1 Real Vision Software, Inc. Create a Spool File Capture Spool files can be archived automatically or manually using the RVI Spool File Capture processes. The archived spool file is a database representation of the formatted-for-printer output Indexed for ready retrieval when needed. The spool file is identified on the iseries by several attributes, Name, User Data, Form Type, Sequence Number, Spool File Number, User, Page Count, among many others. These listed are used by RVI to guide and record the Capture, RVI s term that refers to archiving the spool file. A useful approach is to identify all of the Spool Files that are to be archived, and to place them, or identify them, with specific output queues. Also recommended is to identify or create output queue(s) to house the spool files subsequent to their capture; the process automatically moves them to the identified output queue. The RVI Process uses the Spool File s User-Data, File Name or Form Type to dynamically match-up with a Form Profile for archival. The Form Profile is a template that describes the Spool File to the processing software and also reflects other needed information to enhance subsequent viewing and storage. Other tools are available to direct the capture when unique identification characteristics are absent. 4 Assemble some prerequisite information to ensure smooth creation of your Form Profile(s): Output queue(s) to house spool files for processing Output queue(s) to house spool files successfully archived Unique Spool File attributes System ID Codes to be associated with the archived Spool Files Specifics on how long the archival objects should be retained The nature of the Spool File, e.g., reports, statements or invoices, etc. Special characteristics of the Spool File, e.g., AFPDS or IPDS (further details at end of this tutorial) The Form Profile can be created using a Point and Click process, and in the case of AFPDS, is actually necessary to ensure accurate Index data. This tutorial will use this feature, but with some familiarity and practice, setup is faster using 2 sessions and building the Profile the old fashioned way. Navigate to the RVI Spool File Menu, and invoke Option 1, Layout Form Profile. Identify the output queue with the spool file to be captured, and optionally, provide the library and/or Form Type. A listing of spool files will be presented; use X next to the particular spool file desired. The next display screen will ask for the Form Profile Name which is best matching the User-Data or Form Type, as described above, but can be any name. Now select the System ID Code to be associated with these archived spool files. 2 It is awaiting your identifying the starting position of an index. Here the cursor is in front of the date value 9/19/07. We want to begin our date capture at this position to also properly capture October, November and December. Press <F1> to denote that starting position. The informational message now directs you to move your cursor to the ending position and hit <F2>, or the 7 at the end of this date string. A display screen is then shown directing us to identify which Index the date needs to go to: From System 7, Date in Index 3; as shown it is entered here. Also shown is that we defined the date to be on line 2 of the report, starting in position 7 for a length of 8, which ends in position 14. Continue mapping the remaining Indexes. You may need to use <F20> to shift the report to the right, and <F19> will move it back to the left. During this process, using <F21> presents the Form Profile Setup screen, shown here: Since the Date did not reflect a leading zero, a 0 has been entered under the Optional Literal Index column for Index 3. The value for Index 4 has been entered as a Literal, denoted by the Y, as SPOOL FILE AUDIT REPORT. Also reflected is our wanting to archive this document Permanently, and to keep on DASD for 1 day beyond burning. Hit <ENTER> and <F3> to return to the Point and Click process and complete defining the remaining Indexes. 2

The informational message now directs you to move your cursor to the ending position and hit <F2>, or the 7 at the end of this date string.

3 To run the archive process on this output queue to use our new Profile on the specific Spool File, use Option 8 on the RVI Spool File Menu, Process Complete Out Queue. If there are spool files present for which no Form Profiles are designed, they will remain untouched and in-place. The display screen can be filled out as shown here: The date is required even if not needed; the Output Queue is identified, and we have also named an output queue to move the spool files that process successfully. Opting to move the spool files when captured greatly aids in determining if any files did not process. If your output queue contains only files to be processed, a quick look will reveal if the output queue is empty; any stragglers represent Spool Files that are either not set up or some other problem exists. Hit <ENTER> to submit this job to batch. Use Option 14 on the Spool File Menu to view the audit of the capture activity. This audit screen indicates one file captured earlier, and 2 files captured on this run with one being the file we just set up (the 2nd entry): 3

4 Use the V option on that entry to examine the Indexes created for this image; a 2nd screen is presented showing the Image Name. Use the X option here to see the Image Detail: The static report title is shown, the date was captured and the leading zero was put in place, and the Form Profile name is shown as Index 7, which is ALWAYS the case. As mentioned at the beginning, some spool file characteristics include AFPDS properties. To process these requires some additional planning as there are 2 options: 1) ignore the AFPDS properties and archive only the text or SCS properties, or 2) archive the document using a process to convert the AFPDS spool file to a TIFF image. To accomplish the first option, nothing different than the steps shown previously is necessary. The Spool File image will be the spooled data sans any special fonts or graphical presentation characteristics. If you desire instead to have your archived document look exactly like the image produced when printing to an AFPDS capable printer, then the only change necessary is to name the Form Profile #AFPxxxxxx, where the string of Xs would be some identifying characteristic of the document, for example, #AFPSTMT. 4

5 This AFP capture is not dynamically captured by matching the Form Profile with one of the Spool File s3 attributes. This being the case, a Table File Entry must be made to direct the match-up. Navigate to the RVI Spool File Menu and invoke Option 5. Now use <F10> to Add a Record. Identify the AFP Spool File by File Name and by User Data and reflect the name of the Form Profile: There are many other features of the Table File Entry; this record setup is all that is needed to effect the capture. The additional features can be used to enhance Index creation. The images produced by the conversion process are identical to scanned images in that they are TIFF, are graphical, and display in the RVI Image Viewer Real Vision Software, Inc.
