2 1. How to Login Congratulations on your new website. It has been our pleasure to work with you to build a site that will take your business or organization to the next level. Adding new content and editing current content is a snap with the Brio! System. The first step is to login. Your Project Manager will let you know when your site has been removed from our server, but in the meantime, you can access your site on our server at: I. To log in, please enter your username and password ** Everything is case sensitive** When your Project Manager has informed you that your site has been removed from our server, and your site is launched, you will be able to log in to make changes at a URL address that is specific to your business. Note the example below, however, you would simply insert your website s domain name followed by a forward slash / and the word login : Brio! Content Management System User Manual Copyright Sisarina
3 When you login, it will look identical to your Homepage. Note the options for making edits at the bottom of the screen. These will all be explained in detail on the following pages. 2. Editing Content Editing content with Brio! is as easy as using any word processing program, as much of the functionality is incorporated into Brio!. Unlike other website content management systems where edits are made in the back-end, Brio! allows you to edit content directly from each page on your website. The benefit is that you know exactly where and what you are editing. The next few pages will walk you through the process and take a deeper dive into some great features. Click on Go to page to select the page that contains content you wish to edit. You will get a pop-up menu of all your pages. Choose a page. Brio! 4 Click Change Content in the lower center of your screen. All content that is editable will now have a yellow box surrounding it. Click inside the yellow-outlined box you wish to edit and an editing box will appear. You can type new content or edit current content in this box. Brio! 5 At the bottom of every Change Content box, there is a Save button and a Save & Close button. Select Save to save while editing and Save & Close when you have completed editing. All websites have content at the bottom of every page. When you make changes to the content on any page, it will change the content on every page. If you hover over any box, it will turn red. If you click the red X in any box, the content of the box can be removed from the selected page. When you click the red X, you will get a pop-up box: You have the option of deleting content from only the page you are on, or Delete from all pages. ** It is highly recommended you choose carefully before Brio! 6 selecting Completely because there is no way to retrieve the deleted information once you take this action. When you have made your selection, click Delete. Is there any way to remind folks that they could go to a backup if they make a really huge boo-boo or do we even let folks do this any more? Another editing option is to click Stuff at the bottom of any page, you have several other options outlined by the pop-up box: When you want to add a new page to your website, it is recommended to select Clone This Page instead of Add New Page. When you select Add New Page, you will have a blank new page. When you select Clone This Page, content that flows on every page will remain. Clone This Page will keep your website content consistent. Please choose Delete This Page carefully. The page cannot be retrieved once deleted. Note: Click on the word STUFF and GO TO PAGE to collapse the pop-up boxes when enabled. Using the Edit Content TOOLBAR The Toolbar above your content editing box contains many options for style and distinction once you have typed your material. Brio! 7 You can hover over anything to get a pop-up box explaining what each icon means, however, following will be the explanation of these optional buttons. Clicking on Source will enable you see the back-end website language. You should NOT edit anything when Source is enabled. Simply leave Source alone and edit information from the regular screen like the following: To insert text into your website, you can type it directly into the change content box, or you can write it in a program like Microsoft Word and then copy/paste. If you are using Word, copy your material and select one of these two buttons to paste your material: Brio! Content Management System User Manual Copyright Sisarina
8 Copies as Plain Text and removes formatting: However, it is recommended that you select Paste formatting. from Word to retain the another word. Find & Replace buttons: Allows you find a word and replace it with Spell Check: a good idea before Save & Close! Remove Format: makes it possible to remove all text styling (bold, font color, etc.) applied to a selected part of the document. Select this icon to insert an image. Place your cursor where you want an image to be inserted and then select this icon. A box will pop-up showing all the images available on your server: Brio! 9 Select the image you want to insert and it will appear where your cursor indicated. You can manually adjust the size to fit the intended space. Please think twice when posting large images as they may cause your site to come to a screaming halt or even crash. We recommend images no larger than 800 pixels. If you wish to insert other images from your computer, simply select Upload Images. The next pop-up box will enable you to search your computer for the image you want to insert. Brio! 10 To insert a Table, select this icon: If you d like a break in between dialog, select this icon to insert a horizontal line. There are times when a special character is needed in your verbiage. When you select this icon: a pop-up box will appear to allow you to select the special character. The next set of icons are very similar to formatting options available in a program like Word. 1) Numbers 2) Bullets 3) Increase or decrease indents and 4) Block Quotes Alignment: Left, Center, Right, Justify Page, section or paragraph Titles Brio! 11 The Fonts available for your website will be found here, but it is recommended that you have only one or two fonts throughout your site for a consistent look. Select the Size of your font The first choice is to select your Font Color. It is recommended that you choose one or two colors throughout your website for a consistent look. The second choice is for the Background Color. 1) Bold 2) Italic 3) Underline 4) Strikethrough If you have a Hyperlink you want to insert, first highlight the word(s) you want the hyperlink to go to, for example: and then select this icon: You will receive a pop-up box with three options: The drop down box next to page allows you to direct this link to any page on your website. 12 File allows you to link to a file on your server or to a file on your computer by selecting Upload Files. External allows you to link to an external website. Type the URL of the website next to URL and your link will direct visitors to that website if they click on the hyperlinked word. Select Save Link when finished. Another creative option is to use an Anchor. Where Links will take your visitor to the top of another page, Anchors will take visitors to specific parts within a page. This option allows your visitor to reduce scrolling and allows you to point your link to the direct spot you want your visitor to go. Steps to create an Anchor: 1. Locate the place you want to send your visitor to and place your cursor there. Brio! Content Management System User Manual Copyright Sisarina
13 2. Select the Anchor icon. You will get a pop-up box asking you to name the anchor. Each anchor should have a distinctive name. 3. Click OK. You will see a small anchor graphic while in the edit view, but it will disappear in regular view. 4. Highlight the word that you want to connect with your Anchor and select the Link icon. Editing Content, Continued The following pages contain information about editing the Navigation Bar, Blogs, Contact Forms, Testimonials, Photo Gallery, and Events/Staff & Portfolio. All websites will have some of these options, but not all website will have all of the options. Navigation Bar Brio! provides for a fully customizable top navigation bar. It allows you to quickly move the order of your top headers and the pages within those headers. By selecting Change Content, all the editable content is highlighted on your top navigation bar. When you click into any one of these boxes, you will receive the following popup box: Brio! Content Management System User Manual Copyright Sisarina
14 Here are some very easy options: Clicking on the pencil allows you to change the name of a page. Clicking on the far left allows you to click-n-drag any of the titles to a different spot. Notice the first two are reversed now. The far right contains all your other pages. Clicking on the green arrow on the right will move that page to the left navigation bar. Brio! 15 A. B. You can click-n-drag the item back to the right if you decide to move it again. The Red X will delete the page from the top navigation bar. Blog You can create a new blog post or edit an existing one by navigating to your blog and selecting Change Content. + By clicking into the yellow highlighted box, you will get a new pop-up box. 16 If you want to start a new post, first give your blog a title and select Start new post You will receive a blank box. You can either type your blog post directly into this box, or copy/paste from a Word doc. It is recommended to select Save as you go to prevent any mishaps After you have completed the blog, it is recommended to Preview it first. Brio! 17 Automatic formatting will keep your title consistent in size and font, the date will post directly under the title and your blog content will follow. Do you want an Image in your blog? Click on Image at the bottom of the content box. You will then receive an option to select images from your computer. Before concluding your post, select Advanced If there is more than one person in your organization submitting blogs, use the drop down box next to Author to select who is contributing the blog. Brio! 18 Post Date: If you wish to publish your post immediately, you can bypass the Do not post until selection. However, if you want to set your post up for a future publishing time, select the date and the time, and your blog will post at that future period. Please be sure to select a time from 00:01 23:59. Post-dating is handy if you want to write your blogs in advance and have them post periodically. Tags: Before publishing your blog, be sure to add some descriptive tags. Tags are used to facilitate the collection and sharing of data between your website and the various search engines. Write your tags in a string of one-word phrases explaining the keywords of your blog. Categories: Choose categories that best describe your blog before publishing it. Content on websites is constantly being evaluated and assigned to categories such as children, entrepreneur, advertising, health, job search, social networking, technology, etc. Categories can contain more than one word. To assign categories, click on Choose Categories and a box will pop up. Brio! Content Management System User Manual Copyright Sisarina
19 Next, you can choose from the list of categories already added to your website by clicking on the word or phrase, or you can add new categories. To add a category, simply type the word or phrase and select add. When you have completed adding your categories, select close. You will now see the list of categories added. Allow Comments: You can decide whether or not to allow the readers of your blog to post comments. The box is already checked to allow comments, but you can remove the check if you do not want to allow comments. If you are interrupted, or otherwise cannot finish the work on your blog, you can select Save and return to it another time. Later, when you click on Change Content and your yellow box to edit, you will see the following box pop. Brio! Content Management System User Manual Copyright Sisarina
20 Now, select the pencil to continue with the blog or the red X to delete it. Once you are satisfied with your content, selecting Save & Publish will post the blog to your website. Contact Forms Capturing visitor information and requests for contact is crucial to your business. To provide a good experience for your visitors, navigate to your Contact Page. Next, click Change Content and the yellow boxes pop up. Click into any one of the boxes to edit information. Brio! Content Management System User Manual Copyright Sisarina
21 You can choose what information is captured and if a field is required or not. When you click into the Name yellow box, you get another box that pops enabling you to add or change information. ] Using the navigational arrows allows you to change location of the field. Selecting the pencil icon enables you to change the name of the field. Selecting the red X enables you to delete the field. If you click on the pencil icon next to the field to edit, you will get a pop-up box. In Field Name you can edit the name of the field. If the field is required for a visitor to provide when requesting contact, then ensure that the Required box has a check. You can also add optional fields and leave the Required box unchecked. Brio! 23 Testimonials If your website has testimonials or quotes, it s a snap to add these on any page. Go to the page in which you want the testimonial or quote to appear. Click on Change Content. You will get a pop-up box listing all the testimonials or quotes, or it will be blank when adding the first one. At the lower left select Add New Quote. You will then get a new pop-up box. Insert the testimonial or quote in the top box, give it a name, Indicate which page the quote should appear and add the website URL by typing websitedomainname/nameof your page, for example: Brio! 24 Photo Gallery The Photo Gallery appears on the inner pages of your website and allows you to change the picture that is displayed at the top of certain pages. To change the photograph, follow these steps: 1. While logged in as a User, in your internet browser add a / after your company s website name and type inner 2. Click on Change Content 3. Click on the image/graphic 4. A pop-up box will appear Select Upload Images Select an image from your computer. Events/Staff/Portfolio The Events option (if elected) allows you to publicize any wonderful event that may be taking place. The Staff option (if elected) allows your company to spotlight the amazing people who work for you. The Portfolio option (if elected) allows your company to show off its best work for others to see. There are many editable options when you navigate to your Events, Staff or Portfolio pages and select Change Content. In each case you will receive a Brio! 25 similar pop-up box: The bottom left button allows you to add a new entry. The Red X will delete the selection. The + will allow you to copy the page. You have navigational arrows to change the order, or the last icon will allow you to select a specific place for the selection. When you click on the pencil icon, the following box will pop: 3. 26 Search engine optimization (SEO) is the process of affecting the visibility of a website or a web page in a search engine's "natural" or un-paid ("organic") search results. In general, the earlier (or higher ranked on the search results page), and more frequently a site appears in the search results list, the more visitors it will receive from the search engine's users. SEO may target different kinds of search, including image search, local search, video search, academic search, news search and industry-specific vertical search engines. As an internet marketing strategy, SEO considers how search engines work, what people search for, the actual search terms or keywords typed into search engines and which search engines are preferred by their targeted audience. Following will be some education on SEO and how you could improve the chances of traffic coming to your website. Click on SEO from any page. Note: each page has its own SEO analytics. When you click SEO, you will get a pop-up box. Note: you would want to fill in this information for each page of your website. Each page should be given a name. The URL Alias is the name following the / after your website domain name to identify it. Please note: Each page was named during the development of your site. Do not change the URL Alias unless you want to change the name of the Brio! Content Management System User Manual Copyright Sisarina
27 page itself this will also change in the navigation so please be careful. Layout refers to the custom template this page is using. When you click on Inner you will get a pop-up box: Choose the location of the page you are optimizing. Do not change the layout without consulting your developer. <title> tag refers to the title or theme of your page. This is the most important of all the basic SEO tools. The title tag tells people and search engines what information can be found on the page. Title tags are also part of what makes people decide whether to visit your site when it shows up in the search results. When you add a title tag, the tag should contain important keywords to help the search engine AND the humans determine what information can be found on the page. This should be between 3-7 words and will show up in the top title of your browser and also on a search page as the name of the page. The Meta description is the snippet that appears below the blue link in a Google search. Words that matched the user query get pulled out in bold. This should be in sentence form and is typically 1-3 short sentences packed full of your search keywords and phrases but written so a human can read it intelligibly. Meta Keywords are words and short phrases that describe the content of your page. Meta Keywords explain through phrasing what is included on your page so that a SEO can find relevant information when a user performs a Brio! Content Management System User Manual Copyright Sisarina
28 search. Simply stated, meta keywords represent the search term that you think people will use when they try to find your website. Creating clear, descriptive words can improve the click-through rate for a given webpage. Most pages have between key words or phrases. Required and Group Access allows you to restrict page access to individuals or, if your company/organization has them, specific groups. When you click on Required Access, you get a pop-up box: Home should be checked when you optimize your SEO on the Home Page. Adding a User Adding or deleting Users, people in your company or organization that you want to have access for changes on your website, is easily accomplished by selecting the red gear at the bottom of every page. Locate the red gear at the bottom right of your screen. Click the red gear to bring you to the following screen: Select Users then select Add New User Fill in the information and select Add New User Brio! 30 Note: It is very important that you select Admin Level 2 in the User Access dropdown. Admin Level 1 is for for the developer of the site only. 31 5. Website Maintenance Regular maintenance assures that your website functions as intended. Periodically click on the red gear icon at the lower right of your screen. Updates: To be sure that your website is up-to-date, select Update and then select the blue Check button. Backups: It is recommended to back-up your website often, especially if you change/add content frequently. To back-up your website, select Backups and select the blue Perform Backup button. Brio!
