1 The Pat Cosh Trust Fund Grant Funding Scheme Guidelines and Instructions for Applicants September 2015 Introduction The purpose of this document is to provide advice to applicants to assist in the completion and submission of applications for grants under The Pat Cosh Trust Fund. Purpose The Pat Cosh Trust was established in The purpose of the Trust is the public charitable purpose of the advancement of education of practitioners and students of physiotherapy located, working or residing in Victoria by: initiating and supporting programs which improve practitioners and students of physiotherapy s ability to practice; and funding research to improve the standard of education of practitioners and students of physiotherapy Objectives The Pat Cosh Trust will call for applications for projects or research consistent with the purpose of the Trust. Grants will not be awarded for individual scholarships or conference attendance. This year applications for grants up to the value of $20,000 (Incl GST) will be considered, from a total pool of up to $40,000 (Incl GST) Process and Information for Applicants At the beginning of each financial year, the Trust will review the level of funding available to fund projects or research, consistent with the purpose of the Trust. A call for applications will be made in September of each year. This year (2015), Applications will close at 5pm on Wednesday 4 November Applications must be received by close of business on this date The Trust will notify each applicant that their application has been received Applications close at 5pm on Wednesday 04 November 2015 All applicants will be notified in writing of the final decision regarding their application. The Trust will assess the merits of all applications. Grants will be awarded against the Trust s stated purpose and criteria stated in Appendix 1. Upon completion, the Trust expects successful applicants will submit their work for publication and /or presentation in appropriate professional forums. 1 of 7

2 Eligibility Grants may be made to individuals or groups. The Project Lead or Chief Investigator must be registered with the Physiotherapy Board of Australia. The type of grant must either: support a discrete project which may or may not be a component of a larger study or support a research project which has obtained, or is in the process of obtaining, ethics approval from all relevant authorities. The project or research must be completed within 12 months of the grant being awarded. Applications Applications for grants from the Pat Cosh Trust Fund must be made using the Pat Cosh Trust Grant Application Form Applications must comply with The Guidelines and contain all information relevant to the assessment of the project and the applicant(s) ability to carry out the work. Applications must be made on the Pat Cosh Trust Application Form The signed Application form may be scanned and returned via to patcoshtrust@physiotherapy.asn.au Guidelines 1. Title (maximum 190 characters approx. 25 words) Provide a short descriptive title that accurately describes the project or research. 2. Executive Summary (maximum 1500 characters approx. 200 words) Summarise the project or research question, significance and plan in relation to the purpose of the Trust. 3. Aims and Significance (maximum 3750 characters approx. 500 words) Clearly state the aims of the project or research, why it warrants support and how it relates to the purpose of the Trust. 4. Plan and Methods (maximum 3750 characters approx. 500 words) State how the project or research aims will be achieved. Include details regarding the methodology that will be used and a timeline stating the date on which the project will commence and the anticipated key milestone dates to completion. Reference must be made if this project is part of a larger study. 5. Outcomes (maximum 1875 characters approx. 250 words) Describe how the results from your project or research could be used to meet the purposes of the Trust. That is: improve practitioners and students of physiotherapy s ability to practice; and/or improve the standard of education of practitioners and students of physiotherapy 2 of 7

3 6. Budget and Invoicing (maximum 750 characters approx. 100 words per milestone ) The entire funding will not be issued at the commencement of the project or research. The budget must be aligned with the key milestones outlined in Guideline 4, Plan and Methods, with a request for funding at each stage (maximum 4). No more than 100 words per milestone. A report on progress against key milestones must be submitted with each invoice. The final invoice will not be paid until the final key milestone report is received by the Trust. Funding will not be provided to cover organisational, administrative or overhead recoveries. Provide details for each item of expenditure, justify their need and the basis on which they have been calculated. Use the following headings: Personnel: include appropriate salary scale and on costs Equipment: the cost associated with purchasing equipment necessary to undertake the project or research Consumables: material items to be used, such as paper, phone, postage Travel: funds may be allocated to support the costs of participating in the project or research. 7. Details of Project Lead or Chief Investigator and Key Personnel Provide the title, name, organisation, role and contact details of the Project Lead or Chief Investigator for this application. The Project Lead or Chief Investigator must be registered with the Physiotherapy Board of Australia. Also provide the name, qualifications and role for any key personnel. 8. Qualifications of the Project Lead or Chief Investigator (max 1125 characters approx.150 words per section) Provide concisely the qualifications, skills, conference presentations, most relevant academic publications and recent relevant experience of the Project Lead or Chief Investigator. 9. Ethical Application For research involving humans and animals, ethical approval from an appropriate body has been gained. Confirmation of this approval must be supplied to the Pat Cosh Trust prior to receiving funding. 10. Certification The Project Lead or Chief Investigator must sign the application to certify that all details provided are correct. The signed Application form may be scanned and returned via to patcoshtrust@physiotherapy.asn.au 3 of 7

4 Assessment The selection of grant recipients will be characterised by considerations of fairness, equity, and transparency in the decision making process. Applications will be assessed according to predetermined, published standards and criteria. All applications will be assessed by the Trust against these standards. The decision made by the Trust will be final and no correspondence will be entered into. Applications are assessed according to the following 4 standards (refer Appendix 1, below): 1. The project or research is relevant to the specified purpose of the Trust 2. The project or research plans demonstrate and support excellence 3. The Project Lead or Chief Investigator has a demonstrated track record of successful completion of projects or research 4. The budget and its administration is sufficient to support the achievement of the proposed project or research. Conditions of Funding Legal agreement Successful applicants are required to sign a formal agreement (referred to as the Agreement) and provide evidence that ethical approval if required, has been gained. Research Ethics Research is to comply with the National Health and Medical Research Council (NHMRC) codes and the National Statement on Ethical Conduct in Research Involving Humans (1999). Where ethics approval is in process, the approval must be obtained prior to the distributing of the initial grant funds. Payment The amount awarded for a project is the final amount and no additional funds will be provided. The grant is inclusive of GST. All payments will be made to the relevant administering organisation, usually affiliated with the Project Lead or Chief Investigator, via electronic funds transfer. Successful applicants will be required to provide appropriate EFT details. Recipients will receive funding at key milestones as set out in section 6 of the application. The Project Lead or Chief Investigator is accountable for the utilisation of these funds. Equipment Title to any equipment purchased with grant funds is vested in the administering organisation. Communication / Acknowledgement The Trust attaches importance to the publication of the results of project or research undertaken with the assistance of a grant. Any publicity or publications resulting from funded project or research will be in accordance with the Agreement and will acknowledge the support of the Pat Cosh Trust. A copy of publications must be forwarded to the Trust, and the Trust notified of conference presentations, workshops and other forms of communication regarding the funded project or research. Official wording to be used for all publications / promotions This research / project received funding from the Pat Cosh Trust. The Pat Cosh Trust was established in 2010 with funds bequeathed by the former Physiotherapy Board of Victoria for the purpose of advancing education of all Victorian physiotherapists. 4 of 7

5 Reporting The successful applicants will be required to provide the following documentation: a progress report at each milestone together with the invoice for next payment a project certification at completion that the funds allocated have been used for the purpose they were provided and a final report at the conclusion of the project or research detailing the outcomes. Privacy and Confidentiality The Pat Cosh Trust is committed to protecting the privacy, confidentiality and security of personal information provided by the applicant. 6 Application Assessment Criteria- Appendix 1 Standard 1: The project or research is relevant to the purpose of the Trust The goal, potential significance and expected benefits to practitioners and / or students of physiotherapy are demonstrated demonstrates the need, the relevance, and the significance of the project or research to practitioners and students of physiotherapy s ability to practice; and /or improve the standard of education of practitioners and students of physiotherapy Standard 2: The project or research plan demonstrates and supports excellence a) Literature review relevant literature identified and reviewed b) Aim(s)/ hypotheses/ questions/ expected outcomes are: realistic and relevant clearly and concisely documented c) Project or research design: clearly describes the proposed method demonstrates sound project or research principles addresses the aim(s)/ hypotheses/ questions/ expected outcomes describes the data collection method and demonstrates its appropriateness explains the data analysis method clearly and demonstrates the relationship to the aim(s)/ hypotheses/ questions/ expected outcomes demonstrates that the timeframe is appropriate and achievable d) Any ethical implications are clearly identified and ethical clearance has been gained as appropriate e) Dissemination strategies are specified and their appropriateness to the project or research topic is demonstrated Standard 3: The Project Lead or Chief Investigator has the demonstrated track record of successful completion of projects or research The applicant: presents evidence of successful completion of previous projects or research, including dissemination of results (conferences, seminars, reports, journal articles) and demonstrates knowledge, skills and ability in the project management or research methods The following information could be used to address this standard: a) a summary of the team addressing the criteria b) a resume covering the last 5 years of Project Lead or Chief Investigator incorporating: current employment and work history qualifications projects and research currently and previously undertaken papers presented and articles published 6 of 7

7 Standard 4: The budget and its administration is judged sufficient to support the achievement of the proposed project or research a) Funds requested are clearly specified, are consistent with, and relevant to, the project or research design b) The key milestones are appropriate, objective and support the phased payment of the grant funds. c) The Project Lead or Chief Investigator demonstrates knowledge, skill and ability to effectively manage project or research budgets d) The budget proposed is cost effective DEADLINE: 5pm Wednesday 04 November 2015 All submissions must be received by the Pat Cosh Trust Fund by the above specified deadline. Late applications will not be accepted and no extension of the deadline will be considered.
