6 CheckINN Card Benefits & Overview How It Works 1. Workforce travelers enroll in CLC s CheckINN Card program. 2. Members present their CheckINN Card to the hotel at check in. 3. Hotels swipe the CheckINN Card to authorize the stay against the member s registered credit/debit card. 4. Hotels notify CLC Lodging of the member stay. CLC Lodging bills the CLC discounted member rate, as displayed on the member s online account or provided by CLC, taxes and fees to the registered credit/debit card. 5. Members receive an invoice statement showing the total amount billed. 6. The invoice statement is posted to the member s online account.

15 Temporary Vouchers Access your temporary voucher. Temporary voucher. Temporary CheckINN Card Vouchers for New Accounts 1. New members can use a temporary CheckINN Card voucher for 21 days until the permanent CheckINN Card arrives. 2. Members print the temporary voucher and present it to the hotel at check in. 3. If several stays are required, members can print multiple temporary vouchers to take with them on their travels. 4. Members can View, Print or the temporary voucher from the online account.

18 CLC Hotel Locator For iphone & ipad Devices Easily search and map CLC network hotels from your iphone or ipad. 1. Search for the CLC Lodging Hotel Locator on the iphone App Store from your iphone or ipad and tap INSTALL. 2. Find the CLC Lodging Hotel Locator in your itunes store and click DOWNLOAD once logged into your itunes account. Then sync with your iphone or ipad. 3. Scan the QR code below or log into your online account at to scan the code and access detailed usage information.

19 CLC Hotel Locator For Android Devices Easily search and map CLC network hotels. Just follow these simple instructions below to get started. 1. Search for the CLC Lodging Hotel Locator on the Google Play App Store from your Android device and tap INSTALL.

20 Member Rates Accessing Member Rates Member rates are available from CLC Lodging from the online account or via CLC s mobile apps. Click on View Your Rates 1. Members click on View Your Rates to view member rates for a 2-week period. Member rates are updated weekly, each Sunday. 2. Members see the hotel s Lowest Published Rate, the member rate and the savings. 3. Member rates displayed on the online account or provided by CLC are billed to the credit card. Member Rates are available to view 7 days after enrollment. View the CheckINN Card Member Rate, the hotel s Lowest Published Rate and your savings.

21 Total Charge Summary Total Charge Summary 1. Members create a Total Charge Summary to see exactly what they will pay for a stay, including taxes and fees. 2. Total Charge Summaries can be created for past or current 2-week stays. 3. Total charges displayed will match the final CLC invoice statement when a stay is billed directly to the member s registered credit/debit card. Enter stay dates to create a Total Charge Summary Total charges billed to the credit card.

22 New Hotel Additions. Click on New Hotel Additions. Viewing New Hotel Additions 1. Members should check their online account frequently to view new hotel additions. 2. Members click on New Hotel Additions under the Hotel Search tab. View recently added hotels.

23 Order Lodging Directories Order a Print Hotel Lodging Directory Click on Order Lodging Directory/Insert under My Account. 1. Members can order a print version of the hotel lodging directory by clicking on the Order Lodging Directory/Insert on the My Account tab. 2. The lodging directory displays hotel information, plus hotel rate ranges as $ signs with the $ indicator ranging from the lowest rate ($) to the highest rate ($$$$$). Members can view hotel search results on screen, or members can create an Excel spreadsheet of their city or statewide hotel search. Display hotel search results on screen or create a spreadsheet. 26 Checking In Checking In 1. Members present their CheckINN Card to the hotel at check-in. 2. Hotels using CLC Lodging s electronic WebCheckINN system and swipe the CheckINN Card to authorize the stay against the account holder s registered credit/debit card. 3. Members may see an authorization amount on their credit card account, which is not a billing but an authorization of availability of funds only. 4. Hotels processing CLC Lodging s stays manually will take an imprint of the CheckINN Card at check-in. 5. Members may be asked to provide a credit card for incidentals only. Rooms, taxes and fees are billed directly through CLC Lodging. 6. Members may be asked to provide proof of identification. 7. Hotels will ask members to sign either a registration card, a hotel folio or voucher.

27 Checking In Check-in Questions Members experiencing any questions at a hotel can call our Traveler Support Center for immediate assistance. When should members call? The hotel states they do not accept the CheckINN Card although they are listed as a participating hotel. The hotel is unsure how to process the CheckINN Card. The hotels states they have no room availability when the member has made a reservation. The member s CheckINN Card is declining at the hotel. Check-In Assistance /7/365

28 Checking Out Checking Out 1. Hotels present a hotel folio at check-out or members may request the folio from the hotel. 2. Members are encouraged to review the hotel s registration card, folio or voucher and to sign it to validate the length of stay before checking out. 3. Hotels notify CLC Lodging of the member s stay. 4. CLC Lodging processes the stay and bills the member s registered credit/debit card. 5. The member rate billed is the member rate displayed on the online account or provided by CLC Lodging. 6. Members receive an invoice statement from CLC Lodging with a detailed breakdown of the charges: Lowest Published Rate Member Rate Member Savings Taxes Transaction Fee ($8.95) Total Charges CLC Lodging invoice statements are ed to members.

30 Online Account Management Online Account Management 1. Order additional CheckINN Cards for travelers. 2. Replace lost or stolen CheckINN Cards. 3. View cardholder information. 4. Manage credit cards and create a preferred credit card. 5. Create Group Owners, or sub-accounts, to allow different groups to register separate credit cards on the account. 6. Search by cardholders. Replace, cancel, view cardholders. Create Group Owners. Update cardholder information.

31 Add New Cardholders Adding New Cardholders 1. Members select Add Cardholder from the My Account page. 2. Members select the number of cardholders to add. 3. Members can create 5 new cardholders at one time. 4. If more cardholders are required, members can continue to add cardholders in multiples of 5. Add cardholders at no charge. Add cardholders up to 5 at one time.

32 Order Replacement Cards Ordering Replacement Cards 1. Members can replace lost or stolen cards at no charge from the My Account page. 2. Members select Replace to the right of the cardholder s name. Complete Order Replacement Card form. Select Replace next to cardholder name.

33 Manage Credit Cards Managing Credit Cards 1. Members select Manage Credit Cards from the My Account page. 2. Members can add, edit or delete a credit card. 3. Members can set their preferred credit card as their direct billing card. Add new credit card. Select Manage Credit Cards. Set preferred credit card. Edit or delete credit card.

34 Group Owners/Sub-Accounts Create Group Owners 1. Members can add sub-accounts, or Group Owners, to the account. 2. This allows sub-accounts to register under the main account using a separately registered credit card. 3. Hotel stays for individual Group Owners, and cardholders within the group, are billed to the separately registered credit card. 4. Members invite Group Owners to enroll under the main account by clicking on Create New Group Owner and completing the invite. 5. Group Owners follow the instructions to enroll under the account registering a different credit card. Create new Group Owner.

35 Group Owners/Sub-Accounts Admin Groups, Group Owners & Cardholders Admin Group: The primary account administrator has full administrative capability for the main account and the group owner accounts. Group Owner: The Group Owner is registered with a different credit card and can add cardholders to the sub-account. The Group Owner has administrative capabilities for his/her Group Owner account and cardholders only. Cardholders: Cardholders have no administrative capabilities, but have a Traveler Login ID. Cardholders can access the hotel search tool by logging in with their first initial, last name and employee ID. New Group Owner account.

36 Invoice Statement Options Under My Preferences, select an invoice statement type. Invoice Statement Options 1. Under My Account, go to My Preferences to choose an invoice statement type. 2. Lodging transactions are invoiced daily; however, account holders can select one of three invoice statement options: By Transaction: Receive an invoice statement for each hotel stay. Daily: Receive a summary of all invoiced transactions daily via Excel. Weekly: Receive a summary of all invoiced transactions weekly via Excel. View total charges with taxes and fees.

38 Account Activity Viewing Lodging Transactions 1. Members can view their lodging transactions by clicking on the Account Activity page. 2. Members can search for transactions by Stay or Invoice Date. 3. Transaction details show the hotel s Lowest Published Rate, the member rate, stay savings and total charges. 4. The member s registered credit/debit card is typically billed within 5 business days of the stay if the hotel uses CLC s electronic WebCheckINN billing system. Search stays by check-in date. 40 Refer A Friend Referring Associates 1. When members refer friends, colleagues and work associates, the $9.95 membership fee is waived when they enroll. 2. Members provide the associate s name and address, and an is sent to the associate inviting them to join the CheckINN Card program with the member s unique referral code. 3. Members can print referral cards from the Refer A Friend page and distribute at trade shows or conventions. Enter an associate s information and they ll receive an invitation to join the CheckINN Card program. Download and print referral cards to hand to colleagues and associates.

42 Personal Travel Personal Travel Offers Members have access to special personal travel offers from hotel partners. Since these offers are for personal, not business travel, the CLC Lodging CheckINN Card is not required. View personal travel offers such as 20% off Wyndham properties.
