1 Environment Settings
2 COMMON ICON KEY FOR THIS SECTION Environment Settings ENVIRONMENT SETTINGS For all summary screens and tables in Treasury Optimizer, you can modify the column, filter, and sort settings to display the information that you want to see. You will use the Environment Settings button to make these modifications. In addition, many Treasury Optimizer screens contain Account select functions and a Pagination bar. For detailed examples using the Environment Settings button, see pages 3-4 of this guide. For details about using the Account select and Pagination bar functions, see pages 5-7 of this guide. SUMMARY SCREEN EXAMPLE The Balance Reporting Summary screen shows balances from the previous business day, you have to scroll to the right to see fields beyond Account Nickname. In the next section, we will use this Balance Reporting Summary screen as an example and remove the Financial Institution, Currency, and Account Name columns by modifying the Environment Settings (keeping Account Nickname). We will also change the sorting to sort by Date and Account # in ascending order. CHANGING ENVIRONMENT SETTINGS 1. Click the Environment Settings button. The screen displays Filter Settings. 2. Set the filters as desired. For example, you may want to view an entire month s worth of Summary data by using the Relative setting of Month to Date. See specific examples on page 3. For this example, we will skip the Filters. August 25, 2012 Page 1 of 7
3 CHANGING ENVIRONMENT SETTINGS (CONTINUED) 3. Click the Column Settings tab. 4. To remove a column from view, select it on the right and click the Hide button (moves the column to the left side). 5. To show a currently hidden column, select it on the left and click the Display button (moves the column to the right side and places it at the bottom of the order). 6. To change the order in which columns display, select a column heading and use the Up and Down arrow buttons to move it to the desired place in the order. 7. Click the Sort Settings tab. 8. Set the sort order as desired. 9. Click OK to change the settings until your next login, Save to change the settings and make them the default, Restore to undo all custom settings and return to the original Treasury Optimizer defaults, or Cancel to close the screen with no modifications. In the sample screen to the left, the Balance Reporting Summary no longer shows fields for Financial Institution, Account Name, and Currency, two additional fields can be seen to the right of Closing Ledger, and the rows are sorted in Date order and then by Account Number. NOTE: When you hover your mouse over any column name, a white button displays. The button is used to quickly hide/display columns. Page 2 of 7
4 EXAMPLES: SAVED DATE FILTERS AND COLUMN/SORT SETTINGS IN BALANCE REPORTING Using Environment Settings in the Balance Reporting function, you can view Previous Day transactions for a range of days all on one screen. Treasury Optimizer allows you to save relative date ranges using one of several pre-set date options (Example 1), to save column settings preferences (Example 2), or to save column sorting preferences (Example 3): EXAMPLE 1: Relative Date Range (Month to Date) 1. You want to see a summary of all Previous Days for the current month (cannot include today). Click the Trans Date drop-down arrow and choose Relative. 2. Click the ellipses button (...) on the right side of the screen to display the filter values dialog box. 3. Choose Month to Date from the drop-down list, then click OK. 4. Click the Save button to keep this preference. One advantage of saving this setting is that it will automatically update when the next month begins. EXAMPLE 2: Column Settings 1. You want to move the Account Type column after Account Name, and you want to remove the 1 Day Float and 2+ Day Float columns. 2. Select Account Type on the right side of the screen, and use the Up or Down Arrow buttons on the far right to move the field after Account Name. 3. Select 1 Day Float and click the Hide button; repeat this process for 2+ Day Float. 4. Click the Save button to keep these preferences. EXAMPLE 3: Column Sorting 1. You want to see your data sorted by Date (with the most recent date on top), then by Account Name (not by number). 2. Click the Sort By drop-down arrow and choose Date. To make the most recent dates appear on the screen first, click the option for Descending. 3. Click the first Then By drop-down arrow and choose Account Name. 4. Leave the second Then By field blank (or set it to blank). 5. Click the Save button to keep these preferences. EXAMPLES: SETTINGS FOR BOOK AND WIRE TRANSFER SUMMARIES Using Environment Settings can help in functions other than Balance Reporting. You may want to see just the book transfers involving specific accounts (Example 1) or those transfers performed by particular users (Example 2). For wire transfers, you may want to see any transfers over a certain dollar amount (Example 3): EXAMPLE 1: Book Transfer From Specific Accounts 1. You want to see only the Book Transfers where account #12345 is the receiving account. On the Book Transfer Summary filter screen, click the Receiving Account drop-down arrow and choose In. 2. Click the ellipses button (...) on the right side of the screen to display the selection dialog box listing available accounts. 3. Select the desired account on the left side, click the Add button to add it to the right side, then click OK to close the dialog box. 4. Click the Save button if you wish to keep this preference. EXAMPLE 2: Book Transfer By Specific Users 1. You want to see only the Book Transfers performed by Sarah and Dave. On the Book Transfer Summary filter screen, click the Entry User drop-down arrow and choose In. 2. Click the ellipses button (...) on the right side of the screen to display the selection dialog box listing available users. 3. Select the desired users on the left side, click the Add button to add each one to the right side, then click OK to close the dialog box. 4. Click the Save button if you wish to keep this preference. EXAMPLE 3: Wire Transfers Over $ Amount 1. You want to see only the Wire Transfers for $500 or more. On the Wire Transfer Summary filter screen, click the Amount drop-down arrow and choose Greater or Equal (>=). 2. Click the ellipses button (...) on the right side of the screen to display the amount entry dialog box. 3. Enter 500 (no $ sign or decimals needed), then click OK. 4. Click the Save button if you wish to keep this preference. Page 3 of 7
5 EXAMPLES: VIEWING FUTURE-DATED BOOK AND WIRE TRANSFER SUMMARIES You are able to delete or modify certain types of book and wire transfer requests (see those specific referrence guides for instructions). In order to delete/modify them, you must first view them on the Summary screen. You may want to see just the book transfers involving a specific future date or date range (Example 1) or those transfers that are any time after today s date (Example 2), or you may want to see all transfers that are future-dated (Example 3). All examples below are for wire transfers, but the instructions are the same for book transfers: EXAMPLE 1: Transfer On Specific Future Date 1. Today is June 1. You want to see all transfers scheduled to take place between June 5th and June 18th. Click the Value Date drop-down arrow and choose Between. Two blank boxes appear on the right side of the screen for the dates. 2. Click the ellipses button (...) on the right side of the screen to display the date selection dialog box. 3. Choose your From and To dates, then click OK. 4. Generally, you will not save these date settings, because you will not always be viewing these same dates. EXAMPLE 2: Transfer After Today s Date 1. Today is June 1. You want to see all transfers scheduled to take place after today, regardless of how far in the future they are scheduled to take place. Click the Value Date drop-down arrow and choose On or After. 2. Click the ellipses button (...) on the right side of the screen to display the date selection dialog box. 3. Click the calendar drop-down arrow to display the calendar, choose tomorrow s date, then click OK. 4. Generally, you will not save this date setting, because you will not always be viewing this same date range. EXAMPLE 3: Future-Dated Status 1. You want to see all transfers that have a status of Future Dated, regardless of how far in the future they are scheduled to take place. Click the Status drop-down arrow and choose In. 2. Click the ellipses button (...) on the right side of the screen to display the dialog box listing available status indicators. 3. Select Future Dated on the left side, click the Add button to add it to the right side, then click OK to close the dialog box. 4. Generally, you will not save this setting, because you will not always be viewing only the futuredated items. 5. Now that you are viewing the desired data, follow the instructions in the reference guides for Book Transfers or Wire Transfers to modify or delete them. NOTE: For instructions on modifying or deleting future-dated book or wire transfers, refer to the specific reference guides for those functions: Book Transfers Wire Transfers - Creating Single Wire Transfers Page 4 of 7
6 USING THE ACCOUNT SELECT FEATURE Many Treasury Optimizer screens allow for quick selection or filtering of account numbers with the Account select feature. There are two ways to use this feature. Both are described below. 1. Locate the Account select area above the blue toolbar. The example at left shows its location on the Check Management Summary screen. 2. Click the drop-down arrow and choose In to indicate that you wish to select a specific account. 3. Click the ellipses (...) button to display the list of available accounts. 4. Select the desired account(s) from the list and click the Select button to return to the Summary screen. (If the selection list contains check boxes, as shown at left, you can select multiple accounts. If the list contains radio buttons, you are limited to one account.) 5. To run the filter for the selected account(s), click the Go button. ALTERNATE STEPS FOR SELECTING ONE ACCOUNT 1. Click the drop-down arrow and choose In (if necessary). 2. Click inside the white box where the account number is usually displayed. 3. Begin typing the desired account number or nickname. As you type, a list of accounts that match your criteria will appear below the box. The more characters you enter, the shorter the list becomes (max. 10 accounts listed at one time). 4. Click the desired number from the list; then click Go. 5. To clear the current account number entry and begin a new one, click the C button to the left of the Go button. Page 5 of 7
7 USING THE PAGINATION AREA Except in Balance Reporting, most Treasury Optimizer screens have a Pagination area at the bottom that limits the display of data to 25 rows per page. 1. Locate the Pagination area at the bottom of the screen. The example at left shows its location on the Book Transfer Summary screen. 2. Use the left and right page scroll buttons to scroll from one page to the next or previous page; use the first page and last page buttons to navigate to the first or last page. 3. If you wish to navigate to a specific page, click inside the white page box and type a page number. After a brief pause, the screen will refresh with the new page. Filter on Page First Page Prev Page Next Page Last Page FILTERING ON PAGE 1. Click the Filter on Page button to display the filter area. 2. Enter the desired criteria (such as a keyword); specify the field if necessary, or leave on All if searching all fields on the screen. 3. Click Submit. 4. Click the Clear Filter button to clear previous entries and begin a new filter. Page 6 of 7
8 EXAMPLES: USING ACCOUNT SELECT AND PAGINATION FILTER IN USER ADMINISTRATION You can select accounts quickly when assigning permissions to accounts during User Administration. You may want to choose just specific account numbers (Example 1) or those accounts needed by users at a particular location or property using a keyword in the name (Example 2). EXAMPLE 1: Choosing Specific Accounts 1. You have six accounts at your company but want to assign Balance Reporting permissions to account #1111 and #2222 to one user. On the Balance Reporting sub-tab of the Permissions tab, click the Account # drop-down arrow and choose In. 2. Click the ellipses button (...) on the right side of the screen to display the selection dialog box listing available accounts. 3. Check the boxes for the desired accounts, then click Select to close the dialog box. (With only six accounts, all accounts will display on one screen for you to select.) 4. Click the Go button to run the filter, and assign permissions using the checkboxes in each column. EXAMPLE 2: Choosing Accounts For a Specific Location (Property) 1. You have 55 accounts at your company and want to assign all accounts that pertain to the Morgan property. There are 7 accounts for this property, and all have the word Morgan in the name. On the Balance Reporting sub-tab of the Permissions tab, click the Account # drop-down arrow and choose In. 2. Click the ellipses button (...) on the right side of the screen to display the selection dialog box listing available accounts. There will be 3 pages of accounts. 3. Use the Pagination Filter at the bottom of the screen to filter for the word Morgan in the Account Name column. Regardless of how many pages your account list currently occupies, the 7 Morgan accounts will be displayed on your screen for selection. 4. Check the Select All box at the top of the list to check all boxes for the desired accounts, then click Select to close the dialog box. 5. Click the Go button to run the filter, and assign permissions using the checkboxes in each column. EXAMPLE: USING ENVIRONMENT SETTINGS AND PAGINATION FILTER IN BALANCE REPORTING The Balance Reporting service does not include an Account Select feature or a Pagination Area on the Summary screens. However, these features are included when you work with Environment Settings. You may want to narrow down the items on the Summary by using a combination of these feautres as described in the example below. EXAMPLE 1: Choosing Specific Accounts With Environment Settings, Account Select, and Pagination Filter 1. You have 55 accounts at your company but want to view Balance Reporting summaries for all accounts that pertain to the Morgan property. There are 7 accounts for this property, and all have the word Morgan in the name. On the Balance Reporting Previous Day Summary screen, click the Environment Settings button. 2. On the Filter Settings tab, click the Account # drop-down arrow and choose In. 3. Click the ellipses button (...) on the right side of the screen to display the selection dialog box listing available accounts. There will be 3 pages of accounts. 4. Use the Pagination Filter at the bottom of the screen to filter for the word Morgan in the Account Name column. Regardless of how many pages your account list currently occupies, the 7 Morgan accounts will be displayed on your screen for selection. 5. Check the Select All box at the top of the list to check all boxes for the desired accounts, then click Select to close the dialog box and return to the Filter Settings screen. 6.
