2 For Parents/Guardians Welcome to another year of excitement with the Vermilion Summer Fun Program! This year, we will be incorporating a wide variety of educational activities to provide children with fun, creative, and athletic experiences. We will also explore our community and all of its wonderful places and people! Again, several community groups are involved in making this year s program a success: The Town of Vermilion, Alberta Health Services and the Vermilion Public Library. These groups goals will be incorporated, including a focus on reading, physical activity, healthy lifestyles, and more. Our goal is to provide a fun, active, and involved program which will provide meaningful and exciting learning opportunities to children ages 5-11 throughout the summer months. *Note: Children attending the program MUST be 5 years old as of the tentative start date of the program (July 4th, 2016). This summer we have a wide variety of activities planned, many of them relating to the theme Wild! which is supported by the Toronto Dominion Reading Club. Children will experience this year s theme through games, fields trips, theme days and more all while reading great books! Our program will offer a variety of packages to accommodate each individual family. We have one-day, one week, and up to seven-week options that are available. This summer, we have once again decided to better accommodate for our children by creating two separate groups at camp. One camp will be for children ages 5-8 while the other for children ages 9-11 (Based on the difficulty level of the activity 8 year olds may be placed with the older group). The camps will take place during the same hours and at the same location, but will have different age appropriate activities for each group. Please find enclosed a fee schedule, the policies and procedures overview, as well as a tentative program overview for each age group, highlighting weekly events. Please note that events on the calendar may change. Pages eleven to eighteen of this package are to be filled out and returned when registering. Parent and child program evaluation forms are included, which we ask are filled out whenever your child s time at the camp is done. Please take the time to fill out these surveys at the end of your child s time with the program; they are very important to our sponsors and funding, as well as our Summer Fun staff. The surveys may be dropped off at the Town Hall at any time, or brought with your child on their last day of camp. Please register as soon as possible, as dates do tend to fill up, and it will assist us in our preparations. 3 Family and Community Support Services This year the Town of Vermilion Family and Community Support Services are offering a subsidy to families in need. Please fill out the form on page 12 and 13 to request financial support for your child (ren s) registration fees. Please note that some additional information may be required. The amount you receive will be based on a sliding fee scale and the amount of funding available. Introduction Hello, my name is Nicole Frankiw and I will be your Summer Fun program coordinator this year. I have worked with Summer Fun the past four summers, and I am very excited for the fifth. In the upcoming fall I will be attending the University of Alberta to begin my third year in the bachelor of elementary education. I am very excited to be spending this summer with your children as this year we have many new ideas, theme days, and field trips planned as well as many favorites from previous years. I hope your children are just as excited as I am about this summer. Location This year Summer Fun will be returning to the Regional Center, located at: 5702 College Dr, Vermilion. Here we will have access to the primary and secondary dance rooms for all of our many activities. There is a playground and large grass area just across the street. The location also allows us to walk to the swimming pool too! Please use the doors located on the southwest side of the building. Please note that indoor runners are a MUST. Special Events and Field Trips We visit a variety of places throughout the town: Lakeland College s swimming pool and gymnasium, the Provincial Park, Vermilion Public Library, and more. We will walk or use a bus for transportation. This year we are planning a larger field trip to the Telus World of Science Center in Edmonton; this has been a requested field trip from the kids in previous years. There will be a small additional fee that will be collected closer to the day of our field trip. We welcome all parent volunteers who want to join us on this fun filled day; however the bus does not allow us to transport all parents. We will have room for the first four parents who sign up, all other parents are welcome to come but may have to transport themselves and pay the entry fee ($13.56). These days tend to fill up quicker than others so I encourage all parents to return these forms as soon as possible to ensure your child and possibly yourself will have a spot. The specific forms for the field trip are located on page 18. Days to Remember On Wednesdays we will be going to the public library, if your child has a library card they are welcome to bring it with them. Campers will be responsible for their library cards and book unless staff members have been asked to look after them. After having time to look at 3

4 the books, the older kids will then go to the EDGE and the younger kids will be making a craft. I ask that you pack a swim suit and towel every day just in case we end up at the spray park. However our swim days are: July 7 th, 14 th, 21 st, 26 th, August 4 th, 11 th, and 18 th so please ensure your child has one for those days. July 8 th is 80 s Day so send your child dressed like they are ready to rock the 80 s! Please bring a mason jar as well for our craft this day. July 11 th is the Mad Hatter tea party; let your child pick their favorite or wackiest hat for our party. July 12 th we are celebrating Christmas, no need to wake your child up early that day send them in their pajamas. July 15 th is anti-bully awareness day, so wear Pink! July 18 th is Iron Chef Day also known as BYOB (Bring Your Own Banana). July 21 st we are going to be attempting Summer Funs very own Color Me Fun run! So please bring old clothes that getting color will not matter! It should be a fun and colorful day! July 22 nd dress your child in their western best! July 25 th we are heading over to the provincial park so please pack a picnic lunch, proper walking shoes, and a swim suit for the spray park. July 29 th is our 3 rd annual Summer Fun carnival! Please send a food bank donation with your child that day. August 2 nd is Spa and Video game day. This is the one day throughout the summer where your child is allowed to bring their electronics. The electronics will be stored in their backpack and will only be allowed to be used at free times, and specific designated time. The kids will also be allowed to bring nail polish if they so choose, the nail polish will also be stored in their back packs and will only be allowed at designated times. August 5 th is Halloween, an extra chance for your child to dress up this year. August 9 th is our big field trip to the Telus World of Science; please pack your child a picnic lunch, extra water and proper walking shoes. It will be a fun-filled busy day! August 12 th is Jersey Day, let your child wear they jersey and show their team spirit. Please also pack a picnic lunch, extra water and a swimsuit that day as we will spend most of it playing outdoor sports at a nearby park. August 16 th is Summer Funs Got Talent, we like putting this day at the end of the summer as it allows the children time to think of and prepare a talent. We know they are all very talented. August 19 th is sadly our last day of camp; however one of our most exciting days also... as it is SLIP N SLIDE day, please remember to pack your child a swim suit and picnic lunch that day so we can spend the day at the park slipping and sliding. Parent Volunteers and Contact I encourage parents or guardians who want to share a special talent or skill (whether it is a craft, sport, or knowledge about a topic) that would be of interest to children, to contact me. 5 may have an opportunity to lead a group activity or learning session! Parents are also welcome to drop in during any session to observe our program, lend a helping hand or accompany us on our many field trips throughout the summer. Leaders in Training There is an opportunity for youth aged to become Leaders in Training (LITs) for this program. As volunteers, they will gain valuable leadership experience as they assist leading the children in their activities. We welcome and thank all applicants. We ask that your child is wearing sunscreen when he or she arrives in the morning. In addition, we ask that the following items accompany your child: 1) Insect repellent 2) Extra set of clothes 3) Labeled water bottle & labeled hat 4) Sunscreen with name for afternoon application 5) Bagged lunch with midmorning and afternoon snack 6) Bathing suit and towel, *Please send these items everyday! We only go swimming once a week however on a hot day it is refreshing for the kids to be able to cool down at the provincial park spray park. 7) Indoor Closed-toe shoes. For safety reasons, Crocs are NOT encouraged. 8) Any medications that may be required. (Please refer to Procedures section and contact Nicole if your child requires medication during camp time.) ***As some children have severe allergies to nuts, we ask that snacks and lunches have NO NUT PRODUCTS. This includes peanut butter and some chocolate snacks. If your child does bring a snack that contains nuts, we will put it in the kitchen and at the end of the day the snack will be given back to take home.*** What Not to Bring We request that parents do not send electronics and toys with the children to the Summer Fun Program except for the designated days where electronics will be permitted (please see our events calendar). There is a possibility that these items could get lost or broken and therefore are much safer at home. We also caution children when bringing Pokémon and other trading cards as they may get lost or damaged. 5

9 Summer Fun Policies and Procedures 1) The Summer Fun Program will run Monday through Friday starting Monday, July 4th. The last day of the program will be Friday, August 19th. There will be no camp on Monday, August 1st due to the Civic Holiday. 2) Program hours will be 9:00 am to 4:00 pm. There will be supervision from 8:30am to 5:00 pm. Any child remaining after 5:00 pm will be the responsibility of the parents. During the lunch hour, most often between 12:00 and 1:00 pm, the children are required to remain at the program. 3) Children must be signed in and out of the program daily. On the registration form, parents will indicate who has permission to pick up their child(ren). If children are to transport themselves, parents must sign a waiver when registering. 4) For safety measures, please call to inform me if your child(ren) will be arriving late, or not attending for the day ( is my cell phone number, if I do not happen to answer, please leave a message.) 5) If the child is to leave supervision during the day, the Program Coordinator must be notified in writing by a parent or guardian, the morning of that day. Otherwise, no child is to leave the supervision of the Summer Fun staff during the hours of the program. 6) The Summer Program Assistants will be given equal responsibility for care of the children with the Program Coordinator for their session. 7) If your child requires medication during camp time, the following procedures apply: Put only the medication for that day into a sealed zip-lock bag, and sign-in medication to Program Coordinator. The sign in sheet will indicate the time that the medication must be taken, as well as other necessary information. The Coordinator will give the child the medication bag at the designated time, and the child will administer his or her own medication. 8) We will be vigilant in addressing bullying and misbehaviour. The Assistants will have the right to report incidents and behavior to the Program Coordinator who will then take the appropriate disciplinary action. Our first priority is the safety and wellbeing of all the children in the program. If a child s behavior interferes with this goal, the child may be dismissed from Summer Fun without a refund. Please Note: Children with special needs are required to have an aide while at camp. Including behavioral and severe allergies. As per policy, if your child requires an aide in the school setting, you are obliged to have your child accompanied by an aide for the Summer Fun program as well. 9

10 Summer Fun Child Discipline Policy Our staff is committed to delivering an enjoyable and safe program to all registrants. With this philosophy ever present in our minds, we follow an established discipline policy for dealing with behaviors that are not acceptable at Summer Fun. We recognize that all children need structure and guidance, and at times, may challenge Summer Fun rules; our leaders will be vigilant in asking all children to respect the rules which will be clearly posted and communicated. This discipline policy, however, is meant to deal with more difficult behaviors using a 3 step model. It is as follows: Step 1 Child will be placed in time out; Summer Fun Coordinator will phone or speak with child s parent in person at the end of the Summer Fun day. A letter will be delivered to parents as soon as possible to describe the behavior/incident, consequences applied, and confirmation that the child has moved to Step 1 of our discipline policy. Step 2 Child will be placed in time out; parent will be called immediately following the incident and will take the child home for the day. A letter will be delivered as soon as possible to the parents to describe the behavior/incident, consequences applied, and confirmation that the child has moved to Step 2 of our discipline policy. Step 3 Child will be placed in time out; parent will be called immediately following the behavior and applied consequence and will take the child home for the day. The child will not return to the Summer Fun Program for the remainder of Parents, Summer Fun Coordinator, and the Director of Community Services will meet in person as soon as possible to discuss the behaviors and consequence. There will be no refund given when a child is asked to leave the Summer Fun Program for any length of time. **Please note that steps can be skipped (i.e. from Step 1 to Step 3) immediately depending on the severity of the child s behavior/incident and the judgment of the Summer Fun Coordinator and Director of Community Services. At any time, parents can request a meeting with the Summer Fun Coordinator and/or the Director of Community Services to discuss concerns, children s behaviors, or ways to improve the overall Summer Fun experience. 10

12 Financial Support Family and Community Support Services for the Town of Vermilion is offering a subsidized registration fee to those who demonstrate need. 16 Summer Fun 2016 Release Form I, parent/guardian of hereby acknowledge the risk of injury in the activities conducted by the Summer Fun Program. In consideration of being eligible for participation in the Vermilion Summer Fun program, I hereby consent and agree that I shall not make any claim for injury or damages against the Town of Vermilion, Alberta Health Services, Vermilion Public Library, Summer Fun Coordinator, volunteers or Town of Vermilion employees, while taking part in Summer Fun, whether such an activity is being conducted on host community and/or satellites premises or not, however such injury and/or damages is any way whatsoever due to negligent, act, or breach of duty, default and/or omission on the part of all involved in Summer Fun I agree that my child (ren) will be participating in the activities of Summer Fun upon the distinct understanding that they do so at my own risk. 18 Field Trip Form We will be looking at leaving at 8:00 the day of our field trip which it set for August 9 th. I am unsure of our arrival time back home, this time will be confirmed closer to the day of the field trip; it will be between 5:00-6:00 pm. There will also be an additional fee for this day, the amount will be posted and summer fun parents will be notified once the fee is decided. You will be able to pay the fee to the Summer Fun staff before the day of the field trip.
