1 BERRIEN COUNTY COMMUNITY DEVELOPMENT SCHOOL RECYCLING GRANT DESCRIPTION Deadline: Friday, October 21, 2011 Updated 08/26/2011 OVERVIEW Berrien County Community Development Department School Recycling Grant is available to provide monetary support for waste reduction and recycling projects in schools. Grant money will go toward purchasing recycling equipment and/or curriculum supplies to help carry out the projects. Projects should provide new or expanded in-school opportunities in the 4R s; reducing, reusing, recycling, and/or re-buying (buying recycled products). The School Recycling Grant is competitive and based on innovative ways to introduce or strengthen the 4R s in the school system, integrate or improve recycling collection throughout the school/district, and implement classroom programs and curriculums to enhance recycling activities in school. Especially critical in the evaluation process is the long-term effectiveness of the use of funds. The County Board of Commissioners has allocated $5,000 of the County Landfill Use Fund for the Fall 2011 School Recycling Grant cycle. Grant submissions may be made for any amount up to $1,500 per applicant per school year. The County can also award partial funding of projects. ELIGIBLE APPLICANTS The School Recycling Grant is open to any public, non-public, public school academy, homeschool group, or school districts in Berrien County for grades K-12; college campuses located in Berrien County; and other approved educational institutions. REVIEW PROCESS Completed grant proposals must be received on or before the deadline, October 21, Applications will be reviewed by the Grant Selection Committee. The Committee reserves the right to request additional information (including the ability to execute projects with partial funding), or reject any submissions that it feels do not meet the criteria. Grant recipients will be announced November 11, GRANT MONETARY PROCEDURES: REIMBURSEMENT Monies awarded to a school/district will be paid on a reimbursement basis. The grantee will be required to submit documentation of all funds expended toward the project that are approved on the original grant application, including copies of all receipts. Based on review and approval of this information, the grantee (the school or school district) will be reimbursed for project expenses. PROJECT AND REPORTING REQUIREMENTS The grantee will be required to submit proper documentation of funds expended and receipts no later than December 14, 2011 for reimbursement. The Grant Report Form must be completed by all grant recipients and returned by January 20, October 21, 2011: November 11, 2011: December 14, 2011: January 20, 2012: GRANT TIMELINE OVERVIEW Deadline to submit School Recycling Grant Application Grant Recipients Announced Deadline to submit receipts for reimbursement Grant Report Form Due
2 EXAMPLES OF ELIGIBLE PROJECT CATEGORIES This section lists examples of acceptable and unacceptable grant projects. This list is not all encompassing and is to be used as a guide. The County reserves judgment as to the eligibility of any grant submission. ACCEPTABLE Purchase equipment to start/improve a recycling collection program Recycling bins for school classrooms & offices Recycling storage containers for schools Recycling collection carts for material pick-up inside the school Composting bin(s) for the schoolyard Classroom/school worm composting bins and supplies Exterior recycling collection bins at the school Purchase waste reduction equipment Reusable cafeteria equipment to replace disposable items such as food containers, trays, napkins, etc. Rechargeable battery equipment for a specific need Contribute to the purchase of NEEDED equipment or supplies made from recycled materials, including post-consumer content - a project like this MUST INCLUDE A SPECIFIC, DETAILED EDUCATIONAL COMPONENT Recycled content park benches, planting barrels, classroom equipment, etc. Recycled content playground equipment (such as recycled tire ground cover) Purchase supplemental educational materials to enhance the recycling and waste reduction practices in school, such as Recycling educational posters, books, and videos for the school Solid Waste Management & Recycling curriculum tools UNACCEPTABLE Waste disposal oriented projects Recycling operations or pick-up service funding One-time events such as field trips, etc. Berrien County Community Development, ext 8234, jadams@berriencounty.org

An applicant must compare and seek lowest costs, consider buying local or US made products first, and allow for shipping fees when applying for grant funds. Include information that pertains to each of the following 5 headings. A. Background & Project Introduction: Briefly describe current recycling/waste practices at the school. Also, give a short, general introduction of the proposed recycling/waste reduction project(s). B. Project Plan: Describe the plan in detail to include Target population grade level(s) & number of students/staff impacted. Process details on how the project will be carried out, where the equipment will be ordered from, where it will be used, & who will carry out the project. Timeline when will activities take place or equipment be ordered and used. C. Plan for Educating: Describe in detail how the students & staff will learn about the project, how to participate in the project, and how to use the equipment. D. Budget: Itemize how the grant monies will be spent; indicate total project cost; and identify sources of funding for costs that may not be awarded through the grant such as cost for recycling pick-up service or other costs that may be needed to maintain an ongoing program (see Budget example on back). Application MUST include copies of quotes from vendors. E. Long Term Effectiveness: Explain how the project/equipment will benefit the school/district long-term. 6 BUDGET SHEET EXAMPLE REQUIREMENTS for the Budget portion of the grant application: Actual quotes from companies must be attached to the application. Itemize how the grant money will be spent. Include Shipping/Handling cost, if applicable. Indicate total project cost, including costs beyond grant funding totals. Identify sources of funding for costs that may not be awarded through the grant, such as costs for recycling pick up services, etc. Document which company or store the items will be coming from, description of the item including item catalog number if applicable, and the cost per item. Attach price quotes from the company or store when submitting the grant application. Double check calculations applications with miscalculations will not be awarded.
