4 Overview This document provides a guide to allow Revegy administrators the ability to create and modify Maps in Revegy. It is designed to give you an understanding of how to use Maps in the Administration Module, and it outlines steps and options available to build Maps. The document explains what Maps are, provides examples and screenshots, and describes the configuration and format options for Maps. Revegy, Inc. Page 4 of 47

5 Map Configurator Maps allow you to visualize where you have cross-sell Opportunities in key Accounts and where competition is established. They allow you to gain a visual picture of key stakeholders inside and outside your Accounts, identify friends and enemies, and document your customer's key business strategies, initiatives, and challenges. The Map Configurator allows you to tailor your Maps to help you gain the most insight into your team's and customer's opportunities, relationships, strategies, goals, and challenges. The Map Configurator is accessed from the Company Admin menu and opens to the Map List page. The Map List page displays a list of created Maps. The Map List allows Company Admins to add, update, clone, and delete configured Maps. Company Admins can also view changes made to any or all Maps. Map configuration gives you the ability to configure the Map cards based on your business requirements within Accounts and Opportunities. Note: To sort the list by a particular column, use the arrow indicator near the column heading. Note: If you make configuration changes to any Maps, you must log out of the user interface before being able to view the new changes. Maps must be assigned to user groups for users to have access. 6 Overview of Configurable Maps Revegy administrators have the ability to configure five Map types: Contact, Strategy, Issue, Generic, and Team. Maps are configured using the Map Configurator in the Revegy Administration Module. Map Type Contact Strategy Issue Generic Team Description Used for Account and Opportunity relationship/organization structures or stakeholder analysis Used for Accounts to help users understand customer visions in achieving longterm goals. Allows users to map existing projects and determine potential opportunities for the business Used for Opportunities to capture customer s business issues during discovery part of the sales cycle. Also known as the Value Map. Allows users to map solutions on plans or challenges and understand who the competition is Used for Accounts to map business product lines, including where they are sold. Allows users to determine potential opportunities for the business Used to present information about a team working on an Account or Opportunity Contact Maps Revegy provides users with an existing Contact Map that is updated to fit business requirements. The Contact Map is used to provide greater understanding and visibility into the true status of relationships with key Account/Opportunity contacts using contact cards. Contact Card Contact information included in the body of the card is the information that is specific to a particular contact and provides the following information: Revegy, Inc. Page 6 of 47

Contact attributes Note: The color of contact cards is configured in the Administration Module in the Map Configurator. The main color of the card can be displayed as the header across the top or the entire card can be highlighted as the main color. For example, what are the customer's five-year goals and how are they planning to achieve those goals? Strategy Maps help break down each goal; for example, use Strategy Maps to present specific Goals, Strategies, and Initiatives. Revegy, Inc. Page 9 of 47

Information gathered during a discovery session with the customer is represented in an Issue Map. Examples of information that may be included are objectives, key business requirements, business impact, business pains, business issues, and solutions. For example, capture information about product landscape to determine which products customers have of your product stack. 16 Adding a Map Company Administrators have the ability to add Maps through the Map Configurator. Map details are configured before a Map is added to the Map List. Note: If an existing Map contains all or the majority of the information you require, consider cloning and updating the existing Map. 1. Click Map Configurator in the left hand menu under Company Admin. 2. Click Add New. 3. Enter Map Attributes, including Map Name, Map Type, Map Description, and Help Links. See "Map Detail Page" for field descriptions. 4. Click Add. Note: Once a Map is created, more options are available. See "Updating a Map" for additional optional configuration. Revegy, Inc. 17 Map Detail Page The Map Detail page is accessed when adding a new Map or updating an existing Map. The Map Detail page allows a user to edit Map attributes, such as Map Name, Type, Description, Copyright information, and other settings. Field Map Name Map Type Map Description Copyright Settings Description Name of the Map. This is the name users see in the user interface. Select the Map Type: Contact, Strategy, Issue, Generic, or Team. Brief description of Map to display in the Map List and help users identify each Map Optional field for legal information. This information appears in the footer when a Map is printed, exported, or archived. Example: This field is often used to put in text such as "Internal Use Only Confidential." Active: Checkbox that controls the status of the Map Use Company Solution Table: Only available for Generic Maps. Checkbox that controls if Company Solutions are available to use in this Map. The name reflects what the current Company Solution is named in the "System Preferences". When enabled, the Summary Revegy, Inc. Page 17 of 47

18 Field Help Links Description field for Map cards in the user interface becomes a drop down list that pulls from the Company Solution list. Default View: Checkbox that controls the default view of the Map. Grid View is only available for Contact Maps. Help links are represented as icons in the top right corner of a Map in the user interface. The Help links provide users with additional information when clicked. Enter the URL the Help icon links to. See "System Preferences" for configuring the icons. See "Help Links" for tips on configuring the Helps Links section. Note: Once a Map is created, more options are available. See "Updating a Map" for additional optional configuration. Revegy, Inc. Page 18 of 47

19 Updating a Map Map details are updated from the Map Detail page. Admins are able to update Map details at any time. Note: Consider cloning Maps before making updates. This ensures that previous settings are not lost and can be reused at a later time if desired. 1. Click Map Configurator in the left hand menu under Company Admin. 2. Click anywhere on the row of the Map or click Update in the Action column. 3. Update desired information. Note: You cannot change the Map Type. 4. Click Update. For additional information on updating each section, see the following: "Updating Map Attributes" "Updating Map Cards" "Adding Predefined Lines" "Updating Map Fitness/Coaching Indicators" "Updating Map Grid" Sensitive Information Sensitive information refers to information or objects in Revegy Maps that require restricted privileges for viewing. Administrators can mark information as sensitive in the Administration Module. Revegy, Inc. Page 19 of 47

20 If information or an object is marked as sensitive, it is hidden when a user selects "Hide Sensitive Info" from the Tools menu in an open Map. This option is useful when a Map is used during a presentation but not all of the Map information needs to be visible. Examples of information and objects that can be marked as sensitive include: predefined lines and Map card attributes in the Map Configurator, custom fields in Contacts Preferences, and shapes and internal comments that are added to a Map in the user interface. Updating Map Attributes Map Attributes are updated from the Map Detail page. Admins are able to update Map Attributes, including Map Name, Description, and status, at any time. Options available depend on the Map Type. 1. Click Map Configurator in the left hand menu under Company Admin. 2. Click anywhere on the row of the Map or click Update in the Action column. 3. Expand the Map Attributes section on the Map Detail page. 4. Update desired information, including Map Name, Map Description, status, Default View, Copyright information, and Help Links. 21 Updating Map Cards Map cards are updated from the Map Detail page. Update display names for contacts and team members, the "Who Cares?" display name, and card colors. Options available depend on the Map Type. 1. Click Map Configurator in the left hand menu under Company Admin. 2. Click anywhere on the row of the Map or click Update in the Action column. 3. Expand the Map Card section on the Map Detail page. 4. Update desired information, including Contact Card and Team Member Card Display Name, "Who Cares?" Display Name, and card colors. 22 Updating Map Card Attributes Attributes categorize contacts using information relevant to business goals and requirements that help create action plans. Update attributes for Map cards from the Map Detail page. See "Default Map Card Attributes" for additional information on each Map type's default card attributes. 1. Click Map Configurator in the left hand menu under Company Admin. 2. Click anywhere on the row of the Map or click Update in the Action column. 3. Expand the Map Card section on the Map Detail page. 4. Click anywhere on the row of the attribute or click Update in the Action column in the Attributes table. Revegy, Inc. Page 22 of 47

23 5. Update desired information, including Attribute name, status, and marking if the attribute is sensitive. Note: Always consider if information is sensitive, and always advise never to enter anything incriminating. 6. (optional) Click Add in the Items sections to add items. a. Enter the item Code, Value, assign the item a color, and choose text color. Code: Displays on Map cards and represents a value. Value: Selectable options for Map cards that are displayed and represented by corresponding codes. b. Click Add. Revegy, Inc. Page 23 of 47

24 Note: Items can be updated or deleted using the links in the Action column. Note: Do not delete KFI items. These items are used on coaching reports. Rename the KFI items and use as required. KFI is configured in the Map Fitness/Coaching Indicators section. See "Updating Map Fitness/Coaching Indicators" for additional information. 7. Click Update on the Map Card Attribute Detail page. 8. Click Update on the Map Detail page. Default Map Card Attributes Map card attributes display information relevant to each Map type. Revegy provides default attributes, but the attributes can be updated to fit business requirements. See "Updating Map Card Attributes" for additional information on editing Map card attributes. Contact Map Attributes The Account/Opportunity Contact Map is used to provide greater understanding and visibility into the true status of relationships in order to establish the "to be" action plan. Attributes categorize contacts using information relevant to business goals and requirements that help create action plans. For Contact Maps, select up to five attributes. The five default attributes are as follows: Attribute 1: Influencer Role Attribute 2: Influence Level Attribute 3: Preference Level All attributes work the same way except the Preferred Alternative attribute. The Preferred Alternative attribute is a text field that works in conjunction with Preference Level. Attribute 4: Contact Level Attribute 5: Coverage The "Coverage" attribute pulls information from Team Members. The Additional Notes, Comment Indicator, Notes, and Third Notes attributes enable users to enter additional text information about the contact. Revegy, Inc. Page 24 of 47

25 Strategy Map Attributes Strategy Maps have three default attributes. Item Type Code Project Sourcing Project Type The Related Opportunity attribute allows you the ability to link to an Opportunity. Issue Map Attributes Issue Maps have three default attributes. Comments Competitors Item Type Code Generic Map Attributes Generic Maps have no default attributes enabled. Edit these to represent any attribute that fits business needs. Revegy, Inc. Page 25 of 47

26 Team Map Attributes Team Maps have no default attributes enabled. Edit these to represent any attribute that fits business needs. Predefined Lines In the Map Configurator, the administrator can set a series of predefined lines to represent different aspects of a contact's relationship (for example, Influence, Reports to, etc.). These lines are used in the Revegy user interface to connect Map cards. The administrator defines the name of the line, the line type (straight or elbow), line style (solid, dashed, or dotted), line width (normal, thick, or extra thick), and whether or not the line has arrows. The administrator also defines the line color and decides if the line is considered a sensitive object. Once the line types are defined, the administrator can choose which line is the default for connecting Map cards and if the user is able to create their own lines (using the Allow User Defined Lines? option). When editing a Map in the user interface, the predefined lines appear as selectable options in the Tools menu. If a user does not define a line, the default line type is used. If the Allow User Defined Lines? option is enabled, users can draw any type of line. The line type of any line cannot be changed once it is drawn. 27 Adding Predefined Lines Predefined lines are added and updated from the Map Detail page for each Map. No predefined lines are set as default lines. Options available depend on the Map Type. 1. Click Map Configurator in the left hand menu under Company Admin. 2. Click anywhere on the row of the Map or click Update in the Action column. 3. Expand the Predefined Lines section on the Map Detail page. 4. Click Add. 5. Set predefined line preferences, including name, type, style, width, color, arrow preferences, and sensitivity. These preferences apply only to the currently selected Map. Revegy, Inc. Page 27 of 47

28 6. Click Add. Note: To update predefined lines, use the Update and Delete links in the Action column. 7. Select the default line using the Default Line drop down list. 8. Select the checkbox for Allow User Defined Lines? if it is allowed. Note: This option allows users to create their own lines. 9. Click Update. Updating Map Fitness/Coaching Indicators Map Fitness/Coaching Indicators are updated from the Map Detail page. This section is where KFI (Key Fitness Indicator) is turned on or off if the Include Risks/Issues and Coaching Report Active settings are selected from Manage Preferences > Account, Partner, and Opportunity tabs. Information is pulled based on how the card attributes with usage flagged as KFI are setup. It is recommended to leave all options turned on. Revegy, Inc. Page 28 of 47

29 1. Click Map Configurator in the left hand menu under Company Admin. 2. Click anywhere on the row of the Map or click Update in the Action column. 3. Expand the Map Fitness/Coaching Indicators section on the Map Detail page. 4. Select or deselect options. 5. Click Update. Updating Map Grid The Map Grid options are updated from the Map Detail page. The Map Grid section controls the availability of the Map Grid view for Contact Maps. 1. Click Map Configurator in the left hand menu under Company Admin. 2. Click anywhere on the row of the Contact Map or click Update in the Action column. 3. Expand the Map Grid section on the Map Detail page. 4. Select the default settings for the Map Grid view. a. Use the Y-Axis, X-Axis, and Color Indicator drop down lists to select attributes. b. (optional) Label each Quadrant. Example: Top Left = Allies, Top Right = Strong Supporters, Bottom Left = Trouble Makers, Bottom Right = Dangerous Opponents. 5. Click Update. Revegy, Inc. Page 29 of 47

31 Cloning a Map Cloning a Map creates an identical version as the originally selected Map. The cloned Map inherits the original Map attributes and Type but is not linked to the original Map. Cloned Map titles default to "Copy of" plus the originally cloned Map title. Clone a Map from the Map List page. Note: Consider cloning Maps before making updates. This ensures that previous settings are not lost and can be reused at a later time if desired. 1. Click Map Configurator in the left hand menu under Company Admin. 2. Click Clone in the Action column. 3. Click OK to confirm cloning the selected Map. 4. Update desired information for the cloned Map. See "Updating a Map" for additional information. Note: Users can update all Map details except Map Type. 5. Click Update. Revegy, Inc. Page 31 of 47

32 Deleting a Map Maps are deleted from the Map List. A Map is permanently removed from the Revegy system once it is deleted. 1. Click Map Configurator in the left hand menu under Company Admin. 2. Click Delete in the Action column. 3. Click OK to confirm deletion. Revegy, Inc. Page 32 of 47

33 Showing Changes Made to a Map Changes to Maps are viewed from the Map Config Change Log page and accessed from the Map List. Changes show the Change Type, what was updated, who updated content, and when the Map was updated. 1. Click Map Configurator in the left hand menu under Company Admin. 2. Click Show Changes in the Action column or click the Show All Changes button to view all changes to all Maps. 3. Click details to view more details about what was updated. 4. Use the Select Maximum Results drop down to filter the number of changes shown. 5. Click Refresh to filter the number of changes shown. 6. Click Map Config List to return to the Map List. 34 Backing Up and Importing Configuration Data Various sections in the Revegy Administration Module allow for the Master Company Admin to back up and import configuration data. This process is the same for data in the Plan Configurator, Map Configurator, Grid/Scorecard Configurator, and the Playbook Configurator. Backing Up Configuration Data 1. Click Backup/Import in the top right-hand corner of the Plan List, Map List, Grid/Scorecard List, or the Playbook List. 2. Select data to backup from the selection list. Use the Ctrl or Shift keys to select multiple Plans, Maps, Grids/Scorecards, or Playbooks. 3. Enter a file name on the server hosting the web services (RevegyServer/RevegySync) to store the backup data. If only a file name is specified, the backup is located in $CATALINA_HOME\\bin. 35 4. Click BACKUP. Importing Configuration Data 1. Click Backup/Import in the top right-hand corner of the Plan List, Map List, Grid/Scorecard List, or the Playbook List. 2. Enter the file page of an existing backup that resides on the server hosting the web services (RevegyServer/RevegySync). 3. Click IMPORT. If the object key already exists on the server, the data is skipped. Revegy, Inc. Page 35 of 47

36 Related Topics Managing Maps for a User Group The User Group Maps tab allows you to select the Map templates available to group members in a user group. Maps are associated to user groups at an Account, Opportunity, Partner, and Portfolio level. The User Group Maps tab is accessed when adding a new user group or updating an existing user group. 1. Click Maps in the Action column from the User Group Management page. 2. Select checkboxes in the Selected column under Account, Partner, Opportunity, and Portfolio to determine which Contact and Business Map templates are available to group members. Maps are listed by type. Different Maps are available depending on business requirements. 3. Select one Contact Map in the Required column under Account, Partner, Opportunity, and Portfolio to determine which Contact Map is automatically created when an Account, Partner, Opportunity, or Portfolio is created. Note: One Contact Map must be selected to link to the Strategy Map Who Cares field. Users cannot delete required Maps. Revegy, Inc. Page 36 of 47

37 4. Select any number of Business Maps in the Required column under Account, Partner, Opportunity, and Portfolio to determine which Business Maps are automatically created when an Account, Partner, Opportunity, or Portfolio is created. 5. Click Update. Note: Maps have a + in front of the name if Map Templates have been created. Click the + to view and select the Map Templates. System Preferences System Preferences is accessed from the Manage Preferences option in the Company Admin menu. The following options are available to configure: Data Group Names, Quota and Pipeline Gap Analysis, Currency Types, Relationship Gap Analysis, Relationship Score, Plan Help, Map Help, Playbook Help, and Other Settings. Data Group Names Companies can rename the Revegy standard information so that it fits with business requirements. Field Module Singular Display Name Plural Display Name Description Displays the standard Revegy name for Portfolio/Territory, Account, and Partner records Represents the singular form display name for the standard Revegy name Represents the plural form display name for the standard Revegy name Use the Update button to save any changes made in this section. 38 Quota and Pipeline Gap Analysis Quota and Pipeline Gap Analysis allows admins to choose whether to calculate pipeline amounts within Revegy or to import pipeline amounts. Field Active Calculate Pipeline within Revegy at opportunity stage Import Pipeline Amounts Description Select to enable the Quota and Pipeline Gap Analysis Report. Select to calculate the pipeline amount using information within Revegy. Option is only available if "Calculate Pipeline within Revegy" is selected. Use the Shift or Ctrl keys to select Opportunity stages required to include in the pipeline analysis. Select to import or manually enter the pipeline amount. Use the Update button to save any changes made in this section. Currency Types Currency Types displays the exchange rate for the currencies with an Active status. The Company Default Currency, entered on the Company Profile page by the Master Company Admin, is grayed out and set to 1. All other currency values are entered as they compare to the Company Default Currency. Revegy, Inc. Page 38 of 47

39 Field Code Name Exchange Rate Active Description Enter the currency code that appears in currency drop down lists in the user interface. Example: USD stands for United States Dollar. Enter a name that describes the currency. Example: United States Dollar Enter the exchange rate value as it compares to the Company Default Currency. Be sure to calculate the exchange rate as if you are exchanging the Company Default Currency for the other currency. Example: 1 USD is exchanged for 0.6 GBP. Select to enable currencies if multiple currencies are used. Deselect the currencies that are not used. The Company Default Currency cannot be disabled. Use the Update button to save any changes made in this section. Check the Show Inactive option in the right hand corner of the Currency Types section to display all inactive currencies and add new currencies. Relationship Gap Analysis The Relationship Gap Analysis section is used in Influence Maps to identify gaps. The Relationship Gap Analysis is a spreadsheet showing the relationship between team members and contacts. Revegy, Inc. Page 39 of 47

40 Field Accounts Active Partners Active Description Select to include the Relationship Gap Analysis feature for Accounts and Opportunities. Select to include the Relationship Gap Analysis feature for Partners. Use the Update button to save any changes made in this section. Relationship Score The Relationship Score section maintains and defines the score values if the Relationship Gap Analysis is active. The information in this section is provided in a Legend on Influence Maps. Field Score Description Action Description Enter the values available to select when scoring a relationship. Enter a description to describe the type of relationship the score represents. Delete scores and descriptions. Revegy, Inc. Page 40 of 47

41 Use the Update button to save any changes made in this section. Use the blank line at the end of the table to enter a new relationship score. Plan, Map, and Playbook Help The Plan, Map, and Playbook Help sections are used to specify how many help buttons are available for Plans, Maps, and Playbooks. Specific URLs for each icon are configured in the Plan Configurator, Map Configurator, and the Playbook Configurator. Field Description Enter the information that displays as hover text that users see when they mouse-over the icon. Help Name Default Image Upload Image Example: Select to use the Revegy default Help icon. Example: Select an image to upload to Revegy. No library of icons is currently available. The maximum icon image size is 16x16 kb. Be sure Default Image is unchecked if this option is used. The name of the uploaded file only displays before saving the Help section. Once the section is saved, "no file selected" is displayed. The icon is still uploaded and displayed with the Plan, Map, or Playbook in the user interface. When Revegy is provisioned and the Help Name field is populated, new Help icons have likely already been loaded. Revegy, Inc. Page 41 of 47

42 Use the Update button to save any changes made in these sections. See "Help Links" for additional information and requirements for Help Links. Playbook Images The Playbook Images section is used to define the images used in Playbooks to identify tools and attached documents. Field Image Name Description Tools: If any tool (Map, Plan Object, Plan, or Call Plan) is attached to a Playbook item, it is represented with an icon in the bottom right corner (spanner/wrench). Attach Documents (no attachments): If the "Allow Attach Documents" is selected for a Playbook item, it is represented with an icon in the bottom left corner (paperclip). This icon indicates nothing is currently attached to the item, but the option is available. Attach Documents (with attachments): If the "Allow Attach Documents" is selected for a Playbook item, it is represented with an icon in the bottom left corner (paperclip). This icon indicates something is currently attached to the item. It is usually a more defined version of the Attach Documents (no attachments) icon. The maximum icon image size is 16x16 kb. Be sure Default Image is unchecked if this option is used. The name of the uploaded file only displays before saving the section. Once Revegy, Inc. 43 Field Description the section is saved, "no file selected" is displayed. The icon is still uploaded and displayed with the Playbook in the user interface. When Revegy is provisioned and the Default Image field is not selected, new icons have likely already been loaded. Use the Update button to save changes made to this section. Other Settings Other Settings includes options for collaboration and primary owner. Field Collaboration Active Display Primary Owner Description Select to allow importing of collaboration files into Revegy from other individuals using Revegy. Select to display the primary owner of Accounts, Opportunities, and Partners. Use the Update button to save any changes made in these sections. Help Links Help links are represented as icons in the user interface and provide users with additional information when clicked. Help links, if configured, are located in Plans, Maps, and Playbooks. The links reference specific URLs defined in the Plan Configurator, Map Configurator, and Playbook Configurator. The links available and images associated with the links depend on how you set up Plan, Map, and Playbook Help in Manage Preferences. 44 Help link requirements include: Content is loaded on the instance or available from a public location Link begins with or URL references a specific document (Example: or links to a web page (Example: Client is able to access the server where the document or page is stored Server is generally available (public) Server is on the client network and accessible via a VPN connection The display behavior of a document is determined by the client's browser settings, for example, opening a document directly or downloading the document. Contacts Preferences Contacts Preferences is accessed from the Manage Preferences option in the Company Admin menu. The Contacts Preferences display on Contact cards and Maps. These features are typically configured during the Operation Design phase of implementing Revegy. Use the Update button to save any changes made in this section. Custom Fields Only two custom fields can exist, for example, Contact Focus Area, Disc profile, Management Style, or Impact Statement. In the user interface, this information is displayed at the bottom of the Contact Details page for each contact. Update fields using the Update button in the Action column or by clicking on the row. Press the "Enter" key after each response. Use the Update button to save any changes made in this section. Color Picker The color picker is found on various pages throughout Revegy. The color picker allows you to select a color using various methods. To select a color, you can: Select a color from the color field. Select a color from the color bar. Adjust the HSV (hue, saturation, and value) settings. Adjust the Lab (light, color-opponent dimensions) settings. Adjust the RGB (red, green, blue) settings.
