1 How To Share Calendar in MS Outlook 2007 This manual shows how - To share your calendar with others - To stop sharing your calendar - To see another person s calendar - To remove another person s calendar from your calendars list - To see your permissions on another person s shared calendar - To change a permission level of a person on your shared calendar In Microsoft Office Outlook 2007 or Outlook 2003, you can make your calendar visible to others and view others calendars. To share your calendar with others 1. In the Office Outlook 2007 navigation pane, click Calendar, and then click Share My Calendar in the left navigation pane.

In the sharing invitation message, in the To box, do one of the following: o Type the name of the person with whom you want to share your calendar. o Click To to select names from the Address Book. To request a shared view of your recipient s calendar, select the Request permission to view recipient's Calendar check box.
3 3. Click Send.
4 4. In the Microsoft Office Outlook dialog box, click Yes.
5 5. In the Microsoft Office Outlook dialog box, click OK.
6 6. If you requested a shared view of your recipient s calendar, you will receive a message from the recipient as soon as the recipient accepts the request. Click the Open this Calendar button to see the recipient s calendar.
7 7. The screen below shows yours and the recipient s calendar. To go back to see your s click the Mail button on the left pane. Note: If you do not want to share everything on your calendar, create a duplicate calendar and move your private items to the duplicate calendar. For information about how to create a second calendar, see the topic Create additional calendars in Office Outlook 2007 Help.
8 8. The screen below shows Inbox.
9 To stop sharing your calendar 1. In the Office Outlook 2007 navigation pane, click Calendar.
10 2. Under My Calendars, right-click the calendar that you are sharing, and then click Change Sharing Permissions.
11 3. In the Calendar Properties dialog box, on the Permissions tab, click the user name of the person with whom you want to stop sharing.
12 4. Click Remove, and then click OK.
13 To see another person s calendar 1. After you have received permission to view another person s calendar, the calendar should appear in the Calendar navigation pane under People s Calendars. Select the calendar check box to open it. If the calendar is not listed, follow the remaining steps.
14 2. In the Office Outlook 2007 navigation pane, click Calendar, and then click Open a Shared Calendar.
15 3. In the Open a Shared Calendar dialog box, in the Name box, do one of the following: o Type the person s name. o Click Name to select it from the Address Book.
16 4. Click OK.
17 5. The person s calendar appears side by side with your main calendar.
18 To remove another person s calendar from your calendars list 1. In the Office Outlook 2007 navigation pane, click Calendar.
19 2. In the calendar pane, under People s Calendars, right-click the person s name, and then click Delete <person s name>. Note: Removing the shared calendar does not remove your permission to view the calendar. You can add the calendar again if you still have permission to view the calendar.
20 To see your permissions on another person s shared calendar 1. In the Office Outlook 2007 navigation pane, click Calendar.
21 2. In the Calendar pane, under People s Calendars, right-click a person s name, and then click Properties.
22 3. In the Calendar Properties dialog box, click the Summary tab to see your permissions for that person's calendar. Note: Permissions can only be changed by the calendar owner.
23 To change a permission level of a person on your shared calendar 1. In the Office Outlook 2007 navigation pane, click Calendar.
24 2. Under My Calendars, right-click the calendar that you are sharing, and then click Change Sharing Permissions.
25 3. In the Calendar Properties dialog box, on the Permissions tab, click the user name of the person that you want to change permission.
26 4. In the Calendar Properties dialog box, under the Permissions section, click the drop-down arrow and choose the permission level (i.e., Editor). Click OK to save the settings. Note: Each permission level has its own specific permission settings under the Read and Write sections. Before assigning a permission level to a user carefully review the permissions under the Read and Write sections to avoid undesirable results.
