5 SOFTWARE REQUIREMENT & SPECIFICATIONS 1. OBJECTIVE To make use of the HANDHELD DEVICE in field Spot billing & payment collection. The proposed project will have to make use of handheld units by the operators to collect data and to generate bill against the data collected. Data can downloaded/uploaded using usb cable or through GPRS connection to the server, bills are also updated online. 2. WORKFLOW Switch on machine then press any button, display shows option to enter user ID and password. Operators can sign in by entering their User ID and Password. Data downloaded using GPRS by choosing FTP/HTTP download(assigned key), or by usb cable Service for payment collection is displayed on pressing assigned button, enter to select. provision to enter Customer details. i. Name ii. Address Line 1 iii. Gender iv. PH No v. Age vi. (Address can be made optional in bills while printing) Enter to continue Option to select item category & item names under it by entering codes (rates including tax are already assigned to each Item name), Press enter to select each Item. Enter twice to complete selection Then option to enter following sections, after that press enter to continue.. Enter the name (Ref by) Enter discount Enter service charge. Enter paid amount

6 Customer can pay the total bill amount or part amount (due amount shown in pending amount). Enter the reporting time and date. Enter to take printout.(bill automatically updated online) To cancel a printed Bill- On pressing a button(say C ) last printed bill will be shown, Enter to continue, Then enter operator password to cancel bill.(automatically updated through GPRS) Once the transaction is complete, bill send to server through GPRS. if GPRS is unavailable, machine will automatically send the bills when network become available. On pressing a button (say R ) reports will be shown, Enter date & then press enter to take daily reports. On pressing a button (say T ) Total collection amount will be shown. On pressing a button(say X ) Clear all data will be shown, Enter to continue, enter operator password to clear all data(optional) On pressing a button(say V ) Previous bill will be shown, press down arrow to scroll bills, cancelled bill shown as bill cancelled. Enter twice to take duplicate receipt. On pressing a button (say M ) menu option will be shown. On pressing a button (say F ) Option to send pending bills manually.(use only if data not automatically updated through GPRS) Machine will automatically turned off when inactive for particular time period (shut down time).

8 4. OPERATIONS SCREEN LAYOUT Press On button to Turn On the machine Enter User name (shows while pressing any key) Enter Password (shows if username is correct) Operator login successfully

9 Press a key (say D ) to download data from server Shows Data downloaded successfully. Press a key (say Z ) to take collection Enter customer Name Enter Customer Address

11 Enter item code then scroll down to select required item press Enter to select,item name will be shown on display after selection press 1 to select next category & test. if selections are over,press Enter to continue Enter Service Charge & Discount Enter Reporting Time Enter Paid amount

12 Bill daetails will shown Press Enter to print bill. Continue the above procedure to generate another bill. Back key can use to return to previous menu. Once the transaction is complete, bill send to server through GPRS. if GPRS is unavailable, machine will save the bill & sent it automatically when network becomes available. 14 To Take Reports, Press R,Then press 1 to select daily report Press Enter Key to take printout. To view total collection amount press T Button To clear all data Press X then enter user password Press Enter key to clear Data.

15 To View bills and cancel bill, Press V then Press 1 to view bills(scroll down to view bills) press 2 to cancel previous bill (Press C after selecting bill) To cancel bill,enter user password and then press enter key Press M to Select menu,and press corresponding no to select each settings, Press 1 to select display settings then press enter press up or down arrow keys to change brightness

16 To change user password, select security settings And user password, press master password and new user password, Enter to save To change date & time, select extras in menu, then select Date & Time, Enter date then press Enter and then time. Press enter to save To change Header(max 36 Char),select required Header in extras, type new header and press enter to save. To take test print, Select printer settings in menu,then select printer test & press enter, Machine will produce a test print By following the above procedures one should be able to edit or change each options / fields under menu, But for the same, one must enter a Master password to take menu to follow security
