1 Woodbridge High School Associated Student Body Job Descriptions **Subject to change! There are three main categories of ASB positions: Elected, Appointed, and Class Council. With these three categories combined, there are a total of twenty-seven (27) spots on ASB this year. Elected Positions: The following five ASB positions are determined by a school-wide election. ASB President (Senior with at least 1 year experience on ASB) o Serve as Chief Executive Officer and the official representative of the ASB to all inter-school activities o Serve as chairman and direct the activities of the ASB Cabinet o Preside over all meetings of the ASB Cabinet o Establish the agenda for each weekly meeting; review agenda with Activities Director the day prior to the meeting; make copies of agenda prior to meeting o Ensure all events are well staffed and thoroughly planned; appoint committees of ASB Cabinet as necessary; serve on committees o Work to improve all school communication between students, staff, administration, parents, and community o Has the power to organize special meetings of the ASB Cabinet as deemed necessary o Serve as the major peer motivator of the ASB cabinet o Act as liaison between ASB and Activities Director; meet weekly with Activities Director ASB Vice-President (Junior or Senior with at least 1 year experience on ASB) o Run and organize all ASB elections (with assistance of Human Relations Commissioner): Freshman Class Council in September Homecoming Court in October Winter Formal in January ASB Elections in spring Class Council Elections in spring Prom Court in May/June o Oversee and carry out all election-related materials and procedures: Update election packets and make copies Run informational meetings for candidates Prepare ballots and ballot boxes; tables for voting, pencils, Scantrons Staff voting tables with ASB members o Run the ASB meetings in the absence of the president (will ascend to presidency in the case the president can no longer fulfill his/her duties) Activities Commissioner (Junior or Senior) o Plan and organize all ASB activities and events, including but not limited to: Homecoming halftime show and coronation ceremony Homecoming dance Air Guitar variety show Lunchtime activities Other dances, shows, or speakers o Procure all equipment, materials, paperwork, and facilities needed for the above-listed ASB activities o Assist Senior Class Council with spring senior activities o Write thank-you notes to all groups involved in Homecoming Halftime and dance o If Vice-President ascends to Presidency, will assume the role of Vice-President

With these three categories combined, there are a total of twenty-seven (27) spots on ASB this year. Appointed Positions: The following fourteen ASB positions are determined by an interview process. The interview panel will be made up of both faculty and students. ASB Secretary (Sophomore, Junior, or Senior) o Take minutes at every meeting and type a master copy; provide a copy to the Activities Director o Distribute copies of the minutes before weekly Wednesday meetings for approval o Take notes during non-meeting sessions, such as brainstorming ideas, committee lists, etc. o Secure a substitute secretary in case of absence to read minutes and take minutes at Wednesday business meeting o Organize communication within ASB, such as calling/texting important reminders to the other cabinet members o Recognize and celebrate ASB Cabinet member birthdays (with Human Relations Commissioner) ASB Treasurer (Sophomore, Junior, or Senior) o Sign and date all ASB financial disbursements, checking for proper signatures; pull out any questionable disbursements and check with the ASB Accountant o Facilitate fundraising request process for all clubs, teams, and class councils; send approval/denial notices to organizations for fundraisers o Organize any ASB fundraisers o Promote and organize ticket sales for all ASB events o Keep an up-to-date inventory of ASB supplies; notify Activities Director when running low o Coordinate deposit process of club funds for large fundraisers (Oktoberfest, Winterfest, etc.) with Clubs Comissioner o Establish ASB budget (with Activities Director) in beginning of year and update throughout the year Performing Arts Commissioner (Junior or Senior with at least 1 year experience in a WHS Performing Arts Program) o Work closely with Visual and Technical Arts Commissioner to promote all arts on WHS campus o Prepare Performing Artist of the Month awards and update Arts Kiosk with current information; recognize important arts achievements o Meet weekly with performing arts teachers to receive updates o Communicate with Warrior TV and Golden Arrow about performing arts accomplishments o Co-chair Fine Arts Day in the spring with Visual/Technical Arts Commissioner o Manage Activities audio/visual equipment and supervise its use o Maintain inventory of Activities-owned audio/visual equipment Visual and Technical Arts Commissioner (Junior or Senior with at least 1 year experience in a WHS Visual or Technical Arts Program) o Work closely with Performing Arts Commissioner to promote all arts on WHS campus o Prepare Visual/Technical Artist of the Month awards and update Arts Kiosk with current information; recognize important arts achievements o Communicate with Warrior TV and Golden Arrow about visual/technical arts accomplishments o Meet weekly with visual/technical arts teachers to receive updates o Co-chair Fine Arts Day in the spring with Performing Arts Commissioner o Oversee any design and artwork needs of the ASB o Maintain ASB page on WHS website
4 Clubs Commissioner (Junior or Senior) o Preside over the Inter-Club Council and organize meetings to distribute information o Oversee yearly club chartering and application process o Keep an up-to-date roster of clubs including club name, president, advisor, meeting time, contact , and club purpose; combine clubs with similar purposes o Collect minutes from all clubs on a regular basis o Inform ASB of club activities o Organize Club Drive (September), Oktoberfest (October), Winterfest (December), and spring club food fundraiser (with assistance from ASB Treasurer) o Inform club presidents of proper fundraising and nutrition guidelines, deposit and reimbursement procedures, and facility request procedures (with assistance from ASB Treasurer) Spirit Commissioner ( Junior or Senior) o Plan all spirit weeks, including spirit days, class competitions, and lunchtime activities o Lead the Warrior Tribe spirit organization o Promote good sportsmanship and positive cheering for all Woodbridge athletics programs and other events o Assist Athletic Commissioners with promoting Games of the Week o Work to encourage a greater sense of school unity and spirit o Recognize and celebrate outstanding student achievements (e.g., athletic teams going to CIF, academic teams going to a statewide competition, All-American Band, etc.) Pep Commissioner (Junior or Senior) o Organize all aspects of all four pep rallies: Minute-by-minute scripts due one week prior to rally Communicate with performing arts and cheer advisors about rally performances; give copy of script to each advisor Select two ASB members to host each rally Work closely with Media Producer/Director for rally video needs Plan class competition game for each rally Inform all participants of rally schedule; communicate with Activities Director about students to be excused early for rally Oversee rally clean-up o Advertise all pep rallies o Write thank-you notes to groups performing in rallies Publicity Commissioner (Junior or Senior) o Oversee all ASB promotional activities; advertise major school events o Update kiosk outside ASB with important information o Write bi-weekly press releases for Principal s Newsletter with upcoming activities o Read Pledge of Allegiance every Tuesday at the beginning of tutorial o Update WHS ASB Facebook group on a regular basis with upcoming events o Inform LAN Admin of marquee updates o Inform WHS Webmaster of website updates o Inform WHS staff of upcoming events through groups for club advisors, coaches, teachers, etc. o Inform Golden Arrow of important ASB information School Board/Site Council Representative (Junior or Senior) o Attend all school board meetings (Bi-weekly on Tuesdays, 6:30 p.m. at district office); report to board on WHS activities and awards o Prepare report for each meeting highlighting WHS campus activities and awards; get approval from Activities Director o Update ASB on important School Board information o Attend all Site Council meetings as student representative (Four Wednesdays per year, 3:30 p.m.) o Preside as IPSF student representative; attend meetings when needed o Find suitable replacement when unable to attend a meeting
5 Community Service Commissioner (Sophomore, Junior or Senior) o Plan and execute Red Ribbon Week in fall Find a speaker and organize assembly Distribute red ribbons/bracelets Organize daily activities and campaigns Decorate campus o Plan at least one ASB community service activity per quarter; e.g., Canned Food Drive, Toy Drive, Senior- Senior Prom o Work closely with City of Irvine s Youth Action Team to advertise their events o Work with service-oriented WHS clubs to help promote their activities o Work with middle schools, including 8 th grade visits in the spring Executive Media Director (Senior concurrently enrolled in ROP Film Production) o Develop an overarching vision for Warrior TV o Work closely with FilmEd Academy of the Arts o Oversee the production of the DVD Yearbook o Oversee the ROP Film Production Class and help assign projects o Direct weekly Warrior TV episodes from start to finish o Meet deadlines for videos as needed by ASB and Activities Director o Film and edit spot features for Warrior TV o Film and edit pep rally videos o Mix/film live video feeds during pep rallies Executive Media Producer (Junior concurrently enrolled in ROP Film Production) o Assist Executive Media Producer in the production of Warrior TV o Film and edit speeches for elections (Class Council, ASB) o Direct weekly Warrior TV episodes from start to finish o Meet deadlines for videos as needed by ASB and Activities Director o Oversee weekly Warrior TV scripts; coordinate reports from Sports and Arts o Coordinate schedules of anchors for filming o Film and edit information segments (i.e., tutorial rules, freshman welcome) o Film and edit spot features for Warrior TV o Mix/film live video feeds during pep rallies Student Outreach Commissioner (Junior or Senior) o Organize and implement the Link Crew new student orientation program (involves planning over the summer) o Organize, select, and train link crew leaders; preside over link crew coordinators and leaders o Plan and execute Link Crew New Student Orientation one week prior to the first day of school o Organize New Student Lunch during first month of school (for students who missed orientation) o Organize social events throughout the year to encourage new student involvement o Work with the Counseling Department for Link Crew tutorial workshops o Promote unity on campus among all students; develop ways to reach all parts of the student body o Give tours of campus for new students (as needed) o Plan What If? Students must choose to run for either President or Vice-President of the class. Those who are not elected to the President or Vice- President positions will not be on ASB, but they still may be elected to the Class Council.
