1 CHAPTER 24: DISCOUNT PLANS AVImark provides the means to put a patient on a health maintenance plan including provisions for automatic discounting for specific treatments, courtesy discounting on others, and automatic reminding for plan renewal at the end of the period covered by the plan. The function allows the hospital to charge the customer up front for a treatment program for the patient and then automatically track the patient s progress throughout the plan as time progresses. Provision is made for any number of discount plans to be defined by the hospital and any client may have each of their animals on a different plan. However, any given patient may only be qualified for one plan at a time. In this chapter, you will learn how to: Define a Discount Plan on page 1 Remind for the Plan on page 1 Track Discount Plans on page 1 Add a Plan on page 1 Put a Patient on a Plan on page 3 Define a Discount Plan First, it is important to understand that a discount plan is represented by a treatment in your Treatment List. This is not an actual treatment of course but simply acts to identify the plan and define its cost to the customer. It also acts as a basis upon which to remind for the plan, later on a regular basis. It is recommended that you create a new category of treatments called something like Health Plans in your Treatment List, in which you will add all the different plans you intend to offer your clients. Each plan within the category will consist of treatments that you will create using an appropriate code, description, as well as a price. Define Covered Services Discount Plan Table Remind for the Plan Once these treatments have been created, you may want to set up reminder templates using the same procedures as you would for normal treatments within your Treatment List. For more information on setting up reminder templates, refer to CHAPTER 11: REMINDERS. Track Discount Plans Using the AVImark End of Period Reports, you may choose to print the Health Plan Report that tracks those patients currently on a Health/Discount Plan. Add new Treatments/Categories Remind for a Plan Health Plan Report Set up Treatment List Discount Plans Health Plan Report Add a Plan AVImark needs to know that the treatment you created, is actually a discount plan. Also you will need to specify the covered services associated with the plan. This will be accomplished by adding the treatment to System Tables, in a table called Discount Plan Table. 1
2 Setup a new plan From the CID, open the Work with menu. Click System Tables to display the System Tables window. From the Table section, click Discount Plan Table. Point in the Entries for Discount Plan Table section. Right-click and from the shortcut menu click New to display the New Plan Entry window. Code This field will be the code of the treatment which is already defined in your Treatment List. Type the plan Code as defined in your Treatment List. Plan After the correct Code has been entered AVImark will enter the Plan description for you. Courtesy Class This field allows you to specify a Client Discount Class that should be applied to clients and patients that purchase the Discount Plan. Using the Courtesy Class drop-down, select the appropriate Client Discount Class. Courtesy Rate AVImark allows you to specify what percentage discount is to be allowed on all treatments and/or inventory items NOT specifically covered by the plan. If appropriate, specify a Courtesy Rate percentage using whole numbers. Months This field indicates the number of months the plan will be active. Discounts defined in the plan will be extended to the client ONLY for the number of months from the day the plan is entered into the patient s Medical History. Using the UP and DOWN ARROWS, specify the number of months for the plan. Click OK to save the entry. Another New Plan Entry window will display which will allow you to enter the next New Plan Entry. When finished with all entries, click Cancel. Specify covered services From the Entries for Discount Plan Table section, click the Plan you wish to define. 2
3 Right-click and from the shortcut menu click Included services to display the Included services window. In the Included services window, right-click to see the shortcut menu. Point to Choose and click Treatments, Items, Diagnosis and\or Problems to display the appropriate list. Select the treatments, items, diagnoses and\or problems you wish to add to the plan. Click Done after all services have been added. Change the discount rate and/or quantity of a selected service From the Included services window, select the treatment, item, diagnosis and\or problem you wish to change. Right-click and from the shortcut menu click Change to display the Change Plan Treatment or Item window. If appropriate, use the Discount field to type the discount percentage allowed for this service. If appropriate, use the Count field to enter the number of times the service can be performed during the plan period and still qualify for the discount. Click Done on the Change Plan Treatment or Item window. Click Done on the Included services window. Put a Patient on a Plan When a client has decided to purchase one of your discount plans, simply enter the defining treatment into the Medical History area for the correct patient. This will initiate the discounting process specific to this plan and allows for the renewal reminding to take place a year later. From this point on, any treatments and\or items performed which are covered under the plan, will be priced according to the values and qualifications described above. When the plan expires, AVImark will 3
4 automatically remind for plan renewal and halt the discounting process until the client chooses to purchase the plan once more. Courtesy Class Health Plans Discount Plans 4
