4 Posting Positions Employ-A-Bull is the online job search system used by USF Career Services that allows employers to post job listings, search student and alumni résumés and manage their oncampus recruiting schedule. As an employer, you can post fulltime, co-op, internship, and part-time off-campus positions in Employ-A-Bull. Accounts for employers are free and simple to create and manage. Employ- A-Bull allows you to post a position, search student resumes, send a mass to students in Employ-A-Bull and manage your on-campus interview schedule. 6 Internships Internships are work experiences which provide students with the opportunity to gain career-related skills in a real-world work setting. Internships offer the employers an opportunity to observe the intern s performance, with the possibility of future employment. Internships can be paid or unpaid and may be considered for academic credit. For an internship to count as academic credit they must be coordinated through the student s academic department, supervised by a faculty member and the student must be enrolled in a formal internship course. If it is an unpaid internship, employers must comply with all laws and pay special attention to the Department of Labor standards for unpaid internships. Career Services acts as a clearing house for advertising internships. Career Services does not administer formal internship programs nor offer academic credit for internships. Students and employers must coordinate this through the student s academic department. It is important to note that not all departments offer students internship credit.

7 Internships Unpaid For Credit Internships Employers who are seeking students to fill unpaid internships and are expecting students to receive academic credit should consider the following: Internships for credit must be coordinated through an academic department, supervised by a faculty member, and the student must be enrolled in a formal internship course. There are only a few academic departments on campus that have formal internship courses. Career Services does not administer formal internships programs nor offer academic credit for internships. Due to new legislation, many students are not able to receive credit/and or may incur financial penalties for taking credit-bearing internship classes that increase their accumulated credit hours. Unpaid Not For Credit Internships While the University prefers that all internships be paid, employers who wish to post unpaid internships must consider, as well as agree to, the following: Unpaid internships that do not meet the Department of Labor 6 prong test set forth in the Department of Labor Unpaid Internship Guidelines are considered in violation of labor laws. These guidelines can be found on the Department of Labor website. Paid For Credit Internships As stated above, for an internship to count as academic credit they must be coordinated through the student s academic department, supervised by a faculty member and the student must be enrolled in a formal internship course. If the position you are recruiting for meets the following requirements, you may want to consider Cooperative Education (Co-op) as an option: Paid, experience with a minimum of 15 hours per week that follows the academic calendar (start/end dates follow class schedule for each semester). Experience can last multiple semesters but cannot be less than one. Student will be receiving hands-on training in their field of study, therefore, the position must require knowledge of a specific area of student (cannot be recruiting for "any major"). On-site location with supervision by a professional in the student's field (not a remote assignment). Supervisor would set learning objectives with the student at the beginning of the semester and fill out a short evaluation, provided by Career Services, at the end of each semester.

8 Cooperative Education Cooperative Education (Co-op) is an educational partnership between the University and employers that allows current students to engage in paid training experience related to their major and is administered by Career Services. Co-op may be either part-time (15-34 hours per week) or full-time (35+ hours per week). Co-op is a cost-effective way to recruit from a pre-screened candidate pool and permits evaluation of potential hires without longterm commitment. Co-op may be a one or multi-semester commitment from the employer and the student. Student Testimonial Utilizing the Career Center's cooperative education program, I found a position as a Web Communications Support Student with Seminole Electric Cooperative. Through this position I gained experience in my major that I can apply to any future positions. The counselors at the Career Center were helpful and insightful when assisting me with my resume and interview skills. They are a definite factor in aiding my success in finding an internship and to my professional maturation. I'm thankful for their services. There are many benefits to participating in Co-op: Personalized assistance with recruiting efforts by the Career Services Staff Employers are able to choose from a prescreened list of candidates at the undergraduate or graduate level meeting these minimum qualifications: Minimum overall/cumulative GPA of 2.5 (3.0 graduate), good standing with the University Completion of at least 45 undergraduate semester hours of coursework Officially accepted/declared in their major (not in pre-major status) Employers will be able to establish a pipeline of highly motivated new professionals for their organization, which can help build a stronger and more capable future workforce Employers will create brand awareness for their organization on campus amongst the students that they wish to hire Co-op students from USF: Offer fresh ideas for your work environment Free-up higher-paid professionals for other assignments Are frequently hired as permanent employees Level Joseph, MIS

9 Cooperative Education Our Expectations of Employers for Co-op Provide on-the-job training for the designated training period. Supervision of daily work performance. An initial sit-down at the beginning of the term to determine 3 learning objectives for the student to accomplish during that semester Provide on-going mentoring and feedback throughout the semester Completion of a final evaluation, provided by the student, at the end of the training period that reviews the students work performance and skill development Co-op is a Time-Sensitive Process: Co-op Recruiting Timeline Below is a timeline for our Co-op Program. This needs to be followed since Co-op is a course and runs on an academic calendar. Student Work Term January April (Spring Semester) May August (Summer Semester) Ideal Time to Contact September October February March September December (Fall Semester) May - June Like what you see? Follow these steps to become a Co-op employer: 1. Register with us through Employ-A-Bull and indicate in the Co-op Education Agreement that you would like to participate (the agreement is included in your Employ-A-Bull registration). 2. Post your Co-op position via Employ-A-Bull with a position type of Co-op only. You should also include Co-op at the end of the job title. 3. The Co-op Staff will be in contact with you to assist with your recruiting efforts.

10 On-Campus Interviews (OCI) Interviewing at USF On-Campus Interviews take place in Career Services in our Interview Suites, providing you with a comfortable location that allows you to meet with many students in one visit to campus. You may interview for full-time positions, internships or co-op positions. Scheduling interviews is made easy through Employ-A-Bull. To schedule interviews just log into your account and fill out an OCI schedule request form! There are 3 types of interviews you can schedule: Pre-Select, Open and Employer Managed. Pre-Select: This interview method is used by employers who select interview candidates by pre-screening their resumes. Sign-ups are based on a structured timeline. Open: This interview method is used by employers who will interview any candidate whose qualifications match their hiring criteria. Sign-ups are based on a first-come, first-served basis. Employer Managed: This interview method is used by employers who wish to find and schedule their own interviews outside of Employ-A-Bull.

11 On-Campus Interviews (OCI) Requesting An OCI schedule via Employ-A-Bull Create a new account or log in to your existing Employ-A-Bull Account Go to the On-Campus Interviews tab Click on Room Reservations Click on Add New Reservation on the left side of the screen under Page Functions View the calendar and find which day you would like to attend, the number of rooms available will be listed on each day click Make Reservation Fill in the form and click Reserve your room is now reserved Go back to the top and click on On-Campus Interviews and New Schedule Request Fill out the Interview Schedule Information & Details form completely Click the Save & Continue button Next you will need to Assign Jobs to the schedule If you have a job(s) in the site that you want to link to the schedule, you can place a check mark in the box next to the job and then click the Save & Continue button OR Click the [Add New Job] button Fill out the Position Information and Posting Information completely and then click the Save button Make sure that the job you created has a check mark in the box next to it and then click the Save & Continue button Click the Submit Request button - Once information is verified you will receive a confirmation . Report A Hire Be sure to report the number of interviews you had, the number of offers you extended and the hires to Career Services via Employ-A-Bull or by contacting a member of the Career Services Employer Relations Team for assistance.

12 On-Campus Interviews (OCI) Pre-Select Steps This process can take a minimum of 4 weeks from completion of a schedule request to the interviewing of candidates. The following is the step-by-step process: Schedule Request form completed by employer, including linked job and hiring criteria for candidates. Position is activated in Employ-A-Bull for student viewing Position viewed and resumes submitted, by students meeting hiring criteria, for pre-selection via Employ-A-Bull Closing of interview request period - students can no longer submit resumes Selection of preferred students by employers, from submitted resumes (preselect pool), via Employ-A-Bull Notification of students selected for an interview Selection of interview time on a first-come, first-served basis by pre-selected students via Employ-A-Bull Interview conducted in Career Services office Timeline Coding for Pre-select Interviews Application Period Open the date the interview schedule is activated in Employ-A-Bull and students can submit their resume for pre-selection Application Period Closed the last date (until midnight), that candidates are able to submit their resumes, to be considered for pre-selection Interview Time Sign-Up Open the earliest date selected candidates may sign up for a time on interview schedules - on a first come, first served basis Schedule Closed the last date (until midnight), that accepted candidates may sign up for an interview time

13 On-Campus Interviews (OCI) Open Schedule Steps Open schedules allow any candidate who meets the employer s hiring criteria to sign-up for an interview schedule on a first-come, first-served basis. The process for an open schedule typically take a minimum of 2 weeks from completion of a schedule request to the interviewing of candidates. The following is the step-by-step process: Schedule Request form completed by employer, including linked job and hiring criteria for candidates. Requested interview date confirmed by Career Services and position is activated in Employ-A-Bull. Position(s) viewed, interview times selected, and resumes submitted by eligible students to employer via Employ-A-Bull. Closing of interview sign-up period - students can no longer submit resumes. Viewing of students' resumes by employers via Employ-A-Bull. Interview conducted in Career Services office Timeline Coding for Open Interviews Open The date the employer's interview schedule is activated in Employ-A-Bull and candidates can sign up for an interview time Closed The date (until midnight) students can sign up for a time on interview schedules

14 On-Campus Interviews (OCI) Employer Managed Schedule Steps Employer Managed schedules allow the employer to create their own interview schedule by finding and contacting candidates themselves. This schedule type is popular with Employers that meet students at the Career Fair or through events on campus giving them total control of their interview schedule. The week following the Career Fair is exclusively dedicated to this type of schedule but they can be held at any point during the semester. Two types of Employer Managed Schedules: Employer Managed Resume Collection Schedules allow students to see the employer, position and date of the Schedule as well as submit resumes for consideration through Employ-A-Bull. Employer Managed Rooms only Schedules are blocked entirely from student view on Employ-A-Bull. Process for Employer Managed Schedules: Room Reservation/Schedule Request form completed by employer If using Resume Collection, job must be linked Position(s) viewed and resumes submitted by eligible students to employer via Employ-A-Bull Employers schedule interviews with selected candidates and provide Career Services with a copy of their interview schedule at least 24 hours in advance of interviews Interviews conducted in the Career Services office Timeline Coding for Employer Managed Interviews Resume Collection only Open The date the employer s interview schedule is activated in Employ-A-Bull Closed The date (until midnight) that students can submit resumes for consideration

16 Events On Campus Each semester Career Services coordinates numerous fairs and events related to employers recruitment efforts. These events can assist you in finding qualified candidates and branding your organization on campus. All events are open to all USF students and alumni. Career Fairs at the University of South Florida There are several fairs that take place throughout the year. Our campus-wide two day Career Fair is scheduled at the beginning of the fall and spring semesters for organizations hiring for full-time, co-op, and internship opportunities. This fair is held once per semester and approximately 1,500 job seekers in attendance (including alumni). The Accounting Career Fair, also held in early fall and spring, provides an opportunity for those employers who are looking to network with accounting students and alumni and discuss full-time positions, cooperative education positions or internships. The Internship & Part-Time Job Fair provides organizations with an opportunity to meet with potential candidates for internship, part-time and/or summer employment. This fair is also held once a semester usually in September and April. The Statewide Job Fair is coordinated by all of the Florida state universities and is held in mid-may at the University of Central Florida.

17 Events On Campus Employer of the Week This is a great, free opportunity to host a table in the College of Business or the College of Engineering in high traffic areas. Each Tuesday, one employer is highlighted during this event. The Job Shop in the Library provides an additional showcasing opportunity each Wednesday. The Employer of the Week provides an informal opportunity to meet with students. Employer Facility Tours A great way to create interest in your organization and open positions is to work with us to organize a tour of your facility. The tours can be open to student, alumni, and faculty and staff participation. You choose! Employer Led Workshops You Pick the Topic This opportunity allows you to choose a topic you would like to help our students and alumni learn about. Topics can be similar, or the same as, what we cover during our Prepare for the Fair event (e.g. résumé critiques, networking, dress for success, strategic job searching). Info Sessions This opportunity allows employers to provide interested candidates basic information about their organization (i.e. current opportunities, general profile information, organizational culture, career paths, job benefits, interview process, etc.) The most successful Information Sessions are held on campus. Employers have the opportunity to provide refreshments and are encouraged to allow time for candidates to ask questions and network with recruiters. In addition, door prizes and give-aways are popular with students. Many employers choose to hold their Info Session prior to an oncampus interview or career fair. Faculty Luncheons Are you interested in networking with our faculty and learning more about classroom curriculum? Talk to us about hosting a luncheon for select faculty members. The luncheon can be the size of your choosing and the location and food of your choosing.

18 Events On Campus Mock Interviews Many of our students seek opportunities to polish their interview skills. You can work with us to set up a mock interview schedule that will allow you to interact with students and alumni, as well as give our student and alumni the opportunity to gain insightful, applicable feedback. Prepare for the Fair Workshops Events are held the week prior to the Career Fair each semester to prepare students for the fair. Employers are invited to present a career topic (e.g. résumé critiques, networking, dress for success). This is a great recruitment strategy for organizations who would like to increase their visibility on campus prior to the fair. Professional Etiquette Dinner This event offers USF students and alumni an opportunity to polish their dining etiquette skills. While this is not a recruiting event for employers, sponsorships are available for organizations that would like to increase their name recognition on-campus. Student Organization Presentations Many student organizations welcome recruiters and companies to speak at their meetings regarding career-related topics. This is a great activity to brand and pre-screen potential candidates. Requests to present are made directly to the student organization. Bull Market Each Wednesday, from 10am 2pm, vendors gather outside of the Marshall Center on campus to promote their products and/or services. 19 Building Your Employer Brand Advertising in the Oracle Student Newspaper Advertising in USF's official student newspaper, the Oracle, is a great way to promote your organization. The Oracle is published Monday- Friday during Fall and Spring semesters and twice weekly during the summer. Click on the button for more information. Recruitment video placed on digital boards (limit 2 minutes) - $1200 per semester (taxable) This is a company-provided video, of no more than two minutes, which will be shown on the Career Services digital board, a prominent location for student viewership. Purpose of the Virtual Outreach Program is for employers to promote their company to potential candidates (note: Career Services must approve the content, which must be focused on employment opportunities and company profile. Solicitation or sale of products or service will not be accepted). The video will be shown on the digital boards twice a week over an eight-week period. It will also be highlighted on the Career Services Facebook once a week for a four-week period.

21 Employer Partnership Opportunities Student Services Support Company Sponsored Shirts Purchase polo shirts with the USF Career Services logo for the Career Services staff. Your company name and/or logo will be placed on the shirt sleeves. Friends of the Career Services Sponsorship of this kind will allow Career Services to increase our efforts with providing service to students. This is a contribution to support the activities of Career Services and can be in the form of any monetary amount. Library Resources - $10,000 Career and Job Search Reference Library can be named by the sponsor. A gold plaque (8X10) placed on library door with sponsor s name. Library sponsorship is for two academic years. Software Support - $7,000 Career Services provides a menu of online services (i.e. job search and career management system, resume builder, employer search, etc.). A sponsorship of software includes the placement of the company s logo on the login screen. The logo will remain on the system for one academic year. Career Peer Work Sponsorship - $3500 for one academic year Career Peer Work Scholarship donations provides funding for the Career Services Career Peer program which creates awareness of Career Services programs and services and provide peerto-peer Career Coaching. As a sponsor, your organization will be featured on our Career Services digital boards. Boards are located in high traffic areas in the Career Services office. A photo of a company representative and the sponsored Career Peer will be placed on the digital boards as well as the Career Services Facebook page. Event Sponsorship Professional Dining Etiquette - $2500 per event Our Professional Dining Etiquette program takes place once a semester and provides students and alumni with training on business etiquette by a certified business etiquette trainer. As an event sponsor, your company name will be placed on all promotional materials, event program, and website; and one company representative serve as host per table. Prepare for the Fair - $2500+ This event is held each semester, the week prior to the Career Networking Fair to assist students in getting prepared for the upcoming fair. Sponsors of Prepare for the Fair are involved in a variety of programs to increase their visibility on campus and brand their name with students. As a Prepare for the Fair event sponsor, your company name will be placed on all promotional materials, event program, and website.

27 Career Fair Policy Eligibility Any recruiter representing a direct hiring organization may participate in Career Fairs. Any recruiter representing a direct hiring organization (to include staffing agencies) may participate in the Internship & Part-time Job Fair. Fees A registration fee plus tax is set for all fairs. The fee for Career Fairs in the Marshall Student Center includes: parking permit 1 covered display table, 2 chairs 2 continental breakfasts 2 lunches The registration fee for the Internship & Part-time Job Fair includes: 1 parking permit 1 covered display table, 2 chairs 1 continental breakfast 1 lunch Additional fees may also be assessed for additional display table(s), additional lunches and electrical. Tax exempt organizations must provide Career Services a copy of their tax exempt certification at the time the fair registration form is submitted. A maximum of 4 representatives may staff each organization table. If your organization intends to bring more than 4 recruiters, an additional table must be purchased. For example, if you intend to bring 8 recruiters, you would reserve 2 tables, and so on. Cancellations & No Shows Cancellations received IN WRITING, prior to the cancellation deadline two weeks before the fair will receive a full refund. No refunds will be issued after the deadline date. If a registration has been paid and the organization is a no-show, registration will not be refunded or credited toward any future Career Services fair. Employers whose account is not paid in full will be required to pay for all past outstanding fees and pre-pay for the current fair they wish to attend. Employers with any outstanding fees will not be permitted to attend the fair, until their account is paid in full. Employers with outstanding fees will be invoiced by Career Services. An invoice and two past-due notices will be sent. The third notice will be the final notice. If the employer has not paid their account in full by the deadline date noted on the third notice, their account will be referred to the university to refer to a private collection agency. Employers will be notified that their organization will be liable for the collections agency fee. Miscellaneous In the event a fair must be cancelled or the date moved, employers/recruiters that have already paid will have the option to receive a full refund or have the registration fee applied to the next scheduled fair. If circumstances warrant, the director reserves the right to extend the final deadline. Employers must adhere to equal opportunity laws and principles for employment processionals as outlined in the National Association of College & Employers "Principles for Professional Conduct for Career Services & Employment Professionals." School recruiters and employers may only use fairs to identify and recruit candidates for employment and/or their academic programs. Recruiters may not sell their products/services or solicit future purchase of products/services at a fair. Parking tickets cannot be waived nor appealed by or through Career Services. Career Services will accommodate same day registration as long as a table and space is available Right to Refuse: Career Services reserves the right to deny access and participation to any student, alumni, recruiter, hiring organization and/or school.

28 Job Posting Policy The University of South Florida Career Services job listing service is intended to provide USF students and alumni with current information on employment opportunities. Advertisement of a job vacancy in Employ-A-Bull does not indicate an endorsement or recommendation by the University of South Florida or Career Services. Students and alumni are responsible for all necessary precautions when submitting a resume, interviewing and/or accepting positions listed on the website. It is the user's responsibility to check the accuracy and reliability of information provided as well as the credentials and integrity of the hiring organization. Employers that are the direct hiring authority/organization may advertise part-time (temporary and short term positions), internships, cooperative education and full-time (degree and non-degree) positions. Eligible employers who have been granted active access to Employ-A-Bull may enter their own job listings. All employer vacancies are set to pending status until reviewed and approved by the Program Assistant. Jobs That Can Be Posted: Full-time, Degree/Non-Degree Cooperative Education Internships Part-time off-campus jobs Job Posting Content: Only job vacancy announcements can be advertised. Career fairs and/or other career related events cannot be advertised on the job listing service. Job content must contain the job title, job description, locations, required qualifications, salary and directions for applying. Any upfront fees, training or product purchases must be disclosed in the job description. Vacancy announcement must contain the employer contact information All necessary information is to be included in the description. The announcement should not instruct candidates to come to the Career Library for more information. Posting Timeframe: If the employer does not establish a timeframe for advertising, the job listing will be removed after 90 days. Right to Refuse: Career Services reserves the right to edit or refuse job advertisements.

29 On-Campus Interviews Policy Only direct hiring organizations, seeking candidates for internships, Cooperative Education, and full-time employment (requiring a degree) may conduct scheduled oncampus interviews. Career Services does not establish the hiring qualifications for the hiring organization. Employers must adhere to equal employment opportunity laws and principles for employment professionals as outlined in the National Association of College & Employers' Principles for Professional Conduct for Career Services and Employment Professionals. Employers may choose an Open and/or Pre-select interview schedule. Career Services, through Employ-A-Bull, will allow only those candidates with matching qualifications to apply for and schedule an on-campus interview with the hiring organization. On-campus interviews are conducted in the Career Services Office, 8:30am- 4:00pm, Monday Friday, except for official University holidays. Employers may schedule the interview time that best complements their interview process. Career Services reserves the right to refuse any direct hiring organization from participation in on-campus interviews. Employers having any upfront fees, training or product purchases must disclose this in the job description prior to the interview. Employers must note if the position for which they are hiring is unpaid and optional for credit in the job description, prior to the interview. Right to Refuse: Career Services reserves the right to refuse the on-campus interview service to student/alumni, hiring organization and/or individual recruiter.

30 Third Party Employers Policy Third Party Employers The University of South Florida Career Services office works with selected Third Party Employment Services (TPES), doing business as a direct employer or as contractor with the direct hiring employer, to provide students access to their employment opportunities. Since Career Services can neither research nor endorse TPES agencies, guidelines have been established for the protection of students and alumni. Career Services, using due diligence, ensures to the best of its ability that third party employers participating in recruitment are operating as an employer as well as adhering to NACE state and federal ethical and legal recruitment standards and principles. Definition of third-party employer: Third-party employers are agencies, organizations, or individuals recruiting candidates for temporary, part-time, or full-time employment opportunities other than for their own needs. This includes entities that refer or recruit for profit or not-for-profit, and it includes agencies that collect student information to be disclosed to employers for purposes of recruitment and employment. POLICY Any TPES that is not defined as an employer (see definition above) is not eligible to use Career Services recruitment services. However, these TPES may send a job listing for inclusion in a Third Party Employer Notebook, maintained in the career library. TPES that charge a fee to the candidate will make them ineligible to use any recruitment service Any TPES agency that is recruiting to fill their own agency position; will have the same access to recruitment services as any other direct hiring employer. Any TPES that is the direct hiring party (temporary or staffing service) or contracted to work as or provide a service to the direct hiring party (outsourcing contractors or leasing agents)is eligible to use all Career Services recruitment services. Before any TPES may advertise a position for one of their clients they must identify the employer client to Career Services. The name of the employer client must be listed in the job advertisement. The advertisement must also clearly indicate that the candidate will be working through a third party agency. If the TPES does not release this information or is unwilling to make the employer client name pubic, the position will not be advertised. Under no circumstances will positions be advertised for which a direct employer has interviewed or plans to interview candidates through the Career Services on-campus interview program or has already posted the position with Career Services. TPES must agree to the following before being allowed to use any recruitment service: NO fees will be charged to the candidate(s) at any time throughout the employment process. That they and the client organization they represent is an equal opportunity employer. Information about the candidate(s) will be distributed ONLY to the client organization of the position being advertised and will not be referred to other positions and/or client organizations. Will disclose to students the name(s) of the client, or clients, that the third-party recruiter is representing and to whom the students' credentials will be disclosed. Third-party recruiters will not disclose to any employer, including the client-employer, any student information without obtaining prior written consent from the student. Under no circumstances can student information be disclosed for other than the original recruiting purposes nor can it be sold or provided to other entities. Third-party recruiters attending career fairs will represent employers who have authorized them to recruit on their behalf and will disclose to career services the names of the represented client employers. Any reported breach of these policies and/or agreement will result in de-activation of the TPES on-line account and termination of access to all recruitment services. Right to Refuse: Career Services reserves the right to deny access and participation to any third party employer.
