1 Using Driver ID & Automatic Driver Assignment Overview NexTraq s Driver ID and Automatic Driver Assignment feature has simplified the complex task of keeping up with your drivers. If your company has multiple vehicles and drivers who are not always tied to a single vehicle, NexTraq s automatic driver assignment allows you to maintain accurate monitoring of your drivers without entering each vehicle assignment change manually. A driver quickly and easily logs into his vehicle before each trip ensuring that all driving information is associated with the correct driver. Implementing Driver ID & Automatic Assignment There are three steps to use the driver ID and automatic driver assignment options: 1. Driver ID service added to your account 2. Related equipment installed in your vehicles and key fobs available to your drivers 3. Driver ID information updated in the application Hardware The Driver ID feature uses a dedicated key fob for each driver and a button reader in each vehicle. Driver ID Key Fob with ibutton - Held by Driver Button Reader - Installed in Vehicle When the ignition is first turned on, a buzzer on the reader generates an audible cue to remind the driver to swipe the key fob on the button reader and activate driver assignment. NexTraq Solution To link the driver to the Key Fob ID in the NexTraq solution, add the Key Fob ID to the driver s record. AppNote Revision 3.0 NexTraq v NexTraq 2014

2 1. Create or edit the Driver through the Drivers option on the Admin tab. 2. Complete the driver information you need including the Key Fob ID. The 12 character ID is found on the metal ibutton mounted on the key fob as well as on the label on the key fob handle. Enter only the last 8 characters of the ID, omitting the leading zeroes. NOTE: It is not necessary to make a mobile assignment from this screen since the assignment will be updated automatically when the key fob is used. 3. Click Save Driver to save your entries. 4. Repeat these steps for all your drivers with key fobs. Page 2 of 6

3 The Key Fob ID now appears in the Driver List for quick and easy reference. The driver remains linked to a mobile until he swipes his key fob on another mobile s reader OR a second driver swipes his key fob on the button reader of the first mobile. The entire Driver List may be exported using the CSV, Excel, XML, and PDF icons at the bottom of each page of the list. Driver s Mobile Assignments The history of a driver s mobile assignments is available from the Driver List using the edit icon in the Assigned Mobile column or through the Go to this driver s mobile assignments link on the Edit Driver screen. This screen provides a quick overview of assignments. The Mobile Assignments List may be exported using the CSV, Excel, XML, and PDF icons at the bottom of each page of the list. See the next section, Reporting, for more detailed information from mobile, fleet, or driver views. Reporting Driver Assignment History Report With the driver records updated, you are ready for the drivers to begin using the key fobs and for you to begin to leverage the information that will be available to you through NexTraq reporting. 4 1. Choose Driver History from the Reports tab menu to display the report options. 2. You can view the report by Mobile, Fleet or Driver. Select one in the report options. Set the time frame for the report by choosing one of the seven time periods, or choose Custom to create a specific time frame not listed. 3. Click View Report to display your report. Page 4 of 6

5 NOTE: If for some reason a unit is out of coverage, the driver assignment tracks will be queued and processed later to update the report with correct times. The Driver Assignment History Report provides you with an accurate accounting of driver assignments. The Start Date on the report reflects the beginning of the report period. If the start of the assignment was before that date, the actual beginning date is noted in parentheses. Similarly, the End Date is the end of the reporting time frame. If the driver has continued assignment to the same vehicle after the end of the specified reporting period, Currently Assigned appears in parentheses. The Total Assignment Time represents the total number of consecutive days within the reporting period that the driver was assigned to a mobile. Other Reports Available By Driver Three additional reports may be viewed by driver: Detailed Activity Report, Begin End Day Report, and Begin End Day Summary Report. With this flexibility, the driver can be the focus of your reporting, even when he changes mobiles during the reporting period. Alerts Driver ID Alert The Driver ID alert provides notification when vehicles equipped with the NexTraq Automated Driver Assignment feature are driven by unidentified drivers. When the button reader is not swiped with a Driver ID key fob within a specified number of minutes after the vehicle is started, the alert is triggered. To add the Driver ID alert: 1. Select Create Alert from the Alerts tab menu. 2. Enter a descriptive name for the alert or use the default numbered alert name. 3. Select Driver ID from the list of alert types and enter the number of minutes without a key fob swipe before the alert. The default timeout period is 10 minutes. Page 5 of 6

6 4. Choose the fleet or specific mobile the alert will be applied to and the time frame for the alert coverage. 5. Choose options including the alert recipients. Click Save Alert. With the Driver ID and Automatic Driver Assignment feature implemented, you have accurate and useful driver information at your fingertips.
