1 CHI PSI FRATERNITY ALPHA BIOGRAPHY ALPHA MU DELTA The Alpha Biography form is sent to each #1, and is to be completed and returned to the Chi Psi Central Office by 1 June While much of the content remains the same from previous Annual Reports, the Central Office has made significant changes this year. The Annual Report has been divided into two separate documents which will require completion: A) The Annual Report (the Alpha s annual activities and updates) B) The Alpha Biography (the Alpha s standard biographical information) In future years, this Alpha Biography will be returned to you for minimal updates. Please answer all questions within this document, and the accompanying Annual Report. Quality of answers should take precedent over presentation. If any information requested in this report is not available or is not applicable to your Alpha, please note that fact along with a brief explanation. Bound Alpha Biographies will not be accepted in place of electronic submissions. The Central Office needs to reproduce your report for distribution to the awards committees, and cannot do so if the report is bound. Submit your report electronically. 2 SECTION I: GENERAL INFORMATION 1. What are the name, title, and contact information for the person(s) directly responsible for Greek Affairs on your campus? 3 SECTION II: SCHOLARSHIP MINIMUM GPA REQUIREMENTS By School for Graduation 2.0 By Alpha for Pledging 2.25 By Alpha for Initiation 2.25 By IFC/Greek Life Do you have a Faculty Advisor? Please list name, title, contact information, and number of years that he or she has been the Alpha s advisor. Please briefly discuss his or her function/ responsibility. If your Alpha does not have a one, is it actively recruiting one? (please include information in Appendix A) Meghan Harte has been advising Mu Delta for the past 3 years. Meghan assisted Mu Delta this year with communications, ideas for improvements, dealing with internal and external issues, and guidance through turbulent times. She also was a major advocate for Mu Delta in terms of communicating the positive things Mu Delta accomplished. 2. Does your Alpha have a Scholarship Chairman? If so, what is his function/responsibility? The brothers elected Kevin Caceras as our scholarship chairmen this year, and Kevin began helping brothers on a need-only basis. Kevin was able to do this by organizing brothers based on their majors and minors and finding useful references for brothers in need. This way when any brothers had field specific questions, Kevin could pair them with other brothers who had suitable expertise. I believe that the Scholarship Chairman greatly contributed to the overall increase in GPA achieved by Mu Delta. 3. Does your Alpha have a program for tutoring? If yes, please describe it. If no, does the Alpha have plans to develop one? Alpha Mu Delta has no structured program for tutoring, but brother Caceras is always able to find another brother or classmate with fieldspecific knowledge. Many of the Brothers find help within the Alpha by communicating with Brothers with the same or similar majors. Alpha Mu Delta: Alpha Biography 3

4 4. Does your Alpha have quiet or study hours on a regular basis? Please explain. Mu Delta has no specifically scheduled quiet hours, other than during finals, but our first floor is generally kept quiet with the intention of having a noise-free working environment in our Alpha room. We recently transported our plasma TV to our backroom from the Alpha room, making it an enjoyable, with limited distraction environment to work. 5. Does the Lodge have a study/library? What is the primary function of this space? The Lodge has no study or library, but when we are not conducting meetings in our Alpha room it is a designated study area.. 6. Does your Alpha have a program of scholarship recognition? (If yes, describe briefly.) Yes, we do. Pledge room pick order is entirely determined by first semester GPA. Room pick order for brothers is determined by a points system based on leadership, scholarship, and service. 7. Does your Corporation/Foundation/Educational Trust have a program of scholarship recognition? (If yes, describe briefly.) Our Alumni Corporation has a program for scholarship recognition based on economic incentive. If brothers make above a 3.0 during the fall semester, they are rewarded with $50 at the initiation banquet. If they make above a 3.5, they are awarded $75. We do this both to reward the hard work of our brothers, and to demonstrate to the new initiates the value of scholarship. Alpha Mu Delta: Alpha Biography 4

5 SECTION III: FINANCES 1. Does the Alpha collect its own revenue? If not, who collects it? Yes, Mu Delta collects its own revenue. 2. What officers (if any) are compensated for their services, and how much do they receive per term? Please explain. No officer is compensated for their services. Alpha Mu Delta: Alpha Biography 5

6 SECTION V: THE ALPHA 1. When are the Alpha s officers elected? What about other major positions such as recruitment chair, Lodge manager, etc.? Officers #1 through #5, as well as the Pledge Educators are elected the week before formal rush begins. The Lodge manager is elected at the end of the school year, by the Office of Residential Life, but the Deputy Lodge Manager, who trains to become lodge manager, is elected at the beginning of the school year, along with all other offices not previously accounted for. 2. Are newly elected officers trained by their predecessor? In what way? Newly elected officers are trained by their predecessors through our rollover period. Until a newly elected officer is comfortable executing his position alone, the previous holder of his position attends all meetings with him and helps him with his various duties. 3. What officers and chairmen make up the Alpha Executive Committee? The Alpha Executive Committee is composed of the #1, #2, #3, #4, #5, Lodge Manager, and Pledge Educators. 4. Does the Alpha Executive Committee hold regular meetings? How often and Where? The Alpha Executive Committee holds meetings every Monday evening in our Alpha room one hour before Alpha meetings. 5. Does the entire Alpha hold regular meetings? How often and Where? Our entire Alpha holds meetings every Monday evening in our Alpha room. As opposed to last year, the new Executive Committee felt that holding meeting on Monday as opposed to Sunday would increase attendance. 6. Is Chi Psi a member of the Interfraternity Council? If not, please explain why. Yes, Chi Psi is a member of the Inter-Fraternity Council. Mu Delta is represented by the #1, a junior delegate, and Kevin Boone (#4) who was elected as the Treasurer of IFC. Alpha Mu Delta: Alpha Biography 6

7 SECTION VI: ALUMNI RELATIONS 1. Is an Alpha officer a voting member of the Alumni Corporation/Advisory Board? If so, which officer(s)? Yes, Clay Mitchell (#1), Ryan Moore (#2) and Denard Ingram (Alumni Relations Chair/Pledge Educator). 2. Do the officers of your Alpha participate in the Alumni meetings? Do other Actives? Yes. The officers mentioned above participate in monthly conferences with the Alumni Corp. via phone. Other Actives are also welcomed to participate, however, it s generally the officers mentioned previously. 3. What is the Alpha s relationship with its alumni? Do the Actives know the Corporation/Advisory Board members and other alumni? Our relationship with our Alumni Advisors has especially strengthened this year, and it is safe to say that most, if not all of the actives know who our alumni advisors are. The Alpha also had the pleasure of hosting many of our own Mu Delta Alums during Rollins Alumni Week; as well as, during our Initiation week and banquet. 8 SECTION VII: RECRUITMENT Please attach appropriate materials as: Appendix A: Alpha Mu Delta Recruitment Information. 1. Does your school have a dry recruitment policy? If yes, please explain. If no, how does the Alpha follow the Chi Psi Risk Management Policies related to alcohol? Yes, activities during formal recruitment week are not allowed to involve alcohol and rushees are not allowed to go to any Greek house during their rush period. 2. Does the Alpha follow a written recruitment program? If so, please attach a copy of that program. (Appendix E). No, We have an unwritten list of activities that we have done in the past as a sort of guideline to follow during this period 3. Does the Alpha produce a recruitment letter or brochure for prospective members? Please attach a copy. (Appendix E) No, But after seeing the one produced by Alpha Beta we have come to realize what a useful tool a brochure could be in the active recruitment process. 4. Are alumni asked to participate in your recruitment program? No, aside from making recommendations the alumni have a very minimal role in the recruitment process. 5. How are alumni recruitment recommendations acknowledged? We take our alumni recruitment recommendations very seriously at Mu Delta. This semester Bill Green s stepson entered Rollins College as a freshman. The brothers got to know Brock, as well as his roommate, and gave them both bids and eventually both were initiated. 6. Does the Alpha give preference to legacies? How? Are any current Active Brothers or pledges legacies? As stated in our bi-laws, legacies automatically receive a bid; however legacy status does not guarantee initiation. Brock Clarey, step-son to Bill Green, is a current active legacy. Brothers Joel Ely and Martin Jacobs are also legacies. 7. Does the Alpha recruit over the summer? How? Alpha Mu Delta: Alpha Biography 8

9 Because of the limited amount of interaction Brothers have with potential Rushees, we do not have a strategy to recruit over the summer. Alpha Mu Delta: Alpha Biography 9

10 SECTION VIII: PLEDGE EDUCATION 1. Does the Alpha use 2006 edition of The Chi Psi Story for pledge education? Yes, Mu Delta uses the 2006 edition of The Chi Psi Story for pledge education. 2. Is the Chi Psi hazing policy read to Pledges each semester? Yes. In accordance with the Program for Pledge Education, the Pledge Educators go over Chi Psi s Hazing Policy in conjunction with the Risk Management material. 3. List the specific information your Alpha requires a pledge to know before Initiation (i.e. History, Alpha Names and Schools, etc.): Mu Delta utilizes the Program for Pledge Education, which guides the pledges through learning information such as: Chi Psi History, The Founders, The Cornell Fire, The Phillip Spencer Story, The Preamble, The Infrastructure/Government of Chi Psi, as well as several Chi Psi songs. Mu Delta also emphasized the knowledge of the Greek Alphabet, Mu Delta History and information about other Alphas (i.e. institutions, names and founding dates). In addition to this, Mu Delta also encourages its pledges, at their leisure, to learn small amounts of information about the other Greek organizations on campus. Alpha Mu Delta: Alpha Biography 10

11 Mu Delta does not have a Choregus. All Brothers are typically exposed to only three of the Chi Psi songs. They include: Chi Psi Ever, Chi Psis Are We and Phillip Spencer. SECTION VIII: THE LODGE Please attach a copy of your Lease Agreement and Membership Agreement as: Appendix B: Alpha Mu Delta Housing Agreements. 1. If the Corporation does not own the Lodge, please attach a copy of the lease agreement with the institution or private owner. Our Lodge is owned by Rollins College. 2. Does the Alpha require a damage deposit from Brothers? Pledges? How much is the deposit? Our Judicial Board finds the brother or person responsible for any damages that may occur and makes them pay. 3. Does the Alpha have a standard process for holding individuals accountable for damage done to the Lodge by them or their guests? Yes, Brothers are given the right to fair trail in front of our Judicial Board when we assume an act of vandalism. The Judicial Board has the ability to fine the Brother s, if deemed responsible, a monetary compensation for the damages. 4. Does the Lodge house Brothers during the summer? No, Rollins College uses the Lodge for summer camp housing during the summer. 5. Does the Lodge have dining facilities? A cook? If yes, how are meals conducted? The Lodge does not have a dining facility per se, or a cook, but we do have a newly renovated kitchen and barbecue area. We have Friday afternoon cookouts quite regularly and play corn hole and whiffle ball while doing so. We have Sunday Dinners, which is catered by Rollins, where every Brother is invited to dine in the Backroom. 6. Does the Lodge have a House Mother or live-in advisor? If so list his or her name and contact information. (Please include in Appendix A) Our lodge does not have a House Mother or live-in-advisor. Alpha Mu Delta: Alpha Biography 12

12 7. Do you have an Alpha Room for formal meetings? Yes and it is wonderful. 8. Does the Lodge have a functioning fire alarm system? A sprinkler system? Yes. 9. Does the Alpha allow smoking in the Lodge? No. By the rules of Rollins and the Winter Park Fire Department, no one is allowed to smoke within the Lodge or under any over hangings. 10. Does the Alpha have a Parent's Club or similar organization to help with furnishings and decorating? No, Rollins has furnished our Lodge with wonderful chairs, table, and couches. They reside in our Alpha Room and backroom. 11. Has the Corporation conducted a recent capital fund drive for major repairs and / or improvements? No. We recently donated a large portion of our Alpha Building Fund to Spencer Properties. 12. What plans do the Alpha and the Corporation have for long-term capital improvements and maintenance. Mu Delta has recently loaned a large amount of our funds designated for renovations to Spencer Realities. We plan on starting to brainstorm ideas for renovations in the fall. By the time we have everything on paper, hopefully, the money will be repaid and we will be able to start to build. Alpha Mu Delta: Alpha Biography 13

13 SECTION XII: RISK MANAGEMENT Please attach a copy of your host institution s alcohol and risk management policies as: Appendix C: Alpha Mu Delta Risk Management. 1. Does your school allow alcoholic beverages to be consumed on university property? Please explain. Yes, Rollins College allows the consumption of alcohol by persons over the legal age of 21 in private rooms. 2. Does your institution and/or IFC provide any risk management training for pledges? Officers? The entire Alpha? IFC provides risk management training for officers and the entire alpha before the onset of formal rush. We also get risk management training throughout the year during IFC meetings, in which we regularly discuss potential risks and possible solutions. Alpha Mu Delta: Alpha Biography 14
