1 MOUNT ALLISON UNIVERSITY Position Posting Position Title: Library Technician Position # 3288 Department: Libraries & Archives: Technical Services Classification: MASA Grade 7 Supervisor s Title: Technical Services Librarian Posting Date: December 9, 2016 Position Summary: The Library Technician will report to the Technical Services Librarian and will carry out cataloguing operations in Technical Services as well as day-to-day operations in Acquisitions and Access Services of the Ralph Picard Bell Library, when needed. The Library Technician will catalogue all formats of materials acquired for all areas of the Libraries; create, modify, and maintain the Libraries authority file; run departmental statistical reports; assist with librarian, patron, staff, and faculty inquiries; oversee cataloguing duties of the Technical Services Assistants; assist in supervising student assistants; participate in the procurement of donations; and help to ensure the ongoing preservation and maintenance of existing collections. The person in this position will assist in a wide variety of operations and projects. The ideal candidate will be able to work independently and cooperatively, within established guidelines. *Please refer to section B for the required Qualifications, Education and Skills Hours of Work: This is a full-time temporary position for approximately 11 months beginning January, Mount Allison Staff Association: This position is in the bargaining unit represented by the Mount Allison Staff Association. 2 Position Description A. Position Responsibilities Under the direction of the Technical Services Librarian, the Library Technician will oversee cataloguing initiatives across all areas of the Libraries. Specifically, this person: Creates original bibliographic records for all the Libraries collections (regularly circulating, reference, music, special collections, government documents, theses, archival, and rare books, etc.) in all formats (print and electronic monographs, print and electronic serials, other electronic resources, printed music, microform, cartographic, and audio-visual materials, etc.) in accordance with local, national, and international quality standards and policies including, but not limited to, RDA standards and using MARC21 cataloguing code; creates all controlled access points (names, preferred titles, subjects, series) against local, national, and international authority files as needed; all collections materials include many titles in various languages, such as French, Latin, German, Spanish, Italian, Chinese, and Japanese for which detailed research and authority work will be required. Prepares bibliographic records for all the Libraries collections in all formats, verifying all controlled access points (names, preferred titles, subjects, series) against local, national, and international authority files as needed; revises bibliographic records to current RDA standards and using MARC 21 cataloguing code. Creates authority records as a contributor to the NACO Atlantic Canada Funnel adhering to NACO standards established by the Library of Congress. Maintains the Libraries authority file, adding, modifying and deleting authority records as necessary to ensure functional reference and cross-reference operations of the Libraries catalogue. Creates, modifies, and deletes call number and item records for each title and item catalogued; generating classification numbers in accordance with local, national, and international standards; producing labels from generated classification numbers; linking barcodes to item records; assigning locations for items in consultation with librarians. Searches for and identifies complex problems with bibliographic, authority, call number, and item records; fixes issues with same in a continuous effort to maintain high quality standards of the catalogue. Assists the Technical Services Librarian in the development and maintenance of all collections. May include: identifying and sending items for repair, printing new call number labels, processing withdrawals, searching potential acquisitions against the local catalogues, and working under the direction of the Technical Services Librarian to provide preliminary identification of items for possible removal from the collections. Processes donations, searching items against local holdings, creating donation title lists, appraising items for tax receipts, and assisting the Technical Services Librarian in identifying noteworthy circumstances such as annotations, preservation issues, etc. Assists with retrieval and shelving of materials, following appropriate procedures for handling of rare and fragile items. Assists in maintaining collections, applying knowledge of conservation principles and techniques, including rehousing and the minor repairs of materials, and makes recommendations concerning preservation priorities. 3 Consults with Librarians and staff to assist in maintenance of title, call number, and item records. Provides assistance to Librarians, staff, and Library users regarding in-process materials and expediting processing of same. Provides knowledge, suggestions, and expertise in a professional environment regarding identified cataloguing issues and prospective cataloguing and description initiatives. Prepares metadata according to prescribed international standards for the creation of digital initiatives and building repositories. Oversees Technical Services Assistants in cataloguing projects assigned to them; ensuring quality control over cataloguing work produced by the Assistants; works under the direction of the Technical Services Librarian to plan and implement projects. Participates in the development of policies and procedures that support the mission of Technical Services and the Libraries & Archives. Participates in the planning, professional development, implementation, and evaluation of new standards, products and services employed in carrying out technical services functions. Participates in the hiring, training, scheduling and supervision of Technical Services student assistants, taking the lead role in training for areas such as record management and materials processing. Compiles monthly and annual statistical and operational reports for monitoring progress and activity of the entire Technical Services Unit including all cataloguing activity, authority work, and loading updates to bibliographic and authority files. When necessary, the Library Technician will provide support to the following areas: Acquisitions Creates orders (firm, standing and subscription) and invoices, placing orders with selected suppliers following guidelines established in Acquisitions. Receives and updates orders, and processes and codes invoices, receives items when delivered; inspects goods received for quality, completeness, and accuracy; routes books. Maintains spreadsheets and relational databases for documentation of serials, government publications, and other materials. Corresponds with vendors, publishers, and suppliers to resolve problems. Access Services Oversees the circulation of Library materials using the automated circulation module of the integrated library system and follows established procedures. Provides patron service and answers inquiries, following guidelines provided by the Head of Access Services. Refers research and reference questions to Librarians and the Archivist. Refers complex problems to the Head of Access Services. Oversees the study areas and use of public computers and audiovisual equipment to ensure security of the library, contents, and patrons. Provides technical assistance to patrons using the Library s printers/scanners/photocopiers, computers, and microform readers. Opens and closes the library for public service. Informs patrons about circulation and library policies, services and account information and maintains the client database which includes personal confidential information that may affect patrons accounts and library privileges. Assists with maintaining Course Reserves by adding and deleting records in the course reserve module. Manages revenue from patron services, ensuring all revenue received is kept secure during regular hours of operation and at closing. Assigns guest accounts allowing visitors to use library materials, computers, printers, and copiers. Page 3 of 5
4 Other duties as assigned. All Technical Services team members assist other team members when the need arises. This cross-functional team approach requires extra skills be acquired and utilized when necessary to ensure ongoing provision of service to the university community. B. Qualifications, Skills and Abilities A minimum of a 2-year Library Technician's Diploma and 5 years of relevant library experience (cataloging preferred) is required; a comparable combination of education and experience may be considered. Ability to read and understand material of a complex and specialized nature is required. Knowledge of, and experience using, RDA, AACR2, LCSH, LC Classification and MARC21 is required. Knowledge of computer applications, including word processing, spreadsheets, and relational database software is required. Excellent organizational skills, accuracy, and attention to detail are required. Familiarity with Integrated Library Systems applications relating to circulation, acquisitions and cataloguing work is required; experience using Sirsi Symphony will be an asset. A university degree or completion of courses at the post-secondary level will be an asset. Knowledge of OCLC bibliographic formats and standards, Library of Congress Program for Cooperative Cataloguing Policy Statements (LC PCC PS), LCNAF and the Name Authority Cooperative Program standards will be an asset. Knowledge of BIBFRAME, Dublin Core, MODS, EAD, and other metadata schema will be an asset. Proficiency in at least one additional language, preferably French, will be an asset. Proficiency in research abilities; knowledge of information retrieval and finding reliable and authoritative resources to provide necessary descriptive information to material covering a wide variety of subject areas and disciplines. Ability to follow and apply cataloguing rules and standards consistently to ensure quality cataloguing record production. Flexibility and adaptability to a constantly changing environment; technology, policies, standards, procedures, and workflow are always modified and upgraded. Excellent analytic and problem solving skills; confidently and independently able to make judgements on assigning subject headings and classification as well as using education and skills to interpret scope and depth of content of materials consistently and without ambiguity. Ability to prioritize and handle multiple tasks; able to work in an environment with many distractions and interruptions. Page 4 of 5
