1 WebEx Record and Playback Tips and Tricks April 2001 WebEx Record & Playback enables recording capabilities to capture any application, including presentations, software demos, and even WebEx meetings, with synchronized voice recording (in order to capture the audio portion, an additional telephone / soundcard adapter is required). These recordings are saved as a local file and can be placed on your LAN or on your website. Colleagues or customers can then view them at any time. Installing the WebEx Record and Playback software To install the WebEx Record and Playback software, you first must have a Host account on your companies WebEx Meeting Center site: 1. Open your browser and enter in your companies WebEx Meeting Center URL. 2. Click on Record and Playback. Page 1 of 8 April 2001

2 3. Enter in your Host WebEx ID and password. 4. Scroll down and click on the WebExRP hyperlink. 5. Once the software is finished installing, it will launch. 6. Close all windows and exit your browser. Page 2 of 8 April 2001

3 WebEx recording of live meeting using DynaMetric Telephone Logger Patch Products: DynaMetric Telephone Logger Patch TLP 102, SRP $47.95 or DynaMetric TMP-636 (telephone and computer audio), SRP $77.95 Phone: , System Configuration: DynaMetric units connect to your telephone using a handset tap. The DynaMetric units pass the analog audio telephone signal from your handset into your PC s sound card. Hardware Requirements: Sound Blaster or equivalent sound card. Installing DynaMetric units: 1. Connect to Telephone Jack A. Unplug the handset cord that is currently connected to your digital or analog phone. B. Connect the DynaMetric telephone cord into your handset jack. C. Connect your telephone handset cord into the DynaMetric unit. 2. Connect Audio Cable A. Plug the DynaMetric Grey audio cable into the Microphone jack located in your PC s sound card. B. For the DynaMetric TMP-636 unit, plug the DynaMetric Black audio cable into your Sound Out or Head Phone jack located in your PC s sound card. Setting the Windows Volume Controls: This will allow the WebEx Recorder to access the telephone audio that is delivered to the PC s sound card. The following procedures should be executed to setup the recording controls within Windows. 1. Access the Volume Control menu by double clicking the speaker icon that is located in the Windows system tray (lower right hand corner of the screen). Page 3 of 8 April 2001

4 2. On the Master Out (or Volume Control depending on your sound card) screen, select the Properties function under the Options pull down menu. 3. Select the Playback option, in the Adjust volume for section of the menu. Under Show the following volume controls: make sure that the boxes for Volume Control and Line are checked. Click OK. This will bring up the Volume Control menu. Page 4 of 8 April 2001

5 4. On the Volume Control menu, check the Mute box for the Line Balance. 5. Select the Properties function under the Options pull down menu. Page 5 of 8 April 2001

6 6. Select the Recording option, in the Adjust volume for section of the menu. Under Show the following volume controls: make sure that the boxes for Microphone and Line In are checked. Click OK. 7. Depending on your sound card there are two possibilities: a. On the Recording Control menu, check the Select box under Microphone to record from the microphone jack. b. On the recording menu make sure the Line In Balance is muted. Close the Recording Control menu. Page 6 of 8 April 2001

7 Recording of a Live WebEx Meeting: From a PC with a phone connected with a DynaMetric unit, launch your meeting. If you would like an attendee to record the meeting they must be given the Record permission. Select Attendee, Privileges, then click the Record a meeting. When you are ready to begin recording, click on Tools, Start Recording. After selecting Start Recording a dialog box will open asking you to name the file, and where you would like your recorded file saved. After entering in this information, click on Save. The WebEx Recorder will now open. Press the red record button to begin your recording. Page 7 of 8 April 2001

8 When you would like to stop recording, select Tools, Stop Recording. For best performance, Windows 98 is recommended, with matching screen resolutions for the presenter and the recording attendee, with colors set to: High Color (16 bit) or thousands of colors; found under the Control Panel, Display. Estimated file size: 18MB per hour. File size greatly depends on how much audio, and data (screen changes) occurs during a recording. Setting up a Hyperlink for Automatic Playback 1) Have your web master create a sub directory on the web server for you to post you re WebEx recorded files, example: 2) Have your web master create a page that has hyperlinks that point to these WOT/WRF files, example: me.com/webex/playback/filename.wrf Note: The hyperlink first goes to WebEx, and the WebEx Player is installed or updated as needed. Then the WebEx Player launches and opens the file on your web server, and begins playing the file. The user must have "read" access rights to the WOT/WRF file, or they will not be able to open it. 3) Test the links to make sure they are working properly before you post them to your production system or "live" system.
