1 RFP # Laptop & Desktop Computers Vendor Questions & Answers 1. Will the total volume of 6,684 devices be deployed over the course of 24 months or within the first 12 months of the contract? The amounts will be deployed as projects throughout the course of the 24 month period. The projects will be defined after award of the bid.the 6684 amounts are the not to exceed amount The District reserves the right to reduce this amount at any time throughout the contract. 2. Will there be a separate image for each device type or will a universal image be supplied? An Image will be provided for each project or deployment. 3. In what format will the District image(s) be provided to the Vendor? Format will be DVD/ CD or other standard image format for download via secure FTP. 4. How large is each image file? The Final Image size will be determined at the time of implementation once the final software suite is identified for each image type. 5. Will a carrying case be required? Carrying cases are not included in this RFP. They will be procured separately as needed. 6. For the admin laptops, the part# references parts and labor but is not clear on whether the service is onsite. Is onsite service required for the admin laptop? No factory onsite service is not required. The Part # is for pickup and return.
2 7. Can you please elaborate on the following statement that is included in your Laptop and Desktop Computers RFP? How will you be evaluating this? In addition, alternative equipment should have equal construction characteristics to those specified within the RFP. Construction characteristics include but are not limited to: 1. Dimensions, 2. Weight, 3. Interior construction material, and 4. Exterior construction material. Alternate equipment will be evaluated under two distinct criteria: 1. Performance (as defined below) and 2. Physical Characteristics. The District is looking for equipment with the same physical characteristics of the equipment specified in the RFP. As it relates to performance criteria (as listed below) the District will consider alternatives that are equal to or better in those key areas. In either case, all vendors are asked to submit a side by side comparison of each of the criteria of the baseline equipment stated in the RFP and document how the equipment compares in each area. For convenience, the District is providing the following worksheet (Addendum 1) that vendors should submit with their alternative equipment submissions. The spreadsheet identifies the specific criteria in each category and the baseline specification for each. From the RFP: Performance Criteria : To be considered, bidders are required to provide supporting comparative documentation that demonstrates how the alternative equipment meets or exceeds the performance specifications of the equipment the District is seeking. Performance specifications include but are not limited to: 1. Processor and system clock speed, 2. HDD Storage Capacity, 3. HDD Storage Speed, & 4. Video Resolution. In addition, alternative equipment should have equal construction characteristics to those specified within the RFP. 2. Physical Characteristics: Construction characteristics include but are not limited to: 1. Dimensions, 2. Weight,
3 3. Interior construction material, and 4. Exterior construction material. Finally, all vendors who are proposing alternates are required to submit samples with their bid response. 8. Page 3, #2 states to review, respond and acknowledge each requirement. Does signature on page 7 suffice for this acknowledgement? If the vendor agrees to all the requirements, then they should sign Page 7 as an indication they have accepted and acknowledged all requirements. 9. For items in Section 2 that require additional responses, should they be provided directly following the acknowledgment on page 7, and included in Tab 1? If the vendor has exceptions to any of the conditions or requirements they should include a list of the specific items there are exceptions to along with an explanation of the exception. These should be placed in Tab I The signature page should on page 7 should be noted to reference the exception page. 10. On average, how many gigabytes would each user need transferred? The District cannot provide estimates on the amounts of gigabytes to be transferred. Each end user configuration is unique and this number may vary. If the size of data transfer is a concern for vendors, they are invited to provide limits on the amount of standard data transfer included in their proposal. We encourage vendors to base this number on their experience in this arena in transferring primarily employee data in K- 12 environments. 11. What all is the vendor expected to transfer? (Favorites, photos, music, etc) All existing personal user data on the users existing computer. This may include, but not be limited to : photos, music, offline mailbox storage, browser bookmarks, word documents, excel files, etc. Will the data be stored on LISD server or will the vendor be responsible for storage options? It is preferred that user data is transferred machine to machine and not stored on a server. However, the District will work with the vendor to determine the best method to transfer the data on District owned equipment.
4 12. Will the user s s be stored on mail server or would the vendor be responsible for retrieving them from an old unit and transferring to a new unit? (.pst files) Most users have their mail stored on a mail server. However some may have offline PST files. The offline PST files need to be transferred as well. 13. How many users will require the mapping of printers? Vendors will assume that all users who 14. Will the appointed PM be required to be onsite throughout the duration of the project? The PM is not required to be onsite throughout the project. However the PM may be asked to visit at strategic points of the project implementation to provide updates, and coordinate the deployment when needed. 15. When should the onsite training take place? Prior to project? During or after? Onsite training will take place within 4 weeks of delivery of equipment Training should include certification of District Technicians to be self maintainers under the manufacturer. 16. When should the manual be turned in? Manuals should be turned over at the time training takes place. 17. What is the number of personnel the vendor is required to train? No more than 30 Technicians. 18. Please explain what type of training the vendor is requesting. See response to Can the District provide the Pricing Worksheets in Excel? The Worksheets are available in PDF only. 20. Due to language in the RFP, will the districts accept tiered services pricing based on quantities? No
5 21. What is current average time to install LISD s image per machine i.e.: 5 minutes, 30 minutes etc - item 2.4.1? This will be a completely new image on completely new machines. The District does not have a benchmark to provide. 22. The two story buildings do they have elevators available for deployment team to use? Most buildings have elevators. However, if vendors are required to deliver equipment to a building without elevators, vendors should be prepared with the appropriate manpower and tools to use existing stairwells. 23. Please outline the VPN and configuration process to determine approximate time per machine item The vendor will work with the District to establish a secure VPN Tunnel between the two parties shortly after bid award. The method means and the manner in which this will be facilitated will be negotiated upon award. Vendors are to use their judgement based on their experience with this route on the amount of time this process will take and factor in enough time to complete the work in a timely manner. 24. Will the notebooks require installation (i.e. in carts) or just delivered to a central location at each campus? Student notebooks will be delivered to a central location in each school. Notebooks and Desktops that are purchased with basic deployment services will be delivered to the District Central Warehouse for delivery or may be required to be delivered and installed in computer labs in. Notebooks and Desktops purchased with advanced services will actually be delivered and setup on an end user by end user basis.
