2 General introduction Parking at the University of Bristol is limited, however the University recognises the importance of enabling contractors to carry out works on its behalf. All parking permits allocated to a University contractor will be issued subject to confirmation from an appropriate University sponsor. For the purpose of this parking policy the definition of a contractor is a visitor who has been contracted by the University to deliver a service and must park their vehicle in close proximity to the building where they are working. A contractor is not directly employed by the University. The above definition does not extend to agency workers employed directly by the University, subcontractors, nor does it apply to persons delivering goods or supplies to the University. To download for printing or to complete electronically please visit: CP1: Contractor parking permit application form Policy Applications will only be accepted from the parent company (contractor). For instance, two separate arms of the same contracting company may apply for their own individual permits but these must be contained in a single contractor parking permit application. Each contractor can apply for a MAXIMUM of two permits per permit year. Each contractor parking application form must be approved by a University sponsor with knowledge of one or more of the contracts awarded to the contractor. If one permit is applied for a maximum of five vehicles may be listed. If two permits are applied for a maximum of ten vehicles (in total) may be assigned to the permits. The contractor will receive a maximum of two physical permits. Duplicate physical permits will not be provided and the contractor will need to ensure that all vehicles display a valid permit prior to parking in a University General car park. Subcontractor vehicles may be included in a contractor s parking permit application form as long as the total number of vehicles does not exceed the maximum of five (or a total of 10 if two permits are applied for). Subcontractors are not eligible to apply for a parking permit unless they themselves are directly contracted to carry out work for the University. When parking in a University General car park, a contractor s vehicle must display a valid permit and coupon. The University parking permit year ends on the 31st July each year. Each contractor must reapply for a new permit BEFORE the end of the permit year, irrespective of the term of their contract. Full details on the car parking policy are available at contractor-parking/. This policy only applies to contractors wishing to park in the University Precinct and its satellite sites. 3 Supporting Evidence Contractor parking applications must be supported by demonstrable evidence of a valid contract to complete works on behalf of the University of Bristol as confirmed by a suitable University sponsor. Allocation Permits will only be allocated for the University permit year or the anticipated length of the contract, whichever is the shortest. Any contractor that has a contract with a duration that is longer than the University permit year will be required to reapply at the appropriate time. Security Services will advise the applicant to collect their permits from Royal Fort Lodge prior to parking in a University General car park. Address on page 4. Contractor parking permits allow the permit holder to park in the University s General car parks only. Contractors are not permitted to park in dedicated departmental, disabled or visitor parking spaces. Use of Coupons Permits will be issued free of charge. All contractors holding a permit to park in University General car parks are required to purchase and display a valid coupon. A valid coupon is defined as a coupon containing the same permit number as the permit displayed in the vehicle; the current date and month are scratched off sequentially starting from the top of the coupon. One coupon contains 5 days worth of parking. Contractors may order coupons by using the University s online shop and collect their parking coupons from Royal Fort Lodge by showing their purchase receipt. Alternatively, contractors may purchase coupons by cash or credit/debit card prior by visiting Royal Fort Lodge. Replacement Permits A replacement permit will be issued by Security Services free of charge in the event that the details of any vehicle included on the permit need to be changed. This is subject to returning the original permit to Security Services. In the event that a contractor parking permit is lost, a replacement permit will be issued by Security Services at a cost of In the event that a lost permit is found, it must be returned to Security Services. Contractors will not be required to pay for parking until Monday 5th January Between 2nd November 2015 and 23rd December 2015, contractors wishing to park in a University General car park must display the appropriate parking permit. From the 5th January 2016, both the contractor parking permit and appropriate parking coupon must be displayed in all vehicles parked in University General car parks. 4 How to apply Download and read the Contractor Parking Permit Application Form (CP1) and parking Terms & Conditions document Complete the Contractor Parking Permit Application Form (CP1) Gather supporting evidence Send your Contractor Parking Permit Application Form (CP1) to your University sponsor for them to complete Section 4 and arrange for it to be returned to you Security Services will notify you whether your application has been successful SUCCESSFUL application Security Services will inform you when your permit(s) is/are ready for collection UNSUCCESSFUL application There will be no right of appeal but you will be able to resubmit a new application with additional evidence where appropriate Successful applicants are required to purchase coupons in advance of wishing to park in University General car parks. Contractors may order coupons by using the University s online shop and collect their parking coupons from Royal Fort Lodge by showing their purchase receipt.
