3 INTRODUCTION One feature of MP5 is the ability to export a selection of data to Excel as a Pivot Table. This Excel file will contain a table of the data from the selection and also a graph. It is possible from here to create and edit additional graphs to visualise the data in a format more suitable to your needs. The Pivot Table Link exports data from your selection in MP5 to the Excel Spreadsheet but unlike a normal export this data can be updated using the Pivot Table refresh function instead of having to export the selection again. You can do this by clicking on the Pivot Table and in the ribbon options click the refresh button. This will pull any new data subsequently imported from MP5 into the Excel file. Those familiar with using Excel should find this quite straightforward but to those who are not the following will give you some insight to creating and editing graphs in Excel using Pivot Table data. Please note that this feature requires you have Microsoft Excel installed and a version of 2007 or later. EXPORTING DATA FROM MP5 TO EXCEL USING PIVOT LINK To begin you ll need to choose a selection in MP5 you want to export and go into that selection. Once in the selection you should see an option called Excel Pivot Link, double click this and MP5 will launch Excel and begin to export data to it. This process can take some time depending on the size of the selection that you are exporting. Sometimes Excel doesn t launch in front of the MP5 window so you ll need to minimise MP5 or click the Excel icon in your Windows task bar. Page 3 of 8

4 PIVOT DATA IN EXCEL Once MP5 has finished exporting the data you ll be presented with a time series graph of the data you have just exported. You ll see from this screen that MP5 has generated two tabs, one consisting of the time series graph and another with a table of data. Also take note that a new options panel is open, this details the information coming from the Pivot Table and where is it being used in the graph and on the table tab. Before changing the graph we will first look to manipulate the table. Page 4 of 8

5 You can use the options provided to edit the Pivot Table to filter data and change the data summaries. This is also reflected in the chart on the first tab. The remainder of this article will provide step by step instruction to filtering the table data to use specific sample points and group by month. It will also detail changing the chart type and applying dynamic axis labels. On the Pivot Table screen we can filter the data we are pulling through from MP5. We have the options to filter by the variable name or the sample point name. We can also group data together or filter the date to month or year. An example of this would be to filter to a specific variable, a select group of sample points and sum the data to get a total for the month. We ll then represent this in a bar chart. To start we ll set the variables to display, at the top of the table you ll see a field which you can drop down. Open the field and you can select the variable you want to filter by. If for example you had a list of 10 variables and you only 3 of them, you can use the select multiple items option. For our example we ll choose the FAWFA variable name. Once you have done this go to the second drop down field for the sample point. From here we can choose what sample points we want data from. In this part we ll select a specific group of sample points to get data from. Checking the select multiple items box will allow you to select individual items from the list, as shown the in screenshot. In our example we will select FA1 and FA4. You ll notice that the data in the table has now changed but it is only showing the variable column. So to change this we ll using the Pivot Table Field List and drag the sample point short name column into the columns label and move the measure short name to the report filter or you can remove it all together. 6 Now we have the data for the two sample points but it is for every day so you ll use a group to display only the month. Right click on the column containing the dates and select the group option. This will give you options to group the data in different ways, for our example we want to deselect the start and end date options and select the month option in the By section. You will now see the data grouped by the month only but the data being shown is the maximum value of the data for each month, instead we want it to the show the total of the variable value for the month. By right clicking the data and choosing value field setting we can change how the field data is shown. For this example we want to change it to sum. We could also use the Pivot Table field list to change these options. Page 6 of 8

7 CHANGING THE GRAPH TYPE Now we have our table data filtered we can change the graph. Going back to the Pivot Chart tab you should see the chart has changed to match the table data. Changing the chart type is simple, right click the chart and choose to change chart type. For the example we want a clustered column type chart and press ok. The change will happen immediately but the graph is lacking detail, this can be changed by selecting the chart and on the ribbon at the top of Excel select design in the Pivot Chart Tools highlighted section. You will see chart layouts which will allow you to add more or less data to the chart. Choose an appropriate layout which has axis labels, for the example we have used layout 7 in Excel These axis titles unfortunately won t have any data linked to them but we can dynamically add a value to them. Simply click on the axis label so it is selected and in the formula box at the top of Excel sheet type: = [and this value will be the cell from the Pivot Table that has the name of the variable]. This will then update the label so it is always the name of the variable being shown. Page 7 of 8

8 You can customise this Excel file to visualise your data in many different ways and add new charts and tables. An easy way to quickly add a new chart or table is to copy the sheet and edit its contents. This saves you having to enter the connection details to the MP5 database that the Pivot Table is pulling data from. You can also choose to save the Excel file using the Save As function, which is another way to quickly start a new file with the same connection details. Page 8 of 8
