1 Capital City Juniors Board of Directors The officers of the Executive Board shall consist of the Director, Assistant Director, President, Immediate Past President, Treasurer, Secretary, Parent Committee Chair, Coaches Coordinator and any Member At Large. The Executive Board shall not exceed 13 but may be as few as 5. Director The Club Director is responsible for ensuring the mission and vision of Capital City Juniors is being accomplished effectively and positively. Respond to CCJ and CCJ hotline phone questions, as required. The position should be at least a 2 year commitment and is a voting member of the CCJ Board. Assistant Director Assists the director. Provides the Coaches Coordinator the tryout plan for CCJ tryouts and whereby ensures a fair tryout for all players. Respond to CCJ and CCJ hotline phone questions, as required. The position should be at least a 2 year commitment and is a voting member of the CCJ Board. President Provides overall leadership for CCJ to grow and provide the best opportunity for all players and of all ages and skills to play competitive volleyball. The President is the point person of the organization. The President directs the board; appoints committee members; signs all official documents on behalf of the club; and serves as the liaison between past and present boards. The President may call or schedule a meeting whenever there is a need. The President shall: Preside over the Board meetings. Have the authority to appoint any committees deemed necessary. Prepare agenda for each meeting and conduct all meetings. Be custodian of all valuable and legal papers of the Club Secretary. Have signing privileges on the Club s checking account. With the Club Treasurer, establish the season starting budget. Secure gym space. Ensure maintenance of the CCJ website. Communicate with Board, Coaches, Team Reps, and SRVA on a regular basis (typically via ). Respond to CCJ and CCJ hotline phone questions, as required. Prepare and solicit feedback from the parents, players, coaches via the season ending surveys. Organize and present the information at the parents pre-season information night along with the Director and/or Assistant Director. Work with the Treasurer on the season financial status.

2 This position is a 2 year position with the third year acting as Immediate Past President (IPP). Immediate Past President Provides advice and guidance to the President and the board and serves as a voting member of the board for a period of 2 years. Treasurer Manages and oversees all financial activities conducted in the name of CCJ for 2 years. The Treasurer shall: Responsible for developing an annual budget that must be approved by the Board. Collect dues, donations and other funds and deposit same in the name of Capital City Juniors. Maintain a record of all members dues, donations and other funds. Provide receipts for tax-exempt donations. Disburse monies upon proper authorization, including issuing payments for player memberships with SRVA, tournament registrations and coaches expenses. Reconcile bank accounts on a monthly basis. Present a Treasurer s Report at the Board of Directors meetings. Attend beginning of season club meetings. Attend Board meetings. Communicate with Board, Coaches, Team Reps, and SRVA on a regular basis. Prepare and file the club s tax return. Secretary Maintains all CCJ documentation. Duties include: Maintain historical record of Board members, meeting minutes, bylaws and policies within a master binder that is passed to next elected Board Secretary. Attends all board meetings and records all decisions and actions at meetings. Distributes minutes to Board members. Registers all individual player and coach registration forms for USAV membership. Submits all coach background check documentation to SRVA. Registers all coaches for IMPACT clinics and ensures SRVA documents IMPACT certifications. Registers teams for their tournaments. Maintains records of membership. Maintains master distribution list via the CCJ website. Maintains medical waivers on file for players. Assists HOD coordinator as required.

3 This position is a 2 year position with the second year having an assistant to learn duties. The expectation is the assistant would be secretary the following year. Serves as voting member of the Board. Coaches Coordinator Recruits, educates, and mentors all CCJ coaching staff. Additionally, serves as a liaison between the coaches and the CCJ board. Ensures all coaches are USAV referee, scorekeeper and IMPACT certified. Oversees the coaches USAV registration and background checks are accomplished and documented properly with SRVA. The Coordinator notifies coaches of further Coaching Accreditation Programs and educational opportunities available. He/she works with the CCJ Director and Assistant Director in matching qualified coaches to appropriate teams and creates Coaches Binders for their respective teams. The Coaches Coordinator is responsible for ensuring that the Referee/Scorekeeping Clinic is held prior to tournament season so club members are fully qualified to keep score and referee as required. The position should be at least a 2 year commitment and is a voting member of the CCJ Board. Parent Committee Chair Serves as a liaison between the Parent Committee and the Board. This position is a 2 year and serves as a voting member of the Board. Member At Large Select individuals may be asked to serve as a voting member of the Board because they offer a unique perspective that benefits CCJ.

4 Heart of Dixie (HOD) Committee Chair Capital City Juniors Committee Chairs This person will be the point person for the tournaments scheduled by the club. Many of the other chairs will help with actual event. Club Scheduler The scheduler will work with each coach to create the practice calendar and post on the CCJ website at least 2 weeks prior to the first of each month. The scheduler shall schedule clinics, tournaments, open gym, private lessons, etc. for the Capital City SportsPlex. Recruiting Chair Maintains contact with area college coaches and college programs to support the Club activities. Guides CCJ players, who are interested in being recruited, through the recruiting process. PR/Media Chair Coordinates all communications with outside media sources such as: Updates the official Club website. CCJ Monthly Newsletters Local press/media CCJ Facebook Page Creates a CCJ Media Guide to use for recruiting purposes Fundraising Chair Directs and coordinates fundraising activities. Concessions Chair Concessions Chair leads the Concessions Committee. The Committee is responsible for sales at home tournaments or practices. Maintains and provides detailed reports for the CCJ treasures. Concessions Committee is responsible for the HOD Hospitality Room. Uniform Chair Responsible for ensuring that all players uniforms are ordered, numbered, and delivered prior to the season s first tournaments

5 Travel Chair Will be the club s designated travel agent and be responsible for securing airline tickets, ground transportation, and lodging for all national and regional tournaments. This position will require coordination with the Board President, Secretary, Treasurer and Team Parents. Facilities Chair Will be responsible for verifying the facilities used for practice and tournaments are safe and capable of handling the clubs needs. Responsible for maintenance and acquisition of new courts/equipment.
