1 Friday, December 5, 2008 User Guide to the New Web Genius Consolidated Promotions Management Console Today, we are releasing the consolidated Promotions Manager Console. The Console combines the management of Brand Content Clusters and monthly Promotion Pages, and adds new price updating and Store Specials tool requested by stores in our network. This User Guide will review these new features. Pg. 2 Brand Selection & Quick Glance Information Pg. 3 Using the Promotion Management Tool Pg. 4 Images: Open Brand Promotion Tool Pg. 5 Managing Featured Products Pg. 6 Managing Store Specials Pg. 7 Image: Store Specials Tool Pg. 8 Image: Specials Editing Tool, IPS Pg. 9 Image: Specials Editing Tool, FTP Pg. 10 Product Profile Page, Websites without Product Catalogs Manage Brand Promotion Pages and Content Clusters in One Place With the new Promotions Manager you will be able to Quickly see the number of brands in the promotion library, the number that are displayed on your site, the new brands you may want to include and select the brands you want to manage. Quickly see the number of monthly Promotion Pages that are included or excluded on your site and the number of new Promotion Pages you may want to add to your website. Change your Auto Include Settings. Elevate or de-elevate the products in the monthly Promotion Pages on your website, edit the SRP and Regular Price. Stores without product catalogs may also include these products and edit the prices. Edit and add custom copy and set the display dates for both pre-populated Free Text and Individual Store Specials. Stores may also edit the Sale prices of the products and add the Specials to their Home Page groups. In addition to these new functions, stores will be able to See how many products for a Brand are in Living Naturally s Public catalog, and how many you have displayed on your site. Preview all of the Content, Promotion, and Product Profile pages. Directly click to the Brand s wholesale promotion and deal. Click directly to the wholesale Promotions Calendar on To access the new Promotion Manager, click the new Promotions Manager icon in the Monthly Maintenance Menu. 1
2 Brand Selection and Quick Glance Information The Promotions Manager Dashboard let s you choose the Brands you want to manage with the drop down menus at the top: All Brands = the number of all of the brands that are participating in our Promo Genius Library. These brands provide approved product, company and other relevant content for your website. New Brands = the number of New brands content we added to the Library in the last 45 days. Included Brands = the Brands that are included on your website because you have them loaded in your Product Catalog or because you have chosen to manually add them to your site with the Content Cluster tool. Excluded Brands = the Brands you have not added to your site. TIP: The number of Included and Excluded should equal the number of All Brands. The Monthly Promo Tracker is a quick glance way to see the status of the monthly Promotion Pages. You may have chosen to put a brand s Content Cluster on your website, but you may have decided NOT to display a specific Monthly Promotion Page. This tool tells you how many of the CURRENT (starting on the 1 st, ending on the 30 th or 31 st ) Promotion Pages are included, excluded and how many are New in the current month. TIP: If you have Auto-Include activated, a fast way to manage new content on your site is to look at the Monthly Promo Tracker and use the drop down menu for Promotions Excluded. TIP: The numbers in the Monthly Promo Tracker will not equal the number in the Brand drop down menus because every manufacturer Brand will not always run a Promotion every month. 3 Using the Promotion Management Tool To manage the promotions, select a Brand from any of the drop down menus. Each Brand has its own Promotion Management dashboard. A glance at the dashboard tells you the following: Status of Brand on Site: If you have a product catalog on your site, this tells you if the Brand is included. Product Tracker: The numbers in this box indicates the number of sku s in the master product database for this brand. Total products in Living Naturally s public catalog are listed at the top; the number that is included in your product catalog is divided between your private catalog, if you use it, and the public catalog. Content Cluster: The check box indicates if you have included the Brand s educational content on your site. If the content has not already been included, check the box to activate the content. Click the Preview button to see how the content looks on your website. You must enable the Brand Content Cluster in order to elevate the Current Promotion. Current Promotion: This lists the name of the current monthly Promotion. Some brands will have more than one Monthly Promotion page in the current month. If there is more than one, the Current Promotion will display a drop down menu with the names. See Page 4 for a picture. When you select the Promotion you want to set up, the Products and Specials associated with the Special will automatically be available in the View Products and View Specials screens. To include the monthly Promotion Page, click the check box. The page will automatically refresh and the content will be loaded onto your site. To see the current monthly Promotion Page, click the blue Preview link or click the image on the left above the caption Tile Ad on your website. OPEN BRAND PROMOTION DASHBOARD SINGLE PROMOTION 3
4 OPEN BRAND PROMOTION, MULTIPLE MONTHLY PROMOTIONS WITH DROP DOWN MENU TIP: When a brand has multiple promotions, each one is managed separately. One or more may be Included, the other one Excluded. Select the promotions via the drop down menu and the Include status, tiles, product list and specials list will change. SECOND PROMOTION SELECTED, PROMO TRACKER UPDATED 4
5 Managing Featured Products Click the blue View Products link to see the products. The screen will expand to display the list. You can take the following actions: Product Name link: Click this to open a new window of the Product Profile as it would appear on your website. Include Checkbox: When the box is checked, this product is included on your site. Any included products will be listed on the Promotion pages. See page 10 for a picture of how this looks to a site visitor. Edit Price: Click this link to open the Price editor. Once the Price Editor window is open, you can edit the SRP and Regular price of any one or all of the products. Click any of the Save Price links and you will save all of the changes at one time. These price changes will be effective immediately on your website on the Promotion pages and any other pages where these products are displayed.. TIP: The SRP prices listed for the products reflect the pricing set in your Product Catalog OR the manufacturer SRP, if you do not have a product catalog. The function is integrated with your Product Data Wizard so if you change product prices here, they will also be changed in your Catalog, in the Product Data Wizard, and on the Product Profile pages. 6 ACTIVATED PRICE EDITING TOOL Managing Store Specials for Monthly Brand Promotions Every monthly Promotion now includes pre-populated Free Text (FT) and Individual Product Specials (IPS). If your website is configured for Individual Product Specials you will see these under the View Specials link, if you have Free Text Promotions but not IPS you will see these under the View Specials link. If your website is not configured for Store Specials, you will not see this tool in the Promotions Manager. You can use this tool to view the text written for the Special, change the sale price, change the display dates, and add additional copy in the FT Special. You can also quickly add all specials with the Include All checkbox. TIP: You should always check and edit the Sale Price of the Special after including it on your site. IMPORTANT: If you have manually set up Specials for any of the products that are now in the Promotion Pages, yours will stay the same. The Specials from the Promotions Manager tool will be ADDED to those you have already created. 6
7 STORE SPECIALS TOOL Rules to remember for Store Specials: The Specials tool is set to match your website configuration. If you do not have Store Specials enabled, you will not see the Store Specials tool. Each Special must be edited individually. When you click an Include checkbox, the Editing window for the Special will automatically open. The default dates are set to start on the 1 st day of the promotion and end on the last day of the last promotion month, either 30 th or 31 st. You may change the start and end dates. The Special will be removed on the End Date. The default Sale price set is the same as the Regular price. We recommend that you edit the Sale price and use the Product pricing function to edit the SRP and Regular Price. You may add the Specials to your Home Page groups by using the drop down menu at the bottom of the Store Specials page. 7
