1 Running a Cognos Report Do I have access? Cognos is only accessible to users with a licence. If you require access but are unable to log in, please contact the IT Service Centre. It is recommended that Cognos accessed through either Internet Explorer or Mozilla Firefox from a Windows PC. Log in to Cognos From the staff intranet homepage, go to Work > Reports. Log in using your standard network username and password. Navigating Cognos After logging into Cognos, you may see the following screen. If so, select My Home: You will then be in Cognos Connection this is the interface through which you can access reports and dashboards. Users with the relevant permissions can also access other analysis and reporting tools from here.

2 Cognos Connection Public folders allows you to navigate and access any other Cognos reports that you have access to. My folders allows users with relevant permissions to save their own custom reports and analyses. BI dashboards You can save your own copy of any report in Public Folders into your own private folder ( My Folders ). This allows you to save your own report prompts and enables you to schedule the report to run automatically. Running a Report First, find the report you want to run in Cognos Connection and then click the run button. If you want to reuse the prompts or schedule the report, then you will need to save your own copy of any report in Public Folders into your own private folder ( My Folders ) - there is a separate guide available explaining how to do this. Click the run button

3 You will then be presented with an options screen, where you can change the output format and how you would like the report to be delivered. 1: Choose Format 2: Choose Delivery 3: Prompt for Values 4: Choose Advanced Options or Run the Report Choose the output format from the drop down box. The formats available include: HTML: PDF: Excel 2007: Excel 2007 (Data): Delimited Text (CSV): The standard format for viewing the report on-screen A PDF file that is printable and can be distributed but not changed. This format is not suitable for any interactive reports and is more suited to printed reports. Excel format that is presented like the HTML report. Useful for presentation, but not for data manipulation Excel format that contains all the data used to create the report. Useful for further analysing the data in Excel. A text file containing all the data used to create the report with comma separated values. Useful for importing the data into another software package for further analysis

4 Choose the delivery method from the available radio buttons. The methods you may see include: View the Report Now: Save the report: Print the report : Send me the report by Runs the report and shows the output on-screen Run the report in the background and save it for viewing later. This option is best used on reports in My Folders Not used. If you want to print a report, output to PDF and choose a different delivery method Run the report in the background and then it to your University of Derby staff account. Advanced Options allow you to specify if you want to run the report now or later. You can also specify the number of rows per page in a HTML output or the page size and orientation in a PDF report. 1: Choose Delivery Time and Mode 2: Choose Format Options 3: Prompt for Values 4: Run Report

5 If you have never run the report before, there will be no prompt values saved. Ensure that the Prompt for Values check box is ticked and then click Run If the report has any prompts, you will now be asked to complete these. When you have done this, the report will run in your output format and will be delivered by whichever method you have selected. If you have chosen to run the report later, then the report will be scheduled to run once only at the selected time.
