1 Anti-Human Trafficking (AHT v1) AHT Consolidation Package (ahtconsolidate v1) Instruction Manual Purpose: The ahtconsolidate v1 software can be used for summing up data of several excel files (created using the above data entry template AHT-Final-v1) into single excel file. It consolidates multiple AHT excel data files and creates a new AHT excel file. Software Installation: 1) Open the ahtconsolidate v1 Package folder and double click on Setup file to install the software. 2) On double clicking on Setup file, the following screen will appear. 3) Click on OK button to continue installation. 2 4) Click on the marked setup button to install the software in the default folder C:\Program Files\ahtConsolidate v1\. 5) Click on Continue button to create ahtconsolidate v1 in the All Programs group box. 6) After successful installation of software, the following dialog box appears. 3 7) Click on OK button to close the dialog box. 8) Now the Start button contains the ahtconsolidate v1 software as shown below. AHT Consolidation Package v1 Page 3

4 Consolidating the AHT Excel data files: The following steps explains the procedure to consolidate two excel files namely AHT_TAMIL NADU_Madurai_2015_Jan.xlsm (January 2015 data of Madurai District) and AHT_TAMIL NADU_TRICHY_2015_Jan.xlsm (January 2015 data of Trichy District) and creates a new excel file with consolidated data. 6 1) Create a separate folder (ex.aht January 2015) and place all the AHT excel data files (created using AHT-Final-v1) in the folder which are to be consolidated. 2) Right click on ahtconsolidate v1 icon and click on Run as Administrator to run the software. Note: 1) Close all Excel files and Excel applications before opening the consolidation software. 2) Software should be opened with Administrator rights. Without administrator rights, software will not be able to consolidate the excel files. 3) The software needs Administrator privileges to open and process Excel files internally. 4) In the first screen, user has to select excel files (AHT data files created using the above entry module) for consolidation. 7 5) In the above screen, change into the folder (C:\AHT January 2015) in which excel files have been placed for consolidation. 6) Select the files and click on button. AHT Consolidation Package v1 Page 7

8 7) Similarly, excel data files from different folders may also be added as shown below. 8) After selecting all the files which are to be consolidated, click on Next button. AHT Consolidation Package v1 Page 8

9 9) Click on Validate all Source Files button to check whether excel files are prepared using AHT- Final-v1 excel template or not. 10) The software checks each file and selects only the valid excel files in to the Valid AHT files for processing list for consolidation purpose. Invalid files are listed in the Invalid AHT files list. 11) In the above case, KERALA ADSI-2014-FINAL NCRB.xlsm file has been omitted by the software. Only 2 valid files have been selected for consolidation. Now, Click on the Next button to proceed. AHT Consolidation Package v1 Page 9

10 12) In the third screen, click on Consolidate button to start consolidating all the valid excel files one by one. 13) Status of process indicates the (i) name of the excel file, (ii) proforma name (sheet name) and (iii) estimated time left. 14) On completion of consolidation process, All files were processed! Message appears at the top. Consolidated files are listed in the right side of the screen under Consolidated Files list. 15) Click on the NEXT button to go to the next screen. 11 16) In the above (fourth) screen, type the filename without extension and change the folder where you want to save the file. 17) In the above case, the file is being saved in C:\AHT January 2015 folder with the filename TN-JAN-2015.xlsm. Click on Save File button to save the file. 18) On clicking Save File button, File successfully saved! Message appears. AHT Consolidation Package v1 Page 11

12 19) Click on Finish button and click on Yes to exit from the software. 20) Open the folder in which the file was saved. 21) Open the consolidate file (ex. TN-JAN-2015.xlsm) by double click on the filename. AHT Consolidation Package v1 Page 12

13 22) The Status sheet of the consolidated file (ex.tn-jan-2015.xlsm) lists all the files which were used to consolidate. 23) Click on the Proforma-1 to notice the consolidated data. 24) The consolidated file does not display the State Name, Data Year and Data Month on its own. It has been left for the user to enter. Clicking on the AHTHome sheet will display the following screen. AHT Consolidation Package v1 Page 13

14 25) The user has to select the Name of the State, Data Year, Data Month, Name and Rank of the authorized signatory in the consolidated file. This flexibility has been given, so that the user can use the software to consolidate files at different levels of hierarchy. 26) Now save the consolidated file. 27) Verify all the sheets and ensure that no error (no FALSE) appears in the file. The error count in the first page should be 0. 28) If all the data are correct still FALSE appears, then the same may be communicated to NCRB in writing along with the excel data file, so that the validation check will be corrected.
