3 System Requirements This document is an installation guide for the Pala Easy Scan Ordering Tool software. Microsoft Windows XP with Service Pack 1 or later Windows versions. Minimum Microsoft Windows 2000 with Service Pack 4 1 GHz Processor (minimum); 512 MB of RAM or greater Internet access Active account 50 MB of available hard disk space for program installation 1024 x 768 pixel screen resolution (minimum) available USB port to connect barcode scanner 2

4 Welcome to the Heraeus Kulzer Pala Easy Scan Ordering Tool We are glad that you have chosen to use Pala Denture Teeth. The Pala Easy Scan Ordering Tool is designed to make orders/reorders easy for you. Please follow the installation process included in this documentation for adding the Pala Easy Scan Ordering software to your system. UNINSTALL FOR CURRENT USERS ONLY To uninstall Order Tool for current users ***This step is only required for customers currently using the previous Heraeus Order Tool. If you are a new user, skip to step 1 on page 5. Go to your start menu, and select Control Panel. Select uninstall a program. Depending on which operating system you are using, your screen may look different. 3

5 Right click on the Heraeus Order Tool to uninstall the program. Once the old program has uninstalled, you are ready to begin installation of the new software. NOTE: depending on your organization s security settings, an administrative password may be required to delete or add programs to your computer. 4

6 Installation of the Pala Easy Scan Ordering Software 1. Go to the Heraeus Kulzer website ( and choose MSDS & DFU from the left side column, or copy the following link into your internet browser: freiburg.de/update/barcodesaver/heraeus/setup/palaeasyscansetup.exe Select the Easy Scan Ordering Tool link. NOTE: depending on your organization s security settings, an administrative password may be required to delete or add programs to your computer. 5

7 2. Choose Login/Register even if you have previously used the HOT tool. You may also need to select language and country. 3. Fill in the requested account information. For the Customer Group you will need to select Lab to Dealer. Choose Laboratory to Dealer from the drop down option. After completing all account information, select Continue to Registration. 6

8 4. You will be prompted by 2 disclaimers. You will need to read and agree to the terms to continue setup. Select Yes, I agree, to continue setup. Click Continue to registration after you have selected Yes, I agree. You will be prompted by 2 disclaimers. 5. You will receive a pop up informing you that your Installation Code has been ed to you. Note: it may take several minutes before receiving the code. 6. The will come from Heraeus Kulzer GmbH with the Subject: Pala Easy Scan Setup code. Note: The Customer Number included in the is not necessary for setup. However, the customer number can be used after registration to change an address or add another user to the tool. 7

9 7. Retrieve the installation code from your and enter it on the Setup screen and click Starting the Installation. Installation should take approximately 2 minutes. Note: if the setup screen does not appear, you may select the link in the you received. Enter the setup code you received in your . Click the Starting the Installation button after entering the code received in . NOTE: a slow internet connection can result in failure to connect to the FTP server, and can cause issues with loading the software. If you encounter an error stating that connection attempts failed or connected party did not respond this may be the result of a slow connection. Please verify with your organization s technology support to ensure your system meets the requirements for downloading the software. 8

13 Note: Overall installation should take approximately 5 minutes. 9. The order tool icon will now appear on your desk top. 10. Double click on the desktop icon to launch the order tool. Upon opening the Order Tool you will land on the Kulzer Dental tab. 12

14 11. In the transfer settings tab you will need to select your dealer. 12. When prompted to select a transfer type, it is recommended to send all 4 types. 13

15 13. Select the Matrix tab to type in teeth orders manually. 14. Using the Scanner The OPN2001 is a memory scanner. It can capture barcode data without a cable connection to the pc. Scan data is saved on the OPN2001 until it is connected to the pc and the data can be transmitted. The scanner battery should be fully charged when you receive your scanner. If not, connect the scanner with the delivered USB cable to a USB port on your pc to charge it. Scan barcodes by pushing the middle button on the surface (see picture below). Erase data from the memory by pushing the smaller button when scanning a barcode you want to delete. To transfer data to the Pala Easy Scan Order Tool, make sure the Order Tool is open. Then connect the scanner with the usb cable to a usb connector on the pc. The order form opens and the data transfer begins. 14

16 You can now select the order tab in the top left corner of your screen. Save and Send your orders by selecting from these options. Data Export allows you to manage your transferred orders. 15

17 15. Before exiting, it is important to place an order, to ensure the installation process is complete. If you are not ready to place a live order, please place a test order. If your sales representative is not available to assist please follow these steps. a. Scan 2 3 teeth cards b. Import the order c. Enter Test Order DO NOT FILL into the Order Notes section if you are not ready to place a live order. d. Select preferred Dealer e. Click Submit Order f. Contact Customer Service at (800) to determine if order was received. If order was received, then your setup is complete. If order was not received, please ask Customer Service to transfer you to Technical Services to troubleshoot. Best Results: For best results, always open the order tool first, before plugging the scanner in. When ordering is complete, exit order tool entirely (just closing the window does not exit the program entirely). To exit entirely, make sure to right click on the icon in your toolbar, and program exit. This ensures that every time you open the program it is obtaining the most recent updates. 16

18 FAQs 1. The program appears to have a bug. First, perform a Software Update. You ll find it in the Settings tab. Also, make sure to always exit the program fully after order completion. If this does not solve your problem, contact technical support. 2. The master data is out of date or has errors. First, perform a Software Update. You ll find it in the Settings tab. If this update doesn t solve the error, contact technical support. 3. The program language is in German. The language version of the Pala Easy Scan (Heraeus Order Tool) can be changed to English or German in the settings tab. You will need to restart the program after any language changes. 4. I want to add products to a saved order. You can select a saved order in the Data Export tab. They are saved in the left list. Choose one and click on the disk button. You can decide to load and edit the order. The filename is composed as follows: B Year Month Day Customernumber. Caution: If you load the order from Data export the most recent saved order will be lost. 5. I want to uninstall the whole program from my pc. In start menu > control panel > add or remove programs select in the list currently installed programs Pala Easy Scan. You can repair it, change it, or remove it there. 6. I want to change the quantity of an item. With the mouse double click on an entry in the product list in the Matrix tab and insert a new number. 7. There are more programs installed, do I need them. The Visual C++ Runtime Environment is needed to print barcodes. Also, the driver for the barcode scanner is installed (OPTO ELECTRONICS CO LTD. (optousb) Ports (06/02/ ). 17

19 8. I closed the program window. Is my entered order lost? No, the program is shut down completely only by clicking on the taskbar icon and exiting the program. To resume the data double click on icon. The program window opens again. If you had entered data and you want to exit the program you are asked if you want to store this data. 9. I cannot enter text into a textbox. In general you can enter data in white text fields. Gray text boxes just show information. 10. Printing does not work. Make sure that the correct printer is selected in the Settings tab. 11. The program interface is not visible or is slow to appear. If you switch between the Matrix tab and other tabs it could take a few seconds to show the program window. If there are further problems with the program interface restart the Pala Easy Scan Order Tool. If the same error occurs repeatedly, please contact technical support. 12. I cannot locate the program because I minimized it. The program is still running. To open it double click on the icon. It is located in the toolbar of your computer. If you could not find it try clicking on the left arrow to show all icons. 13. I cannot enter data in the Settings tab. First you have to click on button Data change located in the bottom left hand corner. 14. I cannot find my printer in the Settings tab printer selection. Add new printer start > printer and faxes > add a printer and follow instructions. 15. Orders and print jobs are not transferred. Make sure your internet connection is working. Perhaps connection settings are not correct in the Settings tab. 18

20 16. Scanner Opticon OPN2001 does not work. Batteries may be dead. To ensure there is not a defect with the scanner, you can connect to your computer with the included USB cable. A green light should shine, and scanner should work. If this does not work there may be a defect, and technical support should be contacted. 17. The data is not transferred from the scanner to the Easy Scan Tool. Check to ensure all cables are attached correctly. You should see a message in Windows that new hardware was found. It may require unplugging, and re plugging the scanner back in. Scanner may also require charging if battery level is low. 18. I scanned an invalid barcode. If a non Heraeus tooth barcode is scanned accidentally, you will need to clear the scanner memory. This can be done by holding the small button on the scanner (approximately 10 seconds) until a long beep is heard. This beep will clear the scanner memory. 19
