4 1 Overview Dell Business Phone is a business communications application integrated within Dell Mobile Workspace the secure workspace component for mobile devices from the Dell Enterprise Mobility Management (EMM) solution. Powered by Vonage Business Solutions, Business Phone enables you to have a separate business phone service on your personal devices, as well as robust business phone features to keep you connected and productive. Capabilities Business Phone provides a unique phone number and service. If your smartphone is lost or stolen, an IT administrator can delete your Business Phone contacts, call logs, and other data by remotely wiping the Mobile Workspace. With Business Phone, you won t need to provide your personal cell phone number to the people you do business with every day, unless you want to. Business Phone can be used on an ios or Android smartphone, or tablet with wireless service from any wireless carrier. Business Phone can make and receive calls using a data network connection, or your cellular voice service. WiFi is a great way to make sure service works well inside buildings. Cellular networks can provide coverage and service while traveling. Because unlimited calling options are typically included in wireless service plans, using your personal cell phone number should have no cost impact. If you want to use 3G/4G data networks, be aware that will generate data use against your carrier data plan, as described in Provisioning on page 3. 5 2 Initial Setup Network Connections Business Phone is a softphone application that allows you to make and receive calls over an active data network connection on your smartphone or tablet. The data network connection can be a WiFi network or a 3G/4G cellular data network. 3G/4G Caution: Some mobile network operators may prohibit or restrict functionality over their networks, such as the use of VoIP telephony over a cellular network, and may also impose additional fees or other charges. Be sure to check the terms of your agreement with your cellular phone carrier. Dell will not be held liable for any charges, fees, or liability imposed by your cellular/mobile carrier for use with Business Phone. TIP: Avoid data roaming charges by your cellular carrier when you are outside the US by turning off data roaming and using WiFi hotspots instead of your cellular network. This way, you won t have to deal with international roaming charges. Phone/Caller ID Note: Any time softphone functionality is used, the Caller ID associated with Business Phone will display. This means the Business Phone Caller ID is used for all outbound calls, even those that are made through your cellular voice service. During provisioning, you will have the choice of using your personal cell service that will deliver your personal Caller ID when making calls. 2

6 Provisioning Provisioning activates the Business Phone application. It registers your account and makes services available. Once the activation is complete, you are given a business phone number, and you can select the phone service to use for outbound calls Business or Personal. Business: All calls you dial will use your business phone service. The person receiving the call will see your Business number as your caller ID. Personal: All calls you dial will use your personal cellular service. The person receiving the call will see your Personal number as your caller ID. Always Ask: If you need to frequently select whether the business or personal phone number will be used for outbound calls, select Always Ask Me. You will be prompted to select which number to use each time you dial a call. Before deciding which number to use, read Phone/Caller ID Note on page 2. 3

7 Application Settings After Provisioning After provisioning, the Business Phone application is configured to make and receive phone calls. You can change the application configuration by using the Call Settings menu. If you are connected to a Wi-Fi or 3G/4G cellular data network, Incoming calls will be delivered using a data network. If you are not connected to a data network, your calls will go to Voic unless you have Consecutive Calling enabled. In that case, the Business Phone will ring alternate lines in succession (see Consecutive Calling on page 25). Outgoing call handling is selected during provisioning, but you can change the selection later by using the Call Settings menu: Business: All calls you dial will use your business phone service. The person receiving your call will see your business number as your caller ID. Personal: All calls you dial will use your personal cellular service. The person receiving your call will see your personal number as your caller ID. Always Ask: To be able to change the number used for outbound calls on a per-call basis, select Always Ask Me. Each time you make a call, you will be prompted to decide which line to use. Before deciding this, read Phone/Caller ID Note on page 2. WiFi networks can provide good service quality indoors in places such as home, office, hotels, and other locations where cellular network signals may not penetrate. Also, WiFi calling is essentially free with no impact to your cellular service plan. Using cellular voice service when not connected to a WiFi network provides good service quality while you are mobile. Cellular networks are built to deliver mobile services, so your Business Phone service quality will be determined by the quality of your cellular service provider s network. Incoming and outgoing calls that are delivered using your personal cellular voice service will consume minutes of your personal cellular service plan. If your personal cellular service includes unlimited voice calling, there will be no cost impact to you. You have the option of making and receiving calls over 3G/4G cellular data networks. If you select this option, incoming and outgoing calls made over a 3G/4G cellular data network will consume data from your cellular data service plan. To help you understand the impact of calling using your personal data plan, consider this example: a 10-minute call will use 3.33MB of data which is similar to sending a picture using Multi-media Messaging Services. If you experience audio problems while using cellular data networks, consider removing this network for the list of calling options for Business Phone. 4

8 3 Basic Navigation This page shows only controls/functions that are unique to the Business Phone application. For information about the features that are not called out here, refer to the DELL MOBILE WORKSPACE USER GUIDE. (To see how to access that guide, refer to Other User Documentation on page 30.) 10 5 Manual Calling This section shows how to make calls using the Keypad. To see how to make calls to contacts from the Contacts List, see Calling a Contact on page 14. 12 Making a Call You can use the Keypad to enter a number. When you enter a number, the Dial a Contact button is replaced by the green Call button. Pressing the Call button initiates the call to the number that you entered. 9

13 Calls in Progress While in a call, Business Phone provides features you can use to control the call and your smartphone. 1. Opens the Keypad 2. Activates/deactivates your phone s speaker 3. Starts/stops recording the call 4. Mutes/unmutes your phone s microphone

14 6 Contacts Contact management (adding, editing, and so on) is a function of the Mobile Workspace application. For details on working with contacts, please refer to the MOBILE WORKSPACE USER GUIDE. (To see how to access that guide, refer to Other User Documentation on page 30.) Contact Display The Contacts feature provides quick access to personal and Business Phone contacts. The Contact Details screen is scrollable and allows you to see all the information for a contact. Contact List Contact Details 11

15 Contact Editing The application includes controls for editing contacts. The Editing Details screen is scrollable, and allows you to see and change all the information for a contact. Contact editing is a function of the Mobile Workspace software that is integrated with the Business Phone application. For details on working with Contacts, please refer to the MOBILE WORKSPACE USER GUIDE. (To see how to access that guide, refer to Other User Documentation on page 30.) 16 Adding a Contact When you receive a call from someone who is not in the Contacts List, you can add the caller to your contacts. From the Call Log, open the Details page for the unknown caller. You will have the option to save the caller s information to Contacts. Afterwards, you can edit the contact information. For editing assistance, refer to Contact Editing on page

17 Calling a Contact You can open the Contacts list in more than one way, as shown in this screen sequence. Tap an entry in the Contacts list to call that contact. To help you quickly find a Contact, the Contact Picker screen includes a scrolling slide for changing alphabetical groups of names. When you see the Dialer screen, tap the green button to start the call. To see how to make manual calls, refer to Manual Calling on page 7. 19 Calling a Call Log Entry You can return calls by finding the entry in the Call Log, and opening the Details screen for that call. To return the call, tap the circle that shows the caller s initials, or the green telephone symbol to the right of one of the phone numbers displayed. Use the Filter control to limit the Call Log entries displayed. Note: You can filter the Call Log by call type (Incoming, Outgoing, and Missed). This limits the number of entries shown, making it easier to find a particular call. You can also filter the Call Log to find only calls that were recorded. To see how to make calls to contacts from the Contacts List, refer to Calling a Contact on page 14. For making manual calls, see Manual Calling on page 7. 20 8 Call Recordings Business Phone gives you the means to record calls with other people and replay them later. You can store a maximum of 15 hours of recordings; once that limit is reached, you must delete previous recordings in order to record additional calls. Recording a Call To record a call, tap the Record button on the Call in Progress screen. The screen changes to show that recording is active. Recording is continuous; you cannot pause a recording. To stop recording, tap the Record button again. You can stop and restart recording as many times as you like. NOTE: The blue Pause button places the call on hold; it does not affect call recording. 17

21 Listening to and Managing Call Recordings To listen to a recorded call, open the Call Log and select a call log entry that has a microphone symbol displayed on the right. All recordings are logged against the contact on the call that was recorded. To open a recording, tap the Play/Pause button. You can use the speaker button to play the call through your phone s speaker. Recording Selection Recording Playing To delete a recording, tap the orange Delete icon. 18

22 Recording Settings To automatically record all calls, tap the Record All Calls check box to mark it. You have 15 hours of recording time the Recording Settings screen shows how much of your recorded call time you have used and how much is left. Once the 15 hours are used, you must delete previous recordings to free up time for new recordings. Please remember to tell all call participants that you are recording a call. Tapping the Disclaimer check box and filling it will cause a beep to be played every 15 seconds during the call, to remind all parties that the call is being recorded. 19

23 9 Voic Listening to Voic You can open the Voic List from two starting points. Unopened voic is highlighted in green. Tap on a list item to hear that voic . You can open voic messages in any order. Voic Playback 20

24 Deleting Voic You can delete voic s from your Business Phone service. You can start the deletion from multiple screens, as shown below. Select a message to delete from the Voic List by tapping on the selection circle on the left. Tap Delete to see the confirmation screen, and tap Delete again to complete removing the message. 21

25 10 Call Settings Incoming Call Behavior If you want to change how calls are handled after provisioning, use the Settings menu. You can set Business Phone to handle incoming calls without alerting you. You can route calls to another phone number or send them directly to voic . Select Nothing to turn off all call rerouting options. 22

26 Call Forwarding This enables you to designate a phone number where all incoming calls will be sent when answering immediately is not possible or desired. All calls will be sent to the forwarding number until you turn off Call Forwarding by selecting Nothing or another option from the list. Whenever you select Call Forwarding, you will be prompted to enter a number. If you have used Call Forwarding before, the forwarding number you previously entered will automatically be displayed. Select OK if you would like to use that number or enter a new number for forwarding. 23

27 Do Not Disturb This setting enables you to send calls directly to voic without ringing your Business Phone number. All calls will be routed directly to voic until you select a different option. 24

28 Consecutive Calling This feature allows incoming calls to your Business Phone number to be delivered via your cellular voice service if you are not connected to a data network. The default settings allow incoming and outgoing calls to be delivered over Wi-Fi or your cellular voice service. By enabling Consecutive Calling, if you are away from your home or office and not connected to a Wi-Fi network, incoming calls to your Business Phone number will be delivered via your cellular voice service. To make it easy for you to activate Consecutive Calling, the calling list is preloaded with your Business Phone number as the first entry and your personal cellular voice number as the second entry. Just tap the selection circle to the left of Consecutive Calling to activate the feature. We recommended that you enable Consecutive Calling. If Consecutive Calling is not enabled and you are not connected to a Wi-Fi network, calls to your Business Phone number will go to voic . To insure Business Phone calls don t use your cellular data plan, 3G/4G networks are turned off by default in Call Settings. Consecutive Calling can be used with multiple numbers. If multiple numbers are in the Consecutive Calling list, an incoming call will be delivered to the first number on the list. If there is no answer within 6 rings, the call is rerouted to the second number on the list and so on, until the call is answered. If the call isn t answered after ringing all numbers on the list, then the call goes to your Business Phone voic . To set up numbers for Consecutive Calling, tap the selection circle on the left. Tap the + symbol to the right to enter a number for forwarding. Repeat these steps to add additional numbers. All numbers entered will be added at the end of the Consecutive Calling List. Once you select Consecutive Calling, it remains in effect until you select a different option. 25

29 Voic Settings The voic settings in Business Phone allow you to take advantage of features like ing voic recordings, and sending calls directly to voic at all times. Voic to Address This enables you to set the address for the Voice Mail Transcription feature when the Send to option is On. When a voic is received, you will receive an with a voice to text transcription of the voic message. You can choose to have the voic message deleted from the Voic List, after the transcription has been sent to your address, by selecting Delete after sending. NOTE: The Name recording function shown in this screen is for future use. 26

30 Greetings You can record a personal greeting that is played for calls that go to your voic . Tap the microphone on the right of Missed Call and follow the prompts to record your personal greeting. Tap the blue Play arrow to listen to your greeting. NOTE: The Name recording function shown in this screen is for future use. 27

31 Ring Tones The application provides a range of different ring tones. To quickly identify incoming Business Phone calls, you may want to set a ring tone that is different from the ring tone for personal cell phone calls. 28
