1 Getting To Know Your EAP Benefits Barbara Sheninger, PHR Director, Client Services Life s Solutions EAP

2 What Services Are Offered? Employee & Dependants Face to face counseling with local, licensed, certified in-network counselors and referrals to various resources. Supervisors Telephonic assistance for employers dealing with difficult employee situations. Client Companies Critical Incident Debriefing (violence in workplace incident, sudden or unexpected death of employee, significant workplace injury or death, mass layoff, etc).

3 Who is Eligible? Three annual visits are available to: ADP TotalSource worksite employees Dependants of ADP TotalSource worksite employees Who is a Dependant? Anyone living under the roof of an ADP TotalSource worksite employee or a child away at school When am I eligible to participate? As a client of ADP TotalSource, employees and dependants are immediately covered and may begin using your EAP benefits today!!!!

4 What s s the Cost? Provided to clients/worksite employees of ADP TotalSource at no additional charge. No employee premiums No patient deductibles No office visit co-payments No surprises!

5 Who will know? Life s Solutions EAP and our local network providers strictly adhere to all Federal and State privacy guidelines and laws regarding mental health, alcohol and drug abuse treatment. NO information will be released to anyone without the expressed written consent of the worksite employee or dependant.

6 Types of Counseling Available Individual Family Adult Adolescent Critical Incident Group Counseling

7 Legal Counseling One 30-minute, telephonic, legal consultation per calendar year for issues such as: Contract Disputes Property Issues Probate Issues Child Support Issues Child Custody Matters Counts as one of the three annual visits NO Employment Related Matters!!!

8 Financial Counseling Budgeting, expense planning Credit Card Debt Consolidation Credit Reconstruction Avoiding Bankruptcy Financial Counseling NOT Financial Assistance or Financial Aide!

9 Locating Care Facilities Your EAP can provide you with a list of local LICENSED facilities as well as tips for interviewing prospective care takers: Elder Care Facilities Child Day Care Facilities

10 Marital/Relationship Counseling Pre-Marital Counseling expectations, goals, etc Couple s Issues communications, life style, in-laws, children, etc Post-Marital Counseling communications, ex-in-laws, children, etc

15 Self Referral Worksite employee or dependant makes initial contact by calling Life s Solutions EAP at: Tip: Since there are many clients under the umbrella of ADP, members should identify themselves as an ADP TotalSource employee or dependant EAP Case Mgr. will assess the type of need and if immediate crisis intervention is required. Whenever possible, the member will be given several local network providers to choose from for local face to face counseling.

16 Self Referral (cont.) Member will choose the local EAP in-network provider they wish to use*. Member will then be given an authorization number to give to the provider for billing purposes. Member is authorized for up to three FREE visits per calendar year. *TIP: When the member is choosing an EAP in-network provider, we suggest they also review their medical insurance providers and choose a provider that participates in both networks. For continuity of care and ease of transition, we encourage this dual network participation, whenever possible, in the event that the employee or dependant wants or needs continuing services beyond the free 3 EAP visits.

17 Suggested Referral Supervisors should keep a small supply of EAP wallet cards and brochures handy may be obtained through your ADP TotalSource HR Business Partner. When a concern is recognized, Supervisor should encourage employee to seek assistance through their EAP. Supervisor should provide employee with card & brochure and remind the employee of coverage for self and their dependants. REFER DON T DIAGNOSE!!!!!!!

18 Mandatory Referral May occur for a variety of reasons: Inappropriate workplace behavior Inappropriate interactions/communications Significant violation of company policy, but not yet a terminable offense (ex: Positive Drug or alcohol test, Attendance issues, etc.)

19 EAP vs. Progressive Discipline EAP does NOT replace or displace employer s Progressive Disciplinary Procedures. EAP is designed to work in conjunction with employer s normal disciplinary procedures and established standards. Goal is to assist in resolving employee issues and reduce turnover!

20 Before a Mandatory Referral Supervisor should consult with their internal manager or Human Resources Department EARLY when an employee concern is recognized. Supervisor/HR should document discussions and concerns with employee per employer policies. Supervisor/HR should contact ADP TotalSource HR Business Partner for guidance as appropriate to: 1. Review all facts of case 2. Review all pertinent policies and procedures 3. Determine whether to continue investigation, discipline, terminate or make a Suggested or Mandatory Referral to EAP

21 Making a Mandatory Referral Mandatory Referrals are normally processed through the employer s internal Human Resources Department, Office/Plant Manager, the employee s direct Supervisor or the employee s Department Manager. A very specific Mandatory Referral Agreement and Release of Information is presented to the employee for signature. This form can be located in the FormSource tab within My TotalSource.

24 Making a Mandatory Referral Typically, the employee is given 48 normal EAP business hours to make initial contact with the EAP. The worksite employee will be set up with a local in-network clinician for additional assessment & counseling. Every effort will be made to expedite Mandatory Referral appointments. EAP will keep the employer contact specifically named on the Agreement abreast of compliance with timing, compliance with treatment recommendations, and return to work status. Due to privacy laws, no further information will be provided to employer or anyone else without specific additional Releases signed by the employee.

25 Goal of Mandatory Referral Provide worksite employee with assistance in overcoming personal issues that have affected their workplace behavior or jeopardized their employment status. Help Reduce Turnover!!!! A Win-Win for both employee and employer!!!

26 Critical Incident Group Counseling Violence in Workplace Incident Significant/Serious Workplace Accident Mass lay-off EAP sends local in-network counselor on-site for a group counseling session Call EAP asap need as much lead time as possible MUST be scheduled through Life s Solutions EAP Up to one per quarter per ADP TotalSource client (not per client location)

27 Passages Provides 3 additional sessions for ADP TotalSource worksite employees (not dependants) who have been laid off or terminated Must be used within 90 days of termination Provides support for dealing with the emotional aspects of job loss NOT a job placement, career counseling, or resume writing service!

35 Help is Just a Phone Call Away! Call us today at Normal business hours are Monday-Friday, 8:30 am 9:00 pm, Eastern Time (excluding holidays). Members should call during normal business hours for all non-emergency matters. 24 hours a day - 7 days a week days a year, telephonic assistance is available for all emergency situations.
