1 Letter of Solicitation FOR IMMEDIATE RELEASE Red Lake Band of Chippewa Indians Community Requests the Assistance of its Local Radio Station Red Lake, Minnesota, USA The Red Lake Indian Community was recently awarded a grant from the U.S. Department of Justice entitled Indian Alcohol and Substance Abuse Program. This grant provides funding to design a program which will address the problem of alcohol and substance abuse, and associated crime, within the Red Lake Indian Community. In order to accomplish the Mission, Goals, and Objectives of this Program, the community must be made aware of the existing problems and how this Program intends to eliminate them. The Advisory Board of this Program is therefore requesting the assistance of WJRC Radio to provide free airtime to the Program to make Public Service Announcements regarding the Program s Mission, when and what type of assistance is needed from community members, and ongoing status of the Program s progress. 2 Draft a Press Release You are writing a Press Release which describes the mission and vision of the tribe s Indian Alcohol and Substance Abuse Program to the community. The purpose of the press release is to inform the community of the issues; describe how the program is designed to resolve those issues; gain the interest, support, and involvement of community members. Have each table decide which tribe s program they will use and collaborate to draft a Press Release using the handouts (Sample Press Release Template, News Release Format Guidelines, and A Sample Press Release) behind Tab for guidance. Select a recorder and a spokesperson. Allow a pre-determined amount of time for discussion. When time is up, ask someone from each table to read their Press Release, or select two or three (depending on time and number of tables).
3 Sample Press Release Template [Your Logo Here] [Title Here] FOR IMMEDIATE RELEASE: (date) (Example: XYZ Inc announces launch of new website <>) Description: (optional) This is a very short description about the press release. some distribution sites will ask for this. [CITY], [STATE],[Date] [This is the opening paragraph. It should contain about 3 5 lines and considered most important since this catches attention of news readers and journalists. Typically questions for questions of who, what, when, where and why answered here. Keep it short and highlight what s whole release is all about.] [This paragraph goes into little depth. Give more details of product or any events taking place. This should contain about 2 comments made by spokespersons. For example, Mr. XXX said xxxx.] [This paragraph focus on where users can find detailed information about product or events. Give a contact or website site for more information so that more additional information can be found. This paragraph should be concluded within 3 5 lines] [The conclusive paragraph is known the boilerplate and can contain no more than 2 3 lines. A short "about" section, providing independent background on the issuing company, organization, or individual. Here you should explain future aspects, your or aim in meeting the current market or success. In general what you intend to do achieve.] Contact Information: [Company Name] [Address] [Telephone] [Website] [Editors Note: optional] ### (This mark lets the reader know that it is the end of the article.)
4 NEWS RELEASE FORMAT GUIDELINES News Releases - Business, organizational or personal news intended for Internet Readers. News releases are best suited for our WebPost and WebRelease distribution. The News Release Format You must report in the "third person". A release purports to report on an event, circumstance or occurrence by a third party. When writing a news release, be a reporter and report on yourself or your business. Third Person Example: "According to John Doe, the next version of Webster s Dictionary will include two new slang terms that were identified in his research as being part of ". Inappropriate Example: "I, John Doe, was informed that the next version of Webster s Dictionary will include two new slang terms that I identified in my research as being part of " Also, news releases are most effective when they are under 250 words, generally three to four paragraphs, preceded by a clear and attention grabbing headline. Remember, this content is intended to bypass the media, and go directly to readers on and over the Internet, so make it a quick and effective read. Headline Be creative and keep it to one sentence. Capitalize the first letter of all words but do not use all upper case letters. Exclamation marks ("!") conveys that your release is advertising, not news, and it s the credibility of news that generates the good publicity. Paragraph 1 Physical location (country, state, city, etc.) - Begin with a strong introductory paragraph that captures the reader s attention and contains the information most relevant to your message such as the Five W's of (W)ho, (W)hat, (W)hen, (W)here, and (W)hy, when applicable. This paragraph should summarize the News Release such that if it was the only part seen by a reader, it would tell your entire message, and it should include a hook to get your audience interested in reading more. Paragraph 2, 3, These paragraphs should contain more detailed information, and make up the body of the release. Pick up with the information provided in your first paragraph, including quotes from key staff, customers or subject matter experts. Make sure you use correct grammar. Note: Include your Internet location, or other important links, within the body of the news release, as well as the special areas defined by submission services like WebWire. Also, make sure your links are entered correctly within the release and they lead to active pages. Contact Data Conclude with contact information concerning your business, organizational or personal news release. Double check that your address and telephone number are accurate. Also, many submission services such as WebWire provide special areas for contact data, so be sure that there are no duplications. Note: Publicity garnered from a news release is just one part of your publicity efforts on and over the Internet. Be sure to follow with other releases the tell more of your story over time. These multi message publicity efforts will bring about a fuller list of hits when searched via the major search engines and news aggregators such as Google Search and Google News.
