open a folder, a Finder window opens Click on View, Show View Options, Note: Icon, List, Column, or Cover Flow has its own view options. The icons change as you make choices, so you can immediately see the effect of your changes. Snap to Grid (available in the Arrange by pop- up menu in icon view) makes icons align in rows and columns when you move them around. To apply your changes to every window you open, click Use as Defaults. This option does not appear if you re adjusting icons for the desktop.

4 How to use Spotlight To access Spotlight click on the Spotlight icon in the upper- right corner of your screen or press Command (apple)+space Bar and enter in what you're looking for in the search field. Enter in a folder name, file name or information within the file itself. The moment you start typing, Spotlight begins to show your results, organizing them by category including Applications, Documents, Images, and PDF Documents. The more you enter into the search field, the more refined your results will be. Once you have located your file or folder, hover your cursor over the title - information will appear giving you the location of the item you are searching for. You can open the item within Spotlight by clicking on it in the list. For Operating 10.7 or higher, hover your cursor over the name of the file or folder, hold down the Option and Command keys to reveal the location. To search for metadata attributes such as a Word documents or PDFs, For Word documents, in the Search field, type in kind:word to reveal all Word documents, at the top of the list, select, Show All For PDFs, in the Search field, type in kind:pdf to reveal all pdf files, at the top of the list, select, Show All Use Spotlight as a Calculator Click on the Calculator icon to open it. Use Spotlight as a Dictionary Hover your mouse over the Definition to reveal the complete definition. Click on the Dictionary icon to open it. Customizing the Dock Click on the Apple apple menu, Dock, Dock Preferences Choose the options you want. Close the Window. To add an item to the Dock: To add an application, drag its icon to the Dock, and drop it to the left of the Dock s separator line. Or, if the application is open, Right- click its icon in the Dock and choose Options > Keep in Dock from the pop- up menu. To add a folder, drag it to the right of the separator line. If your Dock is on the Left or Right of the monitor, applications go above the separator line, folder go below the separator line. When you drag an item to the Dock, an alias to the item is placed in the Dock. The original item is not moved. To remove an item from the Dock: Control key + click or place two fingers on the Trackpad and click its icon in the Dock and choose Options > Remove From Dock from the pop- up menu. Only the alias to the item is removed from the Dock; the item itself is not affected. Removing an item from the Dock does not remove it from your computer.

5 Right- click an open application in the Dock to see other options available. Changing Trackpad options Click on the Apple menu >System Preferences >under Hardware click on Trackpad PDF s and Fillable Forms pdf forms must be completed using Adobe Reader do not attempt to fill out the form with the application Preview if Preview opens, close the file and open it with Adobe Reader (right- click on the file name from the dropdown menu - select Open With select Adobe Reader ) SERVER Connecting to the Heartland Server sharing a file or folder. From the Finder menu bar select Go Connect to Server Heartland Server Address: afp://aeaserver.aea11.k12.ia.us Login with your user name and password If you are sharing a file or folder with another staff member, choose Staff from the selection Locate the name of the staff member you wish to share the document with Open the staff member s folder Locate the Public folder and open it Drop the file in their Dropbox - a warning message will appear You can put items in the Dropbox put not able to see them. Do you want to continue? Click OK to drop the items in the Dropbox. Do not share or store large files such as pictures or videos on the server. Moving files from your Dropbox on the Server to your computer If you need to move a file from your Dropbox to your computer Login to the Heartland Server Choose Your Name from the list Open your Public folder Open your Dropbox folder Locate the file and drag it to your desired location on your computer You can also right- click on the file or folder select Copy from the drop- down menu then past it to the desired location on your computer. Backing up files to a USB drive and To check the amount of space left on your flash drive right- click on the icon select Get Info a window will display the capacity of the drive and the available space. You can also check the size of your files and folders by right- clicking on the item and selecting Get Info. Backing Up Insert the USB flash drive into the USB port on the computer The flash drive icon will appear on the desktop Locate the files or folders you wish to backup drag and drop the selected files onto the flash drive icon To remove the flash drive drag the flash drive icon to the Trash (Trash icon will change to an Eject icon) or right- click on the icon and select Eject name of flash drive.

6 Keyboard Shortcuts - note Command is known as the Apple key (apple) right- click control key + click or place two fingers on the Trackpad and click Quick Look click once on the file and tap the space bar (OS 10.5 and above) Rotate between multiple files open within an application - Command + ` (tilde/accent) key this is the key to the left of the #1 key. Stored location of an Open file Command+click on the title of the open file Open file refers to a file opened in an application such as Word, Reader and so on. Selecting multiple items in a List/Column view Holding down the Shift key will capture all items between your first selection and your last selection. Holding down the Command key will allow you to select multiple items between items
