2 Introduction Overview Introduction This procedure covers ordering food, paper products, and supplies from various vendors that are integrated with MERIT. Page KFC Corporation. All rights reserved. 3 Placing an Order Introduction Overview US Foods Prior to using the US Foods auto-receiving feature within MERIT, you must first have them set-up your restaurant for the MERIT integration. To do this, contact the account manager for the vendor at and inform them that you are installing or have installed MERIT in your restaurant and you need to be setup to place orders and auto-receive orders through their website. IFH Make sure the US Foods website ordering and receiving links are saved in your "Favorites" menu. If they are not listed under your "Favorites" menu, go to OSM Tools and select them from the list of available "Favorites". You will need to add US Foods AND US Foods Receiving. To download an invoice, double click the Internet icon on the Desktop screen. Click the US Foods Receiving link in your "Favorites". Login using your username and password. Click the name of the desired invoice in the "Message Name" column. If the desired invoice is not immediately available to view, try changing the creation date range. Prior to using the IFH auto-receiving feature within MERIT, you must first have them set-up your restaurant for the MERIT integration. To do this, contact the account manager for the vendor at for the North Carolina office, OR for the South Carolina office, to inform them that you are installing or have installed MERIT in your restaurant and you need to be setup to place orders and auto-receive orders through their website. Make sure the IFH website ordering and receiving links are saved in your "Favorites" menu. IF they are not listed under your "Favorites" menu, go to OSM Tools and select them from the list of available "Favorites". You will need to add IFH Order Guide AND IFH Receiving. To download an invoice, double click the Internet icon on the Desktop screen. Click the IFH Receiving link in your "Favorites". Login using your username and password. Click the checkbox of the desired invoice. Click "Finalize". Click "Download Finalized". IF they are not listed under your "Favorites" menu, go to OSM Tools and select them from the list of available "Favorites". You will need to add Sygma network. To download an invoice, double click the Internet icon on the Desktop screen. Click the Sygma link in your "Favorites". Click MERIT Invoices from the left column under "Custom Apps". Click the Select Store drop down menu and select your store. Check the checkbox of the appropriate invoice located on the far right of the screen. Click Download. A message box will appear; Click OK. When the download is complete, another message box will appear; Click OK. Sorce Prior to using the Sorce auto-receiving feature within MERIT, you must first have them set-up your restaurant fo the MERIT integration. To do this, contact the account manager for the vendor at and inform them that you are installing or have installed MERIT in your restaurant and you need to be setup to place orders and auto-receive orders through their website. Make sure the Sorce Enterprises website ordering and receiving links are saved in your "Favorites" menu. IF they are not listed under your "Favorites" menu, go to OSM Tools and select them from the list of available "Favorites". You will need to add Sorce AND Sorce Enterprises. To download an invoice, double click the Internet icon on the Desktop screen. Click the Sorce Enterprises link in your "Favorites". Login using your username and password. Hover over the "INQUIRY" tab at the top and Click Customer Invoice Inquiry. Identify the appropriate invoice on the left, and check the checkbox. Click the "Export Order Invoices" button at the bottom right. A message box will appear; Click OK. If they are not listed under your "Favorites" menu, go to OSM Tools and select them from the list of available "Favorites". You will need to add Haag Food Service. To download an invoice, double click the Internet icon on the Desktop screen. Click the Haag Food Service link in your "Favorites". Login using your username and password. If you have an available download, the "go to the receipt files" link will appear at the bottom of the main page. Click the link. Identify the appropriate invoice under the "Download" column, and click. A message box will appear; Click OK. Merchants Food Service Prior to using the Merchants Food Service auto-receiving feature within MERIT, you must first have them set-up your restaurant for the MERIT integration. To do this, contact the account manager for the vendor at and inform them that you are installing or have installed MERIT in your restaurant and you need to be setup to place orders and autoreceive orders through their website. Make sure the Merchants Food Service website ordering and receiving links are saved in your "Favorites" menu. If they are not listed under your "Favorites" menu, go to OSM Tools and select them from the list of available "Favorites". You will need to add Merchants Distrib AND Merchants Receiving. To download an invoice, double click the Internet icon on the Desktop screen. Click the Merchants Receiving link in your "Favorites". Login using your username and password. Click the "MERIT POS" tab at the top left. Identify the appropriate invoice and check the checkbox associated with it. Click the "Download" button. Kellys Food Service Prior to using Kellys Food Service auto-receiving feature within MERIT, you must first have them set-up your restaurant for the MERIT integration. To do this, contact the account manager for the vendor at and inform them that you are installing or have installed MERIT in your restaurant and you need to be setup to place orders and auto-receive orders through their website. Make sure the Kellys Food Service website ordering and receiving links are saved in your "Favorites" menu. If they are not listed under your "Favorites" menu, go to OSM Tools and select Kellys Food Service from the list of available "Favorites". To download an invoice, double click the Internet icon on the Desktop screen. Click the Kellys Food Service link in your "Favorites". Login using your username and password. Click the "Select" button next to the desired invoice. Click "Finalize". Click "Download"; when the message box appears Click "OK" KFC Corporation. All rights reserved. 6 Placing an Order McLane Prior to using McLane Food Service auto-receiving feature within MERIT, you must first have them set up your restaruant for the MERIT integration. To do this, contact the account manager for the vendor at and inform them you are installing or have installed MERIT in your restaurant. You will need to be set up to place orders and auto-receive orders through their website. The food order module contains the ordering calendar. Each order day is indicated by an icon. 7 Placing an Order Food Order Icons Icon Description Order Due An order is scheduled to be placed with McLane on this day. Order Started An order has been started, but it has not been finished and placed with McLane. Started orders can be modified before completing the order as placed. Order Placed Order Confirmed An order is completed and placed. The order is awaiting confirmation from McLane. Changes are not allowed under this status. Contact your distribution center for changes to orders under this status. The order has been processed and confirmed by McLane. Order Shipped The order has been loaded and is enroute for delivery. The electronic delivery receipt (EDR) has been applied. Order Delivered The order has been marked into inventory as "received". Multiple Events Unscheduled Order Indicates there is more than one ordering process viewable for this day, for example, receiving an order on the same day an order is placed. When selected, a box will appear offering the selection of each order that is available on this day. This option can only be used if the scheduled ordering icon is unavailable. Unscheduled orders may not be used for changes or add-on's to placed orders. Any changes must be communicated directly to the distribution center KFC Corporation. All rights reserved. 8 Placing an Order Order Entry Screen Column Heading Description Item Number Description Unit Of Measure Days Since Last Order Last Qty Ordered Suggested Quantity Order Quantity Estimated Total Amt Totals The product's reference number. A short description of the product. Describes the purchase size and its packing quantity. The number of days since the item has been ordered. When displayed indicates the last quantity that was ordered for the item. When displayed indicates the suggested order quantity for the item. Clicking on the suggested order for a specific item will display a pop-up box which shows the suggested order calculation. This is the quantity entry box. Enter the quantity you wish to order here. Indicates the total of the unit price multiplied by the quantity entered. Displays the total quantity and cost for all items selected. This is displayed at the bottom of the order form and automatically calculates at all times during the ordering session. The headings, with their associated columns beneath can be resized. The columns that can be resized are: Item Number Description Unit of Measure Days Since Last Order Last Qty Ordered Suggested Quantity To resize a column, place the mouse cursor over the column divider line. When the arrow turns into a double-headed arrow, hold down the left mouse button while moving the column line in the direction you desire. The resized column will remain in effect during the ordering process. After exiting the ordering form, the columns will resize back to the default setting. Items are generally listed in black text. Color codes indicate status of an item. The color codes are: Blue: Selected item Red: Critical item Bold Black: Restricted item Page KFC Corporation. All rights reserved. 9 Placing an Order Standards Bold Red: Restricted item set as critical Double-Click on the Internet Icon Double-click on the Internet icon on the desktop. The Internet Explorer screen opens. Click on McLane Food Service Click on McLane Food Service in the left pane. The SourceLink screen appears. Click on Food Order Click on the Food Order button on the Menu Bar to begin the food ordering process. The calendar will be displayed. An icon on the call date represents the order status. Click on Order Due Icon Click on the Order Due icon to enter the order. The customized item list will be displayed. If you want to view another item list, click on the drop-down menu and select the desired list. Enter Item Order Amounts Items can be sorted by category by using the Select Category drop-down arrow. The order entry form can be "re-sorted" by description or item number. This option is available if "Using Item Sequence" in the profile module. To display the items alphabetically by description, click on the description column heading. To display the items numerically by item number, click on the item number column heading. The items will remain in the order selected as different categories are chosen. After exiting the ordering form, the items will return to the default sort setting. Use the buttons at the bottom of the order entry screen to enter and save orders. Search: Provides a quick and easy method of finding or locating a particular item. Searching can be done by either item number or description. Save: Used to save the order that you are currently placing. This saves the order started with the item quantities that have been entered so far. Copy: Copies all item quantities currently displayed in the suggested quantity column into the order quantity column. A confirmation message appear when selecting the Copy function. After copying the items, quantities can be changed by clicking on the item and changing the quantity as needed KFC Corporation. All rights reserved. 10 Placing an Order Cancel: Exits the order without saving changes. Suggested: Displays the suggested order quantity. The suggested quantity is based on the build-to-quantity minus the on-hand inventory, minus open orders quantities (orders not yet received). Last Qty: Displays the quantity that was ordered the last time an order was placed. Note: The Suggested and Last Qty buttons act as a toggle switch. When the suggested column is displayed, the Last Qty button is displayed and vice versa. Click on Done Click on the first item to be ordered. This will highlight the item in blue. Use the keyboard to enter the desired order amount. Use the up and down arrow keys on the keyboard or use the scroll bar features on the right of the screen to move through the items. Click on Done after all order items are entered. If one or more items that are marked as Critical have not been ordered, the Critical Item message box will be displayed. Click on Yes to review the items and add order amounts if needed. Click on No to skip this step and continue with the order. The Order Status message box appears and the order is saved. Click on Yes to send the order now or No to save the order and send later. Click on OK to return to the Order Calendar. Page KFC Corporation. All rights reserved. 11 Notifications and Information Introduction Overview Standards From the Home menu, notification and information messages can be viewed. This will display the next order due date, next expected delivery date, and their status. Confirmation messages will also display on this page if applicable. Confirmation messages provide important information about orders that have been received and processed by McLane. Each confirmation message will indicate any item adjustments to the submitted order such as substitutions, auto-shipments, and invalid items. These messages pertain to the last submitted order only, and are available for viewing approximately 30 to 60 minutes after placing the order. You must log back into the system or remain logged on for the messages to be viewed. The messages are displayed in the system until the status of the order is "shipped", or the current day is past the delivery date. If you have not viewed and acknowledged the messages prior to either of these situations, then they will automatically be marked as acknowledged. Viewing confirmation messages as soon as they become available provides you with critical information about your placed order. When viewed the same day you place your order, this provides you the opportunity to call the distribution center to discuss any changes or add-on's prior to your order being loaded on the truck. View the Confirmation Click on Food Order from the Home menu. The confirmation message will be displayed. Acknowledge the Confirmation Message(s) Click on Acknowledge after reviewing the message(s). 12 Reports Introduction Overview Standards The Reports module provides several useful guides and reports for ordering and inventory. The Reports for Ordering section contains the following reports: Order Guide Worksheet Report: View and print an order form. New Item Report: View and print all newly added items since a given date. Order Review Report: View and print placed orders. Master Item List Report: View and print all items in SourceLink. The Reports for Inventory section contains the following reports: Inventory Report by Day: View and print a completed inventory. Inventory Count Sheet: View and print a blank inventory count sheet by inventory frequency. Order Guide Worksheet Report Click on Reports, then For Ordering. The Order Report Selection screen appears. Select the Order Guide Worksheet Report. Click on OK. Select Print All or select the categories from the list that you want to print. Click on OK. The Order Guide Worksheet will be displayed. New Item Report Click on Reports, then For Ordering. The Order Report Selection screen appears. Select the New Item Report. Click on OK. Click on Change Date; select the appropriate date to view all items added since then. Click on OK. The New Item Report will be displayed. Order Review Report Click on Reports, then For Ordering. The Order Report Selection screen appears. Select the Order Review Report. Click on OK. Click on the order you want to view. Click on OK. The Order Review Report will be displayed. 13 Reports Master Item List Report Click on Reports, then For Ordering. The Order Report Selection screen appears. Select the Master Item List Report. Click on OK. Select a print option: Print by item number Print by item description Print by item category Click on OK. The Master Item List Report will be displayed. Inventory Report by Day Click on Reports, then For Inventory. The Inventory Report Selection screen appears. Select Inventory Report by Day. Click on OK. Click on Change Date and select the date you want to view. Click on OK. The Inventory Report by Day will be displayed. Inventory Count Sheet Click on Reports, then For Inventory. The Inventory Report Selection screen appears. Select Inventory Count Sheet. Click on OK. Select a count frequency option: Quarterly Monthly Weekly Daily Click on OK. 14 Inventory Introduction Overview Standards The Inventory module enables you to receive a SourceLink order and complete inventory counts. By clicking the Inventory button on the main menu and then selecting either Counts or Receiving, quantities for items can be entered, or the electronic delivery receipt can be processed. Inventory Receiving is used to mark a confirmed order as received in SourceLink. This feature is used for suggested ordering. Suggested ordering takes the build-to quantity and subtracts the on-hand quantity and any open order quantities. An order not marked as received will be subtracted from the suggested quantity. Entering Inventory Counts Click on Inventory, then Counts. The Inventory Select screen appears. Click the Create button to start a new inventory count. The Create a New Inventory screen appears. Use the drop-down arrows to select the date and type of inventory. Click on Create. The Inventory Detail screen appears. The items that have been set up with an inventory frequency in the Profile module will be automatically displayed. Click on the first item and enter the count under the Cnt1 column. For partial cases use decimal values in the Cnt1 column or enter the partial count in the Cnt2 column. To reset all entered inventory counts to their previous settings select the Reset button. If needed, click on Add Item to add items to the inventory that do not have an inventory frequency assigned. Use the drop-down arrow to select the item location for those items. Select one or more items from the Select Items column. Click on Add to add the items. To remove items from the list, select the item on the right and click Delete. Click Done to save the changes or Cancel to delete all changes. The Inventory Detail screen appears. 15 Inventory Inventory Receiving Click on Inventory, then Receiving. The Inventory Select screen appears. Select the order you want to mark as received and click on View/ Edit. The Receive Order screen appears. Enter the appropriate information from the delivery receipt if it is not already populated. Using the paper receipt, adjust the item quantity and price to match the paper receipt. Adjust any quantities and prices as needed by clicking on them and entering the appropriate number. The tab key may be used to move from the quantity column to the price column. Click on Partial to enter a partial case of an item. Click on Del Item to remove an item from the receipt if necessary. Click on Add Item to add an item to the receipt if necessary. Once the Computed Difference is zero click on the Done button and the order will be marked as received. Clicking on Cancel will exit the receiving function and changes will not be saved. If you receive receipt.dat files, a message box will appear. Click on OK, then DO NOT click on any buttons or press any keys until the Download Complete message box appears. After the receipt.dat file has been created successfully and the Download Complete message box appears, click on OK to return to the main menu KFC Corporation. All rights reserved. 17 Profiles Overview Introduction The Profile module allows you to manage and set preferences for various aspects of the SourceLink Internet application. There are four profile options: Items: Allows for setting up items, moving items, adding categories, Item Maintenance and sequencing items. Inventory: Allows for setting frequency, location and duration. The items are grouped by categories and are displayed by item number, with description, and unit of measure being available for viewing only. To display the specific details of an item, click on the item and the information will appear in the bottom section of the screen. Click on Profiles, then Items. The Items Profile screen appears. Select the Items tab. By default, the All Items category is displayed. Use the drop-down arrow to select a specific category. All of the items associated with that category will now be displayed. Click on an item you want to modify. The active item will appear in blue. Once the desired item is selected, you can change the Max Order Qty, Build To Qty, Show, Critical, Frequency and Location as needed. Max Order Qty: This value is used in order entry. A message displays when the quantity entered exceeds this value. The default for this field is 50. Build To Qty: This value is used for determining the quantity that should be ordered when using the suggested order amount. The default for this field is 0. Fractions are allowed in this field. GL Code: This value is used to control the pre-assigned general ledger code for each item. Access to modify this field must be requested from your home office. Show: This field controls whether each item appears in order entry. An "X" in this field indicates the item will display in the order form. The item will not be displayed or available if the "X" is removed. However, the item will remain in Profile Item Maintenance and on the Item Master list reports. Critical: This field controls whether the item should appear in the Critical Item category. An "X" in this field marks the item as critical and a message will display at the end of the order process if it is not ordered. Critical items appear red on the order guide until a quantity amount is entered. Frequency: This field is used for inventory counting and sets the items for counting according to the frequency assigned to it. Inventory Frequency setup must first be completed before assigning a frequency type to individual items. The default frequency type for all items is none. Location: This field assigns the location names to each item. Once the location types have been setup, the inventory location can be assigned to inventoried items. Use the up and down arrow keys on the keyboard to select other items and make changes. If you don't find an item on the list, click on Search and enter the item you are looking for KFC Corporation. 18 Profiles Category Maintenance From the Category Maintenance screen, you can add or remove items from any ordering category. Click on Profiles, then Items. The Items Profile screen appears. Click on the Categories tab. Select the item you want to change on the Select Items list. Use the drop-down arrow to select the Category you want the item to be added to. To create a new category, Type a name in the Category Name box and click on Add Category. The new category will be added to the list. Click on Copy >> to move the item(s) selected on the left to the Category indicated on the right side. Click on Remove to remove an item from the selected category. Click on Done to save changes and return to the main menu. Sequence Maintenance The sequence maintenance screen is where the items can be set to display in any order you choose. Click on Profile, then Items. The Items Profile screen appears. Click on the Sequence tab. Use the drop-down arrow to select a category. Enter the item's sequence number in the right-hand column. Click on Sort to view the entered changes. Make additional changes as needed. Check the Using Item Sequence box to activate sequencing. If sequencing is not activated the items will sort by item number. Click on Done to save changes and return to the main menu. Inventory Frequency The Frequency tab allows for the setup of inventory frequency types which are assigned to individual items. Once the frequency types are setup, item maintenance can be performed and the inventory frequency type can be assigned to inventoried items. Click on Profile, then Inventory. The Inventory Profile screen appears. In the left pane, SourceLink has supplied a default list of frequency types: Annual, Monthly, Weekly, and Daily. Click on the frequency type in the list you want the new frequency to appear under in the list. Click on Clear. Type in a new frequency type and description. Click on Insert New Frequency. The new frequency will be added to the list on the left. To delete a frequency, select it from the list and click on Delete. The frequency will be removed from the list. Click on Done to save changes and return to the main menu. Inventory Location The Location tab allows you to create Inventory Locations for your restaurant. 19 Profiles performed and the inventory location can be assigned to those items you wish to inventory. User Password Vendor Setup Click on Profile, then Inventory. The Inventory Profile screen appears. Click on the Location tab. In the left pane, SourceLink has supplied a default location of 'STORE". To add a new location, type a new location in the Name box. Type a description in the Description box. Click on Add New Location to add to the list. Click on Done to save changes and return to the main menu. Click on Profile, then User. The User Profile screen appears. Click on the Password tab. Enter the old password. Enter the new password in the Enter New Password and Confirm New Password fields. Click on Save Change to save the new password. Click on Done to return to the main menu. The vendor set up selection allows for the creation of non-sourcelink vendor information. Once the vendor has been entered, item information for each individual vendor can be set up. Click on Profile, then Vendor. The Vendor Profile screen appears. Click on the Vendors tab. Click on New. Enter the vendor information. Click on Done to return to the main menu. Vendor Item Setup Vendor Item Setup allows you to enter non-sourcelink items and their related information. The vendor must be added to the system before items can be entered. Click on Profile, then Vendor. the Vendor Profile screen appears. Click on the Items tab. Use the drop-down arrow to select the vendor. Enter the item information. Click on New to add other items to the vendor selected. 20 Store List Introduction Overview Standards Store List is used to display and then select the desired store. Typically only one store exists per user login id. Multiple store lists exist only if the user login id has been assigned (requested by the user) to more than one store identity. Select Stores Click on Store List. 21 Logging Out Introduction Overview Standards Log Out Always log out when finished using the SourceLink application. You can log out at anytime during the session. 22 SourceLink Help Introduction Overview The Help module is an online user manual for SourceLink Internet. It provides detailed information for each function. Standards Click on Help Click on Help. The Help Topics menu displays on the left side of the screen. Each section has a list of descriptions to help you understand the features of SourceLink. Other helpful resources are displayed on the right side of the screen: Tutorial: Recommended for first time users or anyone interested in more information about the SourceLink application. What's New: This link is updated to include new features and information about SourceLink. Helpful Links: Provides links to helpful sites outside of the SourceLink application. Helpful Tips: Displays helpful SourceLink tips. Click on the help topic needed. Click on Back To SourceLink to return to SourceLink. Once your invoices are downloaded, it can take up to 5 minutes to process. Assigning Unknown Products If there are NO unassigned items the invoice will be viewable in "Inventory> Invoice/Credit/Transfer Entry" If there ARE unassigned items the invoice will NOT generate. When downloading an invoice from a vendor, there may be products that do not get assigned to a known ingredient or account. After downloading an invoice, follow the steps listed below to ensure that all products are assigned. The invoice will NOT post until all products have been assigned. Once a product has been assigned, all future receipts will continue to assign that item according to the assignment you choose. If you are unsure where/how to assign a specific product, please consult your Above Restaurant Leader. Follow these steps after downloading an invoice: Go to Inventory>Unknown Vendor Product Entry The Unassigned tab will show all products that are unassigned. Select the item that you would like to assign. Click, Assign New at the bottom right; a new window will appear. In the Ingredients tab, click the ingredient that you would like to assign the product to. If you cannot find the ingredient, click the Available box at the bottom left. After selecting the ingredient, enter the amount in each case at the top. Units will vary by product. Click OK to save Repeat these steps for every unassigned product. Once all products have been assigned, the invoice will download to MERIT. After a product has been assigned, they can be viewed or edited by going to the assigned tab. Page KFC Corporation.
