3 Who we are. PURPOSE & BACKGROUND The Strategic Plan guides the activities of the Bucknell University Alumni Association (BUAA) and the Bucknell University Alumni Association Board of Directors (BUAA Board). The Executive Committee of the BUAA Board, with input from the BUAA Board committees, defines the role, structure and purpose of the BUAA. During the biennial strategic planning process, the BUAA Board reviews strengths, challenges, opportunities, and synergies with other Bucknell University organizations and programs; outlines our vision, mission, values and objectives; and states the BUAA s strategies and goals. This Strategic Plan covers the time period beginning October 2014 through October It will be utilized as a living document to guide and focus BUAA members in their efforts during this time period. 1

4 BUCKNELL UNIVERSITY ALUMNI ASSOCIATION The earliest record of an annual meeting of Bucknell s alumni association and its governing board dates back to 1938, when 13 regional clubs existed in Pennsylvania, New York, New Jersey, Washington, DC, and Massachusetts. Today, the Bucknell University Alumni Association is more than 50,000 strong. Any student who completes one full academic semester at Bucknell University is a member of the BUAA. Thirty-five regional clubs operate in and outside of the United States. BUAA The Bucknell University Alumni Association is more than 50,000 strong. 5 THE BOARD OF DIRECTORS Board Structure The BUAA Board of Directors comprises forty to fifty members who are alumni of Bucknell University. Members are nominated by peers, selected by the Committee for Membership & Nominations, and approved by the BUAA Board for membership. Efforts are made to ensure representation of alumni by geographic location, year of graduation, academic major and/or career, and ethnicity/country of origin. Members are selected for a four-year term, which is renewable once for an additional four-year term. 6 The BUAA Board also includes up to ten non-voting members who are current students at Bucknell University. Student members of the BUAA Board serve for one-, two-, or three-year terms that end upon graduation. The BUAA Board meets in person three times per year, usually on Bucknell University s campus. The officers of the BUAA Board are: President First Vice President Vice President for Finance Vice President for Membership & Nominations Vice President for Strategic Planning Officers serve a two-year term with a two-term limit and are elected by the full BUAA Board. Governance and Responsibilities The structure and operating procedures of the BUAA Board are guided by the Bucknell University Alumni Association By-Laws. The responsibilities of a member of the BUAA Board include: Attendance at all meetings Annual contribution to the university Support of regional club and university events Executive Committee The Executive Committee comprises the officers of the BUAA Board, committee chairs, and up to four additional members-at-large appointed by the BUAA Board president. Each committee chair and member-at-large serves a two-year term with a two-term limit. The Executive Committee sets BUAA Board meeting agendas and acts on behalf of the full BUAA Board between regularly scheduled meetings. Committees The bulk of the BUAA Board s work is conducted at the committee level. As of the date of this plan, the BUAA Board includes eight committees that are responsible for perpetuating and supporting the mission and goals of the organization. These committees include three committees established under the Bucknell University Alumni Association By-Laws (Finance, Membership & Nominations, and Strategic Planning) and five additional standing committees (Admissions & Transitions, Career Advisory, Clubs & Young Alumni, Communications, and Development & Constituent Relations). The standing committees may be changed if deemed appropriate by the Executive Committee but are expected to remain intact as currently structured during the period of this plan. Following are descriptions of current BUAA Board committees. For descriptions of the programs referenced, please see Appendix 1. Admissions & Transitions The Admissions & Transitions Committee oversees and executes specific programs throughout the year to engage Bucknellians. These programs are tied to specific milestones around admission to Bucknell, initiation into the BUAA at First Night, and graduation. Career Advisory The Career Advisory Committee engages both current students and alumni through career-oriented activities that demonstrate the value of staying connected with Bucknell through various stages of one s career. Specifically, the committee, though strong partnership with the Career Development Center (CDC), engages with current students to provide advice and to demonstrate the importance of staying connected with the university. The Career Advisory Committee also supports the CDC in its efforts to develop and promote programs that help alumni in their lifelong career development, such as careeroriented webinars. Clubs & Young Alumni The Clubs & Young Alumni Committee (CYAC) focuses on continuing involvement of Bucknell s alumni community through its regional club program, with special outreach to its young alumni constituency. The CYAC sponsors welcome receptions for new graduates, community service events, and coordinates with the Council of Club Presidents. 4

7 Communications The Communications Committee is responsible for perpetuating and supporting the mission and goals of the BUAA. The committee is responsible for branding the organization and for developing measurable marketing strategies that enhance engagement and promote the efforts of the other committees. The committee also provides day-to-day support to the university s office of Development and Alumni Relations and to the BUAA Board committees that includes, but is not limited to, branding, print, interactive, content development and promotional goods. Development & Constituent Relations The Development & Constituent Relations Committee supports the efforts of the university s office of Development & Alumni Relations to engage alumni by partnering on key events and campaign efforts. The committee also engages students to promote a spirit of philanthropy by supporting campus activities and conversation. The committee seeks to facilitate idea exchange among alumni volunteer groups by hosting the Volunteer Leadership Summit. Finance The Finance Committee is the fiduciary body within the BUAA Board that monitors, manages, and safeguards the organization s financial resources. Further, the committee supports all BUAA Board committees by coordinating the planning and budgeting process to ensure that planned programming expenses are aligned with, and not in excess of, available funding sources. Finally, the committee identifies and evaluates potential funding sources and value-added group discount opportunities to ensure they are consistent with the university and BUAA goals and objectives, including the enhancement of engagment of alumni, and allocates funds to BUAA Board projects and grants to bring alumni and students together. Membership & Nominations The Membership & Nominations Committee serves as the human resources function of the board. The members of the committee solicit, vet, select, and train new members and students and assign them to the committees for which they are best suited. Membership & Nominations ensures that all members are engaged, present, and satisfied with their assigned committee. The committee also markets, solicits nominations for, and selects distinguished Bucknellians for the annual Alumni Awards program. Strategic Planning The Strategic Planning Committee manages the BUAA Board s biennial strategic planning and evaluation process. The results are published to guide the BUAA Board in its activities and to communicate its priorities and successes to its constituencies. The committee supports the planning, monitoring, and achievement of the BUAA Board s goals by administering surveys, identifying relevant benchmarks, and conducting additional research as needed. The committee also seeks to facilitate idea exchange with other alumni associations. Partnership & Synergy with the University A strong, well-functioning alumni association is of great importance to Bucknell University. The university, therefore, supports the BUAA Board and BUAA activities in various ways, including the appointment of staff liaisons to the BUAA Board. Staff members collaborate and partner with the BUAA Board to support general operations and to design and implement programs and initiatives developed and/or endorsed by the BUAA Board. The principal staff officers of the university providing this guidance and support are the vice-president for development and alumni relations and the executive director of alumni relations. As appropriate, other university staff members serve in liaison roles to each of the BUAA Board s standing committees. Constituent Relations In addition to participating in the BUAA Board s organizational plans and programs, members of the BUAA Board are encouraged to actively seek out opportunities to represent and engage with Bucknell University alumni and alumni groups at the regional level. The BUAA Board also creates opportunities to engage with other university constituencies: affinity groups, parent groups, advisory boards, etc. On a biennial basis, the BUAA Board brings representatives of these groups together at the Volunteer Leadership Summit to share insights and foster communication among the BUAA and other volunteer organizations of Bucknell University. 5

THE MISSION OF THE BUAA BOARD IS TO Represent alumni by interacting with and soliciting input from alumni constituents; supporting alumni groups (e.g., regional club networks, affinity groups, stakeholder groups); and collaborating with the administration, faculty, and Board of Trustees concerning matters essential to the interests and concerns of alumni; Engage Bucknellians by fostering communications between campus and alumni groups; providing services and programs beneficial to individual alumni and alumni groups; participating in regional and campus alumni activities; and disseminating information about the university and the BUAA; Promote and Enhance Bucknell University by encouraging alumni and students to assume responsibility for supporting and strengthening the university; educating the alumni community about developments on campus and about the work of the BUAA; and supporting efforts to advance the university s standing and reputation. 6

9 To achieve its mission, the BUAA Board partners with the university to enable and encourage fellow alumni to: Open Doors for Bucknell University students and alumni by providing career advice and opportunities Volunteer time and talent to serve Bucknell University Give Back to the university to help undergraduates enjoy the most fulfilling experience possible Engage through social, educational, and networking events; and Return to Bucknell University to celebrate milestones and events, reconnect with old friends, and deepen bonds to this great institution. Programs & Activities The BUAA Board implements a variety of mission- and strategy-driven activities and programs. These activities and programs are described in Appendix I and are shown in Appendix III in the BUAA Board Activity Matrix. Snapshot: FIRST NIGHT The BUAA Board has many touchpoints with current Bucknell students to demonstrate that being a member of the Bucknell community lasts not just for four years on campus, but for a lifetime. Each year, the board welcomes new BUAA initiates at a ceremony called First Night that is held in January. First-year students who have completed a full semester at Bucknell are inducted into the Bucknell University Alumni Association during this event. BUAA Board members meet with first-years at their residence halls to talk about alumni engagement and the broader Bucknell community before escorting them to Rooke Chapel. During a ceremony that includes class officer presentations and the unveiling of the class motto and shield, the BUAA president addresses the class with participation by the whole BUAA Board. Afterwards, the students process by candlelight to the president s house where they sing the alma mater. January 2014 was the fifteenth celebration of First Night in which the BUAA Board participated. 7

10 Priority Organizational Initiatives Guided by the Executive Committee, and based on the results of surveys of the BUAA Board and alumni constituents as well as inputs by the BUAA Board committees, the university s office of Development and Alumni Relations, the university s leadership, and the Volunteer Leadership Summit, the BUAA Board identified the following priority goals for : Enhance the BUAA s value proposition to its constituents Encourage and coordinate constituent engagement Enhance the BUAA Board s resources Enhance the BUAA s Value Proposition to its Constituents While the BUAA Board has developed effective programming in response to its many constituents, the characteristics of its constituents and their needs are always evolving. The BUAA Board accommodates change through its ever-shifting membership. The BUAA Board is committed to allocating resources to programming that addresses the changing needs and requests of its constituents. Based on the results of a survey of a sample of the BUAA, for the next planning period the BUAA Board will prioritize the offering of (i) goods and services and group discounts that are useful to Bucknell alumni, (ii) more opportunities to volunteer and to return to campus, and (iii) social and professional networking programming. Encourage and Cooordinate Constituent Engagement One of the ways that the BUAA Board can be most effective in supporting Bucknell University is by engaging alumni. We do this through rich programming that begins when a student is admitted to Bucknell, continues throughout a Bucknellian s on-campus experience, and then follows him or her through every stage of life afterwards. The BUAA Board can be particularly impactful by providing meaningful reasons for alumni to connect at the regional level and by supporting the coordination of Bucknell s many volunteer organizations. An initiative for this next strategic planning period is to enable this to happen virtually through the use of social media. Another goal is to continue to improve upon and evolve the rich programming already offered by incorporating input from our constituents and by identifying new and creative ways to keep alumni connected to Bucknell University and to one another. Enhance the BUAA Board s resources At the end of the day, the BUAA Board is a volunteer organization. At both the board and regional club levels, the BUAA Board benefits from the outstanding enthusiasm that alumni have for Bucknell University. Like other nonprofit organizations, the board is careful not to squander this resource and is committed to channeling both the human and financial capital available to their most useful ends. Consequently, the BUAA Board is committed to better utilizing its wealth of human talent through the constant evaluation of programs and allocating resources to their greatest impact. The board also seeks to better engage past membership as well as other volunteer organizations of Bucknell University to broaden the reach of BUAA programs. Finally, the BUAA Board is grateful to be supported by an endowed pool of capital, but recognizes the volatility of the capital markets and their potential impact on BUAA programming; thus, the board is dedicated to identifying additional and diverse sources of revenue. Snapshot: SUSTAINABILITY OF BUAA RESOURCES The BUAA Board has operated with surplus capital for many years through the successful revenue generation of alumni loyalty programs combined with careful and disciplined budgeting. Last year, steps were taken to ensure the support of the organization in perpetuity. The BUAA Board, with support from the university, established an endowment with its surplus capital. The payout from this endowment is expected to provide about one-third of the operating budget of the BUAA Board for the foreseeable future. 8

11 To support these goals and our overall mission, the BUAA Board will engage in the following priority initiatives. 13 How we measure our success. ASSESSMENT The BUAA Board is committed to on-going assessment and evaluation of its programs and organizational effectiveness. The BUAA Board assesses its work in a variety of ways. Board Assessment Board Meeting Evaluations: Following every board meeting, members complete a survey that evaluates the efficiency and effectiveness of the meeting at the committee and full board level. Board Survey: Every two years, the full board completes a survey to evaluate the board s accomplishments, approach, and engagement. Executive Committee Retreat: Every two years, the Executive Committee gathers for a full day retreat to review the results from the BUAA Board survey, discuss organizational effectiveness, and develop goals for the next two-year period. Program Assessment Surveys: Online surveys are regularly designed and distributed to assess effectiveness in achieving program goals. This data is reviewed by the committee organizing the event and utilized in planning subsequent events. General Sessions: A general session is scheduled during each meeting and provides the opportunity to debrief about programs and discuss effective strategies for new programs. Information is gathered in small groups and then shared with the full board (verbally and/or in writing). Snapshot: SENIOR SUNSET One element of the BUAA s five-point motto is to Give back. Senior Sunset is an event held at the end of a Bucknell student s career. During this celebration, a BUAA member addresses the senior class, reinforcing the message that our connection with Bucknell remains strong well beyond graduation, and our community depends on engagement with one another and with the university. Students are given gifts to remind them of the BUAA s five-point motto describing our commitment to our alma mater. This year, the BUAA speaker raised awareness of the new Bucknell app by pledging a dollar for each download. There were over 250 downloads that week, and over $500 was raised for the university in the challenge. 11

14 Planning Cycle The BUAA Board is engaged in a planning and revision process that empowers the group to review past practices, assess progress, and establish new goals. The timeline to the right depicts this process: the BUAA Board mission guides the overarching strategy; the strategy is influenced by data collected from constituents and members; the strategy is outlined in the strategic plan; the BUAA Board executes programs that are consistent with the goals established in the plan; program effectiveness is evaluated; and assessment data shapes future strategic planning. Conclusion This document outlines the BUAA Board of Directors goals and strategic approach for October 2014 through October It will guide, focus, and shape the BUAA Board s efforts during this time period and establish a foundation for future accomplishments. Nominations by peers are gathered for awards honoring young alumni, loyalty to Bucknell, outstanding achievement in a chosen profession, and service to humanity. At reunion weekend, the recipients are honored at a reception sponsored by the BUAA Board for families and friends in the Terrace Room. Later in the weekend, the university president formally presents the awards during Reunion Rally. The achievements of this year s alumni award recipients can be 12

16 BUAA BOARD PROGRAM DESCRIPTIONS Admitted Student Open House Panel Coordinate an alumni panel during the admissions accepted student open house weekend. Alumni Awards Program Honor alumni for their achievements and loyalty to the university. Recipients are celebrated during a special awards ceremony and during Reunion Rally as part of Reunion Weekend. Annual Report Publish short update for use by the BUAA Board and its committees to manage and measure achievement of the organization s strategic goals. Bucknell: Table for 12 Organize dinners in various cities to bring together groups of twelve people who don t know each other but have Bucknell University in common. Career Development Center Alumni Career Services Programming Development and Promotion Increase awareness of career-related resources to alumni through the Career Development Center s Alumni Career Services and build alumni engagement. Challenge Grants Offer grants to senior class to enhance participation in the senior fund drive. Bison Ambassadors Coordinate alumni volunteers to reach out to prospective students and parents to convey a positive message about Bucknell and foster a general sense of community. Common Reading Program Provide an opportunity for alumni across the country to connect by reading the same book that the first-year class is reading and then having discussion groups in various cities. Branding Guidelines Update and distribute BUAA branding guidelines to maintain consistent messaging across all communication platforms. Community Service Events Facilitate the planning of community service projects by regional clubs every April to engage and connect alumni, parents, and friends. BUAA Snapshot Publish one-page backgrounder that is utilized as a handout for events that are sponsored by the BUAA. Bucknell Magazine Develop content for articles that appear in the Alumni Association News Section of Bucknell Magazine four times a year. Bucknell Public Internship Program (BPIP) Provide financial support for selected students who have secured a full-time summer internship with a non-profit/public interest organization for which no compensation is provided. The fund enables students who might not otherwise be able to participate in these non-paid internships to gain valuable experience in a field of interest. Constituent Relations Facilitate partnership among alumni volunteer organizations to coordinate programming and to develop events/activities through the regional clubs. Cornerstone Events Identify and support Cornerstone event hosts. Council of Club Presidents Provide a forum for regional club presidents to network, share ideas, and stay connected with Bucknell University; organize three conference calls a year focused on specific topics geared towards building and maintaining a strong and active club. 14

17 First Night Represent alumni and educate students about the ways in which alumni stay connected with the university. The intent is to begin to shape students understanding that the relationship with Bucknell lasts a lifetime and to help students to understand how alumni can and do support their personal journey at Bucknell. Pennant Program Sponsor ceremony to present Bucknell pennants to graduating students who are education majors and who are involved with key campus programs that are consistent with the BUAA Board mission (i.e., student calling program, admissions tour guides, reunion ambassadors). Human Resources and Recruitment Advisory Group Establish a group of alumni human resources and recruiting professionals to provide perspective and advice to CDC. Regional Club Events (BUAA engagement) Support regional clubs by encouraging involvement of BUAA Board members and their constituents in regional and university events. Junior Class Mock Interviews Provide students career-related interviewing experience by participating in mock interviews with members of the BUAA Board and Parents Board who are experienced in the hiring process. Magnet Publish a printed and electronic BUAA Board newsletter three times a year following board meetings. Marketing Campaign Develop and manage a BUAA marketing outreach strategy that engages alumni of all ages through various communication platforms. New Board Member Recruitment and Screening Screen and recruit BUAA Board members based on established criteria, including Bucknell involvement and diversity in class years, geography, and ethnicity, representing a balance similar to the current student population. New Member Training Provide orientation to new members (alumni and students) at the BUAA Board Homecoming Meeting. Outreach to Posse Foundation Introduce Posse scholars to Bucknell alumni in their area through regional clubs in Los Angeles, Boston, and Washington, DC. Regional Club Leadership Development Develop and establish a program to identify, cultivate, and train the next generation of regional club leaders to strengthen and grow the regional club program. Regional Club Resource Guide Publish, distribute, and update a How To guide for club presidents to help them develop and maintain a vibrant, active, and engaged community of alumni, parents, students, and friends in the club s geographic region. Reunion Bucknellian Publish reunion edition of the Bucknellian that features articles written by Bucknellians who return to campus for reunion. Scholarship Program Sponsor scholarships for Bucknell students from the BUAA endowment. Senior Sunset Address senior class at spring event with development message and incentive gift to sign up for alumni app. Social Media Strategy Develop and manage BUAA social media outreach strategy and educate BUAA regarding various channels and tools available to communicate with alumni. 18 Strategic Planning Process Coordinate biennial strategic planning and evaluation process for the BUAA Board, publish results to guide the BUAA Board in its activities, and communicate its priorities and successes to its constituencies. Student Board Member Program Recruit, interview, and choose 10 student members to the Board for 1-year terms or longer. Travel Programs Encourage Bucknellians to engage and travel the world together; proceeds fund the BUAA s programs, including its annual grant programs. Volunteer Leadership Summit Plan the Volunteer Leadership Summit on a biennial basis to facilitate idea exchange among different alumni group volunteer leaders. Surveys, Benchmarking, and Analytics Support the board planning process by conducting surveys of members after each meeting; support committee goal evaluation and monitoring through surveying relevant constituents and other universities alumni groups. Welcome Receptions for Recent Graduates Facilitate the planning of welcome receptions by regional clubs on the third Thursday in September to connect new graduates with other Bucknellians in their area and keep them engaged with the University. Snapshot: RECENT GRADUATE EVENTS Young alumni (those within five years of graduation from Bucknell) are welcomed by clubs in their areas and are encouraged to stay engaged. In September 2013 the BUAA Board helped to coordinate 17 welcome receptions to bring together recent graduates and introduce them to Bucknellians in their areas. Over 500 alumni, parents and friends participated in these events including 140 from the Class of approximately 17% of the class. The BUAA Board provided funding for refreshments for all of the receptions. Snapshot: COMMUNITY SERVICE In April 2014 the BUAA Board facilitated the 6th Annual Bucknell Community Service Event, which was cosponsored by the Bucknell Alumni Association, the Bucknell Parents Association and Bucknell Association of Clubs. Over 300 alumni, students, parents and friends participated in 22 service projects which brought together Bucknellians from around the world to make a difference in their communities. Snapshot: CLUB LEADERSHIP The regional clubs continue to be a way for most alumni to be involved. The BUAA Board organized three webinars for the Council of Club Presidents (CCP) in partnership with the office of Development and Alumni Relations. The CCP provides a forum for regional club presidents to network, share ideas and stay connected with Bucknell University. The webinars focused on topics geared towards building and maintaining a strong and active club and included regular university updates. 16
