1 Hampstead Christmas Festival 2014 Stallholder Information Sheet The information below is not designed to be comprehensive but should answer most frequently asked questions. In late October, our stall coordinator will send detailed instructions regarding the time for your arrival, the location of your stall, instructions regarding rubbish disposal, stall numbers and other matters of that nature. Map Festival Basics Hampstead Christmas Festival will take place on Sunday 23 rd November 12pm 6pm. The High Street will be closed to traffic on the day of the Festival from the Tube Station to Pilgrim s Lane. Contrary to last year all stalls will be located on the High Street, there will be no stalls on Oriel Place. Stalls (non-prime food stalls) We are working with a new vendor Casablanca this year and we hope you will be pleased with their stalls. They are white marquees which are 3M x 3M in size and are covered on both sides and the back of the stall. Each stall will be weighted to keep it stable. Each stall will come with two trestle tables (approx. 1.85M x.75m). Each marquee will also have a string of bulbs that will run across the middle of the stall on the inside (please find a picture of a typical stall below. Stalls (prime food stalls) The premier food stalls are located just north of Gayton Road and below the Main Stage. Premier food stalls will not be given a gazebo by the Festival and will be required to bring their own gazebo/ stall and equipment. The stand must not exceed 3M x 3M in size.
2 Location of Stalls Please note we have included a preliminary map with the invitation (final page of this document). This is for information only and will be modified as the festival draws closer. However we wanted you to see the approximate location of the stalls on the High Street in relation to the Main Stage, Christmas Grotto and other attractions. Although we attempt to accommodate requests by stallholders for particular stalls near their place of business, we can make no guarantees of placement. Hampstead Christmas Festival reserves the right to place stallholders where it makes the most sense. We hope that the tiered pricing system of the stalls will enable stallholders to find the most desirable spot within parameters. Prices Stalls prices are tiered and start from 100 for a stall near Pilgrim s Lane up to 200 for a prime food stall. (Please refer to the attached map for details.) Expand to describe colours. Type of Stall Price Colour on Map Prime Food Stall Green Prime Retail Stall Pink Superior Retail Stall Red Standard Retail Stall Yellow Budget Stall Orange If stallholders elect to share a stall, they must submit their applications together in the same package, designate one person as the primary contact person and BOTH provide relevant insurance and permits. If you are a member of the NW3 Business Association, you are entitled to a discount on the cost of your stall. (There will be only one discount per stall.) Payment Payment for your stall may be made in one of two ways by cheque or by direct transfer to our bank account. 3 Cheques, applications, proof of insurance and other documents should be mailed together and sent to: FAO Julie Squires, Savills, 7 Perrin's Ct, London NW3 1QS Confirmation & Communications Each stall must give an address to be contacted on. All communications regarding stalls will be via . Insurance & Permits As a result of the tightening of regulations by Camden, we are this year requiring that every stallholder provide us with a copy of his/her insurance at the time of submitting his application to be a stallholder. We assume that most of you have insurance already. However, if you do not have insurance, we understand that it is quite easy to obtain. One of our stallholders recommended CMTIA Public Liability Insurance Scheme at a cost of per year (including a 2.50 administrative fee). You may purchase insurance through this company in two ways: (1) Online at or (2) Telephone at We have not personally dealt with this company, but offer it as a source recommended by one of our stallholders and, of course, subject to your own investigation. Additionally, all stallholders selling food must not only provide a copy of their permits and HACCP documents to us with their applications and display them in their stall on the day of the Festival. Other commercial stallholders should provide a copy of their permits and licenses to us. Gazebos & Extra Tables Contrary to the past practices, we will not allow stallholders to bring their own gazebos. However, the exception to this rule is certain food stallholders who bring a complete stand and certain photography and/or art stalls. Please be advised that the marquees adjacent to one another will be secured to each other to make them more stable and windproof. Accordingly, if you are granted permission to bring your own gazebo, your stall will need to be at the logical endpoint to a row of stalls and cannot be in the middle of a row of linked stalls. Stallholders may bring extra tables, but may not increase the "frontage" on the High Street. The vendor's extra tables must be placed behind the official trestles and within the marquee. If a stallholder brings his/her own table, there is no extra charge. However, regardless of whether a stallholder brings his/her own table, the stallholder will be expected to pay the basic fee for the level of stall he/she has selected. To improve the appearance of the stalls at the Festival, each stallholder is asked to provide a skirt to cover the table at the front of the stall.
4 Electricity & Generators We are not offering any kind of electricity, although we will be providing a string of bright bulbs to light the interior of each stallholder s marquee. We recommend that anyone needing heat for food supply his own heat source, e.g., barbeque or camping calor gas. We would suggest that people supply some sort of camping lights of their own. It will become dark in the last hour or so of the Festival. Stallholders are permitted to bring generators, but only if the generator is absolutely silent. Fire Extinguishers Per Camden regulations, each caterer must have their own fire extinguisher and HACCP document on their pitch.
