3 Snap 9 Professional Online Survey Overview Snap offers a number of online interviewing and analysis functions: Publish Questionnaires. Questionnaires are designed using Snap 9 Professional installed on a Windows computer. Snap Online includes ready made Style Templates for different forms of questionnaire design and publication. Also included are pre devised color schemes to give impact to the completed questionnaire. Invite Respondents. Snap Online includes the ability to send e mail invites and reminders to potential respondents. It can also be used to send invitations and reminders according to a predetermined schedule, to allow potential respondents to unsubscribe, and to ensure that each respondent is only able to complete the questionnaire once. Deliver Questionnaires. The Snap Online Questionnaire Management system provides respondent login facilities, options to seed questionnaires with respondent specific data from a database, apply and manage sample quotas, and control all dynamic aspects of the interview. Collect Data. As respondents complete the questionnaire, their replies may be returned to the researcher and are immediately available for analysis. The data import options within Snap Online enable replies to be retrieved from respondents anywhere in the world, and with no keying required. Analyze Results. Build any number of tables and charts using Snap 9 Professional on your desktop or laptop PC and publish them as HTML documents for uploading on any web server. In addition, responses can be directed to Snap Online Analysis and are available for immediate analysis, through a standard web browser interface, by anyone you give log in access to. Choosing between Snap Online, HTML and Framed HTML Questionnaires Web questionnaires created through Snap 9 Professional fall into two categories: HTML and Snap Online questionnaires. Both types of Web questionnaires provide the ability to format text and insert images. There are functional and operational differences in the three forms of publishing web questionnaires. If your requirements change during the course of questionnaire specification, you can use the questionnaire property settings to change the method of publication at any time. Use the following to help you decide which one is appropriate for your particular requirements: Choose Snap Online if You want to harness the full power of Snap web questionnaires Choose HTML if Your requirements are met by the set of features available AND your questionnaire is not overly long (say under 50 questions) OR if You want to deliver the questionnaire from a stand alone website or via a Content Management System (CMS). Choose Framed HTML if You want to maintain compatibility with earlier versions of Snap. NOTE: It is not recommended to use the HTML type due to an increased security risk associated with the method used for data collection. 1 Miami s Survey Solutions

4 Snap 9 Professional Online Survey Overview (continued) This guide will walk you through creating a Web: Snap Online edition of an existing Paper: Keyed questionnaire. NOTE: This guide will not include information related to building an HTML type of questionnaire. Launching the Snap 9 Professional Desktop Application After installation on your Windows computer, the Snap 9 Professional group will appear in your All Programs list and as a shortcut on the desktop. 1. From the Start menu, select All Program, Snap 9, and then click on Snap 9 Professional. NOTE: If you prefer you can click the Snap 9 Professional shortcut ( ) on your desktop. 2. The following Survey Overview screen will appear listing all your surveys: TIP: In Snap, a Variable is equivalent to a question on the questionnaire or a field in a database. A Case is the collective term for the response given to all questions by (or for) one respondent. Miami s Survey Solutions 2

5 Snap 9 Professional Online Survey Overview (continued) Accessing Help You can access Help option at any point while using Snap. This option provides detailed instructions for using Snap s features. 1. From Snap s main application menu, click on the Help menu and then select Contents. NOTE: If you prefer to use keyboard shortcuts, you can press F1 to access the Help facility. 2. The Help facility, displayed to the right, will appear. 3. To close the Help facility and return to Snap, select Exit from the Help facility s menu. Exiting Snap Be sure to always save your changes before exiting Snap. 1. From Snap s main application menu, select the File menu. 2. Select Exit. NOTE: If you prefer to use keyboard shortcuts, you can press Alt+F4. 3 Miami s Survey Solutions

6 Creating an Online Survey Open an Existing Questionnaire 1. From the Survey Overview menu, double click on the name of an existing questionnaire. The Survey Details dialog box for the selected questionnaire will appear as shown to the right. 2. Click OK. 3. You may see an alert box that asks to change the questionnaire size to match your printer. Click Yes to proceed. 4. The Questionnaire window, similar to the following, opens in Design Mode. In the above example a tab labeled Paper: Keyed is visible at the bottom of the window. Note: In this example, we have a Paper: Keyed edition available. You can create a Web: Snap Online edition from either a Paper: Keyed or Paper: Scanning edition. Be aware that signification changes may need to be made to the resulting Web: Snap Online edition due to the added features the Web: Snap Online edition provides. Miami s Survey Solutions 4

7 Creating an Online Survey (continued) Create the Web: Snap Online Edition 1. From the File menu, select Editions. The Editions and Style Templates dialog box appears as shown to the right. 2. Click New. The following New Survey Edition dialog box opens. 3. From the first Publication Medium drop down menu, select Web. 4. Select Snap Online from the second drop down menu. 5. Click OK. 6. Click OK in the Editions and Style Templates dialog box. 7. The Questionnaire Design Mode screen now contains two tabs; Paper: Keyed and Web: Snap Online. 8. Prepare the Web: Snap Online edition by editing question design such as: Adding page breaks. Use drop down lists for Multi Choice style questions. Format questions as Required where needed for Branching and/or Conditions. Add routing (branching and/or conditions). Etc. 9. Save your changes by clicking the Save icon ( ) on the main application toolbar. 5 Miami s Survey Solutions

8 Previewing and Testing the Online Questionnaire When you have your Web: Snap Online questionnaire ready for uploading to the Web, you will want to preview and test your online questionnaire. 1. From the File menu, select Publish. The Publish Questionnaire window opens, shown to the right. 2. In the Section panel, select Output if not already selected. The Output settings will appear in the righthand panel. 3. From the Method drop down menu, select Publish with preview. 4. Click the Browse icon ( ) next to the Path field and navigate to the location where you wish to save the preview files. 5. Click Publish. The questionnaire will appear in a Web browser similar to the following 6. You can click through the pages to test your questionnaire. 7. 9 Using the Database Linkage Wizard In order to include a mailing list of respondents, you will first need to create the list within an external application such as Excel. You will then use the Database Linkage Wizard within Snap 9 Professional to: create a link to the external file containing your respondents complete the invitation and reminder e mail messages insert a link in your e mail invitation for your questionnaire via a Survey Location field NOTE: At a minimum, the external file will need to contain the e mail address for each respondent. Example: Linking to the Responents List The Database Linkage Wizard enables you to link to a database file and build the e mail invitation message. 1. With your Web: Snap Online questionnaire open in Snap 9 Professional, click the Data Entry icon ( ) on the main application toolbar. 2. From the File menu, select the Database link to open the Database Linkage window shown to the right. 3. In the Database Linkage window, click New to launch the Database Linkage Wizard. NOTE: Database links that you have available for this questionnaire will be listed here. You can also use these steps to modify an existing database link. 7 Miami s Survey Solutions

10 Using the Database Linkage Wizard (continued) Linking to the Responents List (continued) 4. In the Database Linkage Wizard, select Online Survey for Linkage Type and click Next. 5. In the Database Linkage Wizard shown to the right, click Select Database File in the Select Database area 6. Navigate to the file containing your respondents list and then click Open. Note: Snap automatically populates the Select the Table to use field. If necessary, use the drop down menu to choose a different page in your file. 7. Click Next. Your link has been created. 11 Using the Database Linkage Wizard (continued) In the next portion of the Database Linkage Wizard, you will select e mail options for your online questionnaire. Creating the Message 1. Check Send Invites in the dialog box shown to the right and then click Next. A blank e mail template opens. 2. From the address field drop down menu, select the field in the external file that includes the e mail addresses for the respondents. 3. Add the subject text in the subject and text field. 4. Click in the message area to build the message. You can personalize your message by using the Insert and select Database field options to add the respondent s name from the external file, if available. 5. Click the Insert option and select Survey Location to add the field that will later include the URL for your questionnaire. NOTE: When the survey is uploaded to Snap Online, the URL to your questionnaire will automatically be inserted into the e mail invitations within the Survey Location field. 6. Click the Reminder tab and edit as needed. NOTE: Both the invitation and the reminder can also be edited within Snap Online after uploading the questionnaire. 7. Click Next. The summary screen opens, shown to the right. 8. In the Name field, enter a unique name for easy retrieval later. 9. If everything is in order, click Finish. NOTE: If you have previously linked to other databases, you may be prompted to select one. If so, ensure that the correct database is highlighted. 10. 12 Publishing Your Questionnaire The following instructions will walk you through the steps for publishing your questionnaire. You will use the options within Snap 9 Professional to create the files required for uploading your questionnaire to Snap Online and choose options that affect the functionality and appearance of the questionnaire. Preparing the Questionnaire for Uploading to Snap Online Output Settings The Output section sets the file names and their location for the questionnaire. 1. Be sure that your questionnaire is in Questionnaire Design Mode by clicking the Questionnaire icon ( ) on the main toolbar. 2. From the File menu, select Publish. The Publish Questionnaire window opens shown to the right. 3. In the Section panel, select Output. The Output settings will appear in the right hand panel. 4. From the Method drop down menu, select Publish without preview. 5. Click the Browse icon ( ) next to the Path field and navigate to the location where you wish to save the published files. NOTE: Do not press Publish until you have selected the settings for all of the options. Note: Be sure to take note as to where these files are saved. You will need to browse to their location for uploading to Snap Online. Replies Settings The Replies section specifies how and where the replies (responses) to the Snap Online questionnaire will be sent. 1. Click Replies in the Section panel. Use the scroll bar if needed. 2. De select replies if selected. Note: Do not use the replies option in the Replies settings area. This will result in an e mail message containing the questionnaire responses being sent to you every time someone responds to your survey. This option will also disable the ability to import the data files from Snap Online into Snap 9 Professional. 3. Select Write to file in the Replies settings area if not already selected. 4. If you wish to have a specific Web page appear after a respondent has completed the survey, enter the URL in the Web Page after Submitting field. For example, you may want to customize the Thank you page. Miami s Survey Solutions 10

13 Publishing Your Questionnaire (continued) Layout Settings The Layout section includes options that allow you to include items such as a divider, progress bar or a logo. 1. Click Layout in the Section panel. Use the scroll bar if needed. 2. Clicking on any of the Other Components options will show the current settings for that particular option. 3. Select the desired options to be used within your survey. Ensure that the checkbox beside Use in survey is checked for any options you wish to add. Button Settings In this section you may specify which navigational buttons will appear in your survey, how they will be labeled, and customize their appearance. 1. Scroll down in the Section panel and click Buttons. 2. In the Buttons settings area, select the desired options to be used within your Snap Online survey and select Use in survey. Data Link Settings The Data Link section is used to identify which database link is to be used for respondent logins, optional seed data and optional invites and reminders. 1. Scroll down in the Section panel and select Data link. 2. Click the down arrow next to the Database link field and select the database link that includes the list of respondents. 3. After you are satisfied with the settings for your Snap Online questionnaire, click Publish. NOTE: A.zip file containing all the files required for the Web will be saved to the location included in the Output settings area. 4. When this process finishes, you can exit Snap 9 Professional. 11 Miami s Survey Solutions

14 Uploading a Survey to Snap Online Snap Online provides a location for data collection. From here, you activate your survey, view its status, and perform data analysis. 1. Log in to Snap Online (/snaponline). 2. In the upper right portion of the page, click Upload a New Project. 3. In the Upload new survey screen shown to the right, click Browse and navigate to the.zip file containing your Snap Online questionnaire. 4. Next, select Zip Archive (zip) from the Upload Type: drop down menu. 5. Click Upload Archive. 6. A confirmation message appears. Click Close to return to Snap Online. 7. Your questionnaire now appears in the list of your Snap Online surveys. By default, surveys are list in alphabetical order by Name. Miami s Survey Solutions 12

15 Navigating the Interviews Panel The Interviews Panel contains many useful options, some of which will be operative only after the survey has been activated. For this tutorial, we will cover only a few simple choices. 1. In the Surveys list, click the name of your questionnaire. The following survey Summary screen will appear where you can test the survey, start the survey, and view the status of the survey: 2. Click the Messages tab. From here you can edit, delete, test, or create new e mail messages. 3. Click the Settings tab to choose the start and end dates, enter contact information and select specific settings for your questionnaire. 4. When you are satisfied with all settings, return to the Summary tab and click Start Survey Now. 5. Click OK when the confirmation alert asks if you wish to start the project. Your e mail invites will be sent automatically. Use the Summary tab to periodically check the ongoing status of the survey. 13 Miami s Survey Solutions

16 Downloading Snap Online Responses As respondents complete the questionnaire, responses are stored on the server. You will need to periodically download the responses for analysis to Snap 9 Professional on your desktop. The following steps will walk you through the process for downloading the responses and then importing them in to Snap 9 Professional. 1. Access your questionnaire via Snap Online. 2. In the Interviews screen, click on the Summary tab. 3. Click the Download Completes. This option will only include responses not previously downloaded. NOTE: If the link is not available, there are no responses to be downloaded. 4. A dialog box appears requesting confirmation from you. Be sure to select the Save to Disk option and then click OK. 5. Navigate to the location where you wish to have the file saved and save the file containing the Snap Online responses. NOTE: A survey data storage server is available for storing all survey data resulting from surveys conducted using the Snap survey tool. Please consult IT Help at for details. 6. You can now use the file for importing into Snap 9 Professional on your desktop or use other applications for data analysis. Miami s Survey Solutions 14

17 Importing Snap Online Responses to Snap 9 Professional Snap 9 Professional provides the option to import responses downloaded from Snap Online. If you have an existing survey that has multiple methods for distribution, for example paper and online, you will want to combine the responses for reporting and analysis. The following steps will walk you through the process for importing the responses to Snap 9 Professional. 1. Launch Snap 9 Professional on your desktop. 2. In the Survey Overview screen, select the questionnaire. 3. Click the Data Entry icon ( ) on the main toolbar. 4. From the File menu, select Import. 5. In the Data Import dialog box, select MAIL format from text files from the Format drop down menu. 6. Use the Browse option in the Source area to navigate to the file containing your responses (.txt). NOTE: When browsing for your.txt file, you may need to choose All Files from the Files of type: menu to reveal the.txt files. 7. Select your file and click Open. 8. In the Data Import dialog box, click OK. 9. The Folder Scan Results alert will appear providing you with the total number of files that will be imported. Click OK. 10. The Import alert will appear listing the number of Cases imported, click Done. 11. You can use the Data Entry screen in Snap 9 Professional to review the responses included in each Case. 15 Miami s Survey Solutions

18 Analyzing Data Snap enables you to analyze data in several ways. This tutorial covers importing downloaded data from Snap Online into Snap 9 Professional and viewing it in the form of tables and charts. Create a Frequency Table Frequency tables are the quickest and easiest method of tabulating single questions, e.g. calculating percentages, filtering results to look at subsets of data and applying scores to results. 1. From the Survey Overview window, open your survey, if it is not already open. 2. On the main toolbar, click on the Results Table icon ( ) to create a table. The Results Definition dialog box appears. 3. In the Analysis field, type a question number (for example, Q2). The Label field now contains the text {ANALYSIS} which will give the table the same name as Question 2. The Style field has automatically applied a style for the table, in this case Default.tsf. The Calculate field shows Counts & Percents by default. 4. In the Options section, ensure that Absolute Values (how many cases fall into each category) and Base Percents (i.e. total number of respondents) are selected. 5. Click OK to build the table. It will look similar to the example at right. 6. Save the table by clicking the Save icon ( ) in the table window. Snap automatically applies a prefix to the name of the question. Accessing Saved Results Tables and Charts 1. From the Questionnaire menu, click the Results icon ( ). The following Results window appears displaying the saved tables and charts. 2. To view a table or chart, click the Properties icon ( ) on the Results toolbar. 3. Click the Print icon ( ) to print a table or chart. Miami s Survey Solutions 16

19 Analyzing Data (continued) Produce a Bar Chart Snap incorporates a range of 2 and 3 dimensional charts: bar, pie, line, area, step and doughnut charts, to name a few. These can be printed directly or incorporated within a report. 1. From the Survey Overview window, open your survey, if it is not already open. 2. On the main toolbar, click the Results Chart icon ( ). The Results Definition window appears. 3. In the Analysis field, type a question number, for example, Q1. 4. The Label field now contains the text {ANALYSIS} which will give the table the same name as Question The Form field is set to Chart. 6. The Style field has automatically applied a style for the chart, in this case Bar 3D. You can choose different chart types from this menu. 7. The Calculate field shows Counts & Percents by default 8. Click OK to build the chart. It will look similar to the example at right. 9. Save the chart by clicking the Keep Changes icon ( ) on the chart s window toolbar. 20 Printing a Report The output of the report will depend on the current mode: In Design or Style modes, a blank questionnaire will be printed. In Data View mode a questionnaire will be produced showing either Absolute or Percentages for each question on the questionnaire. If the current mode is Data View then the report will either be for each selected data case in the survey or for an absolute or percentage summary count, depending on whether Case Data or Counts is selected in the questionnaire window. 1. From the Survey Overview Window, open your survey. 2. Create or open your report and then click the Print icon ( ) on the report window. 3.
